SLSWA would like to help make the entries process as simple as possible so to assist you all we havecreated a step by step guide that outlines all of the key details you will need to know for when inputting your team entries into the Team Manager Lite system for The SLSWA Pool RescueChampionships. WHAT KEY DETAILS DO I NEED BEFORE STARTING? Before using Team Manager Lite – we recommend having all required information ready! Please see below for a list of all details you will be asked to enter for each competitor:

1. Date of Birth

2. Correct spelling of each name

Note:

- You can enter competitors in several ways; however, the best way is by “events”. We wouldrecommend having a sheet ready which lists all of the events and which competitors will beentering into those.

- Team Manager Lite will only allow you to enter 100 athletes

STEP 1. How to install Team Manager Lite on to your PC a) Download Team Manager Lite 8.0 by clicking here

(If you already have Team Manager 5.0 Lite from the previous year, you can still use it for yourentries. Skip to entering competitors)b) Click on the word Lite to download the “Lite” version of Team Manager 8.0

c) Once you have clicked on the “Lite” option, then hit Save File. The downloading process will begin.This may take approximately 30 mins to load depending on internet speeds.

d) When the Installation program pops up, click on ‘run’ and click through the ‘next’ and accept theTerms & Conditions until you get to ‘finish’. The program will then open automatically.

e) Once the program has opened click ‘OK’ on the pop up screen. Click ‘No’ for automatic updates anddownloads.

STEP 2. How to import event codes into Team Manager Lite for this carnival a) Download on the Team Manager Lite zip file at this link: ‘Meet Events-2017-18 Sunsmart Pool

Rescue State Champs-01Jul2017-002.zip’. The full event list can be located by clicking this linkb) Once located, open and save the zip file to a location on your computer that you will easily find.c) Now open the Team Manager Lite program.d) Once open, go to File then Open/New and create a new file with your club name, then click open

and OKe) The System Preferences screen will automatically open. Please ensure you tick the following:

Gender Designation box - Men/Women

Athlete Browser Options - Show Ages

- Show Birth Date

- Last Name FirstRelay Lead-Off Splits

- Use Relay Lead Off SplitsState/Province Labels

- Use ‘State’Team/Swimmer Defaults

- Default Team Registration = Aust

- Default Team Type = Age

- Default Country = Australia- Default LSC = LEAVE BLANK

- Default State = your own stateMeet Age-Up Date

- Change date to 30/09/16System Age-Up Date

- Change date to 30/09/16- un-tick “Always age-up to today”

f) Then click OK & OK

g) Go to File Import Meet Events. Browse to the saved zip file (the one you saved asinstructed in step 2). Double click this zip file. A window will open, click OK. Then click the only filethat is available and click Open. Click OK to replace the currently open database. You are now readyto start.

h) If using Version 8, a folder needs to be created to do the following in: Save the .zip file in the newfolder double click on the .zip file copy the 2 files into the same folder as the .zip file If youexperience difficulty with this call Ben Harvey at SLSWA 9207 6666.

(If the ‘meet setup’ screens open then ensure that the Meet Name “2017/18 Sunsmart PoolRescue State Champs” is highlighted and please click your way through these via the ‘save’button, from then exit from this form back to the main screen by clicking on the top right hand X(the X on the second line). Careful, clicking the top X will close the Team Manager program.

STEP 3. How to add your club into Team Manager Lite

a) Click on Teams on the top toolbarb) Click Add on the new toolbarc) Type in a club code-Refer to team list that was downloaded with the initial .zip filed) Enter clubs full name in Team Name (eg. Trigg Island SLSC) (ignore short team name field)e) Enter phonef) Click OKg) Click Cancel when finished.h) Exit from this form back to the main

screen by clicking on the top right hand X(on the second line). The Grey X, the topRed X will close Team Manager.

j) Click OK.

k) Continue adding all new athletes.

l) Close this screen (Athletes) by clicking on the top right hand X (on the second line). Careful, thetop X will close Team Manager.

STEP 4. How to add your athletes into Team Manager Lite

a) Click Athletes from the top tool bar. If you are using the program for the first time, there will be noathletes showing. Select your Surf Life Saving Club by clicking on the Team drop down box. Add allnew athletes now, before starting to do entries.

b) Click Add on the top toolbar.

c) Use upper and lower case in the Athlete Information area – not all upper – for athletes’ names.Type in Last Name and First Name

d) Tab to move to the Birthdate field.

e) Use same format as shown for DOB. eg (DD/MM/YY). Tab through for the program toautomatically calculate the age. (Note: age calculation is determined as at 30/9/16)

f) Keep Tabbing (leaving ID # blank)

g) Use a capital M or F to change from Male to Female.

h) On the right hand side in “Member of” section choose Team 1 (Club Name) from the drop downbox.

STEP 5. How to enter athletes into Individual Events (PLEASE REFER TO EVENT LISTING BELOW)

a) Click Meets from the top toolbar.

b) Make sure you have the correct carnival selected, this will appear in blue as shownbelow e.g. 2018/18 Sunsmart Pool Rescue State Champse.g. 2017 SLSWA Pool Rescue Championships

c) Click Entries, then Entry by Event. Ignore next message box.

d) Alternatively you can choose Entry by Name. Click on the person’s name. A list of the events thatthe person selected is eligible for will come up.

e) Select your club in the Swim for Team drop down box at the top of the screen.

f) The events listed in this system are for a traditional pool event. Please refer to the eventnumber as listed in the State Championship program of events. Click on any event – the eligibleathletes will show alphabetically on the bottom half of the screen. (Please go by Event # and useEvent Listing table below.)

g) Click in the Entrd column box of the person you wish to enter. The row will change to yellow anda tick will be in the box in the Entrd column.

h) To delete an entry, click on the ticked box. The yellow will now be cleared.

i) Continue this way until you have entered all your athletes. Team Manager automatically savesyour entries as you do them.

j) Athlete names will be in green once entered.

STEP 6. Entering athletes into Relay Teams

a) Click on Meets Entries by Event Click on Relays onlyb) Click on a Relay event you wish to enter. If a message box shows, click OK.

Please use event numbers as reference.c) Click on Team Named) Eligible athletes will now be showing on the left side of the screen. Click on New Relay, this enters a

team. You now need to enter the athletes into that team.

e) Click in the Entrd box for each athlete, and that name will be transferred to the right side of thescreen under Athletes.

f) To delete an athlete from a Relay, double click on the name in the Swimmers box and followinstructions.

g) To add athletes into another Relay event, repeat the steps above.

h) Once you have entered all athletes into their events, close this screen to go back to the mainscreen.

STEP 7. How to print your entries

a) Click on Reports (top menu) – Meet Reports - Entry Report. If you don’t have these options thenclick - Reports – Meet Reports – Meet Entries.

b) Click the Team drop down box and choose your Club. 1

c) Make sure that All is selected for Gender and Sort By has Meet Event Number selected. 2d) Check that Event Filters – Individual and Relays has a dot as well as Show Four also has a dot.

Nothing else should be selected. This report will show athletes entered per event. 3e) Click Create Report.

f) Press the Printer icon to print. Please email this to [email protected] SLSWA, ATTN: BenHarvey (Surf Life Saving WA – 9207 6666) so that we have a printout of your entries –just in casethe electronic transfer goes wrong!

g) To close print screen, click on the cross at the top right hand corner (second line) then clickCancel. Click the cross at top right hand corner (second line) again and you should be back at theMain Screen.

STEP 8. How to backup all files on to a USB

a) From the Main Screen, click File and choose Backup.

b) Select where you wish to save the backup – program will go to C:\TM5Data – that’s OK – but it isadvised to do one to a USB stick as well.

c) Write down the name of the backup file and where it is saved to (if not saving to a USB), as itgives the file an unusual name (eg: SwTm4BkupMyTeam - ??.zip) – you don’t have a choice ofnaming it. It is sometimes hard to find again if you need it.

STEP 9. How to export your data

Note: Please send all files to SLSWA Sports DEvelopment Officer Ben Harvey at: [email protected]) From the Main Screen, click File Export Meet Entries.

b) Select where you wish to export your entry file to on your computer

(You will need to be able to find this file to email your entries.)

c) Make sure the correct Meet is showing, eg. 2017/18 Sunsmart Pool Rescue State Championshipsand Export Relays is ticked.

d) Click OK, then OK again, then close.

e) Find this file wherever you have saved it on your computer or USB and rename it adding yourclub abbreviation at the start of the name, before you email this exported file (NOT THE BACKUPFILE) to Ben Harvey at SLSWA. A reply will be sent to the sending address to acknowledge thereceipt of your entries. If you don't receive a reply please contact via phone 9207 6666

2017/18 SUNSMART POOL RESCUE STATE CHAMPIONSHIPS HBF STADIUM CLAREMONTPROGRAM OF EVENTS

Additional Rules NOTE 1: For any event to be contested at the 2017/18 SunSmart Pool Rescue State Championships, a minimum of two starters from two different clubs is required. Where an event is conducted all place getters shall be awarded medals.

NOTE 2: Age groups are calculated as of 30th September of the year preceding the Championships. Ie. 30th September 2016. Patrol hours are required from the 2016 calendar year. Ie. January 1st to December 31st 2016. Any patrol hour exemption requests must be addressed to the SLSWA CEO James O’Toole and must be sent from a member of the club’s board of directors only.

NOTE 3: Only proficient SLSA Bronze Medallion holders may contest the U17, U19, Open and 30+ events and they must have performed the appropriate patrol hours. Only proficient SLSA Surf Rescue Certificate (SRC) holders may contest U14 and U15 events and U15 competitors must have performed the appropriate patrol hours. U10, U11, U12 and U13 competitors must have completed their relevant age group competition skills evaluations.

NOTE 4: For Individual Events athletes must compete in their actual age group for the duration of each Championship classification outlined.

An U14 cannot compete up in U15 individual events.

Masters (30+) can compete in the Open division.

NOTE 5: Designated U10/U11, U12/U13, U14/U15, U17/U19 team events may be contested by any combination of the involved age group competitors. Ie. For the U12/U13 Medley Relay event - 2xU12s + 2xU13s, 3xU12s + 1xU13, 1xU12 + 3xU13s, 4xU12s, 4xU13s combinations will be permitted. Competitors cannot age up into higher age groups, except U17/U19’s can do the Open events.

NOTE 6: As the Line Throw is a team event, the patient must be the same age group and gender as the rescuer.

NOTE 7: All events shall be timed. For effective timetabling multiple age events may be conducted simultaneously and results declared based on times achieved in each division.

NOTE 8: U10 to U13 age categories are restricted to rubber fins only. U14 and U15 age categories are permitted to use Fins as detailed in Section 10.11 of ILS Rules.

Officials: Qualified officials are a major requirement of Pool Rescue events. The following competitors to official ratios apply to all clubs competing at SLSWA Pool Rescue Events:

- 1-5 Competitors = 1 Official- 6+ Competitors = 2 Officials

The below roster of volunteers will be determined once the series events have concluded and club/competitor participation numbers have been established. It is fair to say that every club competing in the 2017/18 series will have some volunteer obligations in order to assist us to run efficient and quality events for our members.

Pool Setters: Due to the difficulties of acquiring assistance with the setting of the equipment for each event in the past, each Club MUST nominate at least one member of the Club that will be required to assist with the setting of equipment in the Pool at the beginning of the day and throughout the day. The pool setters must report to the Championship referee 30 minutes prior to the start of events.
