History File Creation

• Library sends existing LC authority records to create history file against which future work will be compared.

• Records must be sent to us in the same manner they will be returned

– One file of names and subjects, OR

– Separate files of names and subjects

• Authorities Notification begins immediately after History File has been created.

Notification Service

• MARCIVE keeps up with vast number of changes made to library’s authority records, from this point in time forward.

• Service is monthly.

• Notification includes new, changed, and deleted LC authority records, with optional report of changes.

• Deleted records can be put in separate file.

Overnight Authorities (OA)

• Library determines frequency of bib upgrade

• No minimum order

• No pre-defined schedule for sending records

• Library routines not interrupted

• Unmatched headings saved for future checking (NewMatch)

• Optional reports of activity on bibs

– First two are free

– Third and subsequent $0.01/bib examined.

Backfile Processing Still Best Option

Although this presentation is about starting from this point forward, please consider the advantages of backfile processing:

• Entire database up-to-date at one time

• Faster and cheaper than doing in-house

• Very important when moving to a new ILS

• Tiered pricing: the bigger the file, the lower the unit cost. Makes sense to do all at once.

If You Don’t Do Backfile, You Miss:

• Potentially important changes. Notification includes only those changes that LC has made to authority records from this point in time forward.

• Existing cataloging will not have benefit of changed bib records or database cleanup tasks.

• Catalog will have mix of controlled and uncontrolled headings.
