    SAVE THESE INSTRUCTIONS

    When using your telephone equipment, the following safety precautions shouldalways be followed to reduce the risk of fire, electric shock, and injury to people.

    Read and understand all instructions.

    Follow all warnings and instructions markedon the equipment.

    Installation must be performed in accordance

    with all national wiring rules. The outlet to which this equipment is con-

    nected must be installed near the equipment,and must always be readily accessible.

    This equipment can be hazardous if im-mersed in water. To avoid the possibility ofelectrical shock, do not use this equipment

    while you are in the bathtub or shower, orwhen you are wet. If you accidentally dropthe equipment into water, do not retrieveit until you have first unplugged all cords.Do not reconnect this equipment until it hasdried thoroughly.

    Avoid using this equipment during electricalstorms in your immediate area. There is a

    remote risk of electric shock from lightning.Urgent calls should be brief. Even thoughprotective measures may have been installedto limit electrical surges from entering yourhome or business, absolute protection fromlightning is impossible.

    If you suspect a natural gas leak, report

    it immediately, but use a telephoneaway from the area in question. TheSoundStation2Ws electrical contacts couldgenerate a tiny spark. While unlikely, it is

    possible that this spark could ignite heavyconcentrations of gas.

    Never push objects of any kind into theSoundStation2W through housing slots asthey may touch hazardous voltage points or

    short out parts that could result in a risk ofelectric shock. Never spill liquid of any kindon the telephone. If liquid is spilled, contactservice personnel.

    To reduce the risk of electric shock, do notdisassemble SoundStation2W. Openingor removing covers may expose you tohazardous voltages. Using incorrectly reas-sembled equipment can cause electric shock.If your telephone equipment does not workproperly, refer to the section describing howto connect service.

    Thank you for choosing the PolycomSoundStation2W. In this UserGuide, you will find everything youneed to quickly set up, use, and man-age your new conference telephone.Be sure to verify with your SystemAdministrator that your network

    is prepared for configuring yourSoundStation2W telephone. Lastly,it is important that you read the PartsList, and the Safety Notices section inthis guide before you begin using theSoundStation2W.

    Overview

    SoundStation2W is Polycoms next-generation, wireless conference phonethat gives users the freedom to confer-ence wherever team collaboration isimportant - even in rooms where thereare no phone lines. With better voicequality than the original SoundStation,standard 2.4 GHz (WDCT) or 1.9 GHz(DECT) technology with voice en-

    cryption, up to 24 hours of talk time,and the ability to dial through a mobiletelephone, the SoundStation2Wis the new standard for everydayconferencing. The SoundStation2Wis a circuit switched platform compat-ible with any analog telephone line oranalog terminal adapter.

    Setting up SoundStation2W

    Ready State

    SoundStation2W will display aReady message after successfullycommunicating with the base upon

    power up. The Ready message is alsoshown after a call is completed and thephone is available for the next call.

    Connect base station to power and analog phone line.

    Install battery. Wait for phone to register to basestation.

    For best performance, charge the console for a full charging cycle(4 hours for BASIC, 8 hours for EX) prior to first use.

    Both the base station and the console can be wall mountedif desired. The base station can also be mounted under atable. The appropriate mounting screw holes are provided

    on the back surfaces.

    The console can also be locked in place using a standardlaptop security cable. This feature is designed for roomswhere it is important to ensure that the phone does not getremoved from its home location, and where it is desirableto eliminate the analog phone cable to the wall. There isa locking grommet on the side of the console designed toaccept the lock end of the cable.

    The LEDs located on the top ofyour SoundStation2W indicatethe current status of your confer-ence telephone:

    Green - your call is in progress.Blinking green - a call is incoming.Red - your call is muted.Blinking Red - your call is on hold.

    SoundStation2W comes in twodifferent formats. The product useseither 2.4 GHz WDCT (Worldwide

    Digital Cordless Telecommunications)or 1.9 GHz DECT (Digital EnhancedCordless Telecommunications) stan-dard technology. WDCT is widelyused in North America, South Ameri-ca, and China, while DECT is used inEurope, parts of Asia, and Australia.WDCT and DECT are Digital SpreadSpectrum protocols which are reliable,secure, and support excellent voicequality and a wide range of dialingfeatures. Digital Spread Spectrum hasbeen used by the military for manyyears because there is a low probabil-ity of signal interception and interfer-ence.

    Digital Spread Spectrum technologybreaks the voice stream into smallfragments and spreads them over awide range of frequencies for trans-mission to a receiver. Only the re-ceiver that is uniquely registered to the

    transmitter will be able to reassemblethe signal to deliver the voice stream.The SoundStation2W console and

    base station act as both transmittersand receivers. The console will onlyreassemble the signal sent from itsmatching base station and vice versa.Accordingly, the console will operatewithin 150 feet of the paired base sta-tion. The one-to-one pairing of con-sole and base station ensures securevoice signal transmission.

    The SoundStation2W imple-ments Digital Spread Spectrum usingfrequency hopping encoding. Fre-quency hopping transmits the audiosignal fragments over rapidly switch-ing frequencies in the 2.4 GHz and1.9 GHz bands. Frequency hopping

    enables the SoundStation2W toautomatically detect and avoid sourcesof potential interference such as otherSoundStation2W phones or 802.11xWLAN clients.

    Wireless Technology

    Security

    The SoundStation2W is a highly secure voicecommunications solution. There are five factors thatcontribute to the robust security:

    1. Unique pairing between consoleand base station.

    2. WDCT and DECT digitalspread spectrum technology

    provides secure transmission.3. The frequency hopping WDCT

    and DECT implementationmakes it even more difficult forvoice signal to be intercepted.

    4. 64 bit voice encryption betweenthe base station and console.This adds yet another layer ofsecurity in order to provide

    utmost confidence in theSoundStation2W solution.

    5. Aux Out recording is controlledfrom the console user interface.

    Mobile Phone Mode is an additionalnew mode of operation offered by theSoundStation 2W. This feature enables

    you to combine the convenience of a mo-bile phone with the acoustics of a confer-ence phone. For example, if you were in acall on your mobile telephone, you couldconnect your mobile telephone to theSoundStation2W and use its speaker andmicrophones to continue your conversa-tion and include everyone in the room in

    the conversation. In this mode the call istravelling over the mobile phone network.The 2.4 GHz (WDCT) or 1.9 GHz (DECT)wireless link to the the basestation is notrequired.

    Mobile Phone Mode provides unlimitedflexibility to conference anywhere, evenin environments where there are no analog

    lines or telephony infrastructure.

    Use the provided mobile phone con-nector cable to connect your mobilephone to the SoundStation2Wsmobile phone input/output jack.

    The connector and the mobilephone cable will plug into a

    standard 2.5mm headset jack. Aheadset adaptor may be necessaryto adapt your mobile phone to thisconnector. Adaptors are widelyavailable at electronics stores andmobile phone outlets for universalhands-free kits.

    The LCD on the console will dis-

    play Mobile Phone In when it detects

    a connected mobile phone.

    The mobile phone interface is used

    for all dialing and call management

    functions during Mobile Phone Mode.

    Do not press the on the console

    when using Mobile Phone Mode.

    No calls can be made via

    SoundStation2W while a

    mobile phone is connected to the

    SoundStation2W. The Phone Book can be viewed dur-

    ing a call with a mobile phone. Calls

    may not be placed via the Phone Book

    while a mobile phone is connected.

    A mobile phone cannot join a call

    in progress on SoundStation2W.

    Aux Out will be inactive during a

    call with a mobile phone.

    The base does not have to be pow-

    ered up to use the SoundStation2Win this mode. The console may be

    used as an additional speaker and

    microphones.

    Some mobile phones will not be

    detected until a call is initiated by the

    mobile phone after it is connected to

    the SoundStation2W.

    Voice quality may vary depending

    on the mobile phone connection and

    model.

    Be certain to drop the call at the

    mobile phone before disconnecting the

    cable from the SoundStation2W.

    Mobile Phone Mode

    Using your mobile phone,you can place calls and

    take advantage of theSoundStation2Ws highquality speakers and micro-phones.

    Using SoundStation2W

    Direct Dial

    1. To obtain dial tone, press thekey.

    2. Dial the desired number. To cancel the call, press the

    key.

    Indirect Dial

    1. From the Ready screen, dial thedesired number.

    2. Press the key or the SENDsoft key to make the call.

    If you make a mistake enteringthe telephone number, press the

    Ending a Call

    To end a call, press the key.

    Call Hold

    When a call is on hold, you cannot hearyour remote party, and they cannot hearyou.

    To place a call on hold, press theHOLD soft key. The LEDs on the

    top of your SoundStation2Wwill blink red.

    To resume a call, press the RE-SUME soft key.

    Call Mute

    When a call is muted, you can hear theremote party, but they cannot hear you.

    To mute a call, press the mutebutton . The LEDs on thetop of your SoundStation2Wwill glow red when your call ismuted.

    To release mute, press the mute

    button again.

    Call Timer

    Call progress on an active call is moni-tored through a local call timer. This isvisible within the active call window on

    the display.

    Speed Dial a Number

    You can speed dial any entry in yourPhone Book, in either of these ways:

    Speed Dial Number First

    1. Enter the 1- or 2-digit Speed Dialnumber.

    2. Press the Phone button or the SENDsoft key.

    If a Speed Dial entry does not exist, aNot Assigned notice will appear. You canenter a new Speed Dial number or pressthe CANCEL soft key to leave the SpeedDial Menu.

    Soft Key First

    When the SP DIAL soft key is available:

    1. Press the SP DIAL soft key.2. Enter the 1- or 2-digit Speed Dial

    number (if you enter one digit, waitthrough the brief delay).

    Redial

    SoundStation2W stores the numberthat was last dialed. This number can berecalled using the REDIAL soft key.

    Press the REDIALsoft key. The lastnumber called will be displayed anddialed.

    OR

    Press the key and then theREDIAL soft key. The last numbercalled will be displayed and dialed.

    For 1-digit numbers, you do

    not have to dial a leading 0. Forexample, for 02 , you can also

    press 2.

    To create Phone Book entries

    and assign Speed Dial numbers,

    see Adding an entry on page 20.

    You can also access the DIALsoft key after selecting an entry

    with the Select button.

    1. Choose the entry you want to

    dial. (See Quick selection in alist on page 17.)

    2. Press the DIAL soft key. You will

    see and hear the call being dialed.

    Entries in the Phone Book can be automatically

    dialed.

    Dialing using the Phone Book

    Ringer Volume Adjustment

    When the SoundStation2W is in

    Ready state or on hook, press the Vol-ume buttons to adjust the ringer volume.

    Dial Tone Volume Adjustment

    When the SoundStation2W is off

    hook, press the Volume buttons to adjust

    the dial tone volume.

    Speaker Volume Adjustment

    During an active call, press the Volume

    buttons to adjust the speaker volume.

    Display Contrast Adjustment

    1. Press the Menu button and choose

    Settings and press the Select but-ton.

    2. Cycle through the options using

    the Scrolling buttons and choose

    Contrast, and then press the Se-

    lect button.

    3. Press the Scrolling buttons or

    the + and - soft keys to adjust the

    display contrast.

    4. Press the SAVE soft key or Select

    button to apply the selected con-

    trast setting.

    Press the Exit button to cancel

    this change.

    Ringer Type Selection

    1. Press the Menu button andchoose Settings and press theSelect button.

    2. Cycle through the options usingthe Scrolling buttons and chooseRinger Type, and then press theSelect button.

    3. Sample the ring types by press-ing the Scrolling buttons or the soft keys.

    4. Press the SAVE soft key or Selectbutton to apply the selectedringer setting.

    Press the Exit button to cancelthis change.

    Backlight Adjustment

    The SoundStation2Ws display lights up when anybutton on the keypad is pressed, or on an incoming call.

    To turn the back light on or off:1. Press the Menu button andchoose Settings and press theSelect button.

    2. Cycle through the options usingthe Scrolling buttons and chooseBack Light, and then press theSelect button.

    The current status of the backlight will be displayed.

    3. Press the ON or OFF soft key orcycle through OFF and ON bypressing the Scrolling buttons.

    4. Press the SAVE soft key or Selectbutton to apply the selected back-light setting or the Exit button tocancel this change.

    Language

    SoundStation2W allows you to selectyour preferred language for the phone touse when displaying information.

    To change the language setting:1. Press the Menu button and choose

    Settings.2. Cycle through the options using

    the Scrolling buttons and chooseLanguage, and then press the Selectbutton.

    3. Cycle through the available languag-

    es by pressing the Scrolling buttonsor the soft keys.

    4. Press the SAVE soft key or Selectbutton to apply the selected languagesetting or the Exit button to cancelthis change.

    Conferencing - using the buttonIf your telephone system supports multi-party callconferencing, then you can establish multi-party callswith your SoundStation2W.

    Check with your SystemAdministrator to determine thenumber of parties that can beconferenced together.

    Your System Administratormay need to activate multi-party conferencing features orprovide you with instructions

    specific to your telephone sys-tem.

    Adding a call1. While on an active call, press

    the Conference button. The first call is automaticallyplaced on hold.

    2. Dial the number you wish tocall. You may use the Redial orDirect Dial method.

    3. Press the Conference buttonor JOIN soft key to join the

    second call. To drop the secondcall, press the Conference but-ton again.

    OR1. Press the HOLD soft key to place

    the first call on hold.2. Press the Conference button

    and enter the number youwish to call. You may use theRedial or Direct Dial method.

    Bridge Soft Key

    You may program the telephone number of yourpreferred conferencing bridge vendor into theSoundStation2W so that it is immediately

    available.

    Programming the Bridge number

    1. Press the Menu button, chooseBridge Setup using the Scrollingbuttons, and press the Select but-ton.

    2. Choose Enter Phone Number and

    press the Select button and then en-ter the bridge number using the dialpad. Enter any necessary prefixsuch as 9 and/or 1.

    Placing a call using the Bridge soft key

    Phone Book

    1. Press the BRIDGE soft key.2. The programmed number is auto-

    matically dialed and a call is placed

    to your preferred bridge vendor.

    You can use the Phone Book to store alocal directory of 25 contacts. You canadd, edit, delete, dial, or search anycontact in this list through just a few

    key strokes.

    Selecting the PH BOOK soft key displaysthe Phone Book list sorted by names.This list may be sorted by Name,Company, or Speed Dial.

    Quick selection in a list:

    Name or Company list: Press a numeric keythat corresponds with the letter thatthe name or company name beginswith. For example, pressing 3 repeat-edly will provide you with names thatbegin with D, E, F, and 3.

    Speed Dial list: Press a numeric key toselect the corresponding entry. Forexample, pressing 2 would select entry02, and pressing 23 would select entry23.

    Adding an entry

    1. Press the PH BOOK soft key andthen the NEW soft key.

    2. Enter information in theName,

    Ph#(telephone number includ-ing any prefixes, such as 9 and/or1), and Co (company) field usingthe alphanumeric keys on thedial pad. You can move betweenfields using the Scrolling buttons.

    3. Press the SAVE soft key. You canaccept the next available speeddial number assigned to yournew entry or you can chooseyour own speed dial number byusing the Scrolling buttons or thedial pad.

    4. Press the OK soft key to saveor the BACK soft key to edit thephone book entry.

    Editing an entry

    1. Choose the entry you wish to editand press the Select button.

    2. Press the CHANGE soft key. Usingthe Scrolling buttons, select thefield you wish to edit.

    3. Using the alphanumeric keys onthe dial pad, make changes.

    4. Press the SAVE soft key. You canaccept the current speed dialnumber assigned to the entry oryou can choose another speed dialnumber by using the Scrollingbuttons or the dial pad.

    5. Press the OK soft key to save orthe BACK soft key to edit the phone

    book entry.

    View System Information

    This feature displays the following information about

    the SoundStation2W: Location and Number, SystemInformation, and Registration Information. With thisfeature you can easily identify the home room locationfor the phone.

    Deleting an entry1. Choose the entry you wish to

    delete and press the Select button.2. Press the REMOVE soft key. Press

    the OK soft key to remove or the

    CANCEL soft key to leave the menuwithout removing.

    Location and Number

    1. Press the Menu button andchoose This Phone and press

    the Select button.2. Cycle through the options us-

    ing the Scrolling buttons andchoose Location and Number,and then press the Select but-ton.

    System Information

    1. Press the Menu button andchoose This Phone and press

    the Select button.2. Cycle through the options us-

    ing the Scrolling buttons andchoose System Information,and then press the Select but-ton.

    Registration Information

    1. Press the Menu button andchoose This Phone and pressthe Select button.

    2. Cycle through the options us-ing the Scrolling buttons andchoose Registration Informa-tion, and then press the Selectbutton.

    Standby Mode

    The phone has an automatic power savefunction to extend battery operated usage.The product will switch into Standby

    within one minute of being in an idleinactive state. The console will not go intoStandby if there is an active call, even ifthere are pauses in the conversation.

    If the console is registered to the basestation, and the phone goes into Standbymode, the LCD will display a READYmessage.

    The console will switch into Standbymode even when it is not registered to thebase station. In the case where the consoleisnt registered to the base station and goesinto Standby, the LCD will display a NOSIGNAL message.

    Any key press will wake the phone up.All features of the phones are instantlyavailable by pressing the normal keysequences. Incoming calls and pagingalso functions normally while the phoneis in Standby, and will switch the phone toactive use mode.

    Standby mode saves power but is

    not an Off function. If you want

    to fully turn the unit off, unplug the

    battery. While in Standby mode, the LCD

    display will still show estimated

    remaining talk time. Talk time is shown

    numerically in hours to the right of the

    battery icon.

    The console will switch into Stand-

    by, even if it is not registerd to the base

    Charging

    SoundStation2W operates on arechargeable lithium ion battery. Thebattery needs to be recharged peri-

    odically. Use the supplied chargerto recharge the battery while it isinstalled in the console. In similarfashion to a laptop PC or a mobilephone, the SoundStation2W canbe used or continue operation whilebeing charged. The battery cannot berecharged outside the console.

    Optimum battery performance

    may be achieved only after thebattery is conditioned. The battery

    charge and discharge cycles before

    reaching optimum performance.

    low battery warning will begin when theremaining talk time is approximately20% or less of the full charge capacity.The warning will be triggered when auser goes back on-hook after completinga call. This ensures that the low powerwarning is seen by a user. In additionto a visual message on the console LCD

    which will read, Low Battery, PleaseCharge, you will hear an audible beep-

    ing alert.

    Paging the Console

    You can locate a misplaced console byusing the paging feature. When paging,the console beeps. This will allow you tolocate the console.

    1. Press the Page button on thebase station to locate theSoundStation2W console.

    2. The console will play a sound toindicate its location. The consolewill continue to beep until anykey on the console is pressed oruntil the Page button on the base ispressed.

    1. Connect an external recordingdevice, such as a cassette taperecorder, via theauxiliary jack onthe base station.

    2. Press the Menu button on thephone console, choose Settings andpress the Select buttons.

    3. Choose Aux Audio Out and press

    the Select button. Press ON orOFF or cycle throughthe optionsusing the Scrolling button.Press the SAVE soft key or Selectbutton to save the setting

    Aux Audio Out will return to theOffsetting when the call is termi-nated.

    Auxiliary Audio Output

    SoundStation2W allows the speaker output to berouted to an external recording device. The externalrecording device should be connected to the base station.

    No Signal

    No Signal is displayed when the console loses contact

    with the base. Verify the following:

    Troubleshooting

    Check that the base station ispowered up.

    Make sure that the console isnot out of the allowed range(150 feet).

    Move the console to a locationwhere there are fewer obstruc-

    tions or walls between consoleand base station.

    If the console and base stationare separated by multiple brickwalls, this will reduce the avail-able range between the base andconsole.

    No Dial Tone

    The base station must be plugged into an analog tele-phone jack. If the dial tone is not heard, verify thefollowing:

    Check that the base is poweredon.

    Check that the console is opera-tional.

    Check that the base is con-nected to an analog telephone(POTS) line.

    Does Not Ring Check that the ringer is not

    turned off. See Ringer TypeSelection, page 15.

    Try increasing the ringer vol-ume.

    Flickering LCD

    If your screen appears to flicker,it may be because you are usinga certain type of florescent light-

    ing in your building. Move theSoundStation2W away from thelights.

    Keypad Input Doesnt RegisterThis could happen if you enter infor-mation too quickly. Press the alphanu-meric buttons more slowly.

    Muffled or in a well ReceptionThis is caused by highly reverberant rooms and peoplespeaking too far from the microphone.

    Speak closer to the console sothat the microphones pick upyour speech more accurately.

    Add more sound absorbency tothe room.

    Short Silences, Echoes, or Clipped Speech

    Do not move theSoundStation2W consolewhile it is in use.

    Keep your hands away from the

    console during calls. To avoid excessive noise around

    SoundStation2W, move com-puters, projectors, papers, cups,and other noise-producers awayfrom the console.

    At the beginning of each call, letsomeone at each location speak inturn for a few moments to enableSoundStation2W to adapt to its

    environment. The other parties may be using

    non-Polycom equipment whichmay cause strange audio.

    Try calling again; a different linemay provide a better connection.

    Physical Damage

    If physical damage is severeenough that the internal partsbecome visible, disconnect theSoundStation2W immediately.

    Do not reconnect to the tele-phone network until theSoundStation2W has beenrepaired.

    For Best Performance

    Your SoundStation2W performs optimally when youfollow these guidelines:

    Position the SoundStation2Win the center of the conferencetable or desk.

    The SoundStation2W worksbest in rooms that are 10x20 orsmaller.

    Do not move theSoundStation2W during a call.

    Do not shuffle papers near theSoundStation2W.

    If using extended microphones,extend the cables to their fulllength and point their micro-phones away from the console.

    Speak at a normal conversationlevel, and direct your voice to-wards the SoundStation2W, ortowards the extended microphone.

    Unplug all cords from the baseand console before cleaning theSoundStation2W. Do not useliquid cleaners or aerosol clean-ers. Use a damp, soft cloth forcleaning.

    You can adjust the timing of the Flash de-lay to 75, 100, 300, or 600 milliseconds.

    2. Choose Phone System followed byFlash Timing from the available op-tions and press the Select button.

    You can select an acoustic test signal to drive through theSoundStation2Ws speaker for speaker testing and tosample the room acoustics.

    Diagnostics

    1. Press the Menu button, chooseAdmin Setup and press theSelect button, enter passcode (ifrequired) and press the ENTER softkey. Choose Diagnostics usingthe Scrolling buttons, and pressthe Select button.

    2. Choose Mic Test using theScrolling buttons, and press theSelect button. The microphonesare numbered according to thediagram.

    The testing microphone willbegin sampling at a 1 Hertz rate,50% duty cycle.

    The display will show a meterthat modulates according to therelative sample received by thetesting microphone.

    quency as a function of time, or(t)=A*sin(kt).

    One kilohertz Tone is a con-stant tone generated at exactly1,000 Hertz.

    Limited Warranty and Limitation of Liability

    Polycom warrants to the end user (Cus-tomer) that this product will be free from

    defects in workmanship and materials,under normal use and service, for one yearfrom the date of purchase from Polycom orits authorized reseller.

    Polycoms sole obligation under thisexpress warranty shall be, at Polycomsoption and expense, to repair the defec-tive product or part, deliver to Customeran equivalent product or part to replacethe defective item, or if neither of the twoforegoing options is reasonably available,Polycom may, in its sole discretion, refundto Customer the purchase price paid forthe defective product. All products thatare replaced will become the property ofPolycom. Replacement products or partsmay be new or reconditioned. Polycom

    warrants any replaced or repaired productor part for ninety (90) days from shipment,or the remainder of the initial warrantyperiod, whichever is longer.

    Products returned to Polycom must besent prepaid and packaged appropriatelyfor safe shipment, and it is recommendedthat they be insured or sent by a methodthat provides for tracking of the package.
