Phase 1: pre-project planningWe will assign you a consultant as amain point of contact throughoutyour implementation project. A kick-off meeting will determine yourrequirements and help us proposewhich of the approaches outlinedbelow is right for you.

Consulting and approachOur accredited consultants operatefrom a national office networkcovering the UK and Ireland. Eachconsultant is an implementationexpert, fully capable of adapting ourHR and payroll software to meet yourindividual requirements.

Business intelligenceOne of the key drivers in the design ofour HR software has been t0 delivertimely, relevant information directly tothose who need it.

In addition to the extensive suite ofstandard reports, such as turnover,headcount, absence, training andrecruitment analysis, we provide theability to create dashboards andmake them available to relevantusers. Dashboards can include charts,gauges, listings and slideshows, aswell as information from externalsources on the web (e.g. RSS feeds).

All charts and gauges utilise the verylatest Microsoft SilverlightTM

technology, which brings unrivalleddepth and clarity when reviewinggraphical reports.

Ad-hoc reportsIntegration with Crystal reports alsoprovides you with a user-friendlyreport writer, enabling you to createad-hoc reports on any area of thesystem as you need them. This ensuresfurther flexibility in case you needinformation that is not available inone of the many standard reports.

System configurabilitySelectHR is fully configurable,allowing you to choose howinformation is presented to specificgroups of users and whichinformation they have access to.You can control the content of menus,screens etc, using the tools available inthe Administrator module.

Even the Administrator itself can beconfigured for individual users. Forexample, HR users may be able toproduce graphs and reports andpublish these for other staff to use,while system administrators mayalso be allowed to create and modifyworkflows or menus.

Many highly configurable systems arejust ‘tool kits’ with which clients haveto effectively build their own system.However, we include a huge array ofstandard functionality which meansyou can be up and running veryquickly, yet still have the ability toexpand the system as your needschange and evolve.

Paytypes & deductionsSelectPay provides a comprehensiveselection of the most commonly usedpaytypes and frequencies as standard.You can create and amend these asrequired, making it easy to handlechanges to staffing levels and varyingpay dates. You can also group specificrecords and ensure payment is madeon selected dates – useful when youhave a particularly large payroll orwhen you have many subsidiaries todeal with.

Multiple payments and allowances,such as bonuses, can be easilyaccounted for, and expressed as aweekly or monthly value. Salaryincreases and deductions arecalculated automatically and youcan preview the effect any calculationhas on net pay at any time.

Non-payable paytypes, such as holiday,can be linked to any deductions, quicklyshowing you the outstanding value ofdeductions against time accrued.

DeductionsMultiple deductions, such as seasonticket loans, can be activated forspecific periods, shut down when thebalance is paid and easily reactivated.

Statutory requirementsAs you’d expect, SelectPay covers allyour statutory requirements and tomake your job more straightforward,calculations, such as Directors’ Pay,National Insurance (NI) and StudentLoans, are handled automatically.

PensionsPensions can be entered as a fixedsum or as a percentage of salary, andAdditional Voluntary Contributionsmade at any time. COMP and COSRpensions can also be specified andPAYE, NIC and SSP tables areformatted in line with HMRCconventions.

A monthly report shows all paymentsdue for PAYE and NI, so you never fallbehind on your commitments.

Electronic submissionWe provide two-way communicationwith the Government Gateway,making it easy to meet HMRCguidelines on electronic submission.Items you can send include: P11D, P14,P35, P45 (1&3) and P46 (car).

EpayslipsThis popular function makes payrolloutput more efficient by replacingpaper-based payslips with anelectronic version that you can sendby email. Tight security settingsmean that epayslips can only beopened using a password known tothe user, and a wizard makes it easyto set up the required delivery andoutput options. You can even addmessages to the payslip to keep staffup-to-date, for example, ‘early payrollthis month.’ A final delivery reportensures no-one gets missed off, andyou can easily view and re-sendpayslips from previous periods.

Using the Self-service facility inSelectHR, employees can also viewand print their pay informationonline, further reducing bottlenecksin your payroll department.

Employee recordsUser-friendly wizards guide youthrough the process of adding newstarters (this can also be completed viathe Self-service facility in SelectHR).

Tab-style record cards allow you toquickly build up a comprehensivestore of employee information,including employment history andqualifications, holiday tracking,individual pay components and anemployee photograph.

Reporting & analysisSelectPay provides a comprehensiverange of reports as standard.Exception reports help you validateyour payroll before it’s finalised, andyou also have the ability to processany amendments made since the lastexport to BACS, making it easy tokeep on top of interim payments.

The system retains full details of allpayments made, enabling thepreparation of comprehensivemanagement reports. Monthlyreports, statutory declarations andYear End requirements can all beoutput to print, screen, spreadsheetor fax for ease of distribution.

Update to nominal ledgerWeekly and monthly payrollinformation can be updated to thenominal ledger in full detail or atsummary level. This data is easilyanalysed with a full breakdown ofpay types and deducti ons, if required.

Integration SelectHR offers seamless integrationto SelectPay. With these dynamic links,you can eliminate duplication errorsand ensure HR and payroll staff haveaccess to timely, accurate employeeinformation.

Through this integration, newemployees will join as a starter in thepayroll, with any subsequent changesto personal information or leavers alsofed through. All this information issubject to a validation process toensure tight control over your data.

An interface to the Self-service modulewithin SelectHR enables staff tochange their personal data online. Forexample, if an employee has movedhouse or needs to update their bankdetails, they can easily do this fromwithin the web portal. This informationis then passed securely into SelectPayfor you to approve, before updating thesystem automatically.

In addition, P60s and payslips thathave been produced by SelectPay canbe accessed from within Self-service.This both empowers employees bygiving them ownership of their payinformation and reduces payrolladministration.

TimesheetsTimesheets entered into SelectHR’sSelf-service module can also be passedto SelectPay via an authorisationprocess. For total control over yourpayroll, you have the option to rejecttimesheets at any stage.

Receiving timesheets from AccessDimensions Similarly, integration with our ProjectCosting module means thattimesheet information can bereceived into payroll without the needfor duplicate entry. On running thepayroll, SelectPay can post thecompany NI back to both the nominaljournal and relevant project(s), givingyour decision-makers an accuratepicture of staff costs.

Integration with other data sourcesIf you generate timesheets onspecialist applications (for example,time and attendance systems) or viaspreadsheets, then we can easilyimport this information into SelectPay.Using our powerful brokering tools,your specific rates, time and pay valuesare gathered, formatted and thenseamlessly transferred into the payrollfor accurate and timely processing.

All in sync: having received and authorised the new starter details from SelectHR, SelectPay isupdated automatically. This process reduces duplication and saves time across yourorganisation.
