Who needs a student visa? (Applying for 6 months or longer)

• In general, those who will be studying for over half a year need a student visa. • To get a student visa, first you must receive the Certificate of Eligibility (COE) at the Japanese Immigration

Bureau. • ISI will handle the application of the COE on behalf of the student. • If you apply for the “PERMISSION TO ENGAGE IN ACTIVITY OTHER THAN THAT PERMITTED UNDER THE

STATUS OF RESIDENCE PREVIOUSLY GRANTED”, you will be able to work for 28 hours a week.

1. Those who wish to go to University or College in Japan

• Have graduated from high school and 18 years old or older (If you wish to go to Graduate School, you need to have Bachelor’s degree) • Be motivated to study • Have financial support while studying in Japan • The minimum period you can apply for is one year (There are cases when 6-month course is acceptable. Please contact us for more information.）

2. Other than going to higher education in Japan

• 16 years old or older • ※In the case of Nagano Business Language College the student must be at least 18 years old and have finished a 12

years educational curriculum or its equivalent. • Be motivated to study • Have financial support while studying in Japan • The minimum period you can apply for is 6 months

For Nepal, Sri Lanka, Vietnam, Myanmar, Mongolia, Bangladesh Nationality; 1. Have graduated from high school and 18 years old or older 2. Applicants who can submit JLPT, J-TEST, NAT-TEST, or TOP-J TEST level A, GNK pass certificate and score sheet

(except Bachelor degree holders) 3. Be within 5 years from graduation of the last school attended 4. Have a financial supporter for tuition and living expenses while studying in Japan 5. Able to pay one year tuition and fees before entering school 6. Have passed ISI application interview

1 Applicants would send the application documents to ISI and wire the application fee.

2 ISI will file an application for the Certificate of Eligibility (COE) with the Immigration Bureau of Japan.

3 After 2.5 months, ISI will receive the result of COE, from the Immigration Bureau of Japan.

4 After COE is issued, ISI will send the invoice. Applicants should make the payment by bank transfer.

5 When the full payment is confirmed, the original COE will be sent to the applicants*.

6 After receiving the COE, apply for a student visa at the Japanese Embassy.

7 Book your flight and inform us your arrival day/time and flight number (please send e-ticket information to ISI for confirmation at least 7 business days before the arrival date.)

8 Come to school on the orientation day.

* We normally send the original COE and invitation letter by EMS. If you request us to ship it by DHL or FedEX, please pay the extra shipping fee. (7,000 – 10,000 JPY)

Required Documents Details

(forms provided by ISI)

• Fill in all the necessary forms.（Including financial supporters’ work position and work address).

• The name must be the same as of those that appeared in the passport.


• Confirm what you wrote and sign by yourself. • If there had been periods of time without studying or working, please write down the

reason on a different paper. • If you have irregular school/work record, please submit certificates to explain it.

（size 3x4 cm) • Photos must be recent (within 3months), and write your name on its back.

• Please send the original copy of the graduation diploma (certificate). It will be returned after verification.

• If you are currently a student (or absent or withdrawal) at University or College, please submit the university or college certificate as well as high school graduation diploma.

• Citizens of Vietnam must send either CEPECE Verification of Education or VIED Credential Report.

Original copy of academic transcript

• Please send the original copy of your transcript. It will be returned after verification. • Those from Nepal must get a stamp certifying their transcripts at TU or HSEB offices.

Proof of Enrollment (if you are currently studying at school)

• The document must state clearly the date you enrolled into the school, your major and the planned graduation date.

An original copy of JLPT certificate

• The certificate that proves you have JLPT N5 or same level Japanese language ability. • If you are waiting for the result, please send the copy of exam admission ticket.

Japanese language study certificate

• This document must contain the actual number of hours you have studied Japanese, which has to be no less than 150 hours.

Proof of Employment (if you are currently employed)

• If you have work experience, send the documents to prove it.

• If you don’t have it, please submit your ID copy. Also, please submit all the entry-

departure stamp pages, if you have been to Japan before.


• Must be written and signed by the sponsor.

Relationship Certificate, Birth Certificate, or Family Register

• Please send a document that proves the relationship between applicant and sponsor. • Citizens of Vietnam, please send a copy of the family register, a copy of ID and a copy

of birth certificate.

Sponsor’s proof of employment • In case of self-employed position, send a certified copy of the company register.

• Bank account holder and the sponsor must be the same person. • Please make sure that your account balance is no less than 2,500,000 yen.

Income Certificate • A document issued by a governmental institution, showing income for the last 3 years

and the amount of income.

Tax Payment Certificate • A document stating the taxes paid for the last 3 years.

3-year bank transactions (for Nepalese, or re-applying applicants)

• Please submit a document showing your bank account credit and debit for the last 3 years.

The necessary documents and requirements are different depending on nationality. Please contact us.

【IMPORTANT】 1. Each document must be original and issued within 6 months* (or 3 months for documents issued in Japan) to be

submitted, except a certificate which is to be issued only once (e.g. Graduation Diploma, Transcript) *Certificates available for issuing multiple times (e.g. bank balance certificate, graduation certificate ) 2. If the documents are not written in Japanese, please attach Japanese translation and send it with the original.

(If only translation is sent, it will not be accepted.) 3. The documents submitted to the Immigration Bureau of Japan will not be returned. Please let us know

in advance if something needs to be returned. 4. The signatures must be genuine and hand-written. Please sign them yourself. 5. Do not use correction fluid (white-out) on any documents. 6. Please see the school calendar on the following pages, to check the entrance date. If you are not a beginner- level student, you can enter in the middle of term, by taking the level check test.

1. Temporary visitor’s (tourist) visa • The temporary visitor’s visa is issued by the overseas consulate. • If a visa waver agreement exists between your countries, the visa will be issued at the airport (port of

entry) when coming to Japan. (Please check Japanese embassy’s website to confirm if your nationality has this agreement.)

• For certain nationalities, the temporary visitor’s visa can be issued for 6 months. • If your country does not have a visa waver agreement, you will need an invitation letter to get the visa. 2. Other visas (Residence in Japan) • You can enter the school carrying a long-term visa issued for purposes other than studying. • This includes working visa, spouse visa, working holiday visa and family visa.

Long Stay Discount Price（longer than 12 weeks） When applying for a stay longer than 12 weeks（3 months）at the student house, a special rate is applied. The price does not include utility fees（electricity, water, gas). These will be charged separately (approx. 8,000 -10,000yen per month).

Short Stay Price List (from longer than 2 weeks to less than 12 weeks) The price list by the type of accommodation. Every accommodation must be reserved for 2 weeks (13 nights, 14 days) or longer. The calculation of 4 weeks means 27 nights 28 days. Utility fees are included.

ISI Dormitory (SHAKUJIIKOEN INTERNATIONAL HOUSE) Shakujiikoen International House is ISI’s dormitory, and Japanese and international students of ISI School Groups share the dormitory together. Please contact us for the availability. The check-in time is from 8am to 8pm. (for the dormitory entrance day : until 10pm)

Short Stay Price List (from longer than 2 weeks to less than 12 weeks) Shakujiikoen International House must be reserved for 2 weeks (13 nights, 14 days) or longer. The calculation of 4 weeks means 27 nights 28 days. Utility costs (electricity, water) are included in the rate.

Long Stay Discount Price（longer than 12 weeks） When applying for a stay longer than 12 weeks（3 months）at the Shakujiikoen International House , the rate below is applied. Refund Policy 1. School Fees

・ In case of cancellation, ISI will refund after deducting cancellation charge stated below. If the paid amount is not enough for it, ISI will charge the difference.

・ In case of shortening period of course, the difference is not refundable.

1.1 Enrollment with a Student visa (Ryuugaku visa) ・ Application fee is non-refundable for any reasons, nevertheless the Certificate of Eligibility(COE) result.

・ In the event of cancellation after application for Certificate of Eligibility(COE), application fee will be liable.

・ If you have to change your entrance term by unavoidable reason, the fees except application fee can be carried over to the new term within a year, with school director’s permission.

1.2 Enrollment with a Temporary visitor’s visa (Tankitaizai visa) ・ Even if you have not completed payment by due date, ISI will charge cancellation fee below.

・ In case you enter the country later than the course starting date, the tuition for the missed period and the facility fee may be carried over if the course timetable will allow you to start later in the same year.

* If your Temporary visitor’s visa is not issued by 1 week before your scheduled arrival date, please inform ISI immediately. Otherwise the refund policy is not applied.

2. Accommodation fee ・ Even if you have not completed payment by due date, ISI will charge cancellation fee below.

3. Airport pick up

・ No compensation for change or cancel on the day, by personal reason (e.g. missing the flight). Please make new pick up booking.

・ Even though the cancellation or change is due to strike or airline reason, you need to book airport pick -up again without any compensation after the pick up car is departed. Buying travel insurance is recommended.

4. General Policy (1) ISI will accept cancellation request in writing only.

(2) Bank charge to send refund shall be borne by a student. (No bank charge incurred if the refund is done through Credit Note.)

(3) In case of refund due to your mistake (e.g. pay too much), ISI will refund after deducting 3,000 JPY handling fee.

(4) No refund for bank charge.

(ISI adds 4,500 JPY (or 6,500 JPY, by country) for bank charge of overseas remittance on invoice. If you pay by domestic remittance, please bear the bank charge.)

(5) Refund shall be transacted within 40 days after necessary cancellation procedures.

(6) Course starting date is defined as an orientation day. (If you start in the middle of semester, the first day is the course starting date.)

(7) ISI office is closed year end through New Year holidays. Regarding the January starting course, cancellation or change request deadline is December 20th, nevertheless the cancellation date stated above.
