1 Introduction RICOH ARMS is a website enabling you to access RICOH device information anytime, anywhere using your internet connected smartphone, tablet or PC. By entering a serial number, you can remotely view key information about a target machine.

2 Why use RICOH ARMS? Checking RICOH ARMS prior to visiting a customer location will allow you to plan and prepare for your service actions. Also, since maintenance items are reported automatically, it will be possible to conduct effective preventive maintenance.

3 Requirements RICOH ARMS is a website which can be accessed in your browser on a smartphone, tablet or PC. https://www2.cws.ricoh.co.jp/ARMS/login.jsp To access RICOH ARMS, you will need the following:

3.1 Supported devices Most modern devices, operating systems and browsers can be used, however the following environment is recommended for accessing RICOH ARMS. Recommended:

Windows 8 or later Internet Explorer 11 or later (older versions are not supported)

Limitations:

iOS devices do not support downloading to external storage

3.2 RICOH ARMS User ID An account is required for login to RICOH ARMS.

3.3 Serial number The serial number for a RICOH machine.

4 Available information and functionality RICOH ARMS can be used with any valid serial number to see model information. If the target machine is connected to RICOH @Remote, then even more information and detail will be available. RICOH @Remote is a system which periodically collects current status and usage information from a connected RICOH device. There are two types of connection:

Fully connected: Detailed information is collected from the target machine Partially connected: Limited information is collected from the target machine

The following sections will describe the information and functionality available in RICOH ARMS for each case.

4.1 Login and serial number search To get started using RICOH ARMS, login to the website in your browser and then search for a serial number. If the serial number is valid, the main menu and available functions will be displayed. If a function is unavailable, it will be greyed out. The functions and information available will depend on the @Remote connection type.

4.2 @Remote is fully connected (HTTPS) All functionality supported by the target machine is available when fully connected to @Remote. Click an icon to access that function.

The icon for Recommended Action will flash in red when there are Recommended Action items.

4.2.1 Recommended Action

The Recommended Action App highlights potential maintenance items based on their current status. You can easily check for any parts which may need to be replaced or firmware which should be updated. Replace Parts:

Any parts which have exceeded both the expected lifetime and the lifetime of the previous replacement will show as a recommended action. Click an item to see the current usage condition.

Update Firmware: Any firmware which is older than the latest version will show as a recommended action and will be available for Remote Firmware Update (RFU) and download. Remote Firmware Update (RFU) All update appeared are ready for RFU by

default. Update of machine firmware at customer site

will be executed by tapping “Update” button

Note: It will be triggered by RICOH ARMS, but actual firmware update will be applied via @Remote system.

Firmware Download Click an item in the Update Firmware list to see

details about the current installed and latest version.

Click the link in the “Version” column to download the latest firmware file.

Click the link in the “Release notes” column to see the modification history for the latest version.

Set ARFU ON: When ARFU* setting is “OFF” status, it will show as a recommended action. Status of ARFU setting will be able to confirm in the Basic Information Appl. *ARFU: Auto Remote Firmware Update

Replace Waste Toner bottle:

When @Remote detects “Full” status of waste toner bottle, it will show as a recommended action. Status of waste toner bottle will be able to confirm in the Basic Information App.

The final decision to carry out these actions must be made by the user. Expected benefit:

Easily identify possible maintenance actions which will help to keep the machine in good running condition – improving customer satisfaction and avoiding future visits

Prevent repeat visit caused by not having replacement parts.

4.2.2 Basic Information

The Basic Information App will display status information collected from the target machine. This includes items such as the following: Customer information

Customer name

Product information Product name and serial number

Setting Information: ARFU setting status

Option Information: Installed peripherals

Counter Information: Total page counters, toner and waste toner bottle status

Additional details such as location and connection type

Reload Button

This App always display the latest information, but you can reload information by manual by clicking this button located in upper right corner.

Click the icon for a detailed explanation of each item.

Expected benefit:

This status information can help with remote analysis when planning and preparing for service activities.

Toner status confirmation in “Real-time” is available.

4.2.3 Parts Lifetime

The Parts Lifetime App will provide the current status of consumable parts as well as a comparison with the expected lifetime and previous replacement lifetime. Click an item from the list to see the usage status. The “Official Yield” represents the expected lifetime of the part as a usage percentage. There are three different status possibilities. Running Safely

The current value (1) is less than the 100% official yield (2)

The item will not appear in Recommended Actions. Caution The current value (1) has exceeded the 100% official yield (2) but is still less than the previous replacement value (3) This indicates possible next visit prevention (the decision to replace is up to the user). The item will not appear in Recommended Actions. Warning The current value (1) has exceeded both the 100% official yield (2) and the previous replacement value (3) The item will appear in Recommended Actions. Expected benefit:

By remotely checking what parts may be needed and preparing them in advance, a return visit to fit parts can be avoided – reducing machine down-time.

By checking in advance what parts may soon require replacement, future visits can be avoided – keeping the machine in good running condition.

4.2.4 Firmware

The Firmware App will list firmware versions currently installed on the target device and indicate any newer versions that have been released.

1. There are 2 columns of firmware information.

Installed version: Currently installed version. If a firmware is not installed on the target device, the item will be blank. Latest available: Newest version officially released.

2. Click the link in the “Release Date” column to read the Release Notes for the latest version.

3. Icons indicate the firmware status.

: Customized firmware is installed. Care should be taken not to overwrite these items.

: Newer firmware has been released. The item will appear as a Recommended Action. Note:

New firmware download and Remote Firmware Update (RFU) are available from the Recommended Action app. (See Recommended Action).

By recognizing possible update and preparing any important firmware updates in advance, can reduce your time spent on-site.

4.2.5 Error History

The Error History App will provide a date and time for the most recent SC and Jam errors. When these errors have occurred, links to available description information will be provided. A calendar displays the three most recent months. Days on which SC and Jam errors occurred are highlighted.

Red = One or more SC errors occurred on this date Blue = One or more Jam errors occurred on this date Purple = One or more SC and Jam errors both occurred on the same date

When a highlighted date is clicked on the calendar, the error list will scroll to that date. Click the link in the “Code” column to display additional detailed information about the specific code.

Reload Button

This App always display the latest information, but you can reload information by manual by clicking this button located in upper right corner.

Expected benefit:

What error (SC, Jam) is occurring on the customer's machine now can be recognized before visiting.

Easily identify trends and patterns in error history to reduce your troubleshooting time.

4.2.6 Service Information

The Service Information App can be used to search for information about a specific code or error. 1. Click one or more checkboxes to specify what

kind of information to search:

2. Enter search text such as a code number or word.

See “Additional Notes on search behaviour” below.

3. Click “Search”. Results will be listed 5 per page. Use the arrow buttons to scroll through multiple pages. A colored icon will appear on the left side of each search result indicating what type of information it is:

Expected benefit:

Easily find information about common codes without having to refer to separate documentation – reducing your work time and increasing your efficiency.

Additional notes about search behaviour: Searches are not case sensitive. For example: a search for “led” will match all of “LED”, “Led” and “led” Searches are exact, meaning multi-word searches will only work when the words appear next to each other.

For example: a search for “tray paper” will not match information containing “paper tray”. Searches will match an exact character sequence anywhere within the available data. For example: a search for “aa” will match all of “aabbbb”, “bbaabb” and “bbbbaa”. Searches for code numbers will be more accurate when following the same patterns as the registered data. 4.3 @Remote is partially connected (SNMP) When the target machine is partially connected to @Remote, RICOH ARMS will provide some basic data about the target machine as well as general model information such as the latest available firmware and service information. Click an icon to access that function.

4.3.1 Basic Information

The Basic Information App will display status information collected from the target machine. This includes items such as the following:

Customer information

Model name

Additional details such as service location and connection type

Note:

Some fields will be blank because machine data is not available for the target machine for this connection type.

Click the icon for a detailed explanation of each item.

Expected benefit: This status information can help with remote analysis

when planning and preparing for service activities

4.4 @Remote is not connected Even when the target machine is not connected to @Remote, RICOH ARMS can still be used to access general product information such as latest firmware versions and service information. Note:

This only applies when the serial number is valid. If the serial number is not valid then a message will be displayed and no functions will be available.

Click an icon to access that function. A yellow icon in the bottom right corner indicates that the target machine is not connected to @Remote.

4.4.1 Firmware

5 IMPORTANT NOTES Please be aware of the following important notes and limitations when using RICOH ARMS.

1. All information in RICOH ARMS is provided only as a reference. Any actions carried out must be the final decision of the user.

2. Information provided by RICOH ARMS about the target machine is based on the data collected using RICOH @Remote as of the date and time indicated. The actual status of the machine may have changed since data was collected.

3. RICOH ARMS includes links to additional materials such as firmware files and release notes. These are provided as is. RICOH ARMS cannot provide any support for these materials.
