1.0 Introduction

RCT Express 1 High Value® 1

1.0 Introduction

Overview MSB’s RCT High Value® offers you streamlined data entry for the vast majority of prestigious high value homes as well as a more highly detailed data entry capability needed to accurately capture the unique characteristics of the most exclusive, magnificent, and luxurious homes.

A high value home is much more than a big house with top-of-the-line finishes. Over 75 years of MSB research reveals the sophisticated level of construction complexity that defines these homes. The high value home requires a valuation process specifically designed to:

• Gather extensive data

• Focus on structural design

• Expand availability of features and finishes

The decision to define a home as high value is not a simple task. No single indicator should lead you to classify a home as high value. Multiple structural and design features and finishes are required in combination before you can accurately identify a home as high value. MSB defines a home as being high value by having the following characteristics:

• Over $650,000 for standard construction

• Over $900,000 for pre-1940 year built

• Square footage range where the home has over 3,500 sq. ft. total living area

• Exceptionally large dwelling needing additional superstructure, columns, and beams to support ceilings and roofs.

• Home is built using multiple structural materials, stick framing, poured concrete, masonry units, post and beam, log, etc.

• Steeply pitched roofs with many ridge lines, valleys, and turrets

• Ornamental entranceways with massive columns, arches, and pillars

• Multiple interior staircases with at least one grand staircase, either floating or curved

• Very high-grade kitchens with commercial or restaurant quality appliances

• Expansive window openings with an abundance of natural light incorporated into the design

• Architect designed kitchen or bath

• Estimated market value greater than $1 million

• 4 or more car garage

You may find exceptions to these guidelines. All high value homes should be professionally inspected to verify the presence of high value home interior or exterior features and finishes.

RCT Express 2 High Value®

RCT High Value offers two primary entry modes to meet the needs of all insurance professionals. The entry modes, Standard Entry and Advanced Entry, offer two distinct levels of data input.

RCT High Value Standard Entry: This entry method is the ideal tool for agents or other insurance professionals who need to quickly and easily generate accurate, highly detailed reconstruction values. Vintage sensitive Knowledge Tables combine comprehensive data including Year Built, Zip/Canadian Post Code, Style, Total Living Area, Construction Type, and Number of Stories to create wing specific valuations in a matter of minutes. Additional features include:

• Capability for main residence and up to 9 wings/sections

• Scalable superstructure sub-calculations vital to high value construction

• Expansive list of attachments and detached structures, including gazebos, greenhouses, swimming pools, cabanas, and wrought iron fences

• Location specific data and calculations that reflect site access, foundation, and material costs

• Ample fields to write in unique and rare home features

RCT High Value Advanced Entry: This entry method is especially designed to be used by field estimating and inspection professionals assigned to evaluate truly unique mansion grade homes. The capabilities of Advanced Entry are virtually limitless-the only limitation being the user’s expertise and time spent. Advanced entry enables field professionals to estimate even the most complex floor plans and designs, including vertical or horizontal sections, multiple level basements, garages with finished living area, servant’s quarters, and guest houses. Additional features include:

• Section specific material selection, entry for highly detailed estimates

• Superstructure adjustments necessary for accurate high value structural costs

• Efficient material selection

• Extensive roof style, shape and pitch adjustments

• Wings/Sections can be defined as Coverage A or B

• Garage specific wall, foundation and material finishes

• Basement adjustments including multiple story basements, depth, material and finishes, walkout, and exposed wall options

• Location specific data and calculations for site access, foundations, and materials.

Getting Started

When accessing the RCT Express site, in order to access your valuations, you must first login to the system. Enter your Username and Password, and then click Login. Both Username and Password are set up by the System Administrator. If you have forgotten your password, click the Did you forget your Password? link. Enter your Username. If the information matches our records, an email will be sent to you with requested information; otherwise a message will appear directing you to contact Technical Support. This only works if the user’s email address was included when the user was set up.

The first screen you see when you access the site is the Valuation screen shown above. From this screen there are various links which enable you to access all of the functionality of the site.

In the upper right RCT Express provides you with four links labeled Tools, FAQ, Help, and Logout. The following sections will discuss these topics.

2.0 Tools The Tools link displays the following options:

Change My Information

Select this command to access a screen which provides you with the ability to change your password and enter or update your email address. The Change My information screen allows you to change your password by entering your Old Password, then entering your New Password, then entering it again in New Password (confirm) to confirm it. You can also change your email address at the bottom of the screen by entering the new address to the right of E-mail address. When you are finished click OK to save or Cancel to exit the screen.

Upload Status Select this command to access a screen that provides you with information regarding the status of valuations you have uploaded from the RCT desktop application to the Express site. The available status indicates the quantity of valuations which have been successfully uploaded and are accessible to the end user. The unavailable status indicates a quantity of uploaded valuations either currently being uploaded or that were not successfully uploaded. Show status for last allows you to choose a time period for which uploaded valuation totals will display. When finished, click Close to exit the screen.

Technical Support Select this command to access a screen which provides you with a link to the email address and URL for technical support. It also has the phone number for technical support. There is information regarding technical support options for the different users of RCT Express. The screen also gives you the version number of the RCT Express site you are using. When finished, click Close to exit the screen.

2.1 HELP The Help link connects to the Help screen for RCT Express.

There are three tabs in the upper left, Contents, Index, and Search. Each tab is a different way of accessing help information. Contents gives you a list of general topics which you can click on and access more specific information. Once you click on the specific topic, the information appears on the right. Index gives you an extensive index of items in the system. Click on the specific topic and the information appears on the right. Search allows you to type in a word or words; then click the GO button and it will list all the topics associated with that word that the system could find. Click the specific topic and the information appears on the right. You can print any topic by clicking the Print icon at the top of the screen.

Within an RCT Valuation you will always have Help in the upper right of each screen. Clicking Help displays a help for the screen you are currently viewing. Clicking the heading of the page displays the same information.

You can also access help from anywhere in the program by simply pressing the F1 key when the cursor is in a field or by clicking on the field label. The help system will open and display the topic that corresponds to your actual location in the application.

3.0 Creating a Valuation (Standard Entry) To create a valuation, on the Record/Valuation screen under New Valuation, choose the Valuation Type you are going to use. In this case choose High Value Home-Standard Entry Method, by clicking on the drop-down arrow and selecting it. Then click Create New Valuation. The General Information screen displays. On the left side, screens that are numbered are required and those can be based on your company configuration. By clicking Next Step you will be walked through each of the required screens. On screens that have required entries, you cannot move forward until the required information is completed. Once you complete a required screen and click on Next Step, it will have a check mark by it. Also, on any screen that has material defaults, check the materials for accuracy before clicking Next Step to move forward.

General Information

The General Information screen allows you to enter general information for the valuation like the policy number, insured’s address, Zip/Postal Code, etc. The General Information screen consists of the following:

1. Policy Number: (required) When you first enter this screen you will notice a system generated estimate number. To assign a policy number, click Assign Policy Number. Enter the Policy Number and click OK or click Cancel to return to the previous screen. After you have assigned a policy number, a Change Policy Number button will be available if you need to update or change it. Estimates have expiration dates; once a policy number is assigned, estimate expiration date disappears and the valuation exists indefinitely.

NOTE: Check with your administrator regarding your settings for Policy Number. Also, typically, users only assign a policy number after the risk has been approved. Prior to that, best practice would be to enter all valuations as an estimate.

2. Estimate Expiration Date:(required) The system will default the expiration date to 90 days from the date the valuation was created but this is configurable by the customer and can be changed. If you assign a policy number, this will be hidden. There is a warning message to the right of the entry box regarding the expiration date.

3. Property ZIP/Postal Code:(required) Enter the ZIP/Postal Code.

4. Style: (required) Choose the style of the building from the drop-down list. Your choice may be as simple as choosing the number of stories to as complex as choosing a style like Colonial, Ranch, etc.

5. Insured’s Full Name: Enter the full name of the insured property owner.

6. Second Insured’s Full Name: If there is a second insured, enter their name.

7. Property Address: Enter the address of the property being valued. There are two lines for a street address and P.O. Box if necessary

8. Property City: Enter the city where the property being valued is located.

9. State/Province: Enter the state or province where the property being valued is located.

10. Mailing Address: You can designate Same as Property Address or Different Mailing Address by choosing the proper radio button. If you choose Different Mailing Address, additional information fields appear asking for the Mailing Address, Mailing City, Mailing State/Province, and Mailing Zip/Postal Code.

11. Home Phone: Enter the home phone number of the property owner.

12. Work Phone: Enter the work phone number of the property owner.

13. Effective Date: Enter the effective date of the policy which is the date the policy is put into effect.

14. Renewal Date: Enter the renewal date of the policy which is the date the policy is up for renewal.

15. Site Access: Click the drop-down-list and select the Site Access for the homes location be it a remote rural area, mountain or hillside area, island, etc.

16. Current Coverage $: If the building already has a coverage amount, enter the Current Coverage A amount.

17. Account Number: Enter the account number.

NOTE: Check with your administrator regarding your settings for Policy Number. Also, you must have the required fields on the General Information screen completed prior to creating the policy number. The required fields can be configured as required per company preferences. What are shown are the generic required fields without company specifications.

You have completed all the possible entries you may make on the General Information screen and may move on to the next screen by clicking Next Step in the upper or lower right.

Building

The Building screen is where you enter the general characteristics, size, ceiling heights, etc. of the building. Except for the section name, all the entry fields on this screen are required. The building can consist of a Main Home with up to nine Wings/Sections. The Main Home is the larger or main portion of the dwelling, typically, the home as originally built. A Wing/Section is any addition to the home or the smaller portion of it. If you create wings/sections you will notice that the entry fields are the same as they were for the main home but the entries you make can be completely different.

The Building screen consists of the following (starting with Main Home):

1. Section Name: For the Main Home the Section Name will default to Main Home and is not editable. If you are also creating wings, the section name will default to Wing 1, Wing 2, etc. but is editable and you can give the wing a different name.

2. Year Built: (required) Enter the year built in the field provided.

3. Construction Type: (required) Based on the Year Built, the system will default a Construction Type but is editable. When you click on the drop-down list you may have the following three options: Standard, Vintage, and Standard/Vintage.

4. Number of Stories: (required): Based on the Style you chose on the General Information screen, Number of Stories should have a default. Some Styles will lock the number of stories. For example, Ranch defaults to 1 story and is not editable. Other Styles will allow you to modify the number of stories. For example, Colonial defaults to 2 story but will let you change it.

5. Total Living Area: (required) Enter the square feet of the Total Living Area directly in the field provided. The total living area includes the area for all the floors and the area for built-in garages but does not include the area for basements, porches, breezeways, decks or one-story attached garages. These are accounted for elsewhere.

6. Perimeter: (required) There are two options to enter the perimeter of the building. The first choice, Calculate Using Shape, allows you to click on the drop-down list and choose the approximate shape of the building. The second, choice, Measured Perimeter, allows you to enter the linear feet of the perimeter.

7. Floor to Floor Height: Enter the Floor to Floor Heights for the building. Provided are three entry boxes for the height in feet and the percentage of the building with the floor height you entered. You may enter a height between two integer heights (e.g. 10.5)

If the building you are creating does have Wings, the entry fields are the same as for the Main Home. The entries you make can be different but the fields you fill in are the same. If you create a Wing then later wish to delete it, click the –Delete Wing link to the right of the Wing number to delete it. To add additional Wings click the + ADD WING link at the bottom of the screen. As previously mentioned, you may create up to nine Wings.

View Summary Grid: Click View Summary Grid in the upper right and it will bring up a table showing all of the entries you made in the Building screen for the Main Home and all of the Wings you created.

You have completed all the possible entries you may make on the Building screen and may move on to the next screen by clicking Next Step in the upper or lower right or by clicking Previous Step to go back to previous screen.

NOTE: The Construction Type options available are configurable by company. Also, if the home is constructed after 1940 your only option is Standard.

The Foundation/Basement screen is where you enter the Foundation Type, Foundation Materials, and Basement Information. Each of these categories will have a listing of available choices and based on the entries you have made in General Information and Building, there may be items already defaulted. For each of these categories if you click +Display Long List the system will give you more choices. To get back to the original list, click –Display Short List. Once you have chosen an item it will be listed under that category over on the right.

At the top of the screen you have a search capability. You just type in the item you are looking for in the box to the left of Find, then click Find and if the item exists, the system will display all the items associated with the words you have entered. Click New Search to clear the Find box. This functionality repeats throughout the program.

At the top right of the screen, click Show Foundation Summary to view a summary of the foundation entries. Also, at the top of the screen, in the upper right, the Main Home and each Wing you created for this building will be listed. Click each separately in order to make foundation and basement entries for each. Also, on the right side of the screen, if you click Remove All, all of the entries in this screen will be removed and you would have to re-enter all info.

Click Next Step in the upper or lower right to move to the next screen or click Previous Step to return to the previous screen.

NOTE: Under Basement Information a Lower Level Unfinished option is available for Bi-Level, Raised Ranch and Split Foyer house styles and it is only available for the main home, not wings.

The Exterior Walls screen is where you enter Framing, Exterior Frame Walls, Masonry Walls, Wall Specialties, Columns and Balconies. Each of these categories will have a listing of available choices and based on the entries you have made in General Information and Building, there may be items already defaulted.

As in the previous screen, for each of these categories if you click +Display Long List the system will give you more choices. To get back to the original list, click –Display Short List. Once you have chosen an item it will be listed under that category over on the right.

The Roof screen is where you enter the Roof Style/Slope, Roof Shape, Roof Cover, Roof Specialties, and Dormers. Each of these categories will have a listing of available choices and based on the entries you have made in General Information and Building, there may be items already defaulted.

As in the previous screen, for each of these categories if you click +Display Long List the system will give you more choices. To get back to the original list, click –Display Short List. Once you have chosen an item it will be listed under that category over on the right.

The Kitchens/Baths/Plumbing screen allows you to enter Kitchens-Complete, Kitchens (Build-up), Appliances (Build-up), Bathrooms Complete, Bathrooms (Build-Up), Bath Specialties and Plumbing Specialties. Each of these categories will have a listing of available choices and based on the entries you have made in General Information and Building, there may be items already defaulted. Kitchens and Bathrooms Complete allows you to enter complete rooms based on type whereas Kitchens, Appliances, and Bathrooms Build-up allow you to enter the individual components of the room until you have accounted for everything.

The Material Summary screen lists all the material quantities being used to generate the replacement cost. Some of the materials may be defaults generated by the system as well as materials you added or edited. Exterior items are listed on the left and Interior items are listed to the right. You may click on any category listed to return to that category and material list. Click Reload Assumptions to delete the choices that you have made and return to the system material assumptions.

The Reports/Calculate screen allows you to see a Valuation Totals Summary and Valuation Total Detail, gives you a number of Report Options, and to view Valuation Dates.

Valuation Total Summary

The Valuation Total Summary displays Coverage A structures total reconstruction cost, debris removal, depreciation and actual cash value. It also shows the Cost Data as of date. This indicates the latest cost research data that is being used on your RCT Express site. You may also click the Show Valuation Total Detail link to display details of both Coverage A and Coverage B.

Report Options

Report Options has the following options:

1. Print: Click on the drop-down list and choose one of the reports, then click Print and it will print the report.

2. Preview: Click on the drop-down list and choose one of the reports, then click Preview and it will preview the report.

3. Download: Click on the Report Type drop-down list and choose one of the reports, then click Download to save a copy of the report you have selected to your hard drive, a disk, CD, etc. When you click Download, it will display a screen that will ask you “Do you want to open or save this file?” If you click Open, it will allow you to preview the report. If you click Save it will allow you to set the path to the location on your hard drive, disk drive, CD, etc., where you wish to save the report. Cancel and it will close the screen without any action being taken.

4. Markups and Adjustments: Click the Markups and Adjustments button and you may set Depreciation. For Depreciation select None if you do not wish to depreciate this valuation. Select Calculate Based on Effective Age and you would need to provide the effective age based on years. This option is subjective based on your judgment of the effective age based on condition and renovation. Select Use Depreciation Percentage and enter a percentage to the left of % to set the depreciation for this valuation. When you have completed your entries on the Cost Markups and Adjustments screen, click OK to save the choices you made or click Cancel to exit the screen without making or changing any of the choices.

Valuation Dates

Valuation Dates displays the created on, last updated and calculated dates. Additionally, it displays the name of the user who created the valuation.

Attachments: Click the Attachments icon and the following screen displays:

The Attachments screen allows you to attach documents or photos to the valuation you are working on. The screen consists of the following four steps:

Step 1: Attachment File: Enter the file path where the file is located in the space provided or click Browse to select the file using a standard browse button. You may make as many attachments as you wish to the valuation. Only photos appear on the report titled Attachment Report. All other attachments are just part of the electronic file. The report displays up to two photos per page depending on the size of the photo.

Step 2: Caption: Enter a caption for the attachment. This is optional and appears at the bottom left of the photo on the report.

Step 3: Notes: Enter notes or comments about the attachment. This is also optional and appears at the bottom of the photo on the report.

Step 4: Click the Add Attachment button to add the photo to this valuation or click Cancel to clear steps 1-3.

Once a document or photo is attached, it will be listed at the bottom of the screen under Existing Attachments. You can Save, Edit, View or Delete any document or photo listed. If you click Save, it will allow you to save a copy of the item somewhere else, be it your hard drive, a disk, etc. If you click Edit, it will allow you to change the Caption and the Notes for that document or photo. If you click View, it will preview the document or photo. If you click Delete, it will allow you to delete the document or photo. When you click Delete, it will ask you “Are You Sure?” and if you click OK, the document or photo is deleted. If you

click Cancel, it returns you to the Add Attachment screen. Click Close to exit the screen.

Custom Items: Click the custom items icon and the following screen displays:

The Custom Items screen allows you to add items to the valuation that may not be available in RCT Express. To add an item, under New Custom Item click Add Custom Item and enter the following:

1. Description:(required) Enter a description of the item.

2. Comments: In the comments field, you may put in comments regarding the custom item you are creating. Unlike the other entry fields on this

screen, this is not required. Currently, comments are only part of the valuation file in RCT High Value and do not print on any reports.

3. Quantity:(required) Based on the unit of measure chosen, enter the quantity of the item.

4. Unit of Measure: (required) Click the drop-down list and choose a unit of measure for the item.

5. Report Location: (required) Click the drop-down list and choose a report location. Whatever material category you assign the item to is where the costs of the item will be included.

6. Unit Cost: (required) Enter the unit cost of the item. Based upon the unit of measure chosen, the system will multiply the unit cost times the quantity to arrive at a total. At least one of these has to be filled in. Unit cost can be broken out by labor, equipment and material cost.

7. Click Add Item to add the item to your valuation or click Close to clear the entry fields and begin over.

Once a custom item is created, it will be listed at the bottom of the screen under Existing Custom Items. You can Edit or Delete any custom item listed. If you click Edit, it will allow you to change any part of the custom item. When you have completed your edit, click Update Custom Item to save your changes. If you click Delete, it will allow you to delete the custom item. When you click Delete, it will ask you “Do you wish to delete the custom item?” and if you click OK, the item is deleted. If you click Cancel, it returns you to the New Custom Item screen. Click Close to exit the screen.

Custom item dollar amounts will be included in the calculation results.

Close Valuation Click the Finish/Close button in the upper or lower right hand corner to finish or close out of the valuation or click Previous Step to return to the previous screen. The Close Valuation button which is available in the upper right of any of the entry screens offers the same options as Finish/Close. The screen that appears allows you to Save Valuation or Discard Valuation and All Data You Have Entered. If you are saving a valuation it can be saved In Preparation, which saves it as a draft or work in progress. If you save it Complete it will archive this version and future changes will be made to a copy of it. When you have completed your choices in this screen, click Close Valuation to complete your selection or Do Not Close to return to the previous screen.

At the bottom of the Valuation screen, the system will display Find Existing Valuation. Here you may Search for a specific valuation or group of valuations, and you may Edit, View or see History for a valuation.

If you have many valuations listed, you may search for the one you wish to work on without having to scroll through the entire list. To the right of Show, click on the drop-down list and choose a search option like insured name, property address, etc., and the system will pull up an additional field or fields where you can define the parameters of your search. Click Search and the system will list the results.

To edit an existing valuation, click the Edit link under Assigned User Options.

If you click View, the system will display the View Reports screen for that valuation. The options available to you here are covered in detail in the Reports/Calculate section of this workbook. Please refer to Reports/Calculate for further details. The only option not available to you here is the Markups and Adjustments button.

If you click History, the system will display the original valuation and any iteration of the valuation since the original. Here you may View reports for what ever iteration of the valuation you select. The functionality is the same as View covered in the previous paragraph.

Also in History is the ability to generate a RCT Comparison Report. The Comparison Report allows you to view a side-by-side comparison of two different versions of the same policy/estimate. If multiple versions of the valuation exist, the user is allowed to select two historical versions to be compared on the report by placing a check mark in the box to the left of each report. Once selected you may Print, Preview or Download a copy of the report by clicking the appropriate button.

5.0 Creating a Valuation (Advanced Entry) To create a valuation, on the Valuation screen under New Valuation, choose the Valuation Type you are going to use. In this case choose High Value Home-Advanced Section Entry, by clicking on the drop-down arrow and selecting it. Then click Create New Valuation. The General Information screen displays. On the left side, screens that are numbered are required and when you are using the Advanced Entry method all screens are required. By clicking Next Step you will be walked through each of the screens. Once you complete a screen and click on Next Step, it will have a check mark by it.

General Information

The General Information screen allows you to enter general information for the valuation like the policy number, insured’s address, Zip/Postal Code, etc. The General Information screen consists of the following:

1. Policy Number: (required) When you first enter this screen you will notice a system generated estimate number. To assign a policy number, click Assign Policy Number. Enter the Policy Number and click OK or click Cancel to return to the previous screen. After you have assigned a policy number, a Change Policy Number button will be available if you need to update or change it. Estimates have expiration dates; once a policy number is assigned, estimate expiration date disappears and the valuation exists indefinitely.

NOTE: Check with your administrator regarding your settings for Policy Number. Also, typically, users only assign a policy number after the risk has been approved. Prior to that, best practice would be to enter all valuations as an estimate.

2. Estimate Expiration Date: (required) The system will default the expiration date to 90 days from the date the valuation was created but this is configurable by the customer and can be changed. If you assign a policy number, this will be hidden. There is a warning message to the right of the entry box regarding the expiration date.

3. Property ZIP/Postal Code: (required) Enter the ZIP/Postal Code.

4. Style (required): Choose the style of the building from the drop-down list. Your choice may be as simple as choosing the number of stories to as complex as choosing a style like Colonial, Ranch, etc.

5. Insured’s Full Name: Enter the full name of the insured property owner.

6. Second Insured’s Full Name: If there is a second insured, enter their name.

7. Property Address: Enter the address of the property being valued. There are two lines for a street address and P.O. Box if necessary

8. Property City: Enter the city where the property being valued is located.

9. State/Province: Enter the state or province where the property being valued is located.

10. Mailing Address: You can designate Same as Property Address or Different Mailing Address by choosing the proper radio button. If you choose Different Mailing Address, additional information fields appear asking for the Mailing Address, Mailing City, Mailing State/Province, and Mailing Zip/Postal Code.

11. Home Phone: Enter the home phone number of the property owner.

12. Work Phone: Enter the work phone number of the property owner.

13. Effective Date: Enter the effective date of the policy which is the date the policy is put into effect.

14. Renewal Date: Enter the renewal date of the policy which is the date the policy is up for renewal.

15. Site Access: Click the drop-down-list and select the Site Access for the homes location be it a remote rural area, mountain or hillside area, island, etc.

16. Current Coverage $: If the building already has a coverage amount, enter the Current Coverage A amount.

17. Account Number: Enter the account number.

NOTE: Check with your administrator regarding your settings for Policy Number. Also, you must have the required fields on the General Information screen completed prior to creating the policy number. The required fields can be configured as required per company preferences. What are shown are the generic required fields without company specifications.

Building

The Building screen is where you enter the general characteristics, size, ceiling height, etc., of the building. Except for the Section Name, all the entry fields on this screen are required. The Building can consist of a main home with up to nine sections/wings. The Main Home can be the whole house, vertical sections (wings) or a horizontal ground or upper floor. A Section/Wing can be vertical sections (wings), horizontal ground or upper floor, attached or detached structures. If you create sections/wings, you will notice that the entry fields are the same as they were for the main home but the entries you make can be completely different. The Building screen consists of the following (starting with Main Home):

1. Section Name: For the Main Home the Section Name will default to Main Home and is not editable. If you are also creating sections, the section name will default to Section 1, Section 2, etc., but is editable and you can give the section a different name.

2. Section Type: Enter the Section Type of the Building. When you are creating the Main Home, click the drop-down list and the system provides four options, Whole House, Vertical Section (Wing), Horizontal Ground Floor and Horizontal Upper Floor. When you are creating a Section, you have twelve options including different attached and detached structures, and a choice titled User Defined, which allows you to define the section without choosing something specific. By using horizontal section choices, you can identify whether or not a section includes the ground floor of the building (this means that the foundation, roof area, and perimeter can be calculated based upon the ground floor area of the specific section). An example of creating a Main Area with several sections would be a three story house with a horizontal section for each floor. The section types would be set as follows:

a) Main Home: Horizontal Ground Floor

b) Section 1 (Second Floor): Horizontal Upper Floor

c) Section 2 (Third Floor): Horizontal Upper Floor

3. Year Built (required): Enter the year built in the field provided.

4. Number of Stories (required): Based on the Style you chose on the General Information screen, Number of Stories should have a default. You may override the default here.

5. Total Living Area (required): Enter the square feet of Total Living Area in the field provided. The Total Living Area is the size of the Main Home plus each Section/Wing being entered based upon the exterior dimensions and includes the area for all floors and the area for built-in garages but does not include the area for basements, porches, breezeways decks or one story attached garages. These are accounted for elsewhere.

6. Perimeter (required): Enter the linear feet of the perimeter in the field provided.

7. Floor to Floor Height (required): Enter the Floor to Floor heights for the building. Provided are three entry boxes for the height in feet and the percentage of the building with the floor height you entered. You may enter a height between two integer heights (e.g. 10.5).

8. Coverage Type: If you are creating a Section and that Section is a Detached Structure or User Defined the Coverage Type option will be available. You may click the drop-down list to assign the Detached Structure to either Coverage A or Coverage B.

If the building you are creating does have Wings, the entry fields are the same as for the Main Home. The entries you make can be different but the fields you fill in are the same. If you create a Section then later wish to delete it, click the –Delete Section link to the right of the Section number to delete it. To add additional Sections, click the + ADD SECTION link at the bottom of the screen. As previously mentioned, you may create up to 9 Sections.

6.0 Hazard This section covers the screens the user experiences when Hazard is in use.

MSB’s Underwriting Decision Group ensures accurate hazard identification using Geographic Information System (GIS) technology. Risk addresses are standardized to United States Postal Service specifications and geo-coded and assigned a latitude and longitude. The hazard data needed to make precise underwriting decisions is returned to you. Thus, from one source, you can receive detailed hazard information. This service can pinpoint your policyholder’s exact location and then determine the type, proximity, and severity of the hazard.

To use hazard data, enter the required information on the General Information screen. For hazard to generate results the Property Zip/Postal Code, Property Address, Property City and State/Province must be entered. Once this information is entered, based on your company’s configuration, you may need to put a check mark by Hazard Lookup or this option may not exist and the system will do it automatically. Then based on the location of the dwelling the system will put check marks by all the applicable hazards under Generate Hazard Risks.

Once the information is entered, click the Standardize Address navigation link on the left-hand side or click Next Step in the upper left or right corner of the screen. If more than one address displays, you may select the appropriate address in the Select Standardized Address section. The Hazard Summary displays all of the information from the previous screens, and more. From top to bottom it displays Hazard Information, Selected Hazards, Property Map and GeoSpatial Information. In Hazard Information, if your company uses Decisioning, it may display a message like Accept, as seen in red below, or Decline, or a number of other messages based on the decisioning rules your company has set. Also, in Hazard Information it displays the identified hazards. In Selected Hazards it displays the hazards applicable as determined by the property address. Property Map displays the property location. Finally, GeoSpatial Information displays the Longitude and Latitude of the property address.

7.0 Decisioning This section covers the screen the user experiences when Decisioning is in use.

Decisioning is the ability to enter company specific business rules used to evaluate the risk of identified hazards for a particular property. These rules are established using Mindbox PowerEditor in the RCT Express site. Only authorized users have access to PowerEditor. A company’s business rules and can apply to all valuations in Main Street, High Value and MMH (Mobile Manufactured Homes). The rules may be defined based on User Role, State, Zip Code, County, Hazard Type, Fuel Rank Distance to Next Wore, Next Worse Fuel Rank, Distance to Coast, Territory, Barrier Island, etc. Based on the decisioning business rules, when the user enters the required data, a result is supplied. The results may be Accept, Declined, Accepted with Conditions, etc. The User sees the message under the Hazard Information section of the Hazard Summary. In the screen below the decisioning gives the message Accept.

8.0 InterChange This section covers the screens the user experiences when InterChange is in use.

InterChange is a database that stores insurance ready data from multiple sources. The data can then be accessed and used within RCT valuation records. To access the InterChange database your RCT user role must be configured correctly and the address used must exist in the InterChange database. The only valuation types InterChange is available for is Main Street and High Value-Standard Entry Method.

Using the InterChange data, the Express system will populate the appropriate valuation data fields. The system then uses the default material selections from the MSB knowledge tables to fill in any material systems/sub-systems that have not already been populated with InterChange data. The default material selections from the knowledge table will not overwrite any data that is obtained through InterChange.

To use InterChange data, enter the required information on the General Information screen and click Next Step. For InterChange to generate results the Property Zip/Postal Code, Property Address, Property City and State/Province must be entered. If only one matching record is found an InterChange Data screen displays and you may click Use InterChange or Continue without using InterChange record. Click Use InterChange and the data will fill in on the Building Screen and subsequent screens. Click Continue without using InterChange record and you can continue by making manual entries in the Building screen and subsequent screens.

The system may also display multiple records to choose from on the InterChange Data screen. Choose the record you want to use by selecting the corresponding option button. The default will be the first matching record in the list. Again, you may click Use Interchange or Continue without using InterChange record.

If an InterChange record is chosen an icon displays in the upper left related to the InterChange data you have chosen. Click the icon and it displays all data that populated your valuation.

9.0 FIT (Field Information Transfer)

9.0 FIT (Field Information Transfer) Field Information Transfer (FIT) is a Web Services Tool that integrates third-party inspection reports into individual policy records that are archived on an insurance carrier’s RCT Express Web sites. FIT also contains controls to validate completeness, correctness, and adherence to the insurance carrier’s business rules.

FIT gives insurance carriers access to all of the records necessary for claims adjustments and underwriting reviews from a single online location. Insurance carriers can accept inspection reports from multiple field inspectors. Carriers can also change calculation settings and information requirements.

Inspectors can connect to insurance carriers’ data archiving system to perform the following task:

• Upload Inspection results to a carrier’s RCT Express Web site.

• Review calculations prior to uploading the final inspection report.

• Electronically send sketches, photos, and other attachments.

The carrier works with their MSB representative to configure their RCT Express site for FIT. They also need to make sure that their inspection agencies are licensed to use FIT. Once an inspector is added to a carrier’s site as a FIT Business Partner, the record is configured to support the carrier’s business requirements when inspection data is transmitted. You can edit the record to change the delivery options, set the required number of attachments, change the inspector’s status to inactive or change the inspector’s password.

MSB highly recommends the carrier instruct the inspection company to use web services and not the desktop upload to add the records to the system.

MSB also recommends the carrier inform the inspection companies the house types that are available. However, if the carrier hasn’t informed the inspection company, the inspection company can call a reference service to find out the available house types.

For a carrier to completely benefit from FIT, they need to make sure to set all valuations to a policy somewhere in the workflow. If not, when the inspection company uploads the policy information, the system will not be able to find the associated agent record.

To configure your RCT Express site for FIT, from the Record/Valuation screen, click Tools then Manage Business Partners. Here is where inspection agencies are created and maintained. You may also click Manage Underwriting Questions to set up required questions for which inspectors would be required to supply answers.

10.0 Group Processing

10.0 Group Processing Group Processing, also known as the batch processing utility allows you to select and schedule groups of valuations to be recalculated using current costs for policy renewals. Typically, policies that are approaching their renewal dates are selected and scheduled to be recalculated as a batch process during off-peak system usage times. Only users with specific roles will have access to Group Processing.

Group processing can be used to perform the following tasks:

• Create and schedule a Batch Renewal Group

• Edit a Batch Renewal Group

• Delete a Batch Renewal Group

• Schedule an Existing Batch Renewal Group

• Assign a Policy Number to a Valuation

• Review and Download Batch Processing Results

To access Group Processing, Record/Valuation screen click the Tools link then click the Group Processing link. The Group Processing page displays. There are two options, Create Groups and Manage Group(s). It is from here that authorized users can create Groups, batch processing can be scheduled and existing groups can be managed.
