Getting Started Overview Rave Review consists of four performance review modules:

Employee Evaluation 360° Feedback Self-Evaluation Salary Review

The Employee Evaluation module allows a manager to give regularly scheduled performance evaluations of each employee. The forms used for each evaluation are specific to each company and are pre-loaded by North Star Consulting. Rave Review keeps track of the timing of the employee evaluations and sends reminder emails to a manager prior to the evaluation deadline. Once an evaluation is overdue, the manager receives a weekly email reminder. In addition, the Super User (Usually the HR director) receives these overdue emails. (Note: Email reminders are only sent for the Employee Evaluation module, and not the other three.) When a manager logs in to Rave Review, she first sees the main Employees page. The first column on this page lists all of the employees associated with the manager. The second column lists the Organization associated with each employee (accounting, creative, etc.) Next, the Review Date is listed. This is the due date of the next Employee Evaluation. The final column lists the Status of the Employee Evaluation. Notice that each column may be sorted in ascending and descending order. Also notice that Rave Review posts only the Employee Evaluation date and status on this first page and not the status of the other three modules. The Rave Review logo will appear in the upper left corner of the application. Clicking on this logo will return the user to the main Employees page.

Add New Employee Use to add a new employee to Rave Review. The user who adds the employee will be associated as that employee’s manager.

1. Click the Add New Employee button at the bottom of the Employees page. 2. Enter new employee information and evaluation date information. 3. Click Save. The Employee Information page will display. 4. Click the Evaluation Forms button. 5. Select the desired form from each drop-down list. 6. Click Save.

Edit Employee Information Use to edit existing employee information. An employee’s manager or a Super User may perform this function.

1. From the main Employees page, click the employee name. 2. Click the Edit Information button. 3. Edit desired information and click Save.

Delete Employee Use to delete an existing employee from the system. An employee’s manager or a Super User may perform this function.

1. Click the desired employee from the main Employees page. 2. Click the Delete button at the bottom of this page.

Add or View Comments Use to add or view comments in an employee’s on-line file. An employee’s manager or a Super User may perform this function. This is a convenient way to save thoughts about an employee for later reference during an evaluation. Comments are available for Employee Evaluation, 360° Feedback, Self-Evaluation, and Salary Review.

1. From the main Employees page, select the desired employee. 2. Click the desired review category tab. If using the 360° Feedback feature,

you must first select a stakeholder from the list provided. 3. Click Add New Comment. 4. Enter the date, the comment category, and the text of the comment. 5. Click Save. 6. To view comments, click the View Comments button.

Note: Only comments pertaining to the specific evaluation category will display. For example, a comment added for a specific employee in their Salary Review section will not display in their Self-Evaluation section. In addition, comments created in the 360° Feedback section will associate only with a specific stakeholder and not with all stakeholders.

Evaluate Employee

Completing an Employee Evaluation Use to complete a regular performance review of an employee. An employee’s manager or Super User may perform this function.

1. Select the desired employee from the main Employees page. 2. Click the Evaluation Forms button. 3. If necessary, select the desired form from the Manager Evaluation drop-down

box. 4. Click Save. 5. Click the Evaluate Employee tab at the top of the page. A list of the specific

employee evaluations will appear. 6. Click Begin New Evaluation. A new browser window will open with the

evaluation form. 7. Fill out the employee evaluation form. When finished, click Submit. 8. Click Return to Rave Review.

Note: The Form Status will now display as Complete. However the Meeting Status will display as Not Completed. The employee must be given the results of the review in a personal meeting. The meeting status can then be changed manually. (See Employee Evaluation Discussion Status.)

Saving an In-Process Employee Evaluation Use when time does not permit the completion of the evaluation in one session.

1. At any time when working on the Employee Evaluation form, a user can click the Save button and return to the Rave Review system. The Form Status of the review will be In Progress.

2. To return to the In Progess review during a new session, select the desired employee from the main Employees page.

3. Click the Evaluate Employee tab. 4. Click Continue Evaluation. A new browser will open with the In Progress

review. 5. Click Continue. 6. When finished, click Submit. The review status will now display as Complete.

Employee Evaluation Meeting Status Once the evaluation document has been completed, the information should be communicated to the employee. The Meeting Status can then be manually changed in the Rave Review system.

1. Select the desired employee from the main Employees page. 2. Click the Employee Evaluation tab. 3. Click on the desired review in the list. 4. Select the desired status from the Meeting Status drop-down box. Click Save.

View, Print, or Save Completed Employee Evaluation Use to view, print, or save an employee’s evaluation. The View function gives the evaluation in its on-line format. The Print function gives the evaluation in a report format. From the Print function a user may also Save the evaluation.

1. Select the desired employee from the main Employees page. 2. Click the Evaluate Employee tab. 3. Click the desired evaluation. 4. Do one of the following:

• Click View Evaluation. • Click Print Evaluation. From this view, you may print or save the

document using the main menu commands. Note: The printable version contains a section for signatures and dates from both the manager and the employee acknowledging the review, as well as a section for employee comments.

Editing a Completed Evaluation Use to edit a completed employee evaluation. Only Super Users may use this feature.

1. Log in to Rave Review as a Super User. 2. Click the Employees tab at the top of the page. 3. Click the desired employee from the list. 4. Click the Evaluate Employee tab. 5. Click the desired evaluation from the list. 6. Click the Edit Evaluation navigation link at the bottom of the page. A new

browser window will open with the evaluation form. 7. Make the desired changes. When finished, click Submit at the end of the

form.

Note: Once a change has been made, it is suggested that the Super User enter a comment on the employee’s record.

Deleting a Completed Evaluation Use to delete a completed employee evaluation. Only Super Users may use this feature.

1. Log in to Rave Review as a Super User. 2. Click the Employees tab at the top of the page. 3. Click the desired employee from the list. 4. Click the Evaluate Employee tab. 5. Click the desired evaluation from the list. 6. Click the Delete Evaluation navigation link at the bottom of the page.

Note: Once the evaluation has been deleted, it is recommended that a comment be added to the employee’s record.

360° Feedback

Use to request an evaluation from an employee’s peer. Reviewers associated with an employee are called stakeholders.

Adding a Stakeholder Use to add a stakeholder to the 360° Review process. Each stakeholder must be added separately for each employee.

1. Click the desired employee from the main Employees page. 2. Click the 360° Feedback tab. 3. Click the Add New Stakeholder button at the bottom of the page. 4. To add an existing stakeholder, select a name from the drop-down list. Click

Associate Stakeholder. Note: Once an existing stakeholder has been associated, the Edit Information function can be used to select the Relationship to Employee.

5. To add a new stakeholder, enter the necessary information. Click Add Information.

Requesting Stakeholder Feedback Use to request feedback from a stakeholder. Rave Review sends the stakeholder an email that includes a link to the review page.

1. Click the desired employee from the main Employees page. 2. Click the Evaluation Forms button. 3. Choose the desired 360° Feedback form. Click Save. 4. Click the 360° Feedback tab. 5. Click the desired stakeholder from the list. 6. Click Request 360° Feedback at the bottom of this page. An email template

will appear. 7. Click Send Request after reviewing the information. 8. The stakeholder will receive an email with the 360° Feedback request,

including the link to the feedback site.

Sending a Reminder Use to send a reminder to a stakeholder regarding the 360° Feedback process.

1. Click the desired employee from the main Employees page. 2. Click the 360° Feedback tab. 3. Click the desired stakeholder. 4. Click Send a Reminder at the bottom of the list of feedbacks. An email

template will appear. 5. Review the information and click Send Reminder.

Edit Stakeholder Information Use to edit stakeholder information within the 360° Feedback process.

1. Click the desired employee from the main Employees page. 2. Click the 360° Feedback tab. 3. Click the desired stakeholder from the list. 4. Click Edit Information to edit this stakeholder’s information. 5. Edit the information and click Save. 6. To delete this stakeholder from association with this employee, click Delete.

Delete a Stakeholder Use to delete stakeholder information from the 360° Feedback process.

1. Click the desired employee from the main Employees page. 2. Click the 360° Feedback tab. 3. Click the desired stakeholder from the list. 4. Click Delete.

Add or View Comments Use to add a comment to the 360° Feedback process.

1. Click the desired employee from the main Employees page. 2. Click the 360° Feedback tab. 3. Click the desired stakeholder. 4. Click Add Comment. 5. Type comment and click Save. 6. To view all comments, click View Comments from the Stakeholder

Information page. Note: 360° Feedback comments only apply to a particular

stakeholder/employee association.

Employee Self-Evaluation Requesting Employee Self-Evaluation Use to request a self-evaluation from an employee. Rave Review sends the employee an email which includes a web link to the evaluation form.

1. From the main Employees page, select the desired employee. 2. Click the Evaluation Forms button. 3. Select the desired Self-Evaluation form from the drop-down list. Click Save. 4. Click the Self-Evaluation tab. 5. Click the Request Self-Evaluation button. An email template will display. 6. After reviewing the email message and address information, click Send

Sending a Self-Evaluation Reminder Use this feature after the initial self-evaluation request. This will send a reminder to the employee to complete the evaluation.

1. Select the desired employee from the main Employees page, 2. Click the Self-Evaluation tab. 3. Click the Send a Reminder button. An email template will display.

Note: This button only displays if a self-evaluation has not been completed.

4. After reviewing the email text and address information, click Send Request.

Salary Review

Completing a Salary Review Use to review an employee’s salary as part of the review process.

1. Select the desired employee from the main Employees page. 2. Click the Evaluation Forms button. 3. Select the desired Self-Evaluation form from the drop-down list. Click Save. 4. Click the Salary Review tab. 5. Click Begin New Review. A new browser window will appear with the

appropriate form. 5. When finished, click the Save button.

Saving an In-Process Salary Review Use when time does not permit the completion of the salary review in one session.

1. At any time when working on the Salary Review form, a user can select Save

and return to the Rave Review system. The status of the review will be In Progress.

2. To return to the In Progess review during a new session, select the desired employee from the main Employees page.

3. Click the Salary Review tab. 4. Click Continue Review. A new browser window will open with the review

form. 5. Click Continue Review in the browser. 6. When finished, click Submit. The review status will display as Complete.

Salary Review Discussion Status Once the salary review document has been completed, the information should be communicated to the employee. After the meeting, the status can be changed in the Rave Review system.

1. Select the desired employee from the main Employees page. 2. Select the Salary Review tab. 3. Select the desired review from the list. 4. Select the desired status from the Discussion Status drop-down box.

1. Log in to Rave Review as a Super User. 2. Click the Managers tab at the top of the page. 3. Click the Add Manager button. 4. Complete the manager information. Click Save.
