Team Space is a virtual work environment that provides a socially- aware experience enabling you and your team to solve problems more quickly, efficiently, and cost effectively. It is an always-on communication service with an intuitive spatial layout, allowing people to see office interactions as they occur and initiate scheduled and ad hoc meetings with ease. Invitation, Download, Account Creation Joining your team in Team Space starts with accepting the invitation from your Moderator. You will receive an email from Sococo on behalf of your Moderator with an invitation link. Clicking the link will accept the invitation and take you to the software download page. Follow the directions to download and install the Sococo software client. When done, launch the Sococo application. When launching the Sococo application for the first time, you will be asked to create a Sococo account. Be sure to use the same email address associated with the invitation you received . This is important to link your invitation to the correct account. Once your account is created, you will be able to log into your Team Space!

Introduction*Welcome to Sococo Team Space! Team Space is a virtual work environment that provides a socially-aware experience enabling you and your team to solve problems more quickly, efficiently, and cost effectively. It is an always-on communication service with an intuitive spatial layout, allowing people to see office interactions as they occur and initiate scheduled and ad hoc meetings with ease.

Invitation,*Download,*Account*Creation*Joining your team in Team Space starts with accepting the invitation from your Moderator. You will receive an email from Sococo on behalf of your Moderator with an invitation link. Clicking the link will accept the invitation and take you to the software download page. The*Team*Space*User*Interface*When you enter your Team Space for the first time, your avatar will first appear in the Lobby. At first glance, you will see that the user interface is divided into three panes:

1) Map/Viewer Pane: This is the primary view pane that displays the map or screen-shared items.

2) Chat Pane: This pane displays room-based messages and activity information, a room chat entry box, and a close-up view of the room your avatar is in.

3) People Pane: The people pane shows avatars of all of your contacts.

The Team Space work environment is a collection of offices for small private discussions, conferences for larger meetings, and common/public spaces for larger gatherings.

Audio*Setup*Basics*When using Team Space, Sococo recommends using a headset with a built-in microphone. This provides the best speaking and listening sound quality. At minimum try to use headphones or “earbuds” if you plan on using your computer’s built-in microphone. This will reduce audio echoing.

To adjust your audio settings, click on the drop down menu next to the “Talk” button in the top left side of the Control strip, then select “Audio Setup…” From this panel, you will be able to adjust the audio input and outputs devices, microphone sensitivity, and the audio volume.

Basic*Audio*Troubleshooting*AUDIO!ISSUE! WHAT!DOES!IT!REPRESENT?! SOLUTION(S)!Tinny or robotic audio - Typically a result of a poor

network connection or low bandwidth

- If using a wireless router, move closer to the router

- If using an Ethernet connection, switch the port your computer is plugged into

- Go to Sococo Demo Center for assistance

Cannot hear colleague and screen sharing is not working

- You may have some firewall settings that are blocking communication

- Consult a Sococo Smartie in the Sococo Demo Center for assistance

How@To*Chart*for*Basic*Activities*ACTIVITY HOW DO I DO IT? Move Around the Team Space - Double click anywhere within the destination

room, OR - Click on the room name

Basic Screen Sharing - First click on any screen in any room - Click “Share” and select what you wish to

share, OR - Type in a URL in the address box

Turning On/Off Speaking and Listening - “Listen” and “Talk” toggle buttons are at the top

left side of the Control strip.

Room or Person-To-Person Chat - Enter a message for the group at the bottom of the Chat Pane. Everyone in that room will see your message.

- Person-to-person chats can be initiated by selecting the person from the People Pane, or by right-clicking on any avatar

Make a Sococo Phone Call - Click on any phone icon in a room,OR - Click the phone button at the top center of the

Control strip - NOTE: Sococo Phone must be enabled by your

Avatar*States*and*What*They*Mean*Avatars convey a significant amount of social information. A person’s location in a Team Space and whom they are meeting with are revealed at a glance. In addition, there are various states of the avatar that reveal what a

person is doing.!

AVATAR STATE WHAT DOES THIS MEAN? Plain Solid Avatar - Person is logged into the Team Space

- Can receive chat messages - Cannot hear what is being said - Is mute; others cannot hear anything being said by that person -

Avatar with headphones - Can hear voices - Is mute -

Flashing avatar - Person is actively speaking

Flashing “hand” image - Person is typing

Eyes - Person is viewing something on a Team Screen

Avatar on a Team Screen - The person with the same color avatar is presenting something on that specific Team Screen

Inviting*New*Members*

Getting your team inside Sococo is the first step to communicating more efficiently. About Invites:

1) Only a moderator can invite new members. 2) You can invite people via the feather icon or the signpost.

Use email addresses, and the invitee will receive an invite with instructions to download.

3) You can see if people have accepted their invitations by looking at the member list:

Log*in,*Stay*in*Your team will get the most out of the product if they stay in all day:

1) See the activity of your teammates. 2) Know when people are talking and screensharing. 3) Communicate to others your availability.

Organizing*a*Meeting*Ad hoc, organized, schedule next staff meeting or team meeting in Sococo:

1) Set meetings in your existing scheduling tool to meet in a specific location inside Sococo.

2) Look for when teammates are working and ask to join by popping in or sending a private message.

3) Pull others in for an instant meeting.

Starting*a*War*Room*

Decide what applications are relevant to a room, and dedicate that room that that project. Add Team Screens to reflect that activity, and maintain viewscreens for other relevant information. Change it at any time to update the room. We can even customize the name of the room for you.

Customizing*A*Personal*Profile*

Change your color, nickname, location, preferred email address, and password. Click Signpost>Manage Your Spaces>Account.

Setting*up*the*Offices*

Get your team offices assigned. Any moderator can do this by right clicking on the office and assigning it. You can then change the name of the room. You can change the assignment of anyone at any time by reassigning the office.
