Bidders who wish to participate in this tender will need to pay a non-refundable fee of P560.00, THROUGHELECTRONIC FUNDS TRANSFER (EFT) to a preferred BTC Bank Account listed below, then scan proof of payment and send to [email protected]. The tender document shall then be sent to the bidder through e-mail upon receipt of proof of payment. - It is mandatory when making payment to insert the reference as bidding company name.
N.B. 1. Bidders who wish to submit their proposals online shall communicate to [email protected], thereafter an online submission link shall be shared.
2. Bidders who wish to submit hardcopy proposals shall deliver to BTC Headquarters, Megaleng House, Plot no. 50350, Khama Crescent, Government Enclave.

PRINTING, ENVELOPING, DISTRIBUTION AND TRACKING OF BTCCUSTOMER BILLSBRIEF SUMMARY
1. Forma�ing BTC is currently using one billing platform to bill all its customers. The aim is to offer converged services to its customers and
produce converged invoices. During billing, output (.csv) or flat file(s) are produced containing customer information and charges. These file(s) may contain
one or more customer accounts depending on the size of customer information. It is these output file(s) that are sent to the bidder to format flat/txt into BTC bill layout and convert each customer into a PDF
format. The bidder should have a capability to extract information from the output file and format it into BTC bill layout. The files will be grouped according to printing layout and distribution method.
2. Printing
The formatted customer’s invoices are to be printed according to the categories below; • Posting – Printed invoices are to be delivered to BTC physical distribution partner • All the stationery (toner, plain paper, envelopes) used in the production of the bills is the responsibility of the bidder
3. Turnaround time
The bidder shall format, print, envelope, sort and deliver invoices to BTC and BTC Distribution Partners all cycles invoices within 24 hrs of receipt of files.
The bidder is expected to provide services over weekends and holidays.
4. Reconciliation
• The bidder must demonstrate and produce a reconciliation report of all items received from BTC, printed, enveloped, posted and e-mailed. This will give BTC confidence that all its customer bills are printed and posted.
• The reports will consist but not be limited to the following - Date and time of receipt of files from BTC - Files received and count of bills per file - Date and time of formatting, printing and enveloping - Count of bills formatted, printed and enveloped - Date and time for delivery to BTC, posted and emailed - Count of bills delivered to BTC, posted and emailed - List of all failed emails and reasons - List of all Return to Sender (RTS)
5. Electronic Dispatch
• The bidder is required to e-mail customer bills to those customers marked for email dispatch. - BTC will provide a list of such customers and will keep on updating the list. - The bidder will email bill in PDF (Edit Proof), - The emailed invoice (PDF) must be password protected.
