TENANT SELECTION
All prospective tenants must provide 100 points of identification before we will process
an application from them.
Information and references provided by tenancy applicants will be verified within 2
working days of receipt. This involves contacting current and previous rental agents,
current and previous employers, and personal referees to establish an accurate history
and sound knowledge of the applicant’s character and reliability.
All potentially suitable tenancy applications will be referred to you for a decision,
unless you instruct otherwise.
Your property will be leased for the rental amount agreed to in the Agency
Management Agreement between us and will not be leased for a lower amount without
your prior approval.
RENTAL PAYMENTS
We take particular care and considerable time in our tenant selection process by
adhering to our policy of rejecting any tenant who does not meet our stringent
suitability criteria. Through this policy we minimize our rental arrears level.
However, regardless of how much care is taken, tenants occasionally fall behind with
their rent. When this happens, we have a set procedure that we instigate which
includes;
Three to four days overdue - A personal ‘phone call or text message is sent. This is
followed by sending them a reminder that their rent is overdue.
Seven to Ten days overdue - A reminder letter, that their rent is overdue is sent.
Fourteen days overdue - A second, more direct letter is sent.
Fifteen days overdue - A termination notice is issued stating the tenant must pay all
outstanding rent or appropriate action will be taken for the tenant to vacate the
property.
You will be informed of the action we have taken once the tenant gets beyond ten days
in arrears.

REPAIRS & MAINTENANCE
Presenting and maintaining your rental property in the best possible manner will help
you achieve the maximum return from it. One of our major concerns as agents is
maintenance and we ask that you give authority for James Partners First National to
attend to repairs and maintenance up to a set dollar value without contacting you. This
allows for us to attend to urgent repairs without delay. Alternatively, if you prefer, we
can contact you regarding any maintenance issue that arises. We are able to be
contacted 24 hours a day, 7 days a week in the event your tenant needs emergency
maintenance.
Whist we engage a range of qualified trades people to attend to all types of repairs and
maintenance, we are only too happy to use specific trades people designated by you.
Accounts are processed for payment only when the Property Manager is completely
satisfied that the work has been carried out to an acceptable standard.
If the cost of any maintenance work exceeds the specific amount set in the
Management Agreement, we will seek your approval before any work begins. ROUTINE INSPECTIONS
It is essential that your property is inspected regularly to ensure that the tenant is
maintaining the property to a standard we expect.
Internal and external inspections are conducted every three months.
A written report is provided to you on the general condition of the property and
notifying you of any general maintenance and tenant requests.
A copy of the report is given to the tenant. We will advise a tenant if they are not
maintaining a property to our standards.

RENTAL STATEMENTS
Our statement run is done as close as possible to the end of the month, usually on the
day after, unless it is a weekend or public holiday.
Rental payments are credited directly into your bank account and the statement can be
posted or emailed to you with copies of any Tax Invoices paid during the period.
If you require, we are able to disburse to you at the middle of the month as well.
An end of year financial statement is forwarded to you at the end of the financial year
at no charge.
We can process all payments related to your investment property including Council
Rates, SA Water, Emergency Services Levy etc.
INSURANCE
James Partners First National believe that it is vitally important for property investors
to be insured. Please ensure that you have adequate insurance on each investment
property for:
• Building
• Contents - e.g. carpets, light fittings, window treatments etc
• Public Liability
• Landlord Protection - Despite all precautions taken with thorough checking of
tenant applications, no property management company can guarantee the
performance of any tenant they place into a property. This type of policy includes
cover for malicious damage by tenants and defaulting tenant.
We can help you with this type of insurance through Terri Scheer Insurance brokers,
if you wish.
LETTING AND MANAGEMENT FEES
In order to provide you with an accurate and competitive fee structure that is tailored
to suit your needs, we will need to inspect your Investment Property.

Not all Landlords have the same requirements. Some are happy to hand over the
responsibility of managing their investment entirely, while others like to retain some
degree of involvement.
Similarly, not all properties have the same requirements with some needing more
attention than others. Because of this, we prefer to discuss our fees with you after we
have inspected your investment property. This fee structure is presented as a guide
only;

We Guarantee…
• To establish the rental value of your property by comparing your property to
similar properties currently listed.
• To interview all prospective tenants.
• To check the references of all prospective tenants.
• To ensure that the tenancy agreement is completed in writing.
• To prepare a written inspection record of the property at commencement and
completion of the tenancy.
• To ensure a rental bond is lodged.
• To check that rents are paid promptly in accordance with the tenancy agreement.
• To carry out regular inspections of your property and provide you with written
report.
• To send monthly accounts in writing for rental monies collected.
• To arrange repairs and maintenance according to your instructions and ensure
they are carried out in a professional manner.
• To pay all accounts on your behalf as instructed.
• To inspect the property at the completion of the tenancy and refund bond
monies only when the condition is satisfactory.
• To provide a written end of financial year report.
Should we fail to perform in any of the above services we invite you to register your
complaint in writing. If the complaint is not acted upon and rectified within seven days
after receipt of your letter, you have the option of terminating or Managing Agency
Agreement.
