To act as a professional assistant to the Head To assist in the role of premises manager co-ordinating repairs and maintenance, lettings and building projects as detailed in the school maintenance plan. Main Responsibilities 1. To act as the Head’s personal and professional assistant working to maintain efficient day to day management, organisation and administration of the school including: Establishing and maintaining effective systems and procedures Reviewing working practices Updating relevant policies 2. To provide secretarial and administration services for the whole school including: Typing letters, memos, reports etc Answering all routine enquiries from staff, pupils, parents and the general public Undertaking reception duties Filing, updating and retrieving information manually and electronically Preparing and answering routine correspondence Maintaining appointments diary of Head. 3. To provide overall supervision and to allocate work to certain non-teaching staff. To be involved in the recruitment and selection of non-teaching staff. To review performance and identify and arrange appropriate training. To review job descriptions and liaise with the LEA’s Personnel Section as appropriate. 4. To manage the school budget and monitor expenditure, income and budget allocations bringing variances to the attention of the Head and making recommendations for corrective action. Overall Purpose of Job:

To provide a complete financial and administrative management service to the school ensuring best value is obtained at all times. Main Responsibilities

2. 5. To produce the school budget and prepare financial reports and profiles for submission to the Head and Governors.

6. To act as Clerk to the Governors’ Finance Sub-Committee producing a management report and providing advice to the Governing Body on any necessary amendments or changes in the budget.

7. To manage petty cash, postage and other regular payments including the monitoring of records relating to payment of accounts, income receipts and pay/salary documents.

8. To be responsible for all internal and external invoices, payments and demands and to order resources for the school as well as reviewing the school’s insurance policies managing claims as appropriate ensuring that best value is obtained at all times.

9. To liaise with the LEA and contractors over work to be carried out in school. To be responsible for seeking quotations for work to be undertaken by using a formal tendering process evaluating bids and making recommendations to the Head and Governors on best value.

10. To be responsible for ensuring cover is obtained for absent staff including managing the supply budget. Provides cover as appropriate for non-teaching members of staff.

11. To be responsible for ensuring that all returns are completed and submitted within specified time allocations to the appropriate body (overtime, supply returns, sickness absences, data trawls, PLASC, attendance, school admissions).

12. To attend meetings of the Senior Management Team.13. Using electronic database ensure that all pupil records are accurately maintained and updated.14. Undertakes KS registration and general school admissions to ensure deadlines are achieved and LEA

procedures and practices are adhered to.15. In conjunction with the SENDCO, produces the school’s Special Educational Needs Register.17. To be responsible for the administrative arrangements of all educational visits (both day and residential) including the collection of monies via parental contributions, banking of such monies and payment of all invoices associated with the visit.
