SCOPE OF WORK

The bidders are required to provide Integrated Facility Management services for all of the following services to be set up for an effective service delivery process ❖ Housekeeping/cleaning.

❖ Laundry Services.

❖ Waste Management-Garbage.

❖ Guest House Management & Maintenance including hospitality services.

❖ Electro – mechanical Maintenance Services.

❖ Plumbing and Sanitation.

❖ Pest Control Services.

❖ Horticulture/landscaping Services.

❖ Maintenance and Services of Window/Split Air-conditioners.

❖ Maintenance and Services of Water Purifier (UV & RO).

❖ Repairing of Home appliances and electrical Gadgets etc. on Chargeable basis.

❖ Carpentry Maintenance work.

❖ Firefighting system.

❖ Requisite Online (IT platform based) complaints Management & redressal System for day today complaints relate to various maintenance activities of residential Premises.

The following brief scopes of services are mentioned below.

D.1 ELECTRICAL MAINTENANCE WORK.

▪ Providing 1 licensed electrician with helper round the clock on all days including Sundays & holidays.

▪ Periodic maintenance and overhauling of electrical / mechanical parts and installation incise the flats and in common areas (excluding lifts), substation, meter room, pump room etc.

▪ Operation and maintenance of pumps, motors, hydro-pneumatic system etc.

▪ Attending complaints of the residents related to electrical and mechanical Installations.

▪ Assist to other maintenance staff of repair / maintenance, firefighting related etc.

▪ Liaising with Building Secretary / Maintenance head for regular maintenance works etc.

▪ Liaising with Utility service provider and govt. authorities (such as

BMC, BEST, RELIANCE ENERGY, TATA POWER etc.) for necessary approval, correction of bills, restoration of supply etc.

▪ Tata sky/DTH complaints register and follow up and recharge in

consultation with the Bank’s official and charges shall be reimbursed by the Bank (Please refer Clause E.1)

• In addition, the day to day maintenance work of electrical gadgets, pump starter, water level controller wiring and electrical wiring in common area and inside flats, Panel boards, telephone wiring maintenance, cleaning of telephone instruments, Electric chimney, Maintenance of geysers, cleaning and maintenance of fans and daily common area’s electrical installations cleaning , it is also necessary to attend to all the complaints received from the residents of the colony to avoid any inconvenience to the occupants.

• Reporting faults to the respective manufacturers/firms who are maintaining other equipment’s like, Gym equipment, Vertical Transport System (lifts), EPABX system, Video door phones, cable TV operator, dish TV etc. which are under separate AMC with the Bank and ensuring that the technicians/engineers of such AMC holders carry out the required work for setting right the various equipment.

▪ Liaison with local authorities of electric supply, water supply, fire

authorities, drainage and sewage system etc. for reporting failures in case of emergencies.

▪ Switch of the common area’s lights, fans, etc. when not in use to save

Energy.

D.2 PEST CONTROL SERVICES.

▪ Providing & carrying out the works of Pest Management for cockroaches, silver fish, ants, house flies etc. inside the flat and common area, parking, terraces, ground floor including drains, chamber, ducts etc using good quality eco-friendly chemicals/materials upto satisfaction of residence/ SBI’s / SBIIMS’s Supervising official.

▪ No separate payment shall be made by the Bank towards cost of the eco-friendly chemicals/materials, equipment, labours etc. (Please refer Clause E.1)

D.3 CARPENTRY MAINTENANCE WORKS. The services rendered under the contract shall include the following item of work:

• Repairs and maintenance of all the doors, windows, racks, ventilators, sliding windows, pelmets / curtain rods, hangers etc. in the flats and of common area.

▪ Removing and re-fixing the loose hard ware items with

necessary screws as required at site etc. complete. without claiming any extra cost.

▪ Replacement of worn out wooden beading, any wooden members and any damaged hardware fitting. Replacement of broken glass panes of door and window shutters. Polishing of furniture, doors etc. Cost of material shall be paid as per the Bank’s on actual basis. (Please refer Clause E.1)

▪ The complaints registered by the resident in the complaint book maintained with the Caretaker will be routinely checked daily and all complaints will be attended promptly. After satisfactory completion, the signature shall be obtain from respective resident or their representative.

▪ Fittings/ fixtures and other materials shall be supplied by the contractor after obtaining the approval of the Make/model/type from the Bank’s Official.

D.4 HOUSEKEEPING SERVICES

▪ The Housekeeping should be carried out by deploying adequate number of suitably trained, uniformed personnel with suitable equipment, cleaning & washing solution, detergents and consumables etc. Housekeeping jobs shall include Cleaning of rooms, corridors, electrical appliances, stores, toilets, staircases, furniture, glass panes, cob webs; external facet with suitable Eco-Friendly cleaning materials, suitable mechanically and electrically operated equipment’s /mechanized dry and wet scrubbers/ vacuum cleaners and specified manpower, on all days. Only liability on the part of the Bank being provision of electricity, water, access and minimum storage space where material/equipment can be stored. (Please refer Clause E.1)

▪ Cleaning and washing of dust bins, disposal of garbage of the flats and also the campus up to the municipal identified location.

▪ Housekeeping of club, swimming pools, gym, recreation areas, terrace, indoor / outdoor game areas etc.

D.5 LIFT ATTENDANTS

▪ Provision of one trained liftman for each lift for operation of the lift.

▪ Although the lift and other special installations will be under AMC of OME, they are required to manage them such as register of complaints, follow up with the OEM to make it operational.

▪ Switch of the stand by lift power supply during off-peak Hours

to save Energy.

D.6 WATER MANAGEMENT

▪ Management of pump and water tanks daily round the clock and

supply of water 24X7 Basis. In case of emergency/ shortage of water/ additional requirement, the contractor has to arrange for the water tank after obtaining the permission from the Bank’s Officials. However, the actual charges shall be paid after submitting the bill by contractor.

▪ Cleaning of underground and overhead tanks on quarterly basis without any additional cost to the Bank.

▪ Draining out water from pumps.

▪ Regular checking of water level controller along with the electrician to

avoid wastage of water.

D.7 PLUMBING MAINTENANCE WORKS

▪ Providing skilled plumber with all required tools on all days including

Sundays and holidays. Removing choke-ups / leakages in all the plumbing installation inside the flats (bathrooms, toilets & kitchen) and common areas / common toilets, plumbing ducts, server lines, supply lines etc.

▪ Regular checking and monitoring of all plumbing shafts, supply / drainage lines and attend to defects if any within shortest possible time.

▪ Removal of choking in soil waste line, gully/ nahani traps, manholes, inspection chambers, bottle traps, sinks, wash hand basin, urinals, water closets and the removal of debris outside the Bank’s Premises without any cost. During the removal and re-fixing of the connecting pieces, taps, stop cocks, valves or any other CI fittings/CPVC fittings such as Eye Plug etc. are required, the same shall be replaced and cost of the material shall be made by the bank after submitting the tax invoice by the contractor to the Bank. (Please refer Clause E.1)

▪ Keeping the rain water outlets on terraces, canopies, free of debris, foreign materials, etc. to ensure quick flow of water from terraces etc.

▪ Replacement of washers including the washers for bib taps, pillar taps, stop cocks, rubber gaskets for flushing cisterns and plunger washers for low level flushing tanks.

▪ Repairing of flushing systems CI/PVC/any other make porcelain,

fordham including removal of siphons, bells, float valves, provision of cotter pin plunger washers, nut and bolts for siphon, 'S' hooks, nakucha for the Ball-cock etc. including removal and refixing of tans with new accessories of appropriate sizes and making flush tank in working condition.

water heaters, geysers, boilers, coolers, electrical gadgets, whenever such electrical gadgets are required to be replaced/repaired.

▪ Cementing of joints of various drainage lines, gaps between wash basins, sinks and that of walls, pointing of joints of tiles of floors and dados, cementing of loose tiles, floors and dados, including re-fixing the same with white cement and matching pigment.

▪ Disconnecting and reconnecting suction and delivery connection of water pumps whenever the pumps are required to be taken away for repairs/replacement. Removal of air locks from suction lines/delivery lines as and when required.

▪ Clearing the vegetation from the buildings wherever it appears once in a month.

▪ Cleaning of drains/ sewer lines once in 6 months or as and when required inside the Premises up to Municipal Manhole (including removal of debris, sludge etc. from the line/ chambers and also out of the Premises) without any additional cost to the Bank.

▪ Re-fixing of loose fixtures and fittings including supporting brackets such as wash basins, sinks, flushing cistern, drain boards, towel rods, mirrors, glass shelves, soap holders, nahani traps, gratings and any other fixtures and fittings as existing in the properties including removal of existing fittings/fixtures without causing any damage. Grouting of new wooden gutties in cement mortar and refixing with new screws; removing where necessary.

▪ All installation will be routinely checked and preventive maintenance will be provided whenever necessary.

▪ The complaints registered by the resident in the complaint book maintained with the Caretaker will be routinely checked daily and all complaints will be attended promptly. After satisfactory completion the signature shall be obtain from respective resident or their representative.

▪ Fittings/ fixtures and other materials shall be supplied by the contractor after obtaining the approval of the Make/model/type from the Bank’s Official. (Please refer Clause E.1)

D.8 AIR CONDITIONERS (SPLIT/WINDOW) MAINTENANCE SERVICES.

▪ The contractor shall undertake the maintenance and service contract of the air conditioners and water cooler installed at above mentioned premises more fully described in the Annexure G.

▪ The contractor shall carry out regular servicing of the air conditioners and water cooler specified in the annexures G, once in 3 months regularly and the first of the said service shall be carried out at the time of commencement of the contract and subsequent servicing shall be carried out on or before expiry of three months respectively. However, if any A.Cs as specified in annexures are removed at the time of transfer /

retirement of residing official then any new/Old A.Cs which will come in that place, irrespective of the make, specification and model must be consider by the contractor for servicing and repairing within the same quoted amount & contract. No additional amount will be paid by the Bank. The contractor has to maintain service report duly signed by the occupants and submit to the concern Bank’s official after completion of each service for verification.

▪ The contractor shall attend to the complaints of defects or breakdown in respect of the air conditioners and water cooler specified in annexure G during the period of this service contract. In case of any major repair work for which the window A.C needs to be taken to workshop. In such cases, standby Window A.C unit has to be provided by the contractor.

▪ The contractor shall attend to the services and complaints as and when required and during working hours or even after working hours or on Sundays/Holidays with all due diligence and care.

▪ The contractor shall also replace or repair components and spares (such as compressor, fan motors, P.C.B, magnetic switch, transformer, other electrical parts of AC unit, etc.), which may become necessary as a result of wear or tear during the period of this contract. The cost of spare parts shall be reimbursement to the contractor after original bill produce by the contractor to the Bank.

▪ The bank shall not allow any unauthorized person to tamper with the appliances even for minor repairs during the period of the contract.

▪ The contractor and / or their men shall be liable for any loss or damage caused to the equipment’s/ appliances and / or any other property of the bank arising out of their negligence and carelessness and the contractor shall pay damages thereon.

▪ The charges for repair and replacement of plastic items / front grill Assembly/ panel , air filter , sheet metal parts , condenser and evaporator coils , remote control ( if mishandling broken ) , voltage stabilizer and scanners, circuit breakers (M.C.B , sequencer) , thermocol payable by the Bank/SBIIMS extra on prevailing market rate or Rate approved by the Bank. (Please refer Clause E.1)

▪ The quantity mentioned in the Annexure G is the approximate value. The model no , capacity, make and quantity may slightly vary at site.

D.9 WATER PURIFIER MAINTENANCE SERVICES. During the term of the period of contract, the contractor agrees to maintain the water purifiers in working order and for this purpose will provide the following repair and maintenance services.

▪ The contractor shall correct any fault and failure in the water purifiers and shall repair and replace worn out or defective parts of the U.V. Water Purifiers with brand new parts / rectified parts, the cost of spare parts shall be reimbursement to the contractor after original bill produce by the contractor to the Bank. (Please refer Clause E.1)

▪ The contractor shall provide repair and maintenance service in response to the verbal including telephone notice by SBI within 1 hour after such intimation during the SBI’s normal working hours (including Bank holidays and Sundays.).

▪ The contractor shall ensure that faults and failures intimated by the SBI /residence are set right within one day of being informed.

▪ All repair and maintenance services described herein shall be performed by qualified maintenance technicians.

▪ The Company shall assume liability for any type of mal-functioning of the water purifiers.

▪ water purifiers shall be serviced regularly, at least once in every three months or as and when required. Replacement of worn out exhausted spare parts including solenoid valve will be made if required. The contractor has to maintain service report duly signed by the occupants and submit to the concern Bank’s official after completion of each service for verification.

▪ For repair necessitating the removal of the water purifier or any parts thereof to other site, there shall be no additional charge for the labour or parts replaced. However, the consumable items such as RO membrane, pre filter, carbon filter, sediment filter, UV membrane shall be paid by the Bank extra on submission of original invoice.

▪ The unit must be made available for servicing as and when the contractor’s representative calls on his servicing visit. If he could not attend the unit due to non-availability of any person in the household, the representative will attend the unit on the next convenient date or take an appointment over phone.

▪ The quantity mentioned in the Annexure H is the approximate value. The model no, capacity, make and quantity may slightly vary at site.

D.10 MAINTENANCE OF FIRE-FIGHTING SYSTEM. (A) Fire Hydrant System and Fire Pumps Monthly Maintenance (1) You shall carry out once in every month the inspection and testing of wet riser system and shall inspect, clean and polish hydrant valves, hose reels, hose pipes and hose boxes on each floor and shall replace any missing or damaged parts without any extra charge. (2)At the time of the monthly inspection you shall check for any leakages in the system, malfunctioning of valves etc. by repairing or replacing the rubber seating, rubber rings, gaskets, material etc. the replacement without any extra cost. Similarly grinding of B.P. Valves / Non return valves whenever necessary is to be done without extra charges. (3)Oiling and greasing of pumps, bearings etc. is to be done at quarterly intervals or whenever found necessary whichever is earlier. (4)You shall test the automatic operations of hydrant system every month and set the requisite pressure. (5) You shall check the automatic working of the pumps once in a week and ensure that they are in working order. You shall check C.T. valves gland packing once in every two months and replace packing whenever necessary without any extra charge.

(B) Hydrant System: (once in two months) 1. Pumps: Greasing of the bearings, changing of packing ropes and adjustment of glands. 2. Foot valves: Regular Cleaning of deposits on the flap, changing of rusted nut bolts, application of rubber gaskets, leakage arresting etc. 3. Sluice valves: Regular cleaning of deposits/scales on the, wedges, flaps, gates, changing of packing rope, changing of gasket, changing of rusted nut bolts, greasing and leakage arresting. 4. Non-return valves: Regular cleaning of deposits/ scales on the wedges, inside flaps etc. changing of rubber gaskets, and leakage arresting 5. Hydrant valves: Brasso polishing, regular replacement of the Packing rope of spindle, rubber washer gasket etc. greasing and leakage arresting. 6. Hose reel: Hose reel, Hose reel mozzle and stop valve cleaning, polishing, leakage arresting of nozzles and valves. Application of chalk powder to the rubber hose reel and rewinding of chalk powder to the rubber hose reel and rewinding of the hose reel, changing faces. 7. Air release Valve: Cleaning, greasing of spring, adjustment of spring tension etc. 8. Priming tank: Cleaning of priming tanks, 9. Pressure switches: Testing of pressure switches. 10. Control Panel: Testing of control panel for pumps. (C). Diseal Engine- SCOPE OF WORK: Monthly inspection.

1. Adjustment/tightening of nut and bolts of the engine.

2. Checking of fuel, electrical, cooling and lubrication system of the diesel engine.

3. Checking and cleaning of oil bath filter, lubrication oil filter, fuel filter etc.

4. Changing of lubrication oil (as per maintenance manual) of the engine.

5. Adjustment of valve clearance etc. as and when required

6. Checking of batteries for charged condition.

7. Cleaning of fuel tank (once in 3 months).

8. Rectification of defects noticed during inspection.

9. Annual over-hauling.

10. Cleaning and testing of control panel for all functions.

( D ) Fire Extinguishers: (Monthly maintenance )

1. Carry out the routine inspection.

2. Polish the brass parts with basso. Polish the painted portion with littlcolorless wax polish.

3. Free the nozzle for any deposits

4. Free the holes in cap of any solidified polish.

5. See that the hook and pin attached to wall is firm

6. Check that plunger is in fully extended position is clean.

Six Monthly Maintenance:

1. Remove the cap, examine the washer for softness and replace if it has become hard.

2. Examine vent holes in caps, nozzle, and snifter valve (where fitted) and ensure that they are perfectly clean. Check the plunger is neither too loose nor too light.

3. Remove the contents in clean buckets, and examine inside of the cylinder for any corrosion or damage.

4. If sedimentation has taken place, stir the contents in the buckets with a stick till the solution is clear. If the turbid persists discard it. Dissolve fresh charge in clean warm water and refill the cylinder up to refilling point.

5. Examine the sealed acid bottle. If cracked, replace with new one.

6. Examine the plunger for free movement and slightly grease it.

7. Carry out all the items of monthly maintenance.

Slightly grease the threads and tighten the cap as tight as possible. Replace the protection caps of nozzle and plunger Water type (Gas Cartridge Pressure) Extinguishers: Monthly Maintenance: Same as above Six Monthly Maintenance:

1. Withdraw the gas cartridge. Ensure sealing disc is intact. Check the piercing mechanism. Weight the cartridge. If the weight loss is more than 10% of the weight stamped on the body of the cat ridge, actuate the extinguisher for demonstration. Use fully charged cartridge while refilling.

2. Check the cap vent holes and nozzle for clogging. Throw away the water and replace by fresh clean water. Put fully charged cartridge and screw on cap tightly before installing.

3. Check the operating mechanism and discharge valve for free movement.

Carbon Dioxide Extinguishers: Monthly Maintenance:

1. Carry out Inspection routine.

2. Clean the extinguisher body, and examine for any corrosion or mechanical damage.

3. Examine that safety clip is in position.

Six Monthly Maintenance: 1. Weigh the extinguisher. Compare the weight with the weight of fully

charged extinguishers, which is marked on the body. If the loss is more than 10% of the contents, send the extinguishers for recharging.

2. Carry out the monthly maintenance.

(E) FIRE ALARM SYSTEM: Scope of Work: 4 quarterly mandatory inspections per year. The work to be carried out in each inspection:-

(a) Cleaning and testing of each and every smoke detector.

(b) Testing of Manual call points.

(c) Testing of Main Control panel for all the functions such as fault and fire and all the hooters along with testing of all the functions of fire and fault in various floors.

(d) Checking of batteries for charged condition.

(e) Checking of all response indicators.

(f) Testing of public address system.

(g) Rectification of defects noticed during inspection and

D.11 HOSPITALITY SERVICE:

Provision of experienced head cook, assistant cook & helper as per the man power requirement sheet. The complete food menu details and scope of guest house services are specified in the Annexures-D & Annexure- E respectively.

▪ The Rate of the food items will be decided mutually between the Bank and contractor considering the rates approved by the Bank’s in other offices.

▪ No additional cost will be paid by the Bank for detergents, cleaning & pressing of bedsheets, pillow covers and towels of guest house flats. The caretaker should ensure all these items to be cleaned properly/ stain free twice in week and at the change in occupancy.

▪ The caretaker should ensure that recharge of all Guest house Tata sky/DTH setup box to be done before expiry in consultation with the Bank’s official and charges shall be reimbursed by the Bank. (Please refer Clause E.1)

D.12. COMPLAINT/ GRIEVANCE REDRESSAL SYSTEM:

number with a status ‘Open’ should be assigned to the same. The log should contain all the information such as the Date, Time, Name of Complainant, Nature of Complaint/ Service required etc. The intimation of the Complaints/ Grievances received should be notified to the respective category of the Service provider along with a notification to the respective In-charge of the SBI and the Complainant. Similarly, once the Complaint/ Grievance is resolved, it should be notified to the respective In-charge of the SBI and the Complainant and the respective log number should be assigned a status as ‘Closed’. The cost of hardware, software or any IT infrastructure etc. to be borne by the Contractor. Only liability on the part of the Bank being provision of electricity, minimum space where equipment can be kept.

▪ The contractor has to provide bio-matric attendant system at each locations at his own cost to make proper record of man power deployed as per the Banks requirement. The contractor should submit the print out of the attendance for the each month along with the bill raised by the them to the Bank for the monthly facility management services charges.

Clause E.1: Terms and Conditions for Supply of New Materials for

plumbing, carpentry, electrical, firefighting, Air-conditioners and Water purifiers maintenance.

• The Bank shall not bear the cost of materials required for the housekeeping services, pest control at any of its establishments and the cost of all such materials required for housekeeping, pest control or for any other items of work specific mentioned in our tender etc. shall be borne by the contractor within the quoted rate.

• All the materials of approved specifications / brands / manufacture and equipment of all description shall be provided by the contractor in consultation with the Bank’s/SBIIMS’s supervising Officers in as much quantity and numbers as required and as frequently as required to complete the work within specified time on day to day basis.

• Ready stock of at least 25% of the monthly consumption of all the materials shall always be maintained at each site by the contractor. However, payment will be made based on the use and submission of bill. No payment or secured advance will be made against reserved items.

• For replacement of old items with new for Electrical, Air conditioning, water purifier, Cable TV/DTH recharge, Sanitary & Plumbing, Hardware fitting related to wood work, Steel work will be reimbursement on the basis of actual competitive rate of the items/materials plus 5% handling charges on submission of invoice by the contractor.

• If there is already rate list approved by the Bank, then the contractor has to supply the material at the same approved rate and bill will be reimbursement by the Bank. No separate handling Charges will be paid. While approving rates, handling charges will be taken into consideration.

• Prior approval of rates and specification must be taken from the Bank’s /SBIIMS’s supervising Officers for any major work related to repairing, replacement, renovation, interior, painting, re-wiring, supply of new items/fittings/fixture of value exceeding Rs. 10,000.00 (Ten thousand Only) at one Instance.

**Note :

(i) Total Consolidated monthly amount per manpower should be mentioned by the bidder for the purpose of reference only. Guidelines for calculation are given in Table-B, below. Strict adherence to the same is mandatory.

(ii) Payments shall be made by the SBIIMS/SBI as per the terms and conditions of the Tender Documents.

(iii) Prices shall be valid for the entire period of the contract of 3 years with application of Price Variation clause, which is based on increase/ decrease in minimum wages of workers announced by state/central govt.

(iv) The services are to be provided for the entire month, including weekly offs and conforming to the labour laws prevailing in the state.

(v) The quoted consolidated monthly amount shall be inclusive of all charges including contribution towards ESIC, PF, Gratuity, Bonus, Substitutes/ Relievers, Absenteeism etc. It shall also include cost of training, refresher periodic trainings and uniform, Service charge of company etc. Please refer Table – B.

(vi) The prices in the Price Schedule shall be exclusive of any service tax, education cess, secondary and higher education cess or any other applicable taxes as may be levied by the Government from time-to-time and the same shall be charged in addition to the applicable rate, at actual, as applicable. The SBIIMS/SBI will reimburse the same only after submission of valid proofs.

Brief Description of Work [Conforming to Annexure: A under the head of “Scope of Works” of Part-II Tender]

A. Sanitary & Plumbing maintenance work: (7 working days in a week daily 7.00 am to 03.00 pm & 3.00 pm to 11.00 pm as defined in scope of work in Part -II):

Providing and supplying one experienced and qualified plumber for the

residential Flats to attend routine, preventive, breakdown plumbing

complaints & maintaining the installations in serviceable, clean and hygienic

conditions for proper habitation of Bank’s properties including cleaning of

overhead and underground water tanks on quarterly basis. The rate shall include

the cost of washers of bib cock, Teflon tape and all the tools & plants etc.., as

required at site including the necessary conveyance charges required to attend the

complaints received from the occupants of the Bank’s flat etc. All complete as

required at site as directed by the Bank’s engineer-in-charge.

▪ No additional payment shall be made by the Bank towards cost of the materials, equipment, labours etc towards cleaning of flats, water tanks, common area etc.

B. Carpentary maintenance work :

( 7 working days in a week daily 9.00 am 6.00 pm as defined in detailed scope of

work in Part -II)

▪ Providing and supplying one experienced carpenter for residential Flats to

attend day to day carpentary complaints and maintaining the installations in

serviceable, clean and hygienic conditions for proper habitation of Bank’s

properties. The rate shall include the cost of nails & screws and tools & plants

etc.., all complete as required at site including necessary conveyance charges

required to attend the complaints received from the occupants of the

Bank’s flat etc.., all complete as required at site as directed by the Bank’s

Engineer.

C. H o u s e k e e p i n g / cleaning work : The staff must preferably lady mate servant for cleaning and maintenance of flats/common areas etc. ( 7 working days in a week daily from 8.00 am to 04.00 pm as defined in detailed scope of work in Part –II) for carrying following works.

▪ The Housekeeping, garbage management & garden maintenance should be carried out by deploying adequate number of suitably trained, uniformed personnel with suitable equipment, cleaning & washing solution, detergents and consumables etc. Housekeeping jobs shall include Cleaning of rooms, corridors, stores, toilets, staircases, furniture, glass panes, cob webs; external facet with suitable Eco-Friendly cleaning materials, suitable mechanically and electrically operated equipment’s /mechanized dry and wet scrubbers/ vacuum cleaners and specified manpower, on all days. Only liability on the part of the Bank being provision of electricity, water, access and minimum storage space where material/equipment can be stored. The cleaning maintenance work should be carried out as per the enclosed scope & schedule of work (Annexure-A).

▪ No separate payment shall be made by the Bank towards cost of the materials, equipment, labours etc.

D. Electrical maintenance work: (7 working days in a week daily 7.00 am to 03.00 pm , 3.00 pm to 11.00pm & 11.00 pm to 7.00 pm)

▪ Providing and supplying one experienced licensed Electrician/ITI holder to

attend day to day electrical complaints and maintaining the installations in

serviceable, clean and hygienic conditions for proper upkeep of Bank’s

properties. The rate shall include the cost of tools & plants etc.., all complete as

required at site including necessary conveyance charges required to attend the

complaints received from the occupants of the colony etc.., all complete as

required at site as directed by the Bank’s Engineer-in-Charge.

• Materials / fittings/ fixtures/repair of home appliances/repair of DG set shall be

arranged by the contractor and paid by the Bank at prevailing market Rates or any

approved rates of the Bank. The contractor has to take necessary approval of

rates, make and model before installation from the banks Official/Engineer.

E. Pest Control Services :

▪ Providing & carrying out the works of Pest Management for cockroaches, silver fish, ants, house flies etc. inside the flat and common area, parking, terraces, ground floor including drains, chamber, ducts etc.

▪ Details of frequency of pest control work is described in the enclosed scope of the work (Annexure-A).

▪ No separate payment shall be made by the Bank towards cost of the eco-friendly chemicals/materials, equipment, labours etc.

F. Lift Attendant :

(7 working days in a week daily 7.00 am to 03.00 pm & 3.00 pm to 11.00 pm as

defined in scope of work in Part -II) Provision of one trained liftman for each lift for operation of the lift.

▪ Although the lift and other special installations will be under AMC of OME, they are required to manage them such as register of complaints, follow up with the OEM to make it operational.

▪ Switch off the stand by lift power supply during off-peak Hours to save Energy.

G. Maintenance of Fire-fighting system:

(7 working days in a week daily 9.00 am to 06.00 pm as defined in scope of work in Part -II)

▪ The maintenance of fire –fighting system including fire pumps, jockey pumps, hose reel, all type of valves, pressure switches, DG set, hydrant & sprinkler system, panels, starters, fire extinguishers, fire alarm system, cleaning of priming tank, checking of risers and testing of all system.

H. Air –conditioners (split/window) Maintenance and Servicing:

(7 working days in a week daily 9.00 am to 06.00 pm as defined in scope of work in Part -II)

▪ The contractor shall carry out regular servicing of the air conditioners and water cooler specified in the Annexures G. The technician should attend to the complaints of defects or breakdown in respect of the air conditioners. In the case of major repairing work for which the A.C needs to be taken to the workshop, In such cases standby A.C units has to be provided by the contractors.

Brief Description of Work

J. Hospitality Service:

(7 working days in a week round the clock as defined in scope of work in Part -II)

▪ Provision of experienced head cook, assistant cook & helper as specified in Annexure-B. The complete food menu details and scope of guest house services are specified in the annexures D & annexures E respectively.

▪ The Rate of the food items will be decided mutually between the Bank and contractor considering the rates approved by the Bank’s in other offices.

▪ No additional cost will be paid by the Bank for detergents, cleaning & pressing of bedsheets, pillow covers and towels of guest house flats. The caretaker should ensure cleaning of all these items to be cleaned properly/ stain free twice in week and at the change in occupancy.

▪ The caretaker should ensure that recharge of all Guest house Tata sky/DTH setup box to be done before expiry in consultation with the Bank’s official and charges shall be reimbursed by the Bank.

K. IT Based Complaint/ Grievance Redressal System:

(7 working days in a week round the clock as defined in scope of work in Part -II)

▪ The tenderer should Supply, commission, operate and maintain a Complaint/ Grievance Redressal System based on IT platform, wherein all the Complaints/ Grievance should be logged centrally and a unique log number with a status ‘Open’ should be assigned to the same. The log should contain all the information such as the Date, Time, Name of Complainant, Nature of Complaint/ Service required etc. The intimation of the Complaints/ Grievances received should be notified to the respective category of the Service provider along with a notification to the respective In-charge of the SBI and the Complainant. Similarly, once the Complaint/ Grievance is resolved, it should be notified to the respective In-charge of the SBI and the Complainant and the respective log number should be assigned a status as ‘Closed’. The cost of hardware, software or any IT infrastructure etc. to be borne by the Contractor. Only liability on the part of the Bank being provision of electricity, minimum space where equipment can be kept.
