CharliewelcomednewLCmemberBillPawelskiandnewOsherstaffmemberBarbaraApostle.Hethenofferedhisap-preciationandthankstoallCouncilmembersfortheir100%participationintheOsherAnnualFundcampaign.Henot-edthatthissurelymadeabigdifferenceinthesuccessofthecampaign.CharliealsoextendedhisthankstoDonMiller,whoagreedatthelastmeetingtobecomethechairoftheCurriculumteam.TheminutesoftheMarch2017councilmeetingwereapprovedasemailed.Director’sReport:
• Peggyreportedthefollowingmembershipfigures,asreportedtotheOsherFoundation(July1–June30):

o 2016-17:952,whichrepresentsa24%increaseoverlastyear.
o Asof9-5-17,wehave1020members
• Osherfinancesareintheblack,endingtheyearwithasurplus.Thissurpluscanbeattributedtothethirdperma-nentstaffpositionthathasnotbeenfilled,butwasincorporatedinthebudget.
• TheOsherworkteamsaredoingwell,withreportscominglaterinthismeeting.PeggyreiteratedCharlie’sthankstoDonfortakingontheCurriculumteam.ShealsoaskedthattheCouncilmembersreviewtherosterandensurethatinformationiscorrectforthemandfortheirteams/interestgroups.
• Peggynotedthattheinterestgroups,particularlythenewones,arealldoingwell.Mostwillhavetablesatthemix-ernextweek.OfparticularnoteistheTravelGroup,whichhasselecteddomesticandinternationaltripsfor2018andinto2019,aswellasadhocdaytripsandregionalovernightexcursions.(SeeattachedreportprovidedbyDonMiller.)
• WelaunchedthenewonlineregistrationsoftwareonAugust15,withaseriesofsixtrainingsessionsledbyDanielHocutt(whohasbeenindispensibleinthiseffort).Weexpectedandhadafewbumpsintheroad,butwedidnotcrashthesystem.Wehaveworkedhardtoensurethateventhemostfrustratedmemberswereabletosetuptheirprofiles,login,andregisterforclasses.ForPeggy,thenewsystemrepresentssignificantlymorework,asinfor-mationforeachcourseofferedeachsemestermustbeenteredintothesystem.ForDeb,theworkmaydecreaseovertime,butrightnowsheisatleastasbusyasbeforeinassistingmemberswhoneedhelpgettingintothesys-temandinenteringallofthepaperregistrationsthathavestillcomein.Wedon’thaveanactualcountofthenumberofpaperregistrations,butcanestimatethatamajorityofourmembersareusingthenewsystem.Justaswewillalwayshaveprintedcatalogs,weknowwewillalwayshavehand-writtenregistrations.
• Fallcourseregistrationsaregoingwell.Wecurrentlyhave23courseswithwaitlists.
• Springcourseproposalsareduemid-September.

• CharlienotedthatGeorgePangburn’sresearchonclassattendancewassentoutviaemailonJune29totheOshermembership.Ruthrecommendedthatareminderaboutclassattendancebesentasthesemesterbegins,orper-hapswecouldincorporatethatreminderinourcourseconfirmationletters.TheOsherstaffwilllookintoaddingthisreminderintheconfirmationletter.
• CharliereportedthattheMarch10,2017additionstoourStrategicPlanwereemailedtotheOshermembershiponJune14,2017.Hehighlightedworktodateoneachinitiative(pleaseseetheattachedStrategicPlanfile).
• CharliethencitedDeanJamelleWilson’srequestatourlastmeetingforaproposalfromtheLeadershipCouncilonOsher’smembershipgrowthpotential.Henotedthreecomponentsthatwouldbeappropriateforthisproposal:ac-tualnumbersformembershipinthepastfewyears,arangewemightrecommendfortotalmembership(factoringinlogisticssuchasparking,classrooms,numberofclasses),financialopportunitiesforfunding(forexample,secondtier$1millionOsherendowment),andstaffing.Discussionfollowedoneachofthethreecomponents.Thecon-sensuswasthattheCouncilwasnotreadytoputforthaproposal.Additionalresearchanddiscussionareneeded.CharlieandPeggywilladdressnextsteps,whichlikelywillincludeasmallcommitteetolookattheseissuesmoreclosely,toincorporatetheseinto2018StrategicPlanamendments,andtocreateawhitepaperthatmeetsCoun-cil’sapprovalforpresentationtotheDean.CouncilmembersagreedthattheOsherInstituteshouldbeproactiveinaddressingmembershipgrowthandpotentiallimits.
• CharlierecalledasessiononvolunteersattheNationalOsherConferenceandofferedtwosuggestions:creatingarecognitionprogramforvolunteersandusingsoftwarelikeSign-UpGeniustohelprecruitandusevolunteerseasily.AmyEdwardsofferedinsightsonthesoftware,basedonherexperiencewithit.Peggy,Charlie,andAmywilltakeacloserlooktoseeifitmightbeappropriateforouruse.
• Charliespokeaboutanothernationalconferencekeynoter:Dr.BillThomasandnotedhisupcoming“ChangingAg-ingTour.”BarbaraApostlehasmadecontactandwillcontinuetopursuethisopportunitytobringthetourtotheURcampusaspartoftheRegirerGrant.(LinktoDr.Thomas:https://m.youtube.com/watch?v=ntc5dTifKzk)

• Amyoutlinedtheworktodateonourannualfundcampaign,notingthe778mailedappeallettersthatwentoutinmid-August,followedbyanemailinlateAugust.ThankstotheLeadershipCouncil’s100%participationandprevi-ousunanticipatedgifts,wewentintothefullcampaignwithabout1/3ofthefundsalreadyinhand.AsofSept5,thefundstandsat$8,630,with68gifts.Aftertheletterandemail,wehavereachedmorethan80%ofourgoalof$10,000.

Theme1—KeepOurCoreMembershipParticipatingGenerallyspeaking,thecoremembershipismadeupofindividualswhohavebeenmembersfortwoyearsorlonger.TheyconstitutethegreatmajorityofclassregistrationsatOsheratURandare,forthemostpart,thesourceofvolunteers,leadershipandprogramstability.Accordingly,akeypartofthestrategicplanisfocusedoninitiativestokeepthosecoremembersasavibrantpartoftheprogram.
Initiativesfor20151.Maintain/enhancethefocusonqualityofcoursecontent.AsnotedinSection3.B.,contentofcoursesmatters.WhilemanypeoplejoinOsheratURforreasonsotherthancourses—interestgroups,libraryaccess,URdiscounts,etc.—mostjointoattendcourses.Inthemembershipsurvey,80%ofrespondentsindicatedthatOshercourseswereveryimportanttotheirsatisfactionwithOsheratUR,thehighestcomponentofsatisfactionrecordedinthesurvey.Toassurecontinuedsatisfaction,weshouldcontinuetoevaluateinstructoreffectivenessthroughreviewofcourseevaluationforms.Considerrevisingtheformstogetmoreinputfrommembersonprogramdesiresandchoices.Someoptionsmightincludemakingtheformsanonymous,includingmoreopen-endedquestionstosolicitcomments,anddeletingthequestionsaboutinterestinbeingclassassistant/leader.Reviewmembershipsurvey(inparticular,responsestoQuestions24[typesofclassestobeofferedinthefuture],32[howtheInstitutemightenhancethemembershipexperience],and33[whatquestionsarewenotasking])toidentifynewcourseopportunitiesorotherenhancementsintheneartermthatreflectmemberinterestsandpreferences.Leads:OsherStaff,CurriculumTeamInitiativesfor2016andbeyond1.Seekopportunitiestoencouragegreaterinvolvementinvolunteeractivities.Inthemembershipsurvey,60%ofthosewhorespondedtoQuestion30indicatedthattheyhadneverservedinavolunteercapacityatOsheratUR.Theseincludedleadingorfacilitatingaclass,servingasclassassistant,memberoftheLeadershipCouncil,servingonasupportteam,andcontributingtoanOshereventoractivity.Asanorganizationthatdependsonvolunteersforthestrengthofitsprogramandofferings,weneedtoreachouttomembersinthisregard.Aspartoftheirroutinemeetings,thevarioussupportteamsshouldconsiderwaystobroadenthevolunteerbase.Thesemightinclude:1)havingClassAssistantsmakeapitchattheendofeveryclasstoconsiderservingasavolunteerinoneormoreofoursupportteamsoratupcomingOsherevents;2)considergivingmembershipstoinstructors;or3)rewardingvolunteerinstructorswithanOsherbrandedgolf-typeshirt.

thefirsttime.Thesessionswerewellattended,butothermemberswereabletocompletetheirprofileandregisterforclassesfromhome.Theoverallrolloutwassuccessful,withthefewissuesthatcameupbeingresolvedasquicklyandseamlesslyaspossible.OshermemberscontinuetobehelpedbyOsherstaffasneededinuseofthenewonlineregistrationsystem.

OsheratURneedstoattractandkeepnewmembersintheprogram.Newmembersprovidenewlifeexperiences,insightsandintereststokeeptheprogramstrong.Moreover,ascoremembersmovefromtheareaorleavetheprogramforotherreasons,newmembershelpmaintainasteadystateofmembership.However,roughlyhalfofnewmembersaremembersforonlyoneyearandthereisasubsequentchurninginmembership.WhilethatfigureisnotextraordinarycomparedtootherOsherprograms,itdoesreflectaninefficiencythatwewouldliketoreduce.Thefollowinginitiativesareaimedataddressingthatinefficiency.
Initiativesfor20151.IncreaseCommunicationwithNewMembersOnewaytohelpassurethatnewOshermembersremainOshermembersistoassurethattheyfeelvaluedand“plugged-in.”Possibleactivitiestosupportthatmightinclude:

Theme4—IncreaseInclusionTheanalysisofregistrationdatashowedthatmostOshermembersliveinanareathatiswestofI-95,southofI-295,eastofRoute288andnorthofHullStreet,withaheavierconcentrationintheZipCodesclosesttotheURcampus.Inaddition,themembershipsurveydeterminedthat92%ofrespondentsarewhiteorCaucasian.Theworkinggroupbelievesthatexpandingourgeographic,ethnicandsocioeconomicreachcouldenhancetheprogrambybringingdifferentviewpointsandlifeexperiencestotheOshermembership.
Initiativesfor20151. ExpandedOutreachintheGreaterRichmondAreaDevelopandbeginimplementationofaplanforoutreachtoenhancethemakeupofourmembershipbasethroughOsherpresentationsto55+communities,professionalandsocialorganizations,churches,andcommunitycenters.Itshouldfocusonareasnotcurrentlyservedbyotherlifelonglearningcentersandshouldincludemission-relatedclassesorprogramsthatOsher-URcouldstartthatwouldincreaseourinclusion.Leads:OsherStaff,MarketingTeam,MembershipTeam,andSPCSLeadershipInitiativesfor2016andbeyond1. 5.SummaryTheOsherInstitute’sstrategicplanningprocesshasprovidedagreatdealofdata,ideas,andnextsteps.TheengagementofmembersinthisprocesshasbeengratifyingandsignifiesthattheycareverymuchaboutthisInstituteanditslong-termsustainabilityandwellbeing.Theplanningteamrealizedearlyoninthisprocessthattheworkcouldnotendwithawrittenreport.Ratherthanfilingthisreport,theOsherInstituteLeadershipCouncilandtheInstitute’smembersmustmoveforwardtoengageinnewandexcitinginitiatives,toaddressthoseissuesthatcauseconcernwithappropriateactions,andtocontinuetoreviewandmonitorprogressoftheseinitiativesandactions.Whilethisreportidentifiesactionstepsforthisyearandbeyond,theLeadershipCouncilwillreviewtheworkinearnestatregularintervals.Arewemeasuringup?Aregoalsbeingmet?Arewedoingtherightthingsandarewedoingthemwell?ThereisaneedforcontinuousreviewandfortheabilitytomodifytheplanastheInstitutemovesforward.

ToensurethattheOsherInstitutecontinuestothrive,theLeadershipCouncilwillalsoconsiderregularreviewofmembershipandclassenrollmentdata,aswellasamembershipsurveyeverytwoyears.Itmayalsoconsideraspecialcouncilmeetingeachyeartoreviewtheplanninginitiativesandadjustasneeded.AlsocontemplatedwasanannualmembershipmeetingforallOsherInstitutemembers.Muchlikethefocusgroupforthestrategicplanningeffort,thismeetingcouldprovideanopportunityforinputandfeedbackonprogrammingandcouldalsobeaforumfornewcreativeideasfortheInstitutetoconsider.WhileOsheratURisindeedathrivingcommunityofengagedandinterestedmembers,thisstrategicplanningprocessservesasavehicletoensurethattheInstitutecansustainitscurrentgoodworkandpossiblygrowtoofferevengreateropportunitiesforitsmembersinthefuture.
