BLOCK RECONCILIATION

The Block Reconciliation screen allows users to compare MARSHA and OPERA Block Inventory

1. Log into OPERA PMS

2. Miscellaneous

3. Inventory Reconciliation

4. Block Reconciliation

The Start Date defaults to the property’s current business date. Entering previous dates or dates past KDATE is not allowed. Start Date will apply to business blocks/mini hotels arriving on the date entered or that are staying over that date (when there are rooms authorized over that date). A maximum of 7 days of inventory is returned from MARSHA.

The information received will be displayed and divided into two grid sections. The top section will display the general block information while the bottom section will display room authorization details. All blocks within the date range will be displayed, not only discrepant blocks.

The room authorization details displayed in the bottom section will correspond to the block that is highlighted in the top section. The system will only return the authorization details from MARSHA for the Start Date requested plus 5 days (a total of 6 days). OPERA will return the authorizations details for all days that have rooms on the grid.

The user may highlight a block in the top section and double click to open the Business Block Header to view/edit any general block information.

Users have the ability to download blocks from MARSHA to OPERA via the Download button.

Users have the ability to upload blocks from OPERA to MARSHA via the Upload button.

After selecting Upload/Download, the blocks will remain on the screen. To refresh the screen, users will need to select the Request button again.

The Reservation Reconciliation screen allows users to compare reservations in MARSHA and OPERA and displays missing reservations as well as data discrepancies.

1. Log into OPERA PMS

2. Miscellaneous

3. Inventory Reconciliation

4. Reservation Reconciliation

The Start Date applies to reservations arriving on the date entered or that are staying over that date. The default is the property’s current business date. Previous business dates as well as dates past KDATE are not allowed.

If Compare Rate Code is selected, only rate codes will be compared for discrepancies, by default this will be unchecked.

If Compare Name is selected, only the guest name will be compared for discrepancies, by default this will be unchecked.

If no filters (Compare Rate Code and Compare Name) are selected, OPERA will compare the reservation information from MARSHA with those reservations in OPERA to determine discrepancies. The following data is compared for discrepancies, only discrepancies will be displayed:

• Number of Nights

• Arrival Date

• Room Pool/Room Class

• Guest Name

• Reservations Status

• Reservation in MARSHA only

• Reservation in OPERA only

• Reservation Cancelled in MARSHA but active in OPERA

• Reservation Cancelled in OPERA but active in MARSHA

Column Descriptions:

• OPERA includes share reservations in the comparison and places an * next to the name as an indicator that the reservation is a share. In the case of the shares with staggered dates, OPERA compares all dates of the individual share reservations.

• MARSHA returns reservations that have a departure date that is equal to the stay date requested.

• Users may view the details of the highlighted reservations by double clicking on the row.

2.2Once reservation information is populated in the grid, it is the responsibility of the user to determine which system is most accurate and make the necessary changes. The available options include:

• Upload – selecting this button will create the reservation in MARSHA

• Download – selecting this button will download the reservation from OPERA to MARSHA

• CXL MARSHA – selecting this button will cancel the reservation in MARSHA

• CXL OPERA – selecting this button will cancel the reservation in OPERA

• Print – selecting this button will print the discrepant reservations in a report

• Edit – selecting this button will display the reservation screen where users may then make the necessary changes. Upon closing the reservation, the user will be taken back to the Reservation Reconciliation screen.

• Close – selecting this button will close the screen and return the user to the Reservation Reconciliation screen.

Users may only select one reservation at a time to perform an action.

After an action has been performed the reservation will remain on the screen and the user will need to select the Request button again to refresh the screen.

If an action is unsuccessful a message will be displayed to the user. The options such as Re-check MARSHA and Save Local will not be available from the Reservation Reconciliation screen, these changes will need to be made via the Reservation screen or within MARSHA.

EXAMPLES

2.2As you can see above via the Availability Comparison screen, inventory is out of balance starting on 18-DEC. MARSHA has 18 rooms reserved (sold) but OPERA only has 9. To view the reservations that are causing this out of balance access the Reservation Reconciliation screen with a stay date filter of 18-DEC

2.2The reservations listed on the MARSHA details side are the ones that do NOT exist in OPERA. Highlight each reservation one at a time and click the Download button to send them down to OPERA.

Inventory Reconciliation Tool> OPERA PMS AND OXIOPERA PMS

11/14

2.2There is also an out of balance for 19-DEC.

2.2When looking at the Reservation Reconciliation screen for 19-DEC please note that the first 4 reservations are departing on 19-DEC. So while they appear on the MARSHA details side and not the OPERA Details side these 4 reservations are NOT part of the inventory imbalance. Highlighting any of those 4 and clicking Download will do nothing to the imbalance. The reservations to process are the ones that have a departure date past the stay date filter date.

Inventory Reconciliation Tool> OPERA PMS AND OXIOPERA PMS

12/14

2.2In this example you can see on the OPERA Details side for 17-DEC there is a room reserved that is not in MARSHA.

2.2From the Reservation Reconciliation screen, you can see the reservation causing this imbalance. To fix it, highlight the reservation and click Upload. This will send the reservation up to MARSHA.

Inventory Reconciliation Tool> OPERA PMS AND OXIOPERA PMS

13/14

2.2If during the Upload process, there is something on the reservation causing the failure up to MARSHA a message will be displayed. This specific message is letting you know there is something on the profile causing the failure. In this instance, you would click OK to acknowledge the message and then click Edit to access the reservation screen in OPERA. Hint: the information after the RTR>INT-90002,283/ is the data on a profile that MARSHA is rejecting, so we are looking for 1234 in some field on one of the profiles attached to this reservation

Inventory Reconciliation Tool> OPERA PMS AND OXIOPERA PMS

14/14

2.2All looks good there, no 1234 in any field. Now check the Travel Agent Profile that is also attached to the reservation.

2.2In the Corp. ID/IATA field is the 1234. IATA numbers attached to profiles in OPERA are validated in MARSHA, so local Travel Agent numbers entered here will cause the reservation to fail up to MARSHA. To fix it, move the invalid IATA number from the Travel Agent’s Corp. ID/IATA field to the Keyword field and Upload again via the Reservation Reconciliation screen.
