OMBEA User GuideContent is adapted from information available on the OMBEA web site http://www.ombea.com/gb and user guide http://www.ombea.com/guide/

The OMBEA response system integrates with Microsoft® PowerPoint® and allows students to participate in mid-module evaluation within a lectures/seminar by submitting responses to interactive questions using their own device (smartphone, tablet, laptop). OMBEA then translates the responses into results that can be displayed in real-time or omitted but saved for later analysis (or both).

OMBEA Arrangements for mid-module evaluation The University has a full site licence for OMBEA but staff must request to be

added to the licence by completing the form at http://forms.ncl.ac.uk/view.php?id=10644

The OMBEA software is installed in all centrally supported teaching spaces and can be installed in School owned spaces on request.

Staff who do not yet have the software on their own computer to enable the creation of interactive slides should ask for it to be installed by their Computing Officer or download it from the OMBEA website http://www.ombea.com/gb/downloads 

A suggested set of question slides have been created but additional questions can be added.

Students can easily submit responses using laptops, tablets and smartphones.

Results can be displayed in real-time or omitted but saved for later analysis.

Please ensure to share any feedback or outcomes with students in a timely and appropriate manner.

Overview of process for using OMBEA for mid-module evaluationBefore your session with students1. If you do not already have an OMBEA user id and password - register to be added

to the OMBEA licence by completing the form at http://forms.ncl.ac.uk/view.php?id=10644

2. Change your password to something memorable and set a Custom Session ID (you will only need to do these things once and they will be saved)

3. Download and save the suggested question slides available at https://www.ncl.ac.uk/ltds/student/module/methods/Mid-ModuleToolkitSlides.ors

4. Open OMBEA (not PowerPoint)

5. Open the presentation file (this will be a .ors file)

6. Add your Custom Session ID to the introductory slide that

7. Decide if you would like to display the graphs during the live session – if you do not want them to be displayed to the audience edit the slides to remove the graphs

8. Add any additional question slides you wish to include (optional)

9. Save your amended version of the slides – it will save as a .ors file

In the live session1. Open OMBEA (not PowerPoint)

2. Open the presentation file (this will be a .ors file)

3. Login to OMBEA ResponseApp

4. Ask your students to connect to your session by navigating to http://ra.ombea.com and entering your Session ID

5. Run the presentation in slide show mode (with or without graphs visible to the audience) allowing time for students to respond to each question

6. At the end of the session save the presentation to save the results you have collected – you may wish to edit the file name to include the module code to enable identification of the cohort the results refer to if you are going to be surveying multiple groups of students.

After the live session1. Open OMBEA (not PowerPoint)

2. Open the presentation file (this will be a .ors file)

3. Use the Generate Reports option to create Excel or PDF reports showing your results

Changing your password 1. Log in to OMBEA Connect at https://connect.ombea.com using your email

address and the password received from OMBEA

4. Enter your current password and then a new password and confirmation of your new password.

Setting a Custom Session IDYour audience devices communicate with your presentation via an internet connection. To participate in a session audience members must enter a unique code, known as a Session ID, that is randomly generated each time you set up a new voting session. However we recommend that you set a custom Session ID which can be a word or acronym that is more meaningful and therefore easier to use for participants.

To set a custom Session ID

1. Log in to OMBEA Connect at https://connect.ombea.com using your email address and the password received from OMBEA

2. Once logged in select My Account from the menu

3. Alongside Custom Session ID click Change

4. Enter a Custom Session ID and then click OK.

Opening OMBEABefore opening OMBEA ensure that PowerPoint is not already open.

1. Before opening OMBEA ensure that PowerPoint is not already open.

2. To open OMBEA go to the start menu and search for OMBEA Response.

3. This will open Microsoft PowerPoint and OMBEA simultaneously with OMBEA appearing as an additional toolbar within PowerPoint.

4. Open your presentation by going to File and Open and locate the file – remember that it will be a .ors file.

The OMBEA Toolbar

When you open OMBEA, PowerPoint opens and the OMBEA ribbon is added to the other tabbed ribbons. You will use this ribbon to create and run your interactive slides.

Remove the graphs from the slides (optional)The prepared slides are setup to show the results of the multiple choice questions (but not the free text questions) during the presentation. If you would prefer to not show the results of the multiple choice questions during the presentation you can edit the slides to delete the graphs by following the instructions below.

1. Click on the first slide where you wish to remove the graph.

2. Click the Properties icon on the OMBEA toolbar.

3. Choose No Chart from the Chart Type list of options.

4. Repeat this step for all slides where you wish to remove the graph.

Create additional multiple choice question slide(s) 1. On the OMBEA toolbar click the arrow below New and select Multiple Choice.

Select the type of graph that you want to use to display the results of the question.

2. OMBEA will insert a slide into your presentation.

3. Type your question where it states Click to add question.

4. Add up to 10 answer options where it states Click to add answers.

5. With your mouse pointer click outside the answers box somewhere on the slide. After a moment the chart will update to reflect the number of answer options you have given.

6. If you wish to change, add to, or remove any of your answer options, simply edit the text. When you click away from the answers box again your chart will update to reflect your changes.

7. To add another question simply repeat the above steps. OMBEA puts one question on each PowerPoint slide.

Create additional free text question(s)1. On the OMBEA toolbar click the arrow below New and select Free Text.

2. In the Free Text window that appears you will be asked Would you like to show the results?

3. Choose the third option:

a. No, do not show the results. No results will be shown after polling is closed. However as the presenter you will be able to view the results in the reports that can be generated after you have ran the presentation with an audience.

4. OMBEA will add a new question slide to your presentation. Enter your question in the area that reads Click to add question.

5. No chart will be displayed.

Saving your presentationWhen using OMBEA Response simply save your presentation in the normal way by selecting File and Save As. Your presentation will be saved an ‘ORS’ file. If you wish to share your presentation with students we recommend that you also save a PowerPoint (.ppt) version of your presentation.

Running your interactive presentationTo run your interactive presentation with an audience you must have an OMBEA username, this will be your email address and a password which will be different to your usual University password. Your password is provided via email when you are added to the University’s OMBEA licence.

1. Before opening OMBEA ensure that PowerPoint is not already open.

2. To open OMBEA go to the start menu and search for OMBEA Response.

3. You then need to connect to OMBEA ResponseApp which will enable your participants to respond to your questions.

4. On the OMBEA Response ribbon, click the ResponseApp button.

5. Enter your ResponseApp username and password.

6. It is recommended that the first time you do this in a teaching venue you check the Remember Me box so you do not need to retype your username and password it each time you use a teaching PC.

7. Choose the Response, Session and Participant options. a. Response Options – choose https://ra.ombea.com b. Session ID Options – choose either Random or Custom Session

ID depending on whether you have set a custom Session IDc. Participant Reporting Options – to allow students to respond

anonymously (recommended) choose A participant account is not required and uncheck the box asking for first and last name.

8. Click Login.

9. You will see your Custom Session ID in Red.

10. You are now logged in and can ask your participants to connect to your session.

Getting your audience connected

1. Participants can respond using any web-enabled device, such as a smartphone, tablet or laptop.

2. Ask your participants to launch a new internet browser window.

3. In the web address bar they should enter http://ra.ombea.com

4. The ResponseApp page will load and asks for the Session ID. 

5. Participants should enter your Session ID and click Join.

6. Once all participants are connected you can run your interactive presentation.

Running the presentation with your audience7. Run your presentation in slide show mode.

8. Advance through your slides as you normally would.

9. When you reach a question slide, the OMBEA polling box will appear in the top right hand corner to indicate the number of votes collected. The box will be green to indicate that polling is open.

10. Invite your audience to vote using their devices. As they do so, the response counter will rise to indicate the votes coming in.

11. When you are satisfied that you have enough votes, close polling by pressing your normal PowerPoint advance slide button. This will work with either the space bar, right arrow key, down arrow key, or any presentation remote you are using.

12. Your chart will appear to show the results of the polling (if you have chosen to show the results in the session).

13. Keep advancing through your presentation, collecting votes as you reach your interactive slides.

14. When you have finished presenting, remember to save your presentation as this will save the data you have collected. Your presentation will be saved an ‘ORS’ file containing both the slides and the voting data.

Clearing your data so you can reuse your slides1. On the OMBEA Response ribbon, click Clear Results.

2. You have three choices in the dropdown menu, as explained below.

a. Session History: This will clear all voting data from the current OMBEA Response presentation. This option is the most commonly used.

b. All Interactive Slides: This will reset all the charts in your OMBEA Response presentation. The voting data already collected is still there so, for example, if you run a report you will see the questions reported on more than once. This option is useful if you wish to ask your audience the same questions again, and see the two instances of the questions reported on separately.

c. Selected Interactive Slide: This will reset the current chart only in your OMBEA Response presentation. The voting data already collected is still there so, for example, if you run a report you will see the questions reported on more than once. Producing a ReportWhen you save your session after having collected votes from an audience, OMBEA saves the voting data alongside your presentation or question lists. Behind the scenes the voting data is broken down by individual and by question. If you used any enhanced features such as demographic grouping, or competition settings, then these will also be available for reporting purposes.

1. Open the session within which you saved the voting data.

2. On the OMBEA Response Ribbon click Generate Reports.

3. In the Reports Window, select a report style you wish to produce. If you click on the arrow next to each report name you will see a description of the report.

4. By default OMBEA will produce your report in Microsoft Excel. If you wish to produce an Adobe PDF file instead, change this within the dropdown box beneath the list of reports.

5. Click Generate.

6. Give your report a name so that OMBEA can save it for you.

7. OMBEA will save the report and offer to open it for you. Click Yes if you wish to open the report immediately.

8. The reports you generate can be saved and they are no longer linked to the OMBEA system and so you can apply calculations and formatting changes to them without affecting your original voting data.
