HRS Update A new attachment, Work

Extension (WE), is available to attach documents related to the extension of an employee’s VISA, e.g. the 240 day extension receipt notice. Please continue to use the Work Authorization (WK) attachment to attach any other VISA related documents. As a reminder, the XCNA action should

be used to continue the employee and the XCSF actions should be used to change and/or continue the funding for the employee.

Currently, forms that are initiated for next fiscal year are returning the following error: ACCT EXP PRIOR FYR. This error is associated with the need to update the Chart of Accounts (COA). This issue is currently being addressed; until further notice, please refrain from loading.

Due to the guidelines set in The Social Security Act, there is no need to attach social security cards in HRS.

You can now run control date reports in Reporting Tools by home department code AND college.

To prevent the attachment of a paper I-9 when creating any action that would continue the appointment of an employee, you can forward the following link to the employee that will allow them to complete an electronic I-9:

Coming in November: HRS Training Whether you’re pursuing the completion of your HR Contact certification, frequently create actions in HRS, or simply want to know more about HRS in general, a series of training modules have been developed to address your needs. A modular training approach, based on specific HRS actions, will form the basic framework of how each module will be presented. The first set of modules will cover actions that affect Professional employees only. The remaining employee types (Other Academic, Faculty, and Classified) will be scheduled in the upcoming months and in that order. The content of the Professional modules are shown below:

*NOTE: This portion of Module 1 may be attended by those who desire a very general overview of HRS (e.g. Search, Employee Supervision, Reporting Tools, Security Access Requests, Help screens).

You may register for either module by following these steps (additional sessions will be added based on demand): 1. Log in to PAWS. 2. Click on the ‘Employee Resources’ link and then ‘HRM

Training Programs’. 3. After validating your information, click Continue and

then click on the ‘Training Programs’ link. 4. Select ‘HRS – Creating Actions for Professional

Employees (Module 1)’ and/or ‘HRS – Creating Actions for Professional Employees (Module 2)’.

During each module, attendees will receive a reference manual that includes detailed steps associated with the actions covered in that module.
