February 28, 2018 Dear MSBO Conference Exhibitor: This is confirmation that your application for booth rental at the 2018 MSBO Annual State Conference (Wednesday and Thursday, April 18-19, 2018) has been received and we look forward to having you with us in Detroit. Exhibits will be located in Wayne Hall (Hall D) of the Cobo Center located at One Washington Blvd., Detroit, MI 48226. Loading dock entrance is located in the rear of the building at the intersection of Congress and Second Streets. This letter will bring you up to date on preparations for the Conference and provide the forms necessary to help us prepare for this event. BOOTH ASSIGNMENTS. Attached is a layout of the exhibit area and a listing of companies and booth numbers for your reference. It is very important that you distribute flyers, bags and promotional items from your booth and keep your display INSIDE your booth space. You’re not allowed to have equipment in the aisles for safety reasons and consideration of other exhibitors, so make sure that what you bring fits in your area and does not block the view of your neighbor! Please be sure to share this information with all people who will be staffing your booth. COMPANY REPRESENTATIVES. Please complete the attached form and return it to our office by March 28, 2018. Indicate the names of your representatives who will be present at the conference (please try to be accurate and notify our office of any changes). We are requesting emails of all reps so we may send them conference updates. CONTRACT AGREEMENT. Please complete the form and return it to our office by March 28, 2018. Read this carefully and complete ALL parts. Please indicate if you want a draped table, at no additional charge, for your booth setup and what size you would like. Also, indicate if you would like a booth ID sign. Booth payments are due at this time – if you still owe, please make your payment soon. LOADING/UNLOADING. Exhibits will be located in Wayne Hall (Hall D) at Cobo Center. The enclosed map shows the loading docks with access from Second Street - use loading dock door #38. MSBO has hired workers to attend the loading docks for your convenience or you may move your own items in using the loading dock or parking on the roof and taking the elevator down to the second floor and into Wayne Hall. I would encourage you to use the roof parking option for it truly is the easiest way to move in/out if your booth items allow it. Use door #3 from the roof parking which is the entrance closest to Wayne Hall. You can access the roof parking from Congress Street. See attached map. EXHIBIT SET-UP. Exhibit set-ups may begin on Tuesday, April 17, 2018 from 12:00 –5:00 p.m. for all exhibits. After 5:00 p.m. the loading ramps will be closed and the hall locked. Orders for electricity, telecommunications and audit visual services must be submitted to their respective providers, but the forms can be found on the Freeman Web site. Cobo Center has a robust FREE WiFi system throughout the entire building, but if you are in need of a secure or high usage connection, you may want to consider getting a hard wire to ensure an uninterrupted connection. SECURITY. Night security will be provided in Wayne Hall, Cobo Center on Tuesday evening, April 17, 2018 from 5:00 p.m. to 8:00 a.m. on Wednesday, and on Wednesday evening, April 18, 2018 from 5:00 p.m. to 9:00 a.m. on Thursday, April 19th.

EXHIBIT HOURS. The Conference program will list the exhibit hours for Wednesday, April 18, 2018 from 2:15 p.m. to 5:00 p.m. On Thursday, April 19th, exhibits will be open from 11:00 a.m. – 1:00 p.m. Exhibit breakdown may begin after 1:00 p.m. on Thursday – you must be moved out by 6:00 pm.

MEAL TICKETS. Meal tickets for the Wednesday luncheon are available for purchase at a cost of $35. Make this an opportunity to network with conference participants (includes Keynote speaker). Use this link to purchase your Wednesday lunch ticket.

WEDNESDAY NIGHT RECEPTION. MSBO will be hosting the President’s Reception for participants and exhibitors on Wednesday from 5:30 – 7:00 p.m. at the Detroit Marriott at the Renaissance Center. This is an opportunity for you to socialize with customers in a fun and relaxed setting. Use this link to purchase extra drink tickets in advance at a cost of $8 each – you will receive two tickets in your exhibit packet.

THURSDAY LUNCH. On Thursday, April 19th, lunch for MSBO exhibitors and Conference participants will be available in the exhibit hall. There is no cost or ticket needed for this lunch. There will be extra seating so plan to join the attendees for one last contact over lunch.

EARLY BIRDS. Conference participants who register by February 28, 2018, will be eligible for the “Early Bird” drawings. These are the prizes that YOU donate. We will do the drawing prior to the Conference and each company that donates a prize will display their winner(s) in their booth (we will supply you with the winner’s name in your exhibit packet you receive at the conference). You may want to think about how the name(s) will fit into your display so that it is easy to see. As the attendees visit the exhibits they are to look for their name - when they find their name in your booth – you give them your prize. Winners may claim their prizes either Wednesday or Thursday. We hope you will be as generous with your prizes as you have been in the past. To donate a prize, see the attached “MSBO Conference Drawings” form. It must be returned to our office by March 19, 2018 for it to be listed in the Conference program. Thanks!

EXHIBITOR DRAWINGS. Exhibitors who wish to do individual drawings in their booths may continue to do so. You are to draw your winner(s) by 12:00 pm on Thursday. A form and instructions will be in the packet you receive at registration. Winners will claim their prize from you. If you know what your prize will be at this time, list it on the attached “MSBO Conference Drawings” form and we will publicize it for you. Please return it to our office by March 19, 2018.

TIGER TICKETS. MSBO has reserved a block of 350 seats for the Tigers vs. the Orioles game on Tuesday, April 17, 2018 at 6:40 pm. Tickets are $23 for lower baseline box seats – a possible option for entertaining customers. Tickets must be paid in full by Thursday, March 15, 2018. There will be no refunds. Tickets purchased together will be seated together. Use this link to purchase your Tiger Tickets.

COBO CENTER EXHIBIT RULES. Attached is a document from Cobo Center outlining their exhibit rules. Please review and abide by their requests. If you have any questions, please contact Freeman at 313.393.0250.

MSBO MEMBERSHIP LABELS. Address labels/lists of MSBO active members or conference attendees are available for exhibitors to purchase at a cost of $35. If you wish to purchase labels/list for a pre-conference mailing, send your request to me at the MSBO office by e-mail: [email protected]. You will receive a list in your registration packet at the conference. After the conference, we will email you a complete list to include walk-ins.

Candy bowls are fine, but any other items need approval. Attached is a form – please complete and send to Centerplate for approval in advance. The exhibitor’s registration desk will be located near the exhibit hall entrance inside the exhibit hall and will be open around 9:30 a.m. on Wednesday. You may begin to set-up your booth at 8:00 a.m., but please check back around 9:30 to pick up badges and packet. Any purchased tickets will also be in this packet. EXHIBITOR WEB PAGE.
