● Updated the Registration page https://www.mplshockey.com/page/show/375068 ● Updated Player registration to correct a few typos, and added disclaimer language to call

attention to SportsEngine processing fees. ● Polled for Board Member requirements. ● Built a Volunteer Registration and requested all Board Members complete for the

purposes of building a Board of Directors “Flex roster” at USA Hockey - a new requirement for this year.

● Built a Mite Plus Registration. Will wait to go live in October. ● Met w/ Nicole Brodersen regarding MHA boundaries and the status of City of Lakes

hockey. Provided maps to better highlight the school boundary changes. ● Identified 2020-2021 magnet schools that may have potential players living North of

94/394 that would qualify for a school waiver. ● Reviewed the newly updated MN Hockey affiliate agreement (change in boundary

definition). ● Met w/ Mueller to evaluate future recruitment practices in an effort to combat sagging

numbers at beginner levels, which will hurt the association's competitiveness if not corrected soon.

● Created an In-House Metrics Sheet to track enrollment / registration behaviour. ● Updated Mpls Hockey Domain Calendar settings to allow "Make Changes" setting

(optional) when shared with your personal accounts. ● Built a Squirts Pool Selection Registration, and added pool selection reports.

Registrar’s Report We're currently at 77.1% of last year's registrants; a 22.9% drop in enrollment to date (Saturday night). So far the numbers confirm our suspicions - we will see most of our predicted drop in enrollment in our in-house program. Citing my in-house projections (below), we could project a ~5.3% drop in numbers overall (remember that MN Hockey indicated we should expect to see a 20% drop). Be advised that it is too early to tell, but this is encouraging!

That's a 2% increase in enrollment so far. Remember, we don't know about Jr. Gold yet, and there are a few who have requested to drop. Our traveling hockey players either have severe cabin fever, or they just love-love-love our sport. All in all, looking good!

In-House

Total = 176 (355 last year) 109 x Mites (187) 20 x 8U (47) 47 x Mighty Mite / 6U (121) It's too early, but we're just shy of half way to last year's in-house numbers. We're not done with in-house registration, but registration rates are not really sluggish in this group compared to past years (see In-House Projections below).

I put together a chart to help us understand In-House registrations by week (10 years of aggregated data), which informs the numbers / reg. rates above:

We are currently at the end of week 38. Again, aggregating 10 years of data, ~43% of registrants in our In-House program sign up after this date. If this trend continues this year, we will hit ~308 in-house players by the end of the year. That would wind up being a ~14.3% drop for the in-house program.

Meeting Notes During the meeting, an amendment was requested for the Treasurer’s portion of the August report to remove the names of delinquent accounts before posting to the Website. King agreed. The update was made immediately, and the amended document was distributed and reviewed. Kelly, motioned to approve the amended report. Follrath seconded the motion, and the vote passed.

Gambling Report (Ann Malo)

Allowable Expenses (next month) $28,362 - $32,562 A motion was made by Malo, Follrath seconded the motion, and the vote passed.

Lawful expenditures $26,800 - $29,100 A motion was made by Malo, Follrath seconded the motion, and the vote passed. King asked about last month’s Gambling Board report, and Malo indicated that it was a positive report. Detail is below.

Locations Update eTabs has been installed at Mayslack’s. We had a great month of August (26k) month! September is looking pretty good, but taxes are trending up, because we’re hitting our marks. As an indication, the last deposit (for last Thurs - Sat) was over ~$16k. We’ve never had these kinds of profit months! It was suggested that the traditionally non-pull-tab buying patrons are down, which opens up more space for those who traditionally do buy pull-tabs. Sheryl was working as an assistant, but is backing off a lot of hours - need someone who is willing to take more hours and really learn this role in a more official capacity. The Assistant Gambling Manager role needs no license or formal training. Just needs to be able to commit the number of hours required to do the job. At the least, we do need a backup if Ann gets sick at any time. A key can be provided for the room, and duties would include making deposits at the bank, etc.

Treasurer’s Report (Jim King)

Financials

(Key Items as of Sept 21, 2020)

Cash balance ($485k) = Checking ($423k) + Savings ($25k) + Concessions ($37k)

Gambling - $120k

Accounts Receivables (Debtors)

Payment plans have been established to the families with major outstanding balances.

There are 4 major debtors:

1. The first has paid off the debt balance in full! ($2,400)

2. The second has consistently been making payments and is on track to fulfill debts by the

start of next year.

3. The third has been contentious after agreeing to make MHA whole, but appears to be

back on track - to date we have collected $2,320.

4. The fourth has promised to make payments per plan, but has yet to do so.

There are several smaller debts – typically due to credit cards on file either expiring or being

canceled.

The executive committee decided in the spring to not pursue at the time due to Covid crisis and

the related economic downturn. Need to discuss with Hanson, Nelson, Follrath, & Anderson on

how to proceed. We actually sent out a letter recently to one of these people but have had zero

response.

Additionally, we recently received the latest A/R Aging report from our bookkeeper; several new

debtors have surfaced.

Scholarships / Financial Aid (TADs*)

There have been 13 applicants for Financial Assistance this season, compared to 7 last year.

We have “ruled” on 9 of the applications (8 awarded / 1 rejected).

The 4 applicants that we have not made a determination on have incomplete applications.

Communication has been sent to these families to complete their applications: the ball is in their

court.

Of note – 2 of these applicants have already registered for hockey and are (presumably)

correcting their applications.

The table below ASSUMES that those incomplete applicants finish this process and are

awarded 100% aid. We budgeted $20k in Scholarship / Financial Aid this season…so we are

right on track (@ $19,263).

* MHA uses a third-party vendor (TADs) to vet all financial aid applications.

Miscellaneous

Worked with Gaffney to make sure participants are paid for the Mpls Cup.

Paid for outstanding Away Tournaments.

ToDo Items

● Talk with Accountants (Mair & Associates) on the tax implications when the Charitable

Gambling organization pays off the loan.

● Talk with Accountants & Bookkeeper on writing off / correcting several A/R items

(errors).

● Start transition to a new bookkeeper.

Player Registrations #1

Per Anderson’s report, there have been 576 registrations to date.

Traveling @ 400 (vs 392 last year)

House @ 176 (vs 355 last year; 51.5% decline)

The House numbers are not looking good. This is not unexpected given Covid-19, however we

budgeted for 329 House Team players (~7.5% decline), putting us at a 47.6% decline from

budget.

Putting these lower House Team player registrations into perspective, we are short 153 players

@ $425 registration fees per player, which equates to a revenue shortfall of $65,025.

Player Registrations #2

Given the potential impact of Covid-19 on registrations, MHA did 2 things new this year:

1. Started registration late

2. Offered a different payment structure (4 installments vs 3 installments).

We do not know how many families opted to do installment payments this year relative to last

year. If this number is greater than last year…it will have a negative impact on the TIMING of

INCOMING cash flow.

This is reflected in the table below (bottom figure)*.

* Figures are as of Aug 31.

As mentioned above, MHAs total cash at the time of the meeting was $423k.

We do not know how this will shake out, so this is something to keep our eye on.

Big Expenses Timing

The nature of MHA (and all hockey associations) is that we get a bolus of cash during the

registration period and then incur expenses as the season goes on.

The largest expense is ICE COSTS. Last year MHA spent ~$545k on ice. Follrath & Christman

conducted extensive analysis on ice utilization and how to be more efficient with ice expense. I

am not positive on the total amount of ice cost savings, but it was sizable. Big thanks to their

efforts.

There are several large expenses that MHA will absorb over the course of the year (and have

yet to pay):

● District Referee Expense (budgeted: $28k)

● D3 Expenses: team & tourney fees (budgeted: $24k)

● Equipment – primarily jerseys & socks (budgeted: $65k)

● Paid Coaches – stipends & travel (budgeted $40k)

● Goalie Training (budgeted: $26k)

● Goalie Equipment (budgeted: $11k)

● Team Reconciliations ($40k)

This year, more so than any other given Covid, we need to closely watch our expenses.

Especially after our Gambling operations are not contributing key revenue until Gambling can

pay off the loan MHA provided to stay afloat during the Covid shutdown.

President’s Report (Tim Hanson) Hanson provided the following report in advance of the meeting:

● Signed lease extension on the Shooting Shed. ● Signed the updated MN Hockey Affiliate Agreement updating our boundaries from HS

Attendances (Roosevelt, South, Southwest & Washburn) areas to geographical boundaries (South of 94/394).

● Ordered equipment for coming season ● Assisted Follrath and Nelson on return to play documentation and created COVID web

site ● Met with MPRB on COVID rules/procedures ● Attended all pre season coaches meetings ● Steam cleaned carpet at shed with Follrath ● Worked with Follrath and Nelson to setup check in process for pre season clinics ● Started the mite plus registration module, P Anderson is finishing ● Worked with Haney on setting up DIBS profiles for the season ● Signed MN Hockey Waivers In/Out ● Attended MN Hockey Diversity Meeting with other association leaders (Matt Dumba

spoke about the Hockey Diversity Alliance) ● Worked with King and Mair on General Audit questions.

● Coordinated all pre-season coaches meetings with Level Coordinators ● Interviews with coaching candidates ● Met with Dan Arden to set up coaches training sessions ● Worked with Level Coordinators, Matt Muller, Joel Liang and David Cole on goalie

clinics, evaluations and related issues ● Worked with Level Coordinators on finalizing team levels and numbers based on

registration. All levels complete other than Peewees. ● Coordinated all pre-season coaches meetings with Level Coordinators ● Worked with Follrath and Level Coordinators on staffing clinics and evaluations ● Reviewed lease extension on the shed ● Reviewed updated MN Hockey Affiliate Agreement updating our boundaries from HS

Level Directors

Girls (Todd Murray) Murray provided the following report in advance of the meeting:

Traveling registration ● 93 total girls traveling players registered. Here's the level-by-level breakdown:

○ 46 10U players ○ 29 12U players ○ 18 15U players

● Registration numbers are consistent with what we projected during the offseason. ● All non-registered players have been contacted and no further registrations are

expected.

Clinics ● Arranged for staffing and practice plans for all 10U and 12U preseason clinics. ● Worked with Hopkins Park Girls Director and ice schedulers to create a unified 15U

preseason clinic schedule. ● Worked with HP to staff all 15U clinics. ● Communicated and fielded parent questions about Mpls COVID check in procedures

Evaluations ● Secured evaluators for all 12U and 10U evaluation sessions ● Worked with Sarma Ozmen and Bob Dehaven to create evaluation plans for 12U tryouts

with a 10U tryout plan to be completed shortly.

Coaches ● Held meeting with all girls coaches

8U ● Currently 22 players registered, which is approximately 50% of projected players. ● Extensive discussions with Sarma Ozmen and Bob DeHaven about optimal 8U structure. ● Identified possible lead coaches to replace Maggie Pendleton and Hayley Estes.

Meeting Notes During the meeting, Murray announced that we lost our head 15U A coach - took a full time job. We’re scrambling and will update soon.

18 players are coming from MHA, and HP may come in at around 11 or 12. We’re likely going to end up doing the rostering in USA Hockey, and we’ll go with our pages on the Website. A meeting is planned for Wednesday at 8am.

Junior Gold (Mike Follrath) Got updates from updates from Greg G Gibson that MSHSL made a “go” decision on FB and VB today; will likely be a go. Therefore there will likely be a Jr. Gold B team. Fwiw, rumour has it that High School has indicated that they will likely have enough kids that some will be cut.

Bantams (Jay Dodig) [Not in attendance] Dodig provided the following report in advance of the meeting:

● Executed 3 body contact clinics ● Held Coaches meeting ● Finalized Eval and Clinic schedules and posted groups ● Communicated COVID sign in plan ● Recruited Bantam Volunteer check in team ● Created evaluation plan ● Worked with Matt on Bantam Goalie eval ● Coordinating pinnie retrieval and pending distribution ● Worked with Tim Davis on clinic leads and helpers ● Added additional Bantam C team ● Worked with JC, Bill, Pete, Gaffer and Nate to assure proper ce, game schedule and

tournament line up ● Worked with Meagan Ratterrath to communicate all this and more to Bantam families ● Working on BA Eval plan with coaches

Peewees (Pat Clemens) [Not in attendance - at Peewee Goalie Events this evening] Clemens provided the following report in advance of the meeting: Met with PW coaches for season kick off. Published Clinic, Eval and Goalie ice. Secured PW COVID volunteer, Michele Brennom. Have met with PW Evaluations staff to ensure preparedness. Working to secure evaluators for evaluations and finalize A level Evals.

Squirts (Mike Snee & Jeff Hunsaker) [see report] Snee provided the following report in advance of the meeting:

● 112 registered players. 13 goalies (6 full-time second year; 7 first year). On pace to have 8 teams (1-A, 1-B1, 3 B2, 3 C)

○ Updated Squirt Committee via email on 9/20 regarding player registration count. ● Goalie evaluations started yesterday (9/20) ● Evaluation prep is underway:

○ Tony Pahula and Mark Omelia will be evaluation super volunteers. ○ Open pool opt-in email will go out this week.

● Preseason clinics began 9/12 and have been well attended. Colette MacIver has done a great job overseeing staffing for COVID check-in protocols.

● Squirt parents meeting held via Zoom on September 8. ● Squirt coaches meeting held via Zoom on September 1. ● Pond hockey concluded in late August and was a success.

Mites (Colin Mueller) Mueller provided the following report in advance of the meeting:

Mite Report

● Spoke with Mite Goalie Coordinator and MHA Goalie Coach regarding approach for Mite goalies this year, including involving Mite 3/8U in Goalie Clinics earlier this year

● Connected with Communications re: marketing Try Hockey For Free and preseason Rookie Camp

Meeting Notes

During the meeting, Mueller asked questions to Follrath about exceptions to watch the little kids. We’re hearing no, unless the ice time is designated as a game. Some parents as a Mite, 8U, Mighty Mites. They are OK with the help setting up, but not for the whole hour. Anxiety is an issue for young kids. Bathroom breaks are a challenge as well, especially for Mighty Mites. Hunsaker asked if we should consider putting phone numbers on water bottles. A Squirt got hurt, and they didn’t know how to contact the parents. Until teams are formed, we might suggest this. Examples were concussions, or other emergency situations. Follrath also indicated that the Mighty Mites skate at Minnehaha a lot, and Scott is more lenient. Follrath also indicated that we should meet to review recruiting. Lee stated that we will add notes to the newsletters instead of a flyer. Also thinking about reaching out to people who are already in the organization to see if we can increase word-of-mouth.

Ice Scheduler (Janene Christman) Christman provided the following report in advance of the meeting:

● Completed Bantam Games slots (due 9/24 to D3) ● Finalized ice from U of MN. Got a little less than we wanted ● Got Minnehaha ice but need to groom that a bit ● Added Bantam C team ● Ran into issue with tournaments in Avario (system issue) but I think I have ours correct.

(She provided the tournament schedules for each level, and asked that each Level Director review and provide feedback.)

● Worked with SLP/Hopkins on ice for 15U. Got clinics finalized, working on tryouts. They will most likely be at SLP.

● Need to figure out scheduling for 15U across three orgs and D3. ● Need 15A tournaments. ● Will start on post tryout ice soon. Mites first. ● Need to know the gap between the end of tryouts, start of practices (2-3 days?)

Meeting Notes

Game counts decreased in 12-14; usually at 16-18 games (across all levels) depending on the number of teams. No “crossover games” (D6/D3 inter-district games) at Peewee A and Bantam A. Mark Brandt D3 president has been less responsive recently - waiting for more details. Follrath also shared our friends at Stillwater indicated that scrimmages may not be allowed, or severely throttled. No confirmation yet. We have out-of-state tourneys in Sioux Falls, Wisconsin, and Fargo. An issue in Avario with publishing away tournaments. We added a Bantam C Grey team. Will try to keep the non-solo pairings together as much as we can. The teams will be separated on the ice, but the ice could be shared. Marriucci is not open yet (Big 10 has delayed their season), but we got less ice at the UofM (Ridder). Our solo ice might be less, but games cutting back will add a lot of ice back into the pool. Christman requested Mueller’s magic ice formula. Also requested more details on Mite Plus. Mueller stated this would be available early next week. Black out dates were attempted - we did not offer up any game slots between Christmas and New Years. No ice was offered up for MLK (D3 also did), and nothing for Super Bowl Sunday.

Nelson asked about the Power Skating program ice. Christman stated that this will happen after try-outs and game scheduling. Shooting Shed scheduling will occur. Cleaning policy in place.

SafeSport Coordinator (Bob DeHaven) DeHaven provided the following report in advance of the meeting:

Inked arrangement with PCA for new 10u and squirt parents. To be scheduled ASAP. Applied for and received MN Hockey grant to partially offset PCA cost.

Assisting Murray with tryout prep and logistics and 8u season planning.

During the meeting, DeHaven stated that he sent a check for $500 as a result of the grant we applied for.

ACE Coordinator (Kevin Skogg) Skogg provided the following statement in advance of the meeting: Coaching registration open and filling up. No major issues at this point.

Communications Manager (Rebecca Lee) Lee provided the following report in advance of the meeting:

● Created COVID signage for Parade and NE. ● Created business cards for Anne Malo. ● Ordered 160 yard signs. As of 9/17 195 people requested them. Only the first 160

registrations will get signs. Anne Anderson is our DIBS yard sign volunteer. She has proposed for next year to have a pick-up time at Parade or the Shed to pick up signs and save lots of hours of work and gas.

● Helmet stickers ordered for all players. ● Will work on Try Hockey for Free flyer.

Meeting Notes

During the meeting, Christman asked about promoting the High School Girls Car Wash (this Saturday) to the Membership database, and also to advertise on the Home Page.

Volunteer Director (Kari Hainey) Hainey provided the following report in advance of the meeting:

● Recruited super volunteers for various preseason activities ● Worked with Follrath to develop job descriptions for COVID program volunteers ● Recruited COVID program coordinator ● Created DIBs opportunities for COVID check-in volunteers and coordinated with several

individuals to fill those positions ● Fielded various questions about change in DIBs requirements and future opportunities to

claim DIBs Meeting Notes A squirt parent asked why we require registrants to name the high school they intend to attend. I think the same question was raised during the squirt parent meeting. Anderson indicated that this data is used for historical metrics and is useful in determining new approaches to targeting promotions for new players.

Team Manager Director (Mary Kelly) King asked about closure of accounts from last year. Kelly stated we are about 10 days out. “Thank you for registering as a Team Manager” language needs to be changed. Anderson agreed.

Tournaments

2021 Winter Storm Tournament (Ken Madden) Madden provided the following report in advance of the meeting:

● 16 teams registered ● Collected tournament fees from 12 teams. ● Collections for the tournament totaled $11,700. ● Looking tournament sponsors. ● Will review 2021 tournament ice times with Janene in August/September. ● Contacting vendors from last year’s tournament. ● Will start to work Kari on the volunteer plan for the tournament. ● Hastings 12U team moved from B2 to B1 level. Working to keep them in the tournament.

An A team wanted to back out - trying to keep them in. The policy has been “I will offer a refund if I am able to fill the spot. We should suggest that.

Minneapolis Cup (Mark Gaffney) Gaffney provided the following report in advance of the meeting:

Meeting Notes

During the meeting, Gaffney reported that we have 5 who haven’t paid for the tournament; we will be following up this week. We recently decided to add an additional team at the Bantam level, and we are trying to find a a way to add them to the bracket in the Mpls Cup. Would be a 9-team bracket. Should have this tied up soon.

Fundraising (Canda Palattao) [Not in attendance] Palattao provided the following note in advance of the meeting: [She is] working on language for a letter to team managers regarding frugality. Will get to Mary for editing & distribution when appropriate.
