Meeting of the Executive Board of the Woodsworth College Students’ Association

October 2nd, 2017 119 St. George Street

1. Call to Order 8:19pm 2. Updates

Jeong: Okay let’s start with updates, Dan. Humby: I as well as the rest of the OMC have still been dealing with the leader deposit situation. For now we have pulled the appropriate amount of funds from the bank to start facilitating the deposit returns for the leaders. I’ve just been keeping up with emails from students asking me questions. The Office officially opened last Monday for the Fall Semester. We also as an exec reorganized the office last Friday, go team that was awesome and it looks great. I also set up the office hours for the 105 Directors Office. The exec office hours have been set; I believe everyone here has put up for a few hours. I also set up a new system for keeping track of the till. So it will have a 200 dollar float in it, it will take in cash throughout the week. At the end of Kana’s shift on Friday, she will count all the money in the till in their office tracker document that I am going to send and share with all of you guys. At the start of his shift on Monday, Shillon will count it on Monday to make sure it is the correct amount. Anything over 200 dollars will go in an envelope so myself or Rohan can deposit it into the safe. Please make sure you are making note of any transactions you are making between the Friday and the Monday shift. Dos Santos: I have been really busy with intramurals right now, later on in the meeting I am going to ask you all about your opinions on jerseys. I would like to subsidize jerseys for the teams so I will need to figure out the budget situation and reallocate funds as necessary. I am contacting UTM International Education Centre regarding the UTM Blue Jays Event. I am just making the payment for the

tickets that were purchased by Woodsworth Students. Most intramural teams have begun their regular season. A few teams are starting tomorrow but its off to a great start. I will be closing the raffle for the TFC game on Wednesday at Midnght and contacting students Thursday for ticket pick up for the next week. We will be starting the running club next week. I am just going to be helping Julia with homecoming and getting all the athletic activities for Thursday so I will be providing the equipment. I’ve been speaking to students about the by-elections, I’ve had a number of students ask me for more information for my Associate Director. Shah: For me, I have just been Expensifying, updating the budget and dealing with any reallocations or changes to be made other than that, Wonderland was a really good event. Everyone who attended had fun. Amanda and Sara managed to return the extra tickets that weren’t sold. So we will be getting money back for at least 26 of the tickets. Adil-Sheikh: I had an external meeting last Tuesday, and I went over all the policies, and just let everyone know that all their events need to be accessible considering we had some issues last week. And I started the promotion for Cards Against Humanity and the Stock Trading Club. I met Sherry last week and we discussed how she is going to get members for her new club. So I am just working on that, and I will hopefully be meeting Rohan to discuss her budget soon. With collaborations, I will be collabing with the Pakistani Students Assocation this Friday. With all the clubs, it’s going fine – ASL will be having their first classes this week, HOWL and WINC had their elections, WPS had their AGM last week and hopefully they will have their elections soon too. In the coming weeks I am going to be meeting Christina to discuss the Multicultural Fair I want to host in January. I will also send the PR request for the individual initiative grant. Li: I cleared all the PR requests out and then a bunch of them came back in. I am going to try and get the next newsletter out early next week, probably the Tuesday after Thanksgiving. WCSA video is finally done. We also put a boost on it, so its actually a sponsored post. So we’ll see how that goes. WCSA Wear is going well, I am going to order some stickers, I will be working with Rohan sometime in the near future to figure out how much we’ve made to see if we want to order more. Cicconi: Not too much since the last meeting. Just organizing upcoming events, the things I want to talk about are agenda items anyways, so basically homecoming which is coming up this Thursday, our Club Night is another agenda item we will chat about, and then other than that I’ve just emailed the social committee to organize our meeting for next week to start that and to start talking about their event that they will be organizing for November. As well as getting a few of them to volunteer for Thursday homecoming. Jeong: One of the main things has been elections, pretty much the backbone work is done and now we are actually advertising – so thank you Amanda and the ERC. ERC Is going to bery busy with actually enforcing all the rules there has been a minor change to our dates but I will mention this during other business. I have been working on the mentorship program. I will discus that in other business as well. I sent out a call out foe the referendum meeting to talk about the referendum and come up with a plan. PRC will be working on the Camera and Laptop Rental

Agreements. I wanted to base this off the UTSU Model since they already have it. We are going to be very busy with Gala Coordinator Hiring, this will be my main goal for this coming week.

3. Corncoming Cicconi: Our job for corncoming is to basically take care of all the food, so me and Victoria have been organizing that. We are planning with Ryan to get everything on Wednesday. Our only issue right now is storing the food so if anyone has any other suggestions besides me contacting Christina where Res usually stores all of their barbecue stuff since they host a lot of barbecue events. It’ll be about 450 hot dogs, burgers, buns and condiments. Jeong: I’m not sure if we could fit everything in there but we do have some freezer space in the basement. Some of which are locked, some of which we don’t have keys for. Shah: When Steph and I were on Res Council they have the freezer downstairs in the basement, which we used but I don’t know if they’ll allow us to use it. We also catered to a similar amount, but I don’t know in this short notice if they’ll let us use it or not. Cicconi: Okay I will find out. I’ll ask Logan. Other than that, how many of us will be present at the event? We need volunteers. We’ll probably just be helping with set up and take down. It starts at 4 but I honestly don’t have too much information. Just hoping we will have a few exec help out too. Dos Santos: I have office hours from 4-6 on Thursdays but I can meet you before or after. Jeong: I have class from 2-4, so I will be around after. We can ask the Board of Directors to help out as well. Cicconi: Okay I will email them. Shah: My only worry with this event is that they want us to pay them 200 dollars in cash for the corn. Which is slightly difficult. Jeong: Anything else on this item? Okay, club night.

4. Club Night

Cicconi: I don’t know if all of you saw my message about how KPE reached out about their club night. So they’re actually hosting it on that same Thursday before Halloween, right now I’m actually leaning towards to collaboration, because it has been difficult to find a club that will accommodate for under age people. I think this would be a better option so I am just looking for opinions. The only thing we don’t really like about it is that it would be at TJ’s, which has a bad wrap – but I do feel better about that being a UofT event, and they will also be having wristband policies, so it’ll be all ages. I don’t have info regarding tickets right now but I just wanted everyone to be looped in. Humby: I am going to say just looking at the pro’s of collaborating, the fact that it being held at TJ’s is something that we can get over. Cicconi: It would also be saving money that we budgeted for that which could be moved to semi-formal or we could just save in the budget in general.

Jeong: Maybe KPE has already done this but TJ”s, there’s a person who’s on the SGRT. So maybe we can be in contact with him about this. Cicconi: I am going to email KPE to get more information, I just wanted to get a yes on going ahead and collabing with them, and then this could be another agenda item in the future. Shah: Do we know how many colleges KPE is contacting? Cicconi: She’s reaching out to all Social divisions. So I am assuming all of the colleges and faculties. It’ll just depend on how many tickets are sold per division. Jeong: Any further comments or questions?

5. Postering

Li: So I keep having people come to me via email, and the bulletin board right outside the office. So that board technically belongs to us, I spoke with Christina and technically we can approve anything that goes on that board. Currently, there is a sign there that says you cannot put anything on this board unless we approve it. I have kind of just been letting it go but I am pretty close to just taking everything off the board and starting from scratch. We had random people ask us about what could go on the board and I didn’t want to tell them no before we came up with some sort of guidelines about what is appropriate and what is not appropriate. Just so I’m not arbitrarily telling people we can’t put stuff up. It really is up to us. Just wanted to get everyone’s opinions on it. Of course everything officially from U of T and the Dean’s office is completely cool, just in terms of outside parties is what I really want an opinion on. Shah: I saw something about some random job thing which is not even related to U of T, so I initially told them that we don’t do that but he told me that there’s other people who have posted similar stuff so I guess we need to come up with these guidelines and ensure that we continue to take down anything that does not fit the guidelines. Jeong: I think it’s very fair that we have rules and enforcements for the board. Li: I just want to know how am I going to approve things, like what will be considered the approval? Shah: Stamps. Li: I can physically sign the posters, it’s what the res does and that’s fine with me. Jeong: If it’s going to help our students in any capacity then that’s fine. It’ll just be under the discretion of Amanda. Li: Ideally I’d be okay with sectioning off an area for other stuff but I almost want to use that board as information for WCSA. I was thinking we could even put the board photos up there, my only concern about that is of people would deface the items on that board. Jeong: That idea is great, but we need to have a process once a week or every 3 days to take anything down that shouldn’t be up there. Li: Next up, I am running into an issue where I can’t seem to get posters printed because I don’t have the time to print posters on top of everything else that I’m doing. Do we have any ideas for timely poster printing or any systems to make this work?

Jeong: I think that anyone who is responsible for running the event should be responsible for printing out posters. Amanda, will give you the guidelines mainly because a lot of people just don’t know how or where to print. Li: I am going to look into maybe setting up an account with the printing place which I know is something they did before. Jeong: Any other comments or questions? If not we will move onto the motion submitted by Rohan.

6. Budget Reallocation from the International Students Event to the Diwali Event.

Jeong: Rohan is interested in moving 40 dollars from the International Students Event to the Diwali event. Shah: Simran spent 40 dollars less on the International Students event and wants to move it to the Diwali event because she is using the money allocated to the event to subsidize tickets for Woodsworth students to that event. So the Hindu Students Council might be charging 15 dollars, but she will be subsidizing 5 dollars per ticket, so this would help her subsidize 8 more tickets. 7. Reallocation Dos Santos: Motion to reallocate $21.50 from the SuperBowl Party/Wingathon

Event to a new budget line, named UTM Blue Jays Game. Jeong; Motivation?

Dos Santos: UTM invited us to attend the Blue Jays Game, that they were hosting through the International Education Centre on Tuesday September 19th. They invited some colleges and divisions at he St Goerge Campus. We had two tickets purchased by UTM’s online ticket purchasing system. They were purchased from UTM for $40.75 each. Tickets were sold to Woodsworth students for 30 dollars so we are paying the difference. Moved: Jeong Seconded: Humby Motion passes.

8. Other Business

Dos Santos: I want to order jerseys for the intramural teams. I still need to figure out how many teams actually want jerseys and how many players there are, but I am hoping to subsidize the cost and right now I have $500 for team equipment/jerseys. I will be looking at reallocating some funds. I just want everyone's opinions on budgeting the same amount for each team even though some jerseys are more expensive than others. Jeong: I think this is completely fair. Dos Santos: I will have more information once teams confirm if they want jerseys and then I will share that with all of you. I brought this up at the all captains meeting and a lot of the team captains expressed interest in getting team jerseys so I hope we can move forward with this.

Jeong: Mentorship Program is coming up real soon. Please send me your preferred or top 3 positions that you want to mentor. Humby: Just in terms of our own office hours, please make sure that you are here for them. We’ll have a sign in sheet here. In an instance that you can’t make the same hours, just reschedule and contact the Office Staff so they can make the appropriate changes.

1. Call to Order – 9:15pm

2. Updates

Jeong: I can start with Haya’s updates since she isn’t here. She met with Alyy Patel this week to discuss the current situation on WINC and what led to her resignation. She also noted that the collaboration with the Pakistani Students Association went really well. We had a request from the Eastern Africa Students Association and they want to become a WCSA affiliated club so right now I am working on providing all the information to them. She also got a request for an external collaboration for Relay for Life UofT since we collabed with them last year. I will be going forward with booking Kruger. I am currently working with the president to set up a communications platform just to get the word out. 102 people attended ASL’s first class on Friday and I am no working with the team to help them book a bigger space. WPS, WINC, CF4H and ASL have a lot of amazing events coming up and it would be great to see us get out there and support them. Jeong: Camera and Laptop rental agreements are done, we are now able to rent out our camera and laptops, these contracts are based on what I have seen from the UTSU. I can send you guys an email of a copy so you can read them over. Nomination packages are done, moving onto phase two is campaigning ERC will be in charge with Christina to enforce everything that we need to be enforcing. Referendum meeting tomorrow, we will be discussing how we will be moving forward with the referenda. Shah: Working with Haya to finalize the budget for the Stock Trading Club, as well as working with Valerie and Simran for the TFC and Diwali ticket sales. I

met with Albert, the UCLit President, to discuss the finances for Corncoming, I’ve shared with what every college owes us, and according to the agreement they must pay us within two months of Corncoming so by December 4th. And I have also been in contact with the upper year directors about coffee crawl payments, I am volunteering tomorrow so I will be bringing the cheques with me. Just as Ryan mentioned, as part of the ERC we are just making sure that everything is going well. Dos Santos: Main thing right now that I am dealing with is the TFC Game, last day of ticket sales are tomorrow. There are a few tickets remaining so I will be in contact with students on the waiting list. Also checking in with the captains, with the intramurals, we had 1 team forfeit and removed from a league, a few teams defaulted but other than that everything is going well. I am in contact with captains for jerseys so they can have them for the fall season. We are collabing with UC for an All Star Basketball Game. In contact with the person who started the Wolfpack, deciding on an event to celebrate the Wolfpack. Running club is meeting next Wednesday, and I am hoping to meeting with the athletics team soon. Humby: Not much from my portfolio this week. Finalized the date and time for the October board meeting. This will be very important for ratification. Gala hiring timeline has been finalized, PR has been out for a while, apps are due Sunday at midnight. Li: I have been updating the website with updated office hours, Board of Directors office hours online, I have been making some changes to the website including updating some budgets. Sending out an email for the PR committee, and I will be getting the office staff to look at office cabinet with WCSA Wear to organize that. I will be ordering a banner for the office, probably ordering a similar banner for outside as well. I cleaned up the postering situation, hopefully we can keep it clean going forward, and the newsletter went out today. Looks like listserv was fixed and I am ordering stickers soon Cicconi: Next upcoming event is Club Night, we are collabing with KPE and Innis, waiting for more info from KPE. The venue has yet to be established. I will be submitting PR requests soon, ticket sales will be happening the week before that last week of October. For Red Party I have emailed I few venues, for December 1st. I met with social committee on Wednesday introductions and CCR, I will be in contact with them surrounding the November event they will be planning – games night or a tournament of some sort were the ideas that they were passing around. Gala Hiring is in process and then I will be working on the Athletics Committee with Valerie. Jeong: We are still currently working on getting the deposits back. No new developments.

3. Reallocation of Funds (External Portfolio)

Shah: So basically Haya had 1000 dollars budgeted in her portfolio for new clubs or collaborations and the new club that has been ratified by us is the Stock Trading Club. They submitted a budget proposal and we agreed to giving them

450 out of the 1000 dollars. This is in case more clubs come later, we will still have money for them. Jeong: Motion to move 450 dollars from the External Portfolio to a new budget line called “Stock Floor Trading Club.” Motion: Jeong Seconded: Shah Motion passes.

4. Inter-College Charity All-Star Basketball Game

Dos Santos: I can send you the package that Danyal sent me from UC – he is the Deputy Athletics Commissioner. The game will take place on March 20th from 5-8pm, there will be a tailgate party and kind of like an east campus versus west campus game. We will be making a donation to the charity of choice, and we are currently reaching out to other colleges and other student groups. We will be making sure the event is well promoted. We are expecting many students to attend and hopefully this will be an event that colleges will continue in future years. I’ll send again this package to all of you, I do have a breakdown of the costs, which is very tentative, but this is dependent upon other colleges. The goal of this is team building, providing students the opportunity to make connections with other students. I will find out what other student societies and groups are interested and then let us all know a financial commitment – right now its just Woodsworth and UC, New might be interested.Jeong: What do you all think? Cicconi: It sounds great. Jeong: I think it’s a very collegial type of event that we haven’t really seen before. I think it’s a great opportunity to build community with the University.

5. Other Business

Li: I don’t know if anyone is going to coffee crawl but I’m sure the Directors would appreciate the help, they don’t have enough volunteers to have stationed leaders. Cicconi: We have three tables from Corncoming at JCR. I’ve been trying to figure out how to get them back, but Ryan can you help and drive them from the JCR? Jeong: Yes, we will figure something out. Dos Santos: Run Club starts Tuesday. If any of you want to come out, just let me know! Humby: I plan to send out an email to the entire board because some concerns have been brought to my attention. This office is not a storage space, 105 needs to be used appropriately. Shah: The office definitely gets crowded, so I think we need to make sure it’s WCSA member’s only. Cicconi: Victoria and I won’t be at the Board of Directors meeting because we will be setting things up for club night. Shah: About club night, when do you think we will be getting more info? Cicconi: Hopefully this weekend because I want to get PR stuff out. Trying to get more information about this. Jeong: Any other business?

1. Updates Jeong: We just had probably one of our largest projects of the year done, which is completing the by-elections process on our end. The voting has begun, and we want to encourage all Woodsworth students to participate in the voting process. Voting ends on the upcoming Monday. I just restocked the Student Lounge snacks for students to enjoy, it seems to be very popular. We do have plenty of restock. Dan will talk more detailed about Gala. We have received a lot of applications for coordinators and interviews will be happening soon. Humby: I would give more details about Gala but there honestly aren’t many. Gala hiring is pretty much in full swing, we have interviews scheduled for those we selected to interview, and they will be taking place between Monday and Wednesday of next week. We will have the decision made by the end of Wednesday, so come our Board Meeting the day after we will be able to ratify them then. Beyond that, no updates from me. Li: Just keeping up with everything, I’ve sent an email to the Board of Directors just about PR going forward, just to make sure that they are CC’ing me on any event approvals along with Rohan and Dan. Adil-Sheikh: I have collaboration requests for the Bangladeshi Students Association, Relay for Life U of T, SickKids Foundation, and UofT E-Sports. All of our clubs: WPS, Woodsworth Inclusive, and Cards for Humanity, are all going well with events next week. Shah: As I mentioned last week, I met with Albert but I have also sent him the invoices for all the divisions that collaborated with us for Corncoming, I have also made the cheques for him and Yolanda who paid for other homecoming things. With respect to other portfolios, this week has been busy with ticket sales for Diwali, last week was TFC, and Club Night now. As Ryan mentioned we worked on ERC tasks, and referenda committee.

Dos Santos: We had our TFC game on October 15th, it was a huge success, students really enjoyed it. We sold almost all the tickets, only 2 were left over. I had a meeting with the Intramural Sports Council and received the schedules for the winter intramural teams so I will be working on the sign up form for the WCSA website which should be available in the middle of November. The captains meetings will take place at the beginning of December and the leagues start at the beginning of January. Also, I am just promoting our Fall tournaments and the Just for FUN League. I have registered Woodsworth for the Glow in the Dark Dodgeball tournament. I also met with UC to talk about the all-star basketball game. I will be meeting with Camden to plan the Wolfpack celebration later in the year. Running club started this week. I’ve been in contact with MLSE to order Raptors tickets for the Winter.

2. Intramural Jerseys Dos Santos: So as I mentioned at the Athletics Committee yesterday that I am hoping to have them ordered very soon, I am just waiting on a few teams to confirm which players want jerseys or t-shirts. For men’s hockey we will be ordering jerseys that WCSA will be keeping but the players will keep for the season. I will be talking to the captain to see if this is something the players would want to do. For the wolfpack t-shirts I will be ordering for the intramural players, I will be in contact with them to find out what we should do with the t-shirts, change the logo, or what not. What do you all think? Humby: In terms of jerseys to use in future years, what happens if you have a team who is split on ordering to keep versus rent? We could end up with a partial set of jerseys. Dos Santos: Trying to avoid that situation, I would ask the players if they want to have their own jerseys and if that’s the case then everyone will pay for their own, if not then we will do it on a team basis for the year. Adil-Sheikh: If you are going to get t-shirts, you might want to get a different logo because I don’t think that logo is very appeasing. Jeong: Everyone good with this plan? Dos Santos: the plan is to subsidize the cost of the t-shirts depending on how much they will cost. Right now there are a number of players who have contacted me or told their captain that they are interested. There are still some teams I haven’t heard from but I will be reaching out to them again.

3. Referenda Update Jeong: About a week ago the referenda committee had a very successful first meeting. The main achievement was selecting a day in which this would happen. We decided it would be most appropriate to run the referenda separate from our General Elections to give students the full opportunity to go over referenda material. It will be held in February, The committee will be meeting more frequently including the coming Friday to discuss the details about numbers. Rohan will be kind enough to pull up some numbers and we look forward to that. I just want to hear everyone’s thoughts on this. The ERC will be present this tentative date to the board members in the upcoming board meeting.

4. Woodsworth College Council Jeong: The council functions in an advisory capacity to the capacity and meets 4 times per academic year. Members hear reports from college departments such as registrar’s office, the programming office, and the international office. Additionally, important topics surrounding the college, the faculty of arts and science, and the university at large take place. Items are sent out to council members beforehand. There are 16 ex-officio members, 13 teaching staff, 3 other appointees and administrative staff of the college, 1 don, and 20 Woodsworth College students. Stephanie Woodside from the admin office had advised me that we currently have 6 open student spots on the council. It’s a great opportunity to get involved and have an influence at large.

Secretary of the Board of Directors Humby: As you know we have just moved forward with our fall hires, we re-hired our Secretary position, we hired two Office Staff positions, as well as the Chair position. As far as the Chair goes, we did not have any new applicants for chairs so Christina Badiola will reman on this semester, because she was already ratified over the summer, and there were no governing documents saying they have to be re-ratified if they were not leaving the position. For secretary, we do have someone new who will be on with us for the Fall/Winter terms. That is Stephanie Bianco. Any questions?

7. Services and Initiatives Assistant Humby: Now for Services and Initiatives Assistant, they are mainly taken care of through the Deans Office with majority of the payment coming from them. Instead of 1 working 20 hours a week like Kana did during the summer, two staff members will work 12 hours each. Like Christina, Kana does not need to be re-ratified. Be it resolved that the WCSA Board of Directors ratifies the hiring of Shillon Mehta for the role of Office Staff. Moved: Humby Seconded: Shah Motion passes. 8. Gala Hiring Committee Humby: As you most likely know, we hold Gala at the end of the year. It is by far our biggest event. We do hire Gala Coordinators to plan the event, and they start working very early into the year because event bookings happen very quickly. The Gala Hiring Committee is always made up of the President, the Vice President of Internal Affairs, the Vice President of Social Affairs, and Associate

Director of Social Affairs, and to even it out we add some one else off of the exec team, in a directors position. Any questions? 10. External Committee Dos Santos: On behalf of Haya, it is chaired by our VP External. It is open to all Woodsworth College students, and they will assist the VP with club logistics and working on collaborations with other external groups. Do any of you have any questions, if so you can speak to Haya about that. Humby: Any questions in regards to the Ad-Hoc External Committee to be struck? 11. Clubs Policy BIRT the WCSA BoD approve clubs and affiliated clubs’ policy, as amended. Moved: Sheikh Seconded: Zamani

Shah: Haya emailed us the updated clubs policy. But, the main changes were from the finance policy, so the previous board made changes the WCSA Finance Policy at the end of the year but they were not updated in the clubs policy. So I just added some information as well as changing the reimbursement rules from 1 week to 10 business days. I fixed a few typos here and there and just added another line to discuss purchases made in other currencies. Motion passes.

12. Woodsworth College Stock Trading Floor Club Recognition

Shah: Haya sent this information as well, for the constitution for this student club and it was basically a first year student who wants to start a trading club at Woodsworth. This student requires space and some funding for snacks for meetings. She plans to have whoever joins to club just get together and use a free portfolio software online. Humby: So really the only money we would be spending on the club would be for their own meeting refreshments and PR. In my opinion when we were listening to Haya talk about it, it sounded like an amazing opportunity for other students, as they don’t need to spend anything in regards to software. It seems like a very niched but cool club. Shah: In terms of being a Rotman student there are a few trading clubs on campus but they’re all either well-established and hard to get into. Considering 20% of Woodsworth is Rotman I think it would be a great tool for students. Motion passes.

13. Approval of the Board Reports Cicconi: It was a pretty big month for social, starting off with orientation week which went really well. I kept in touch with some of our first years and seen them at Woodsworth One Events and helping a few students that registered a little late get a hold of their stuff and making sure they’re settled in. Our first social event of the year was Welcome Back Social, held in Water Lounge. It was great, we had a ton of people come out and sign up for committees and teams. We have about 40 people who signed up for social committee, so I am just now organizing them. Shah: Similar to what Julia said, orientation went really well. Ryan and I were acting as the OMC and we were dealing with both WCSA stuff and Orientation. I’ve been working on finalizing any payments and expenses that we need to make for Orientation. Because Block Party was collaboration with 4 other colleges, we had paid for everything and just let the colleges know how much they need to contribute to the event. We are waiting on 3 out of the 4 divisions to pay. Also met with Michael LeSage about the referendum we are planning to do. Aghaeinia: This month I have been particularly busy. I had multiple meetings with Hanna from Centre for International experience as we are planning an event for International students called “International Students’ Welcome”. We will give them valuable information. The event takes place on September 26 at 7 pm in Waters Lounge. Aside from that I have been busy interviewing and reviewing applications alongside the rest of the hiring committee for our incoming Board secretary and office staff. This month we finished drafting the mission statement of the Equity Committee and I’m proud to announce the first meeting took place September 19th in room WW123 at 6 pm. Haynes:We are expecting to hold Coffee Crawl on October 13th this year. This month we have had meetings with some of the Coffee shops and we are awaiting invoices from them. This year we are partnering with a new place, Dolce Gelato, and we will be getting gelato from there. They will be replacing either FIKA Café or Manic Coffee. We are also hoping to plan a TPR event for next month.

Lall: If you guys remember from last year, they take a very long time to reply. So please reply to the email because we will be needing your time and we are looking into a grad school session with the Princeton Review. Zelnicker: Hi everyone, Sara and I have been working hard on our first event and planning on Canada’s Wonderland trip. We’ve been working on logistics on October 1st. We have been attending UTSU Board Meetings and joining committees. Representing Woodsworth well! Shakil: Orientation week was busy and successful for us. Aside from that, we’ve had two WCSA Wednesdays so far and they have been pretty successful. We have also formed our committee and they have been super helpful. We hope to have our meeting soon. We have figured out the CCR requirements for these members. And we are thinking of implementing quiet hours for the Student Lounge, we’ve gotten the approval from the necessary bodies so hopefully we will start working on that. We are also going to raffle out metro passes and tokens. Dos Santos: The athletics portfolio has been working very hard to plan upcoming activities, teams, an tournaments. I participated in Orientation Week and helped plan some of the events. Just wanted to thank our Orientation Week because everything went great! Students also had a great time during the capture the flag tournament. I helped Julia and Victoria with the Welcome Back Social and promoted our committee there. Students have been signing up for intramurals since the end of August so that is still going great. I’ve been communicating with players and captains and facilitating meetings with most teams starting their regular seasons this week. Cicconi: Just to add to the Social Portfolio, UTSU is running a homecoming on October 5th. All colleges are participating so we will be using our budget for that on the Trin backfield. Humby: It’s been pretty busy for the internal portfolio. I’ve been working on getting the printer working and keeping the office neat and tidy, I’ve been very busy with the hiring committee and keeping our applicants in touch. I’ve been dealing with a few other issues as well. I’ve been working on our emails and keeping listserv’s up to date just to make communication nice and efficient. I’ve been working with directors to plan events and booking spaces. And we’ve cleaned out the basement so its looking as nice! Moved: Humby Seconded: Shah Motion passes.

14. OMC Updates – Orientation Leader Deposits Humby: We have been dealing with a concern regarding the leader deposits as they are currently in the possession of one of the Orientation Coordinators. 15. Orientation Financial Standing Update

Humby: Okay, so now that our in-camera session is over we have officially moved on to item 15 on the agenda, which is, Orientation Financial Standing Update Shah: I will give a brief summary of how much we spent, how much we made, and where the next agenda item will be coming from. The budget for Orientation was $85, 414.23, out of which – it has not been completely totalled because we still have to make one payment as well as pay the Bamdad and the other OEC members their honorarium. So it has yet to be completely finalized, but as of right now we are close to $70,000 that we spent on Orientation and we made $81,431. There were also a couple of students who had emailed Akshika, the registration manager for refunds for certain reasons in which were legitimate but they haven’t gotten back to her so it might go down by about 150 dollars. That would keep us at a good 10-11 thousand dollars in surplus from Orientation but I guess moving onto the next item… We would be taking the buffer right now for orientation, which is just over $9,000. We will be funding the next agenda item from this money. Any questions? Humby: I guess it is just good to point out that because Orientation ran a surplus this year, having to reallocate this money hurts the board a little bit less. Okay, does anyone have any questions regarding Orientation financials before we move on to the item directly dealing with them? Seeing none, let’s move on to agenda item 16.

16. Reallocation of the Buffer Budget BIRT the WCSA BoD approves the use of $3,895 from the Orientation 2017

Budget Buffer to facilitate the return of Leader Deposits. Moved: Shah Seconded: Humby Motion passes. Humby: Does anybody have any specific questions on this motion? Shah: The motivation behind this is that as we mentioned earlier, we are currently

dealing with a situation regarding leader deposits. However, since our leaders did a phenomenal job, they deserve to get their deposits back soon. In the meantime, we’re funding these deposits from the Orientation buffer and then dealing with the other situation later to get the deposits back.

17. Other Business Aghaeinia: Two things. So firstly for the International Students portfolio, we

made [inaudible]. If any of you are interested, please email myself or Simran. Other than that in terms of the Equity Committee – there is a part in there that states for their CCR they will monitor our events. In order for that to happen I need your events on the Calendar that Rohan made so I can let them know which events to go to. If there are any particular events that you want me to know about please feel free to email me. In terms of intervention they will not intervene with anything with the event, they will just be there. We have a structure in place so the equity of the whole system will be monitored. Shah: I am going to ask that because I am not an Admin on the Facebook BoD page that Dan or Ryan to pin the calendar to the top of the page so that you have easy access to it. Humby: Quick note on access to the 103 exec office. We now have our office staff hired so it will be open all next week, and the times will be determined within the next few days and I will send that to you so you can use the office for printing and you can let other students know. And the other thing is director office hours, which will be starting shortly. I apologize that they haven’t started already. Even though we don’t have the full board elected yet, we will be starting the office hours now because of all the initiatives we want to run. I will l be organizing with Mishi and Adrianna about office hours on Wednesday and how you will be involved with WCSA Wednesdays. OF course your office hours are a mandatory part of your involvement with WCSA. Bhatia: So do you want us to be in 103 because of the traffic flow? We have more people visiting in 103 than 105. Humby: That’s something that I have been thinking about as well because 105 doesn’t seem busy at all or a conducive office space in general. I want to put a plaque on the door so it can be more of an office space. 103 doesn’t seem ideal only because of body traffic and its also a security issue.

Board Reports President No board report submitted. Vice-President of Internal Affairs Hey Woodsworth! October's been a pretty steady month for me. I've been busy with pretty run of the mill stuff, answering everyone's emails, making sure the office is in working order, and coordinating meetings / booking rooms. We had a very productive first Referendum Committee meeting, and made some initial decisions on how we're going to proceed. We also rearranged the WCSA office and have been getting great feedback (the execs also like it better!), and Ryan, Rohan, and I have still been working together to tie up the loose ends / leftover tasks from orientation. I created our set office hours schedule for all the executives and directors, and got them rolling around the start of the month. I've also been chairing our hiring committee for hiring our Gala coordinators (which is currently in the interviewing process), and by the time you're reading this, we will have selected and hired our two coordinators for the 17/18 end of the year Gala! Finally, I'd like to extend a congratulations and warm welcome to our newest board members who were recently elected in our fall by-elections process, as well as our two newly hired Gala coordinators. Welcome to the team everyone! Vice President of Financial Affairs Hey Woodsworth! Hope midterm season has been going well for all of you. The month of October has been busy for the Finance portfolio as we've had a lot of events, meetings and our by-elections. As part of the Elections & Referenda Committee, I worked with the other members to ensure that everything ran smoothly during the election process. I also assisted the UTSU, Athletics, International and Social portfolios this month with ticket sales for their wonderful events such as the Wonderland trip, Diwali, TFC game and the Halloween Club Night. We also had our very productive first Referendum Committee meeting earlier this month and we will be meeting again on October 27 to discuss further details. The month of October has been quite busy in terms of planning events for the Social portfolio. We have collaborated with the Kinesiology and Physical Education Undergraduate Association and other divisions to host our Halloween "Fright Night" that will be happening this Thursday, October 26th at 10pm and we hope to see you all there. We are working very hard to plan our annual Red Party, which will be a bigger semi-formal event this year and is tentatively scheduled to be held on December 2, 2017- more details to follow. As well, we have organized our Social Committee, consisting of approximately 15 students right now, in which we have met with twice and are in the process of planning a new event to be held in November.

Vice-President of External Affairs Hey Woodsworth, This has been a very busy month for the external portfolio. We collaborated with the Pakistani Students’ Federation for their first event “Aghaaz” which was attended by a lot of international students in Woodsworth from Pakistan. We also started promoting our new WCSA recognized club the “Stock Trading Floor Club” which was established by our first year student Sherry Lin. If you would like to join the club as a member or if you would like to apply for an executive position please go to the STFC Facebook page or visit the WCSA website for more information. Our clubs, Woodsworth Inclusive, Woodsworth Political Society, Cards4Humanity and American Sign Language will be holding many exciting events this month please follow their Facebook page for more information or visit our website to learn more about how you can join these clubs. I’ve also received a lot of collaboration requests from Bangladeshi Students’ Association (BSA), Relay for life UofT, UofT Esports, SickKids Foundation UofT who are interested in holding events that would engage our Woodsworth students and I’m looking into which collaboration we would like to go forward with. I also received a request from the East African Student’s Association as they want to become a WCSA affiliated club and I will be spending the coming weeks guiding them through the process. Thank you Best, Haya Vice-President of Athletic Affairs Hello Woodsworth, I hope you are all doing well during this busy time of year. For the month of October, the Athletics Portfolio has been planning events for students to get active and take a break during midterm season. The Woodsworth Running Club has started going on weekly runs and students attended the Toronto FC game. Also, the regular season for all Woodsworth intramural teams is underway and various tournaments are scheduled. The Toronto FC game on October 15 was a success and almost all tickets were sold out. Students enjoyed watching Toronto FC receive the Supporters’ Shield and win their final regular season home game against Montreal Impact before the playoffs.

In addition, the Woodsworth Running Club met on October 17 for its first run around St. George campus. Members of the group will be meeting once a week throughout the year for outdoor/indoor runs. Students are still welcome to sign up for the Woodsworth Running Club and can find more information on the WCSA website. Upcoming outdoor runs will be to Christie Pits, Casa Loma and High Park. Many students have been signing up for fall intramural teams and tournaments. I have registered twelve intramural teams this season that students can still join by completing the form on the WCSA website. Woodsworth will be participating in the Glow in the Dark Dodgeball tournament on November 4 and I am hoping to register other teams in upcoming tournaments. Students can sign up for tournaments on the WCSA website. The Just for FUN League began on October 19 which is a women-only, multi-sport league where teams play a different sport each week. There is no experience required for this league and spots are still available if students are interested in participating. Moreover, I have held a few meetings with team captains and the Athletics Committee. I met all the Woodsworth team captains at the end of September during the all-captains meeting. We went over captain expectations, league rules, and important information about games and practices. I will be ordering jerseys for the intramural players this month. The second Athletics Committee meeting also took place on October 18. We discussed intramurals and upcoming athletic events, including the All-Star Basketball game that is being planned in collaboration with other colleges. I attended the October Intramural Sports Council (ISC) meeting with the other IM representatives from each college/faculty. Registration for winter intramural teams will begin in November and new tournaments will be introduced. More information about winter intramurals and how to sign up will soon be available on the WCSA website. Finally, there will be a few events taking place in November as part of the Work Out with WW series. There will be a yoga session on November 15 in Kruger Hall. This month has been very busy for the social portfolio. We collaborated with a variety of groups to plan Corncoming. This month we also formed the Social Committee and had our first meeting. We will be going to the last Friday Night Live event of the season at the ROM, where the theme for the night is Dior. Tickets have already been reserved and will be sold through a raffle; sign up for the raffle will start on Sunday and will continue on for two weeks till November 5, so make sure to get the word out. discounted tickets for Woodsworth students so as always, all board members are welcome to attend. Equity Director Hello Woodsworth! From the date of the previous report to today, we have hosted two amazing events. First, the International Students’ Welcome event (in collaboration with Simran, International students Director) which was a great success. We had a lot of useful discussions. Also, we had our second Equity Committee meeting. Beside those, I have been tabling during some WCSA wednesday’s to promote equity committee. Feel free to join us at anytime. Everyone is welcome. Lastly, I am in the talks with some other Woodsworth organizations about possibly increasing number of events Equity committee can take part in. That is still not confirmed. Feel free to contact me with any initiatives you may have. Note: Our office hours have started. You can find me in room 105 from 12-1 pm of Mondays and 4-5 on Thursdays International Students Director Hi Everyone! This month has been productive for the International Students’ portfolio. We recently held our Diwali event, in collaboration with the Hindu Students’ Council, in Kruger Hall on October 20th. As part of my portfolio’s budget for this event, we bought 40 tickets for $15 and subsidised them by $5 each for Woodsworth students. Originally thinking we would be unable to sell all 40 of them to Woodsworth students, we sold 8 non-Woodsworth tickets for the original price, and 32 Woodsworth tickets for the subsidised price. While the event had a few technical difficulties, it was an overall success! Students have been asking if there will be more events, which is amazing for WCSA. There aren’t any more events planned for this portfolio for the rest of the semester, although I have begun contacting more student groups for event collaborations for the next semester.
