There are over 1000 events and exhibitions taking part in the 2020 Adelaide Fringe and while they all deserve media attention, it is essential that you know how to market your event effectively to journalists and make your show stand out.

A vibrant pitch and easy-to-access information is the key to getting your share of the media love. Most time-poor journalists would prefer to receive an email containing a short pitch, press release, photo/s and video clip rather than a phone call – especially in the first instance.

Here are some tips from the Adelaide Fringe Publicity Team on how to sell your story to the media:

1) Ensure you upload a Media Kit to AVR (‘Media’ Section, upload file) These appear on our web page that only journalists can see and the kits encourage them to find out more about you and your show. A Media Kit usually consists of a short but succinct Media Release (see next points), and strong, clean photography (see next points.) If you need help uploading the kit, contact the Artists & Venues team: 08 8100 2022, [email protected]

2) A good media release is never more than one page It has a clear and strong title and conveys the points of Who, What, Where, When, Why, How Much and How Many of your event in a snappy manner. Make sure to include the event’s name, dates, the venue and names of key artists.

3) Borrow a pair of fresh eyes. Asking someone to read and review your Media Release and emails for correct spelling, grammar and appeal can help.

4) Contact details should always feature on your release.Including them makes you approachable and available to the media. Add a contact name, at least one phone number, an email address, as well as links to any websites or social networking pages.

5) Save your media release as a PDFPut your contact details into the email as well as on the press release.

6) Attach a clear image to your Media Release, ideally a photograph. A strong photo will increase the likelihood of a story being published so readers immediately get a feel for the event and journalists don’t need to hunt around. It should be a JPG file and around 1.5 MB in file size to be flexible enough to be reproduced on web or print.

7) Personalise all your communication to the Media. Never start an email with “To who it may concern” (or equivalent). Never send the same media release to a variety of different media. You should target specific media organisations likely to be interested in your event. Find out what a particular organisation is most interested in and tailor each release specifically to each organisation. For instance, an arts magazine might be interested in the artistic inspiration of an event, while a lifestyle magazine will be more interested in the personal back stories of those involved. Similarly, think about the demographic of the media outlet; e.g. would your show appeal to an older audience and be more appropriate for 5AA than Nova?

Remember, when preparing any media-related communications, always focus on why your story is more newsworthy than everyone else’s; how your story impacts on other people; and why they should be interested.

A Media Release is aimed at providing a ‘hook’ for media to generate a specific story. It should answer the following: Who, What, When, Where, Why, How much and How Many.

Consider the tone and style of the publication, website or station to which you are sending your press release. Is it serious, gossipy, mainstream or underground?

Put the strongest part of the news story in your first couple of paragraphs. Do not let your release run over a page as most journalists will not bother to read it.

Consider the end reader. What would inspire them to attend the event and what practical information would he/she need in order to attend or buy tickets?

Check and double check the release for date and spelling errors (especially of names), and factual inaccuracies. The mobile number of the person writing the release or a representative from the group should appear at the bottom of the page,

Writing for the media is different from writing for marketing. For example, don’t use words like ‘awesome’, ‘fabulous’ etc as a statement of fact as you would in marketing.

Positive statements about your show must be attributed to someone (eg. your spokesperson) in the form of a quote.

RELEASE DATEUsually media releases will be for immediate use, however there will be times when you want the press to know about something early but not actually print the information until after a specific date. In the top corner you should write:

HEADLINEYour headline should be clear and simple. Don’t try to be too gimmicky or funny. You want to catch someone’s attention because the headline is strong, not because they don’t understand the joke.

LEAD PARAGRAPHYour lead paragraph must support the headline and contain the whole point of the story. This is where you answer the “who, what, why, where and when” questions. The quality of the first paragraph can determine whether the news release is used. It must stand on its own and serve as a concise summary of what you what you are doing.

BODYWrite the release in present tense and as you would expect to see it in print. Make sure your paragraphs are no longer than three lines wherever possible.

The following paragraphs develop what you have said in the first paragraph. Here you provide details of achievements, awards and all other points of interest and importance. Keep it simple, sharp and memorable, and to one major point per sentence.

Include background information on you and your show; journalists love funny, quirky or interesting details, elaborate on your introduction (in-house jokes or humour relating to religion, politics, culture or country should be carefully considered).

Use quotes to tell the story of the event from the performers, characters, director, artist or curator.

CLOSING PARAGRAPHThe final paragraph should provide interesting background information on you and your event. You can provide reviewers’ quotes, information on when and where the event will occur and state that tickets can be purchased at FringeTIX.

Signify the document’s end with:

ONLINE MEDIA KIT

During the registration process, you will be able to upload an Online Media Kit for each event you register. Accredited media members will then be able to log into a special section of our website to download the materials you provide. The types of media the Fringe accredits are reviewers, journalists, radio announcers, arts editors as well as other people in the media that will report of the Fringe.

The types of materials you can provide are:

- Up to 3 images for the media to use in any articles or publications

- Press Releases

- Detailed biographies

- Images for use by the media (at least 1MB and should have a resolution of 300dpi)

IMPORTANT: Any images that you upload should be appropriately titled with information that the media may need.

This may include:

Image title

Artist

Date

Medium and dimensions (if Visual Artist)

Photographer credit

Press releases and biographies

All documents should be in either Word or PDF format

There is no restriction on word count, however it is recommended that documents be quick to download and print. Press releases should be limited to one page.
