AppXtender Web Access Introduction

Application Xtender Web Access can be used for creating electronic documents batches, indexing and viewing documents held in BDMS. It can be accessed via the Banner system or directly through a web browser. Two BDMS icon have been added to the Banner toolbar:

Display Document Icon - This icon allows a user to open ApplicationXtender from within Banner toolbar and execute queries. It also allows auto querying of object on the location of your cursor within a Banner form.

BDMS Add Document Icon – This icon allows a user to access to ApplicationXtender (WebExtender) from with Banner and index a new document from an imported file. BDMS provides integration with the Banner application suite. There are five specific integration areas:

• Human Resources • Finance • Student • Financial Aid • Advancement

BDMS Web Access allows the end user to:

• Generate a query form within a Banner form • Access ApplicationXtender to view Banner documents online • Scan and index documents singularly or in a batch with on the Web

Menu Bar

File Menu Batch Import - Used to create new electronic document batches Logout – Close Web Access session

Edit Menu New Query - Used to run queries on documents held within BMDS User Setting – Used to add/modify your personal PC settings

View Menu Used to Switch between Application and Batch Index (list) views

Help Menu Used to check status of installed software

Shortcut Menu Used to provide quick access to commonly used functions

Toolbars The main toolbar commands are “in context”. This means that depending on the view selected the toolbar icons will be active or inactive (grayed out). Active icons denote tasks that can be performed form a particular view.

Document View Frame Toolbars Document viewer toolbar includes buttons that allow you to manipulate document images, perform text searches, print document pages, display information about images, and create batches, among other things.

If you have proper security, you can use other buttons to make annotations and redactions including lines, arrows, highlights, text, and polyline annotations. You can use the buttons to show or hide annotations, save or delete annotations and position annotations with reference to the document or batch page.

Button Function

Fit displayed page in the Document View area.

Fit displayed page in the viewing area from top to bottom.

Fit displayed page in the viewing area from left to right.

Rotate displayed page 90 degrees to the left.

Rotate displayed page 90 degrees to the right.

Zoom in on displayed page.

Zoom out in displayed page.

Magnify a specific area of the displayed page. When you select the Magnifier button, the mouse pointer becomes a magnifier. When you position the magnifier and click the mouse, the selected region of the document appears in the Magnifier dialog box.

Display previous page of multi-page document. This button appears only when you view a multi-page document or batch document.

Display next page of multipage document. This button appears only when you view a multi-page document or batch document.

Display the text or image for the displayed page.

Search for text in the displayed page. Continue searching for the text entered in the text Search dialog box. Switch between pan mode and selection mode. Displays or hides form overlays on COLD/ERM documents.

Print current page and all or a range of subpages. Refer to Printing Documents and Document Pages in Interactive Client Mode for more information.

Print the document or PDF file and all or a range of pages.

Display information about image.

Display the previous subpage.

Display the next subpage.

Refresh the viewing area.

Opens the Select Files for Batch Import window.

Display menu of Page options.

Display previous version of document. This button appears only when there is more than one version of the current document.

Display next version of document. This button appears only when there is more than one version of the current document.

Synchronizing Your Password

Banner and document imaging are directly connected but can be used independently. You will need to synchronize your Web Access password with your Banner password. The following steps will only have to be done the first time you sign on to Web Access. Note: Be sure your pop-up blocker is Disabled or set to allow pop-ups from the following site.

1. Log into Banner using the following URL: https://banweb.eku.edu/forms/frmservlet?config=prod

2. Enter username and password in Banner Logon screen

3. Click Connect button to enter Banner

4. Click on Banner XtenderSolutions icon

5. The following message will appear on the screen

6. Click OK Your Password has been synchronized with your Banner account. Depending on what Banner form/field that you choose to synchronize you may receive a message that you do not have access to a particular Xtender application or that no document was found. Either way it is ok. Your password has been synchronized.

Accessing AppXtender Web Access

There are two options to gaining access to AppXtender Web Access either by logging on to Banner or direct access using a URL. Below list the steps for both options.

To log into AppXtender Web Access from Banner:

1. Log into Banner using the following URL: https://banweb.eku.edu/forms/frmservlet?config=prod

2. Enter username and password in Banner Logon screen

3. Click Connect

4. Click on Banner XtenderSolutions icon

5. If you are within a form search for a document your query will appear. If you are not within a form and click the XtenderSolutions icon a message will return “Document Not Found”. Click OK to query more results.

To log into AppXtender Web Access using a URL:

1. Log into AppXtender Web Access using URL:

http://bdms-app-prod/AppXtender/Login.aspx?IgnoreNTAutoLogin=True

2. The Application Xtender Web Access login will appear. Enter your Banner user name and password.

3. Click Login

4. The Application screen will display. Your screen may contain different

application folders based on your role and access privileges.

Closing AppXtender Web Access

When you are ready to exit AppXtender Web Access program, you will want to use the logoff command to cleanly exit the program. Before you exit Web Access be sure to save any work you have done.

1. Click on the Logoff icon Or Click on the Menu Bar, select File, then Logout

Processing Areas Basic Functions

AppXtender Web Access is water down version of Document Manager. The Web Access can be used to do most of the same features as Document Manager. (index, import, export, search and print) The Processing areas will continue to use Document Manager as their means to index, import, export and print. There are a few differences Web Access vs. Document Manager:

• Web Access requires no software to be installed • Web Access can be used on any computer with a web portal • Web Access is using a browser can crash while processing documents

Viewing Page Numbers You can view the numbers of pages in an individual document or document batch. The page number is displayed at the bottom of the Document view window.

Viewing Batches

1. Right click on the application, select Batch Index (List)

Opening Batches With the Batch Index (List) open:

1. From the Current Application drop down window to select one of the available application

2. Click on the Open Batch for Indexing folder (yellow folder) of the batch you want to open

Assign Index Values for Documents

2. Right click on the application, select Batch Index (List)

3. Highlight a batch, left click

4. The index pane will open

5. Enter the Document ID, then tab (DO NOT USE the ENTER KEY) 6. Select the Document Type 7. Click Save 8. Additional pages within the batch can be added to the Document ID that is

being used to index by select Attach Page or Attach All from the

Index menu

Once all pages have been attached to the Document ID there are several options:

• If the batch still has additional pages to index select new Document from the Index menu

• If all pages have been indexed within the batch a window will appear asking what you want to do next

Indexing a Page to Previous Indexed Document

1. Right click on the application, select Batch Index (List)

2. Highlight a batch, left click

3. The index pane will open

4. Enter Document ID, on the Index toolbar choose Select Indexes

5. A window will appear with the Document ID that you entered. Click on the

Attach Page icon to add the page.

6. The batch index window will appear and allow the user to AttachPage ,

or Attach All Page (within a batch), or new document to continue

indexing the remaining pages in the batch . You can even modify

existing information if needed while on this page.

Import Batch

1. Highlight the application, right click select Batch Import

2. A New Batch Document pane will open. Select Application from drop down window, enter the Batch Name, Check Thin client upload box. Click Next

3. The Import New Page pane will open. Click on Browse

4. Navigate to the file(s) you want to import Highlight the file, then click Open Note: If the PDF files contains more than one image (page), the batch created by this method will enable you to index each document separately as required.

5. The Import New Page page will reappear with the File Path of the selected file. Click Upload

6. The images will load when completed click Cancel

7. To begin Indexing click New Document icon on the toolbar

Adding a Page

1. Right click on an application and select New Query

2. Enter the search criteria into the search value fields.

3. To run the query, click the Submit button 4. The matching documents will be retrieved. If there is more than one

Banner Doc Type a listing will appear.

5. Click on the Page Icon to view document.

6. The select document should display.

7. From the Document Display view menu, select Page Menu icon

8. Select New Page, then Import File, then choose one of the three options:

• Insert After – New page to be added as the next page in the document (after the currently displayed page.

• Insert Before – New page to be added as the previous page in the document (before the currently display page).

• Append – new page to be added as the last page in the document.

9. The Import File box appears, allowing selection of any file. Navigate to and select the file that you want to import and click Open.

Deleting Pages

1. Right click on an application and select New Query

2. Enter the search criteria into the search value fields.

3. To run the query, click the Submit button 4. The matching documents will be retrieved. If there is more than one

5. Click on the Page Icon to view document.

6. The select document should display.

7. From the Document Display view menu, select Page Menu icon

8. A prompt appears asking you to confirm the delete request

9. Click OK to clear the prompt and delete the page.

Deleting Batches

1. Highlight the application, right click select Batch Index (List)

2. Check mark batch you would like to delete

3. Select Delete Batch icon from the toolbar

4. Message pane will open and ask if you want to delete, click OK

5. The batch will disappear from the Batch Index (List) screen
