• This is the 1st in a series of Leadership Webinars.

• This webinar is being recorded and (hopefully) will be posted on our websites for you to review/share.

Continuing Education Credits and Barcode Utilization

• Continuing Education Credits are essential to our attendees and should be a goal for all of our training events.

• Training events that offer guaranteed CPE/CEC tend to have higher attendance than those that don’t guarantee or even offer CPE/CECs. (Please keep the your advertising/marketing deadline in mind when planning your event and submitting for CPE/CEC approval.)

• Utilizing the barcode scanners is a requirement when holding an event with CPE/CECs, including WaterJAM Workshops.



Definitions:

• CPE Credits – Continuing Professional Education Credits required for Water and Wastewater Operator license

• CEC – Continuing Education Credits required for Engineering license

In the planning phase of your event:

• When picking your theme/content for your event, consider what could be eligible for continuing education credits.

• Select speakers/presentations that match your theme.

• Once you have confirmed speakers/presentations, request either an abstract or presentation from each speaker, including their background and experience in the subject.



Complete the corresponding form (one for water credits, one for wastewater credits)



The form needs to include:• Date of the request• Submitted by• Conference name• Session Date and Time• Session Title• Speaker Name• Speaker’s Credentials• Category applied (from DPOR list)• Brief abstract• Requestor Signature

Continuing Education Credits and Barcode UtilizationTimeline:

• VWEA Continuing Education and Development Committee reviews submissions at their monthly meeting. Please be aware they meet the 3rd Wednesday of every month. You need to have your information submitted prior to the meeting in order to have it reviewed. Any information received after the meeting must wait for the next meeting.

• VAAWWA Education Committee reviews submissions as they are received. Please send them as soon as they are ready.

Approval process takes a minimum of 30 – 45 days. Please plan accordingly!



Barcode procedures

1.) Reserve the scanners – email [email protected] to request scanners for your event. Include the following in your email:

• Committee Name• Event Name• Date of Event• Number of Scanners needed• Event Planning Spreadsheet (if completed)• Contact name, email, and phone no. • Mailing address for the scanner shipment

You will receive an email from Geneva confirming the request.

2.) Complete the Event Planning Spreadsheet

3.) Scanner shipment – one week prior to the event, Geneva will send the scanner to the contact listed in the reservation request. The shipment will include:

• Number of Scanners requested• Batteries (including extras)• Written Instructions • Return shipping label

4.) Use the scanners at the event

• Review the written instructions prior to the event

• Scanning should take place at the end of each session

• Follow the Event Planning Spreadsheet for each session

5.) Return the Scanners to Geneva between 2-7 days after the event via Fedex using the return label.

6.) Send any of the following updates/changes immediately after the event:

• Event Planning Spreadsheet (change in sessions, speakers, times, approved credits, etc.)

• Attendees (on-site registrations, substitutions, or cancellations)

Barcode procedures7.) Within 2 – 4 weeks, you will receive an email asking you to review and confirm a draft transcript. Please review it thoroughly and promptly. Things to confirm are:

• Event title• Event Location• Event Date• Session Titles• Session Start/End Times• Approved credits for each session



Barcode procedures8.) After the approval has been received, Geneva will send out the official transcript to all attendees via email.

• The amount of time from the date of the event until the attendees receive their transcripts is 3 - 6 weeks. Please inform your attendees about this at your event so they know when to look for their transcripts.

• All transcripts are stored on a share site. If any attendee didn’t receive/lost their transcripts, we can resend them upon request. Please send an email to Kathy or Geneva to get them resent.
