Pre-School/Head Start Teacher Codes• Same scheduling process as elementary • Register codes,class and teacher ids different • All enrolled students should be scheduled into
at least one course• Once contract is established between
Headstart or DHHR collaborative the collaborative program is now considered part of the public school system and not a private site

Pre-K/Collaborative Teacher ID Codes
• Students enrolled in the school they will attend as kindergarten students.
• Class codes defined as EX (X= 1,5,6,7,8,9)• Register codes defined as CEX (X= 1,5,6,7,8,9)• Register codes are assigned FTE amounts• FTE field on student’s registration screen not
required• Register code must match the class code (Example:
E1 class must have CE1 register code on student record

The CEx chart applies to all WV Universal Pre-K children, collaborative or non-collaborative
*CE0 is used only for those who are not enrolled in a Universal Pre-K Classroom OR who are enrolled as a 3 year old Head Start child with an enrollment code of CE and an FTE value that is appropriate to the amount of time the child receives services.
• Full Time Equivalent (FTE) = 24 hrs/week• 4 days/week • 288 minutes per day• 6 hours per day minimum
– 5 days/week (mandated by 2016-17)• 288 minutes per day• 4.8 hours per day minimum
FTE Status
• 24 hours per week = 1.0 FTE• 22 hours per week = .9 FTE• 20 hours per week = .8 FTE• 17 hours per week = .7 FTE• 15 hours per week = .6 FTE• 14 hours per week = .5 FTE (Minimum program)• Note: If hours or instruction are not listed above, the
FTE is derived from the next lower level (Ex: 21 hours per week = .8 FTE
• Pre-K course code – 2610• 3 Year Old Head Start course code – 7805
(only for those non-collaborative programs which include no WV Universal Pre-K Children)

Who is counted for State Aid?
• Children at least 4 years old by September 1 • Children with disabilities who are 3 years old
• All Pre-K students should be enrolled in the “0XX” District
• Special needs students are not enrolled in the “RXX” District
• “RXX” District utilized only for students enrolled in private schools who come to the school system for services. (Private vs. “Collaborative”—2 different things with regard to WV Universal Pre-K language)
“R” District vs. “0XX” District
• Must still complete • Required for Pre-K Assessment (ELS) website
