Information Environment at Kyoto UniversityWelcome to Kyoto University. We can easily imagine that you are so excited about new life here at the most excellent environment for studies in Japan. Kyoto University provides you with Information Environment to support your activities ranging from studies to student life. This Start Guide assists you to easily capture the whole picture about Information Environment at Kyoto University and also to concisely understand the important points before using it.

The Student Account (a.k.a. ECS-ID) is an account to identify you at Kyoto University similar to IC Student ID provided by Kyoto University. By using this ECS-ID, you can use IT Systems and Services provided by IIMC, Library Schools and Graduate Schools. Entering your ECS-ID and Password identifies you. Besides, as for your IC Student ID, you can use not only as a physical identification but also as a digital identification to use for the entrance at facilities and for printing transcripts.

Use of Campus NetworkKyoto University has the Campus Network, KUINS, connected to not only main three campuses (Yoshida, Katsura and Uji) but also almost all facilities and small offices distributed from Hokkaido to Yakushima island in Japan. The KUINS enables us to communicate internally within campuses and also externally through the Internet. You can hook up to KUINS by using wired

connection via information sockets located at each room and also by using wireless connection via Wi-Fi access points equipped with the entire campus. In addition to them, you can use various services restricted to on-campus use by using VPN connections from outside campus.

Kyoto University’s Network and Security

Kyoto University's all campus network is called KUINS (Kyoto University Integrated information Network System) and covers not only Yoshida, Uji and Katsura campuses but also more than 100 small research labs, satellite offices scattered all over Japan. KUINS is used for internal communications and to access the

Internet. The internet connectivity is realized by two 10Gbps lines to SINET, the academic network to serve Japanese universities and research institutions. (Next year, we are going to increase the bandwidth to 100 Gbps in total).

The extent of KUINS Network

KUINS network consists of two logically different networks mainly for security reasons.One is called KUINS-II, in which global IP addresses are assigned to connected computers (most of them are servers). And one of the main uses of this network is to transmit Web pages by Web servers.The other is called KUINS-III and is used to connect PCs and printers through information sockets or mobile terminals through access

points. In this network private IP addresses are assigned, which is only valid within the local university network. You cannot go to the Internet directly from within this network and Proxy or NAT servers provide the connectivity.In almost all laboratories and offices all the necessary procedures are done by lab members. So if you connect your PC and mobile devices to the Internet, you are using KUINS-III.

KUINS-II and KUINS-III

Every room in all buildings within Kyoto University’s campuses is equipped with “information sockets” and connecting LAN cable to this socket is the only necessary action to use KUINS. There are two types of information sockets, yellow and green, and they are used to connect to KUINS-II and KUINS-III explained below.Also, almost all buildings are covered by wireless LAN. There are about 1,600 access points (AP) in Kyoto University. We have started three year’s expansion plan from 2014 fiscal year and we are on our way to replace old APs and to install new APs. By the end of 2016 fiscal year, all buildings will be covered by the latest 802.11ac compliant APs. Each AP, except some minor differences, broadcasts the following SSID:

・KUINS-Air (after ECS-ID or SPS-ID authentication, connect to KUINS-III)・eduroam (connect to the Internet by Eduroam account given to university members)・ISP’s WiFi services (If you have au, NTTdocomo or Softbank accounts, you can connect to Wi2_club, 0000docomo or mobilepoint2 respectively).

IDS does not guarantee 100% security of our university network. Although the Internet is a very useful tool, if you lack necessary precautions, you may get involved in unexpected security incidents. Moreover one person’s careless mistake may cause disastrous whole university security incidents. That is typical in the Internet. Therefore, each individual’s precaution is the most

important shield against attacks.Particularly an attached file of an e-mail or a suspicious Web site is very common place where malware hides itself. So one must make one’s eyes wide open and use e-mail and Web carefully. Also updating anti-virus software, OS (operating system) and applications is a must for everyone.

University-wide security depends on each person’s shoulder

Kyoto University has detailed security policies installed. Security policies consist of three layers: “Policy”, “Standard” and “Procedure”, gradually becoming concrete. You can consult them below:http://www.iimc.kyoto-u.ac.jp/en/services/ismo/use/regulation.htmlPeople often view security policies as cumbersome and these rules restrict free actions. But it is not. If one follows these rules, one is safer and be protected from annoying security incidents.

These policies include guidelines for making strong passwords, guidelines for installing wireless LAN access points, so please have a look.If you have something to report, questions or request for consultation, please go to each faculty’s or lab’s security desk or security liaison. You can also consult the Information Security Management Office of IIMC (Use a mini-guide for contact info!)

Security Policy protects each user

P2P software is banned in Kyoto UniversityForeign students may ask why P2P software is banned in Kyoto University. There are good reasons. Many years ago, P2P software such as Winny was popular in Japan. But the main problem with P2P software at that time was that they encouraged distribution of illegal copy of music and video. Because P2P software has a function to share a file by general public, they are easily used for pirate copy distribution. If a student gets involved into this activity, irrespective of knowing or not knowing, he may be accused of criminal penalty. In a bad case, he may be ordered deportation. Another reason is that files shared by P2P software

are often contains malware and the chances to be affected by or to affect others by those malware increase if you use P2P software. Thus Kyoto University banned P2P software use in KUINS except for a special research purposes. Example of banned P2P software includes: BitTorrent, Winny, Xunlei, Edonkey, Share and WinMX.

To obtain illegal copy of software is criminalDo not hold of an illegal copy of software. Do not use it on your PC or mobile terminal. Follow this principle not only within the University, but also on your personal devices as well. If your use of illegal copy is found, you may be claimed damages. Or in

worst case, you may be fined or sentenced imprisonment.

Use SNS with care and moderationSNS, such as Facebook, Twitter and LINE, becomes indispensable communication tool today. But if you use them without considering the effects of what you post, you may be caught in a trouble. SNS is not strictly closed to your intimate friends, and your post may propagate to general public. Particularly important is not to slander others and not to propagate personal information by posting a photo. You may be sued for libel or defamation and fined.

Be careful!

Monitoring Network SecurityKyoto University’s network KUINS has an IDS (Intrusion Detection System) and it monitors all the communication coming-in and going-out, 24 hours a day, 365 days a year. If it finds out malware related suspicious communication, we request a security confirmation to a person responsible for the targeted machine. We do these requests day by day. In 2013 fiscal year, we did 170 requests, while in 2014 fiscal year it increased to 300 because of infamous Heartbleed and Shellshock. So our security confirmation activities occur once in one or two days!

It is possible to connect to the KUINS (KUINS-III) from outside, from your home, from other universities or when you are on your business trip (including abroad) by using VPN (Virtual Private Network). After the connection, one can browse Web pages available only within our university, and one can also use various university services. There are several VPN services, but most popular one is “PPTP service”. PPTP is available on Windows PC, Mac, iPhone and Android terminals. You can directly access your lab’s machines (printer, servers etc.) by using “PPTP fixed VLAN connection service”. Limitedtime

Single sign-on using ECS-IDBefore using various ICT services on Kyoto university, each person is authenticated by ID and password. ID is given to each person as ECS-ID (and faculty and staff uses different ID called SPS-ID). This single ID is enough to use mail, library service (KULINE), OSL and CALL classroom for language learning. To avoid to input ID and password each time, single sign-on is provided for

most services. There are a few services which does not provode sigle sign on, but it will soon be available.

Password is importantSingle sign-on security is protected by your password which you created when you are given ECS-ID. Password is like a key of your house or your room. Make your password right and strong and keep it secret to others. It is not so difficult to create a

strong password. Just combine various characters (uppercase and lowercase alphabets, numerals and symbols) and make it long (at least 8 characters long). Avoid to use easy words you can find in an ordinary dictionary. Remember how you created your password so that you can re-create one when you forget it.

Two Things To Do Immediately After Guidance!

❶ Activation of Student Account ECS-ID

Your home school or department hands over “Student Account Notification” during beginning days at Kyoto University. Your ECS-ID and Activation Key are written in the notification.The activation key is only used for this procedure.Please complete by the expire date of activation key written in the notification.

Receive “Student Account Notification”

You can input your ECS-ID, Activation Key and Password in “Student Account Activation” page.Before inputing Password, please carefully read the instruction〈How To Choose Your Password〉 below.

Access to “Account Management”https://ecs.iimc.kyoto-u.ac.jp/

It takes about one hour to be enabled your ECS-ID and Password after activation.

Completed

You cannot use any facilities, network, IT systems and services introduced above until you activate your ECS-ID. As the result, you may not be able to register and/or take your classes so that you must complete the procedure of activation by the expire date written in “Student Account Notification”.

〈When Your Activation Period Has Been Expired〉You need to extend the period of activation. Please come to the nearest Service Window with your IC Student ID.

〈How To Choose Your Password〉We identify you by using password so that you must carefully choose your password as follows:・ Long (more than eight characters) as much as possible・ Mixed (upper and lower characters, numbers, symbols and so on) as many as possible・ Not easily guessedFor example, you could memorize a meaningless word based on a mnemonic phrase. Also, you could combine some components.Please choose your password by your own secret way without writing down on paper!
