1 Registration

1.1 First, visit the OJS-Homepage (http://www.wi-inf.uni-due.de/ojs) to

register. Use the link “Register” on the left menu panel to create a new user account.

Note General the support contact will set up the user profiles for the editors.

New editors will be asked to register themselves. After the registration the standard user profile has to be enrolled. Thus, the support has to be contacted in order to assign the appropriate rights.

1.2 To register to OJS fill in the required data into the form sheet. After this step

the new user will be logged in automatically.

2 Submission handling

2.1 Log into OJS. Follow the “Editor” link (1) to lead the review and editing

process of the EMISA journal. From the menu panel on the left it is always possible to return to the “User Home” (2). “User Home” offers the options to adapt profile, change the password or log out (3). If the account is assigned to more then one roll more than one roll is listed, e.g. Reviewer or Author (4). The user is able to switch between them.

2.2 Editors get overview over submissions and issues. In this example

walkthrough standard review and editing process will execute. Press the “Unassigned” link to proceed. The number behind the link shows the number of unassigned submitted articles.

2.3 All unassigned articles are listed at this page. Click on the “Title” link to

assign editor(s) and reviewer(s) to the submission.

2.4 The summary page gives an overview of chosen submission. User can

assign the submission to a responsible editor. It is possible to assign submission’s responsibility to another editor or to oneself.

Note In our case it is not targeted to use the role of the “Section Editor”.

2.5 Use the “Assign” link to allocate another editor to the submitted paper.

2.6 The assigned editor has the task to allocate one ore more reviewers to the

submission process. Press on the “Review” link (1) and after this step click the “Select Reviewer” link (2). Assignment of reviewers to submission is similar to step 2.5. Make supplement files available to reviewers, fill in the “Present file to reviewers” checkbox and press the “Record” button (3).

Note To save a blind review process make sure that the content (article and

supp. files) are unsuggestive of the author(s) name and background..

2.7 After editor has assigned a reviewer to the submission press the

willingness’ button.

Note Follow steps (2.7 till 2.10) will repeated in similarly form in the

submission process.

2.8 Press the “Send” button to finish request.

Note Pressing “Skip Email” button will go on in the process without briefing

the reviewer via email. .

2.9 After requesting editor have to await the answer of the reviewer. Due date

of this decision is changeable by pressing the date link.

2.10 If a reviewer has accepted the assignment he has to upload the review.

Afterwards the editor will be able to read the review (1) and finally acknowledge this (2).

2.11 To close the review process editor has to make a decision. Use the

combobox to choose one of the given decisions and press “Record Decision” button to finish the reviewing process. By selecting “Accept Submission” the submission will enter the “In Editing” phase.

2.12 The “Editing” page is subdivided into four parts: A part for copyediting to

correct content (optional), one for layout, a part for a final proofreading (optional) and at last one for scheduling the article in the publishing process. By pressing the “Complete” link optional steps are able to be skipped.

Note Work of the copyeditor will be undertaken by the editor.

2.13 Because the first three steps are very similar, only the layout step will be

exemplified. A simple layout step consists of four tasks: “Assign Layout Editor” (1), chooses the file the layout editor shall handle (2) and “Request” (3) the willingness to edit the file. After the layout editor has handled the article file, editor finally can acknowledge this (4).

2.14 To complete editing process the editor has to schedule the article for

publication. Use the combobox to choose in which issue the article should be shown up. Finally press “Record” button to complete the form. After this step the article will be found under “Archives” or the assigned issue.

3 Delete submission

3.1 If the article is unpublished it can be deleted only by changing its current

status (1). Open the “Summary” page and move the paper to the archive (3). In the archive overview (4) the paper can be deleted.

3.2 If the article is published open it can be deleted by executing the following

steps. First, the article has to be selected and unsigned from its issue, i.e. unsign the schedule of the publication. Afterwards open the “Summary” page and follow the instruction in 3.1 from step (2) till (4).
