There have been lots of changes since we became Shropshire Community Health NHS Trust in July 2011 and The Learning and Development Team would like to thank all staff for their patience during the transition period and share with you the mandatory training journey so far. When the two former PCTs became one Trust in July 2011 we had: Different booking systems, processes and learning management systems (LMS). Different mandatory training matrices. Different teams joining together (the former TW DEL Service; the IT Training team based at Oxon and the former SCPCT Learning & Development team). This presented us with a number of challenges and opportunities which included: Creating a single Learning & Development Team to manage the delivery of all training courses be they mandatory; IT or clinical system related; team-building; project management; professional development Migrating to one Learning Management System (Oracle Learning Management System= OLM) within ESR ( Electronic Staff Record) Creating a unified mandatory training matrix Planning and managing NHS Telford and Wrekin and Shropshire County PCT training and development requirements in addition to those of the new community Trust. To date we are pleased to say that we have already achieved the following: Implementing one booking process for all mandatory training courses. Using a single OLM platform for storing all staff training records. Publishing guidelines on the Learning & Development website to help staff book onto training; including Frequently Asked Questions (FAQs) to answer some of the common queries being raised. Scheduling e-learning support sessions for staff; both at Oxon and in their own workplaces. Recruiting several e-learning champions to support staff when accessing e-learning in their workplace. The new combined mandatory training matrix was published in January 2012. There is an ongoing piece of work to create (30+) quick reference guides for staff groups; helping them to identify the specific mandatory training they need to undertake. Looking to the future, we are very excited about improvements that are still to be made. By the autumn there will be regular mandatory training reports issued to managers and employees. This will allow managers and their staff to keep track of mandatory training compliance. Starting this summer, ESR self-service booking will be implemented across the Trust, starting with managers. This will allow staff to book directly onto training with managers authorising training requests though the leaning management system. How to Book Mandatory Training Courses

IMPORTANT: Face to Face Courses must be booked using the Online Booking Form via Staff Zone; E-Learning must be accessed and self-enrolled via ESR/OLM

A. Look at Training Matrix B. Face to Face Training Bookings C. Access to e-Learning

Firstly, you need to look at the Mandatory Training Matrix for your staff group to establish what Manda-tory Training Requirements you must undertake and the frequency. 1) Go to website http://www.shropshire.nhs.uk/

shropscommunityhealth/ 2) Click on Staff Learning & Development in the

Staff Zone section 3) Click on Learning Activities (Mandatory); then

click on All Staff

Click to see the Full Matrix (by Topic) or the Quick Reference Guide (overview by Staff Group)

Note: Work is currently underway to simplify the Mandatory Training Matrix for staff groups; it will be published when available.

You should book Face to Face (Instructor Led) training via the online booking form:

Either … Find courses offered via the A-Z (by Topic), please scroll to bottom of page and click Book Now.

Or … Click on the Training Calendar for a list of courses in date order; click the ± button to move between months

3) Once you have logged in, click onto the e-Learning User link:

How to Access e-Learning in ESR/OLM

IMPORTANT: Please check that the PC you are using has the correct software installed by clicking this link: http://www.esrsupport.co.uk/nlms/pccheck.html

1. Click on the NHS E-Learning icon on your desktop to launch e-Learning (if not showing please contact IT Helpdesk 0800 1814050)

If you have a Smartcard, activate it first in the card reader and then click Login to e-Learning using a Smartcard;

Otherwise, please Login to the system by clicking on the Login to e-Learning with a username and password link (L&D Team can reset password if required 01743 276677).

2. The first time you log in with a username, you will need to change your password. It must be a minimum of 6 letters and numbers.

3. Once you have logged in, click onto the appropriate e-Learning User link:

2. Click onto the yellow briefcase icon against the course to enrol onto it

Click the Apply button on the right of the screen.

Note: A confirmation message will display

towards the top of the screen and the course will

be added to your list. Please note that only five

courses are displayed on screen at a time, so if

your new course hasn’t appeared you may have

to use the button to find it.

To play the course, please use section C of these

instructions.

Important: You only have to enrol on the course once for it

to be available for you to play.

1. Find the course you have enrolled upon in the list.

You may have to use the button as

only five courses at a time are displayed on the screen.

2. Click the Play button which is to the right of the course name.

Important: If there are any security warnings, it is vital that you follow the instructions on the next page.

3. In Outline panel on left, you must click + to expand the menus to show l nodes and follow instructions to successfully complete each module of the e-Learning

4. You must click the Home icon at the top right of the screen when you have finished to ensure that your training has been recorded correctly.

5. You don’t have to complete the whole course in one go, you can click Home icon at any time and Play it later to carry on from where you left off.

Please Note: Instructions for eLearning will be different depending upon who has created it, however, if not showing as complete, you need to ensure that l icon is fully coloured for each module (if available), if not go back to 3) Outline panel and click + once to see more.

Important: Steps to follow if you get security warning messages on your screen

When accessing a module if you see the security message opposite, please press Yes to ensure that all of the content displays correctly.

For each of the security messages opposite, ensure that you tick the “Always trust content from this publisher” box and then press either Run or Yes as appropriate.

For the following message opposite, it is vital that you answer No to ensure that your certificate is able to print and your successful completion of the module has been recorded into the system.

Can I use e-KSF or AT-Learning for booking onto training courses or enrolling onto e-Learning?

No, e-KSF ended on 17 March 2012 and AT -Learning access ceased at the same time; all staff must now use ESR/OLM for course bookings either via self-enrolment for eLearning or via online booking form for classroom training. For further information contact Learning & Development Team 01743 276677

How do I book onto Instructor Led / Classroom / Face to Face courses?

Follow the user guide “How to Book Mandatory Training Courses” (download from the Staff Learning & Development via Staff Zone on the website).

Why can’t I ‘Submit’ my booking form?

Ensure all boxes are completed correctly. E.g. when entering the times you must use a colon instead of a dot i.e. From 09:15 to 12:30

How do I know if my booking form has been submitted online?

After completion of the booking form, click the ‘Submit’ button and an on-screen response will appear.

What happens after my booking form has been submitted?

Once received in the Training inbox, your manager is sent an email requesting their Approval. You will be copied into this email. Please ensure you enter your manager’s email address correctly. Once approved, your booking will be processed and your place reserved

What happens if a course is cancelled?

If you are definitely booked onto a course and have received a reservation email, you will be informed via email of any changes such as cancellation or change of venue. You should regularly check your inbox in case the unforeseen happens and changes have to made at short notice.

If I am not part of the new Trust do I still use the online booking form?

Yes, all staff whether PCT, Nursing Homes or external trainees should use the online booking form now to book on face to face (instructor led) courses

Which e-learning prefix should I use?

Shropshire Community Health employees should use the 825 prefix. NHS Telford and Wrekin employees should use the 791 prefix. Shropshire County employees should use the 776 prefix.

Yes, these are people around the Trust who have training so that they can assist their colleagues in completion of their e-learning and common problems encountered.

I am an existing PCT staff member, how do I access my e-learning?

You will be able to access e-learning immediately, please contact the Learning & Development Team to request a user name and password

I have a username to access ESR/OLM but I have forgot-ten my password?

I have a smartcard but I can-not access anything (PAS or e-Learning)?

Please contact the RA Team via the IT Service Desk 0800 1814050

I can access PAS e.g. Lo-renzo / HSW with my Smart-card, but I can’t access the e-learning? I get an 007 error message

Meet the team

Jay Caton - Head of Organisational Development A seasoned clinician, having joined the NHS in 1983 in the acute primary and strategic sectors, Jay’s responsibilities now centre around developing the skills of the Trust’s staff. In order to do this Jay engages at a strategic level to ensure that the Trust identifies and accesses funds to enable a quality service provision. Jay passionately believes that the impact of the good quality training and development we provide for the service cannot be underestimated. Jay’s spare time is divided between caring for her three cats and renovating her 150 year old barn in France.

Richard Pearce—Senior IT Specialist Trainer. Richard trained as a Royal Air Force technician serving 19 years before becoming an IT support technician. A member of the Learning and Performance Institute, Richard specialises in Microsoft Access and Visual Basic for Applications (VBA), and his responsibilities also include training on the Trust’s clinical systems such as Lorenzo as well as the Microsoft suite of software such as Word, Excel, Project and Visio. If Richard were not in his current job he would most likely be a landscape photographer as Richards’s hobbies include photography and astronomy. Richard considers his training style to be relaxed and humorous.

Deborah Hammond — IT Training Manager A member of the Learning and Performance Institute, Deborah is responsible for managing the IT Training part of the Learning & Development Team which delivers all IT and clinical systems training as a shared service across Shropshire County PCT, NHS Telford and Wrekin as well as our own Trust. Deborah passionately believes that all staff should have access to the IT tools they need. A qualified teacher and Headteacher, Deborah was also a computer programmer for Barclays Bank. If she weren’t in this profession she would continue to develop her skills building show gardens at Royal Horticultural Society shows such as Chelsea.

Lucy Jones – OD Learning and Development Administrator Lucy joined the NHS 9 years ago, during which time she has worked with a number of different training systems, which have presented their own unique challenges but helped improve our service. Lucy’s role within the team is to assist in organising the mandatory training programme for staff, and ensure that the booking process runs as smoothly as possible. Lucy takes a special interest in the Corporate Induction Programme for new staff and normally attends on the day. Lucy is also on hand to help staff with e-learning and other training related queries and has an HNC in Business Administration and a Diploma in Health and Social Care.

Meet the team

Kitty Rowley (née Briggs) Business Support Administrator Kitty joined the NHS three years ago. Kitty originally graduated with a Degree in Zoology, then worked for a number of years as a paralegal. Kitty’s areas of work include being responsible for IT course schedules and bookings, as well as supporting business development. If Kitty could choose another profession, she would love to run her own delicatessen.

Stephen Doolan Senior IT Specialist Trainer Stephen started his career in the NHS as part of the LifeLong learning team. He has a BSc in computing, is a PRINCE2 qualified Project Management Practitioner and a Microsoft Office Specialist Master instructor. A member of the Learning and Performance Institute, Stephen predominantly trains in clinical systems such as TPP SystmOne, and the Microsoft Office suite of software. Prior to joining the NHS Stephen worked for Royal Mail in a number of operational roles over 21 years. If Stephen were to pursue another profession he would happily be an electrician or building surveyor.

Sarah Edwards Senior IT Specialist Trainer. A member of the Learning and Performance Institute, Sarah joined the NHS eight years ago, having previously run her own business, worked in banking and computer businesses and travelled extensively overseas. A qualified PRINCE2 project management practitioner and Microsoft Office Specialist Master Instructor, Sarah is responsible for delivering Project Management, Essential IT Skills, Microsoft Academy, and SystmOne Prisons training. Outside work Sarah is involved in a local pony club and a dairy farm. If Sarah could choose any other career, she would be an explorer!

Sylvia Jones OD Learning and Development Administrator. Sylvia joined the NHS more than five years ago and is primarily responsible for organising mandatory and bespoke training for staff and administering the learning management system (OLM) across the Trust and local PCT’s. Prior to joining the NHS, Sylvia held a number of administrative positions within the private sector and holds qualifications in RSA, ECDL, Microsoft Office and is proficient on various web based databases. In her spare time, Sylvia enjoys reading, walking and pub quizzes. If she could choose another career she go for the Citizens Advice Bureau.

Meet the team

Nicki Littleford Senior IT Specialist Trainer Nicki joined the NHS in 2000. A mem-ber of the Institute of Learning and Performance Management, Nicki’s areas of responsibility in-clude the clinical systems Lorenzo, SystmOne, Health Solution Wales (HSW) and Emis. Nicki also provides training on Microsoft Office applica-tions such as Word, Excel, PowerPoint and Publisher and conflict resolution. A qualified NVQ assessor, Nicki has worked in the prison service, hospi-tality and as a business management consultant. Nicki believes the best thing about her job is the people she meets. Nicky’s hobbies include pho-tography, walking and genealogy .

Sandy Hill Senior IT Specialist Trainer. Sandy brings with her a variety of commercial experience from the Royal Air Force, the banking, oil and manufacturing industries. Employed by the NHS for the last six years, Sandy is primarily responsible for training Lorenzo and Lilie systems and Microsoft Office applications. Recently Sandy has added the Certified Online Learning Facilitator (COLF) distance learning qualification to her remit. A member of the Institute of Learning and Performance Management, Sandy is a PRINCE2 practitioner and has qualifications in Microsoft Office, e-learning, Business and Finance, customer service and web design.

Sonia Orr Organisational Development Facilitator. Sonia joined the NHS three years ago. A member of the Institute of Learning and Performance Management as well as the Institute of Leadership and Management she is responsible for facilitating team building, coaching and mentoring, communication and leadership programmes. Prior to the NHS Sonia spent a number of years as a lecturer and has qualifications in higher education, Training, HRM and Performance Management and is a qualified Myers Briggs feedback facilitator as well as a NHS Leadership Framework Feedback facilitator. If Sonia had chosen any other career, she would have liked to have been a reporter.

At Mercian House, Oxon, Shrewsbury,

we provide training on a range of

clinical and non-clinical IT systems in

use within our Trust, the prison service,

the PCTs and GP practices. We also

provide Microsoft Office skills and

Project Management training as well as

offering drop-in practice sessions for

staff to enhance their IT skills.

Kitty Briggs co-ordinates all IT training

activities delivered out of Mercian

House.

Workforce development is provided by

Sonia Orr who offers facilitation and

support for both mandatory and non-

mandatory subjects. These include:

Leadership Development Programmes;

Personal Development courses;

Effective Communication training and

Team Building sessions.

Administration support for this area of

the team is provided by Sylvia Jones,

Lucy Jones and Rachael Burdon who

manage the mandatory and non-

mandatory training systems, coordinate

the delivery of non IT training activities

as well as providing advice and support

to staff.
