What is a Portfolio?

A portfolio is a carefully selected collection of artifacts used to show an individual's growth, capabilities, competencies, and experiences. Portfolio artifacts may include: text files, multi-media files, descriptions of experiences, reflections, journal entries, work experience, skills, learning objectives, learning goals and more. A portfolio owner (e.g., student) can create an unlimited number of portfolios that can be organized and displayed according to purpose and / or audience.

Organizing the Portfolios

Prepared by CEBS

15

How can I organize the portfolios to which I have been granted access? As reviewers are granted access to multiple portfolios, they may find navigating among the portfolios becomes cumbersome. Several options for organizing the portfolios are provided in iWebfolio, including the following:

•Creating folders in which new portfolios will be automatically placed, based on the template used to create the portfolio

•Creating folders and manually moving portfolios from the default folder to the new folders

•Removing reviewer access to a portfolio, which eliminates the portfolio from the reviewer’s list of portfolios for review.

Folder Management

Prepared by CEBS

16

What are 'Folders' and why should I use them?

Folders are collections of portfolios to which a reviewer has been granted access. Portfolio reviewers who have iWebfolio reviewer accounts may create folders to organize portfolios for review. Placing portfolios into folders allows the reviewer to organize the way in which portfolios are presented when reviewers log in to their reviewer accounts. Reviewers may choose, for example, to automatically place all portfolios created using a specific template into a specific folder. By default, all reviewers have a "Default Folder" for portfolios not placed into another folder.

17

How do I create a new 'Folder’? • You can use folders to keep portfolios organized

within iWebfolio just as you do on your PC.Step 1: Click ‘Portfolios for Review’ tab.Step 2: Click the ‘New Folder’ link Step 3: A popup window will appear prompting you for the folder name. Enter the folder name and click ‘Add Folder’

• Reviewers may move portfolios from one folder to another either automatically or manually. New portfolios may be automatically placed into a folder by associating a specific template with a folder. Sometimes, however, the reviewer will want to move existing portfolios or will want to place portfolios that are not based on a template into a specific folder. Step 1: Under the “Portfolios for Review.” Step 2: Click the “Manage Folders” link. Step 3: Select a source folder and a destination folder from the drop-down menus. Step 4: Lists of portfolios currently located in the source folder and the destination folder will be displayed. Step 5: Select the portfolios you wish to move from the source folder. Step 6: Click the “move” button.

Step 1: Under the “Portfolios for Review”, click on the folder you would like all portfolios based on a particular template to go into. Step 2: Select a folder or create a new folder. (See “How do I create a new folder?”) Step 3: Click the “Edit Folder” link. Step 4: Click the “Templates” tab. Step 5: A list of templates will be displayed. Step 6: Click the “Add” link.

iWebfolio will not permit a reviewer to delete a folder until all portfolios have been moved or until the reviewer has removed access to the portfolios. You may not delete a default folder.

Locked Portfolios

Prepared by CEBS

22

What is a locked portfolio? A reviewer may wish to use the “locking” feature in iWebfolio

when portfolios must be submitted for review by a particular date or time. When a portfolio is locked, a “time stamp” is placed on the portfolio indicating when it was locked.

Locking the portfolio also prohibits the owner from editing or changing the portfolio until it is unlocked by the reviewer.

How do I unlock a portfolio that has been locked? The reviewer must unlock the portfolio to permit the owner to add

artifacts to the portfolio or edit the portfolio in any way. • Under “Portfolios for Review” tab.• Click on the folder containing the portfolio you wish to unlock • Click on the “Unlock” link next to the portfolio you wish to unlock

Feedback Basics

Prepared by CEBS

25

Feedback received from the reviewer helps the portfolio owner improve the portfolio and the artifacts it contains. Communication from the reviewer to the owner may also encourage the owner to reflect on the processes and products involved in creating a portfolio.

26

Under “Portfolios for Review tab.” Step 1: Click on the folder containing the portfolio you wish to

review. Step 2: Click on the “Review” link next to that portfolio. Step 3: Click on the ‘Add Feedback’ in the bottom right

hand of the screen. Feedback may have been disabled for specific items via the template used to create the portfolio. You will see ‘Feedback not permitted here’ if feedback has been disabled for the item you are viewing. To provide feedback on the entire portfolio, rather than one item in a portfolio, click the name of the portfolio at the top of the screen.

Step 4: If a measure was associated with the portfolio, you will be able to complete the defined measure. Otherwise you can enter your own rating and narrative feedback. The ‘Release Date’ will determine the date the feedback is available to the owner of the portfolio. The ‘Feedback Type’ will determine who else can see the feedback you give to the portfolio owner. If you choose ‘Public’ anyone else with permissions to the portfolio can view your feedback. If you choose ‘Private’, only the owner of the portfolio will be able to view the feedback. If you choose ‘Public Affiliated’ other reviewers affiliated with your institution can view your feedback. Topics

28

What type of feedback can I give on a portfolio?

Reviewers may provide several forms of feedback to portfolio owners. Narrative comments may be provided on the portfolio as a whole or on individual artifacts within the portfolio. Feedback may be provided using ratings on rubrics or a simple scale. Reviewers may also attach files or link web addresses to the portfolio in order to provide examples or additional suggestions to the owner.
