Italian Visa Workshop

For Florence Academic Year and Fall Only Students

2018-2019

Italian Visa Application Process

1. Collect all application materials

2. Submit all materials to the IP Office

3. The IP Office will submit visa materials to the Italian Consulate

4. The IP Office will return your passport and Italian visa to you by mail

Visa Application Materials

Part 1: due March 29, 2018

1) 2 Passport Photos

2) Passport Copy

3) Copy of Identification

4) Passport Authorization Form

5) Self-Addressed Envelope

6) Flight Itinerary (provided by the IP Office for group flight students)

Part 2: due April 20, 2018

1) Passport

2) Complete Visa Application Form

3) Financial Guarantee Letter (pick 1 of 3 Options)

a) Affidavit of Financial Support (if being supported by your parents)

4) Affidavit of Health Insurance Coverage

5) Visa Fee (money order)

6) Pepperdine Entry Letter (provided by the IP Office)

Part 3: due by May 17, 2018

1) Actual passport (if not previously submitted)

1) 2 Passport Photos (obtain 4 total) (Part

1)● 4 total (2 for application and 2 for emergency packet)

● Must be identical copies

● Must be taken by a business that offers this services:

○ CVS, Walmart, Costco, Walgreens

● Paste or glue one photo on the upper right-hand corner of the application in the box titled

“photograph,” and paper clip the other on the front of the visa application on the left-hand

side.

● Examples of acceptable photos:

2) Passport Copy (Part 1)

● Clear, color copy

● Although you provide your actual passport,

you must provide a copy as well

3) Copy of Identification (Part 1)

● A copy of your Driver’s License and Pepperdine ID

○ Can be on the same page

○ Driver’s License: Front and back side

○ Pepperdine ID: Front side only

4) Passport Authorization Form (Part 1)

● Must be signed and completed

● Does not need to be notarized

● This gives the Consulate

permission to send your passport

back to IP so we can check for

errors before mailing it to you

5) Self-Addressed Envelope (Part 1)

After the Consulate returns your passports (with Italian visas) to the IP

Office, we will return it to you by mail.

● Must be self-addressed

● UPS, FedEx, or USPS Priority Mail only (no P.O. boxes unless using

USPS)

● Envelope must have a PAID tracking number

● Envelope must have PAID postage

6) Flight Itinerary (Part 1)

● IP Office will provide this for exempt and group flight students for the

purpose of the visa application

● Flight exempt: If different arrival or departure dates, please provide us

with your itinerary

Part II

1) Actual Passport (Part 2)

● Must be valid at least 6 months after return

○ Fall Only students: through June 2019

○ Academic year students: through October 2019

● Must be the same passport you will use when traveling to Italy

2) Visa Application Form (Part 2)

● Must be complete

● Must be notarized (do not sign or date until you are in front of the

notary)

● European-style of date (day - month - year)

3) Financial Guarantee Letter (3 Options) (Part 2)

You must prove that you have access to at least $1,000 for every month you will be abroad (Semester

Only: $4,000; Academic Year: $8,000)

1. A letter from your bank

● Bank statements are not sufficient

● Must be printed on bank letterhead and signed by bank official

2. A letter from the Office of Financial Aid

● If you receive scholarships or grants (not loans) totaling above the specified amount

3. A letter from your parents’ or guardians’ bank

● Bank statements are not sufficient

● Must be printed on bank letterhead and signed by a bank official

● Must also submit 2 color copies of parent(s)’ passport (whoever is listed on the bank

account)

● If you select this option, you must also submit a notarized Affidavit of Financial

Support

Option 1: Bank Letter

“Per client’s request, we are releasing the following account

information below. Accounts ending in 4567 (Checking)

and 8765 (Savings) are currently open and active. These

funds prove financial support for the student during the

time period spent studying abroad. Please contact account

holder if additional information concerning this account is

required.

Option 2: Letter from Office of Financial Aid

● Complete “Pepperdine University

Financial Aid Letter

Request-International Programs”

● Turn in form to OneStop

● Please allow two weeks for the office to

generate your letter

Option 3: Letter from Parent’s Bank

● Bank statements are not sufficient

● Must be printed on bank letterhead and signed by a bank official

● Must also submit 2 color copies of parent(s)’ passport (whoever is listed

on the bank account)

Affidavit of Financial Support (only required if choose Option 3)

● Must be notarized (do not sign until

in front of notary)

● If both parents are listed as account

holders on bank letter, both must

complete their own Affidavit of

Financial Support

4) Affidavit of Health Insurance Coverage (Part 2)

● Must be complete and signed

● Must be notarized (do not sign

until in front of notary)

5) Visa Fee (money order) (Part 2)

● The fee changes quarterly

● The most up-to-date fee will be sent to you a week prior to the Visa

Application Deadline

● Must be a money order or cashier’s check made payable to:

○ The Consulate General of Italy

6) Pepperdine Entry Letter (2 copies) (Part 2)

● If on the group flight, we will provide this document.

● If you are flight exempt, you must provide your own flight itinerary that

shows your specific departure and return flight.

Part III: Actual Passport

● If you do not turn your passport in to the IP Office by April 20th, you

must deliver or mail it to the office by May 17th.

Important Dates

May 17, 2018: Part 3 (passport) due unless previously delivered to IP Office

July: IP will mail passport w/ Italian visa to students

Independent Visa Process

● Already scheduled plans to travel or will need passport from May 17 to

mid-August

● Non-U.S. passport holder
