Matrix Institute of Information Technology (Pvt.) Ltd,
No. 279/3, Galle Road,
Colombo 04.
Is an institute which conducts BCS, BIT, ACS, ICDL, some external degree programs of
foreign universities and some job oriented courses like SCJP, MCTS, etc.,
Is a private limited company which governed by a director board of 4 directors.
They gather and discuss about the company process & its portfolios monthly or may beweekly and about promoting the institute.
There is a CEO (head of the director board)
Mainly information flows starting from directors, then to coordinators (which assignedfor different course programs), then to instructors & to tutors, finally to minor staff
(including receptionists)
There are visiting lecturers who conduct lectures of several courses programsThere are internal lecturers (Coordinators, Instructors, tutors) who conduct lectures as
well.

Student registration
When student come for registering to a course, he/she given a form to provide personal &
registration details (on expected course of registration)
When receptionist receive completed form, they enter all details to a fully automated
Institute system with relevant discounts (which only offered for undergraduates of local
universities), system will generate relevant course fee and payment scheme which acceptpayments in full or in installment basis.
Payments will be accepted in cash or in Cheque or in credit cards.
Finally computer generated receipt will be given to the student with confirming the
registration.

Handling Library Transactions
Handles library members, library deposits (every members has to provide specified
amount for validating membership), Membership fees, Lending, Returns, Fines charged
due to late returns

These two systems use two separate databases which implemented on asingle separate server (which isolated from internal LAN used for computer
labs) for implementing high security. But those databases are interconnectedand library member being a registered student is a must.
Databases are backed up each day after closing all transaction of the day.

Suggestions for improving IT infrastructure
1) Use current system to forecast future failure or improvements of income
2) Generate more graphical reports with analyzing past income of the company withmore details
3) Use interconnected network structure on Automated Institute System with highsecurity for handling students user logins in the computer lab with
interconnection of registration(if so user login will be created just after student is
registered to a new course for using computer lab)
4) Use library system and registration system interconnected with high securityfeatures(if so, when library membership is expired it will be notified in theregistration system when student come for paying his next installment)
5) Use attendance checking system with issuing barcode for each student(if so,notifications can be given on due payments, library late returns through the
system when he is attending the classes)
