I t’s just a part of me…it’s my choice I’m an administrative professional. It is part of who I am, not just what I do. It is not only a job, but a career

choice. A choice. I get to choose what I want to be, when I want to be it and where. What are you choosing to be? There are so many opportunities for you in the Denver chapter of the IAAP that I hope many of you are answering the call of Kandace Weaver to chair committees. It’s a part of you, too. You get so much more out of this group when you serve in it than just being a spectator. Even something as simple as writing an article for the newsletter. There is so much to be involved in. Join us wholeheartedly and make it a part of you. Everyone is different, and we want to see you embrace your uniqueness. Together we are a team, and we bring magic to our chapter. All of us, participating on the board or attending meetings. We can all be cohesive and mesh our styles together to make the Denver chapter as strong as ever. Join us. I know many of you are facing difficult times right now, and I want to make sure you know that I am available for you no matter what the need. Feel free to reach out to your fellow IAAP members. We’ve all had hard climbs in life and many of our experiences can help each other. Don’t be afraid to reach out. We’re here to catch you. Don’t forget to mark your calendars for our upcoming APW Event on Friday, April 29th and the CO-WY-MT Division meeting on June 2nd-5th at the Curtis Hotel in Denver. Administrative Professionals Day 2011

T he 2011 theme for Administrative Professionals Day is: This year, celebrate all office professionals.

For Administrative Professionals Day 2011, we’re veer-ing away from the traditional celebration of the day, which is centered on administrative professionals. The recession has hit everyone in the office. Downsizing has forced all of us to pull together and work harder, not just the administra-tive professionals in the workplace. IAAP recognizes the hard work and sacrifice from everyone.

This year, celebrate all office professionals.

About Administrative Professionals Week Since 1952, the International Association of Administra-tive Professionals has honored office workers by sponsoring Administrative Professionals Week. Today, it is one of the largest workplace observances outside of employee birth-days and major holidays. In the year 2000, IAAP announced a name change for Professional Secretaries Week and Professional Secretaries Day. The names were changed to Administrative Profes-sionals Week and Administrative Professionals Day to keep pace with changing job titles and expanding responsibilities of today’s administrative workforce. Over the years, Administrative Professionals Week has become one of the largest workplace observances. The event is celebrated worldwide, bringing together millions of people for community events, educational seminars and in-dividual corporate activities recognizing support staff. Today, there are more than 4.1 million secretaries and administrative assistants working in the United States, ac-cording to U.S. Department of Labor statistics, and 8.9 mil-lion people working in various administrative support roles. More than 475,000 administrative professionals are em-ployed in Canada. Millions more administrative profession-als work in offices all over the world. APW is always the last full week in April. In 2011, Administrative Professionals Week is April 24-30 with Administrative Professionals Day on Wednes-day, April 27.

CROWNE PLAZA DENVER INTERNATIONAL AIRPORT   HOW LONG HAVE YOU BEEN A MEMBER OF IAAP? I just became a member of IAAP in March, so the April meeting would be my second one. HOW DID YOU HEAR ABOUT IAAP? My Director of Sales wanted me to become a member of an Administrative Assistants Association and I came across IAAP online. WHERE DO YOU WORK? WHAT IS YOUR TITLE? TELL US A LITTLE BIT ABOUT YOUR JOB DUTIES. I work at the Crowne Plaza Denver International Airport. I have been here for six months as the Ex-ecutive Administrative Assistant, e.g. assisting not only the Sales Department, but all departments and Executives. I purchase all office supplies, including furniture, printers, mail, reader boards, member-ships and subscriptions, Priority Club Rewards, creation of PO-s for supplies, memberships, commis-sions, etc, file turnovers, assisting exclusively the Crowne Meetings Directors and the Director of Ca-tering and the Director of Sales. There are other various projects that I assist with all the time that I cannot think of. WHERE WERE YOU BORN? I was born in Sofia, Bulgaria. I came to US - Denver almost eight years ago. My family and I won a green card from the lottery, and we specifically came to Denver because my uncle was here and he helped us in the beginning. I do have a Masters Degree in Slavic Languages and Literatures from Sofia University and attended Metropolitan State College of Denver for three years here – no degree. TELL US A LITTLE BIT ABOUT YOU AND YOUR FAMILY I am single and have a Persian female cat – Kimmer. My parents, my sister, my uncle, and one of my grandmas are here. DO YOU HAVE ANY HOBBIES? I like to watch movies, listen to music. I do have a second part time job at K&G Fashion Superstore, so I don’t have much time for fun. WHAT IS YOUR DREAM IN LIFE? To keep growing as a person and in my career and to achieve excellence in what I do. DO YOU HAVE ANY PET PEEVES? Two faced people, dishonesty, cheating. Welcome, Irena, to the Denver Chapter IAAP! A Large and Growing Profession • 4.3 million administrative assistants and secretaries, along

with 1.4 million supervisors of office and administrative sup-port staff, were employed in the United States in 2010 (U.S. Dept. of Labor).

• Over 500,000 administrative professionals are employed in Canada (Statistics Canada).

• Nearly 500,000 administrative assistant and secretarial posi-tions will be added in the U.S. between 2008 and 2018, repre-senting growth of 11 percent. (U.S. Dept. of Labor)

Typical Duties of Today’s Administrative Professionals • Prepare documents, correspondence and presentations • Produce spreadsheet reports • Coordinate multiple schedules and calendars • Maintain computer files, directories and databases • Plan meetings and special events • Purchase office equipment and supplies and work with ven-

dors • Participate on/lead project teams • Interview, orient and supervise other staff • Research • Learn computer programs and train others in the office

Most Salaries Expected to Rise this Year While salaries took a hit last year due to the recession, this year most salaries in the administrative profession are showing a modest increase. However, those working in the areas of data entry, office services and reception are experiencing an average 1 percent decrease.

• $40,030 - Average 2008 annual earnings of U.S. executive secretaries and administrative assistants (U.S. Dept. of Labor)

• 2.5 percent - Expected average salary increase for an admin-istrative assistant in 2011 (OfficeTeam 2011 Salary Guide)

• 1.4 percent - Expected average salary increase of an entry-level administrative assistant (OfficeTeam 2011 Salary Guide)

OVERCOMING EMBARRASEMENTS AT WORK 

W hether it’s a foot-in-the-mouth faux pas, wardrobe malfunction, glaring error or dumb mistake,

we’ve all had embarrassing experiences at work. Although such moments can be humbling, it is pos-sible to bounce back, overcome the incident and gracefully move on. Following are some real‐life workplace bloop‐ers, recounted by executives interviewed by Of-ficeTeam, as well as advice for overcoming these types of slipups. Recovering from a Slip of the Tongue

“I answered the phone using the wrong company name.”

“I called my boss ‘my love’ by complete accident.”

It’s not uncommon to trip over your own tongue. When it happens, correct yourself, apolo-gize and laugh it off. Dwelling on the gaffe will only make matters worse. Avoid such blunders in the first place by slow-ing down, focusing on the subject at hand and tak-ing a few moments to organize your thoughts. If you feel rushed or nervous, a deep breath or two will help you regain your composure. Getting Past a Clothing Calamity

“My trousers tore in front of my team members.” “I conducted a training session with my zipper

down.” When issues arise with clothing, remain

calm and discreetly fix the problem. If others have noticed, a quick joke or light-hearted comment

could help diffuse any awkwardness. To prevent wardrobe malfunctions, check

your work attire for stains and tears before leaving the house. But also realize that a clothing calamity — such as spilled coffee on your blouse — can sometimes occur despite your best efforts.

Making Amends When a Mistake Involves Others

“I spilled coffee all over my boss.” “I sent an offer letter to the wrong candidate.”

When a mistake upsets or offends a colleague, client or customer, it’s essential that you immedi-ately own up to your gaffe. Do not minimize or make light of it; simply apologize and offer to cor-rect the situation, if possible. You may even want to follow up with those involved to explain the steps you’ll take to avoid a similar mistake in the future. To prevent such situations in general, don’t multitask or rush. People are more prone to mis-takes when they’re distracted, preoccupied or act-ing in haste.

***A note about food donations: In an effort to support the health of those served at The Gathering Place, they prefer organic, low-sodium, and low-fat food item donations whenever possible. According to the Colorado Health Foundation, two out of three Coloradoans will be obese by 2017 and will suffer from obesity related diseases. The likelihood that an individual will experience obesity triples when their family income is less than $25,000 a year. It seems that when it comes to enumerating things in a list, we often feel bound to add an “ly” to form the words firstly, secondly, lastly, etc. Let’s get out of

that habit. Although “firstly” is a word—an adverb meaning “in the first place”—it is awkward sounding and rather unprofes-sional. The Executive Board of the Denver Chapter International Association of Administrative Professionals (IAAP) began a tradition in l993 with an award presented each year to one outstanding member. This is a prestigious honor award so we ask you to give the process lots of thought and consider putting forth a nomination. Everyone in the Chapter is eligible to nominate a candidate.
