Before You Begin - What You Need to Succeed

Is your computer powerful enough? Does it have the power?

• You need a PC with either Windows 7, Windows 8, Windows 10, or a tablet with Windows 8* Pro. With any of these devices you need at least 1 GB RAM.

• Always plug in your laptop or notebook computer to a power source for best video quality.

• For detailed requirements, see the Technical Readiness guide available from eVisit (Videoconference) Help.

Audio & video devices - the right stuff!

• A speakerphone with “echo cancellation” or a headset is mandatory.

• Your camera should support ‘high definition’ (HD) video quality.

• For detailed requirements, see the Technical Readiness guide available from eVisit (Videoconference) Help.

• Ensure you have the most up-to-date drivers for your camera, speakers & microphone.

Do you have the right connections?

• When using a wired connection, you need a high-speed Internet service.

• When using a wireless connection, you need Wi-Fi or 4G-LTE service.

• Using a PC with an Internet Explorer or Chrome browser, you must successfully pass OTN’s Internet connectivity tests at networktest.otn.ca.

* Windows 8 in ‘desktop’ mode (i.e., do not use eVisit (Videoconference) in Tile/Start mode).

Installing the Plugin

1. Open a browser window, go to otnhub.ca and sign in.

A message appears at the top of the window, stating, “Warning - OTNhub requires a compatible Vidyo plugin...” which includes a Download link (Figure 1).

2. To begin installing the plugin, click the Download link* in the banner message.

An IE pop-up message appears, asking whether you want to Run or Save.

3. Click Run.

A VidyoWeb install pop-up might briefly appear as the plugin is installed.

Note: There is no “install complete” message. You can assume the install completed successfully if you do not receive an error message.

4. Refresh the browser window. (Click the Refresh link in the banner message or press F5 on your keyboard).

If the download message does not disappear after refreshing the browser, you might need to change your browser’s settings to enable plugins. See Troubleshooting Install Issues on page 12.

A permission dialog box appears asking to use your camera and microphone.

5. Select the  If Yes, do not ask again... checkbox and then click .

The dialog box closes and the installation is complete.

Note: The permissions apply at the service level. Therefore this dialog box might appear again if you switch to another OTNhub service. (For example, from Videoconference to eConsult.)

* If the Download link doesn’t work you can download the software from eVisit (Videoconference Help > Software Downloads.

eVisit (Videoconference) uses the VidyoWeb plugin to generate its video window. Plugins are stand-alone programs that communicate with your browser and are installed in your computer’s central ‘Programs and Features’ location.

Notes:i. Chrome and Firefox v52+ browsers are not supported.

ii. If you are using a Windows tablet, always use ‘desktop’ mode for installing the plugin. Do not use the Tile mode (a.k.a. Start or Metro mode).

iii. Ensure that your computer has installed and applied the most up-to-date system updates and patches.

Via Internet ExplorerIf you’re using Internet Explorer, check that the ‘compatibility’ settings are optimized for eVisit (Videoconference). (See IE 11 Settings on page 10.)

Windows 7

To select a power plan in Windows 7:

1. Click the Start button and select Control Panel,

2. In the search box, type power options, and then click Power Options.

3. Under Select a power plan, click Show additional plans, and then click High performance.

Windows 8

1. To view the ‘charms’ side panel, swipe in from the right edge of the screen. (Or if you’re using a mouse, point to the upper-right corner of the screen, move the mouse pointer down).

2. In the Search Panel, tap/click Apps to select it (if it isn’t already highlighted).

3. Type ‘control panel’ in the search box.

4. In the Apps Results screen, tap/click Control Panel.

5. In Control Panel’s search box, type ‘power’.

6. In the search results, tap Choose or customize a power plan.

7. Select High Performance.

If you’re using a portable computer, plug it in to a power source while videoconferencing. However, if you have to use battery power, ensure that the power plan/performance setting is set to “high performance”.

If your PC is part of a network within a hospital, your user permissions (e.g., access to power plans) might be limited by your system administrator. In this case, ask your administrator for help.

Note: The following instructions show just one example of how to access power options. There are alternative ways to access power options. If you usually use a different method, continue to do it your own way.

Testing Audio and Video Quality

For this test you will launch a video call to an OTN ‘virtual’ user. The virtual user is a video broadcast with a sound track.

The test allows you to see and hear what you can expect to receive from others in an actual videoconference.

1. Log in at otnhub.ca, go to the Videoconference service and click at the top of the Events List panel.

A Call Settings pop-up appears.

2. In the Search field type TOR_OTN_PCVC_TEST.

A list of matching names appears as you type two or more characters.

3. Look for one of the test system names in the pop-up Search Results list (e.g., TOR_OTN_PCVC_TEST_01 or TOR_OTN_PCVC_TEST_02) and select the desired entry.

The Call Settings pop-up updates with the selected name and displays the system status.

• If the status is online ( ), continue with the next steps.

• If the status is busy ( ) or offline ( ), search for and select a different test system.

4. Change the other call settings to reflect the test call.

• Click the Call Purpose field and select “meeting”.

• Click the Event Title field and type “test”.

5. To start the test, click the Call button ( ).

A videoconference window opens showing the test video broadcast.

6. To end the test call, click the End Call button ( ).

After five minutes the test system automatically disconnects.

Notes:

i) After successfully connecting, end the call after no more than a minute or so. This will free up the system for other eVisit (Videoconference) users.

ii) If you try one system (e.g. TEST_01) and the videoconferencing window opens with only your self-view followed by a message “Call ended by other participant”, it means the system is busy with another user. Try connecting with a different system (e.g. TEST_02).

iii) If all test systems are busy, wait a few minutes and try again.

1. Ensure the browser’s Bookmark/Favourites Bar is displayed.

i. Right-click an empty section of the Tab Strip.

ii. Select Show Bookmarks bar (or Favorites bar) in the pop-up menu.

2. To add the web page, click the site icon in the Location Bar/Address field, and drag it onto the Bookmark/Favourites Bar (Figure 10).

Creating a Bookmark (Favourite)

For future use, the quickest way to access Personal Videoconferencing is via a ‘bookmark’ (also known as a ‘favourite’) in your browser window.

The instructions for creating a bookmark can differ depending on which browser you use (e.g., Chrome or Internet Explorer), the browser version and your operating system (Windows 7, Windows 10, etc.). Therefore, it is best if you use your browser’s Help for the most accurate instructions.

Using Internet Explorer

Installing JavaJava is a technology used to create interactive or animated web content, such as games or advanced financial applications. Java programs are downloaded automatically to your computer when you use them and don’t usually require special installation.

However, to run Java programs in Internet Explorer you must install special Java software. When you install Java, it is enabled by default and configured with safety settings at their highest level.

Note: It is best to remove older versions, see Removing older Java versions on page 9. This ensures that you have the most up-to-date security and performance improvements.

Checking if Java is installed

1. To check if Java is installed (and if it is, what version), open an Internet Explorer (IE) browser window and go to java.com/en/download/installed.jsp.

If you know that Java is not installed, to bypass the verification process and manually install Java go to java.com/en/download/manual.jsp and skip to step #4 below.

2. To initiate the verification process, click the Verify Java version button and follow the on-screen prompts (Figure 11).

3. If during the verification or installation process a security alert dialog box or page appears, click the option that allows you to proceed. For example, click ‘Run’ or ‘Yes’ or ‘Continue’ or ‘Continue to this website’ (Figure 12).

4. When the Java Download screen appears, to install Java, click the Agree and Start Download button and continue following the on-screen prompts (Figure 13).

5. To enable the Java install/update, restart (close and re-open) your IE browser window.

• For Windows 7, click the Windows Start button in the lower left corner of your screen and select Control Panel.

• For Windows 8, , instructions to access the Control Panel are at windows.microsoft.com/en-US/windows-8/where-is-control-panel.

2. In the search box, type Java Control Panel and in the search results click the Java icon (Figure 14).

The Java panel opens (Figure 15).

3. Click the Security tab.

4. Select the option Enable Java content in the browser.

5. To confirm the changes, click Apply and then OK.

6. Restart (close and reopen) any open browser windows to enable the changes.

Enabling Java in Java Control Panel

After installing or updating Java, you might need to enable Java in the Java Control Panel.

Removing older Java versionsOTN highly recommends that you remove all older versions of Java from your computer because only the latest version contains the most recent updates and improvements (for both security and performance).

You can safely remove older versions of Java by following the instructions below.

For more information and detailed instructions, see the Java Help website.

1. To access the Windows Control Panel:

• For Windows 7, click the Windows Start button in the lower left corner of your screen and select Control Panel.

• For Windows 8, instructions to access the Control Panel are at windows.microsoft.com/en-US/windows-8/where-is-control-panel.

2. Locate and click the Programs and Features (or if you use the ‘category’ view, click Programs > Uninstall a program). The Programs and Features window appears listing (in alphabetical order) all programs installed on your computer.

3. Locate and click the entry for Java. The Java row appears highlighted and an Uninstall button becomes active.

4. Click the Uninstall button and follow the on-screen prompts.

Setting IE Browser Compatibility ModeIf you are using an Internet Explorer (IE) browser, for the best viewing experience, use the browser’s ‘native’ setting (e.g., IE 11 as IE 11) and turn off Compatibility View.

When incorrectly set, the Browser and Document Modes can cause page layout problems because they affect how the browser displays a web page. Within the Browser Mode setting, if Compatibility View is on, the browser tells the web page that you are using an earlier version of IE, therefore you need to turn off Compatibility View.

IE 11 Settings

When using IE 11, set the User agent string to default and ensure Compatibility View is off.

IE 11 on a personal computer

1. Open Internet Explorer.

2. To view the Developer Panel, press F12 on your keyboard.

The panel appears at the bottom of the browser screen (Figure 17).

3. To view the Emulation settings, in the developer panel’s left navigation bar, use the Up ( ) or Down ( ) arrows to scroll

until you see the Emulation button ( ) and then click/tap it

(or click the Emulation tab in the developer panel’s top menu bar).

4. If a Document mode drop-down field appears, click and select Edge (Default). If this field does not appear, skip to the next step.

5. Click the User Agent String drop-down field and select Default (Figure 18).

6. To close the Developer Panel, press F12 on your keyboard.

The browser refreshes using the new settings.

IE 11 on a Windows 8 Pro tablet

1. To enable a fully functional browser, go to the desktop view and then open Internet Explorer.

2. Tap/click the Tools button ( ), and select Compatibility View settings from the drop-down menu.

A Compatibility View Setting dialog box appears (Figure 19).

3. To turn off Compatibility View, clear all checkboxes at the bottom of the dialog box.

4. To apply the settings and close the dialog box, tap/click Close.

The browser refreshes using the new settings.

VidyoWeb Plugin Updates

eVisit (Videoconference) automatically checks that you have the most current version of the plugin every time you sign in at otnhub.ca.

If there is a new version available, a message appears asking you to download (Figure 20).

To update the software:

1. Click the Download link* in the message.

2. Install the plugin. For complete installation instructions, see installing Via Internet Explorer on page 3.

3. Refresh the browser. (Click the refresh link in the message or press F5 on the keyboard).

Troubleshooting Install Issues

Install file can’t be openedThis problem can happen if you download the plugin installation file before running it. Usually the “files can’t be installed” message appears because of your computer’s and/or browser’s security settings.

You can bypass these settings if you run the plugin installation directly from the browser—that is, do not ‘save’ the file, just ‘run’ it from within the browser.

To run the plugin from within the browser, click the Download link in the message. In Internet Explorer, a pop-up message appears, asking whether you want to Run or Save. Click Run.

A VidyoWeb pop-up might briefly appear as the plugin is installed.

When the installation completes the VidyoWeb pop-up disappears (you will not receive a message).

Your status remains ‘continuously loading’ (offline or spinning wheel)This usually occurs because of a browser setting or proxy issue. Review the following situations for various solutions to the problem.

If you use eVisit (Videoconference) on a hospital or office network, you might need to contact your network administrator to change your browser settings.

• Use a supported browser (see below)

• Enable VidyoWeb plugin in the browser

Use a supported browser

Do not use a Chrome or Firefox v52+ browser. Use Internet Explorer 11.

The VidyoWeb plugin uses a technology called Netscape Plugin Application Programming Interface (NPAPI). Firefox v52 and later have disabled the use of NPAPI plugins.

Enable VidyoWeb plugin in the browser

1. Open an IE browser and if the Menu bar is not visible, press ALT on your keyboard to view the Menu bar.

2. Click Tools in the Menu bar and select Manage add-ons.

A Manage Add-ons window appears (Figure 24).

3. Scroll down until you see VidyoWeb Plugin.

4. If VidyoWeb is not in the list, ensure that the Show button appears with ‘All add-ons’.

If the VidyoWeb status is ‘Enabled’, the plugin is already enabled and there is nothing more to do. Skip to step #8 (close the browser).

If the VidyoWeb status is ‘Disabled’, you need to enable the plugin.

5. To view the plugin details, click the VidyoWeb Plugin name in the list.

A VidyoWeb Plugin details panel appears at the bottom of the screen.

6. Click the Enable button.

The plugin is enabled and the button changes to ‘Disable’.

7. Click Close to close the Manage Add-ons window.

8. Close and reopen the browser.

Via Internet Explorer

1. To open the Control Panel:

• For Windows 7, click the Windows Start button in the lower left corner of your screen and select Control Panel.

• For Windows 8+, instructions to access the Control Panel are at windows.microsoft.com/en-US/windows-8/where-is-control-panel.)

2. To access the program function:

• For Windows 7:

• If you’re using the Category view, under the Programs category click Uninstall a program.

• If you’re using an Icon view, click Programs and Features.

• For Windows 8, click Programs.

3. Locate and select the VidyoWeb plugin (Figure 26).

4. Click Uninstall (or “Remove”, depending on which Windows system you use).

Removing the VidyoWeb PluginIf you want to start from scratch, you can easily remove the plugin and try re-installing. You uninstall the VidyoWeb plugin the same way you remove any other program from your computer.
