SAFETY PRECAUTION To prevent fire or shock hazard do not expose the scanner to rain or moisture. Do not cover the scanner with paper or drawings which might obstruct the unit’s vents for long periods while the unit is being operated as this may lead to overheating and constitute a possible fire hazard. Do not modify the desk mounted scanner by removing the rubber feet as this may impair the air circulation around the unit and lead to overheating. Avoid leaning heavily on the scanner when it is mounted on the stand as the unit could be damaged or become unstable and result in personal injury.

CHAPTER 1 BEFORE USING THE SCANNER

1.1 Main Features of SmartLF Ci

� Face up, front loading and front exit large format paper document scanner

1.2 Unpacking SmartLF Ci from its box

SmartLF Ci 40 ships polythene wrapped in a single-skinned 73lbs (33 kg) box. It is advisable to prepare a desk surface or similar area capable of taking the weight of the scanner - 48lbs (22kg). You will need an assistant to help you lift the scanner safely from its packaging.

1.3 Lifting the Scanner from its carton

Make sure the scanner box is resting on the floor the correct way up (look at the name on the side). With the help of an assistant remove the lid from the box and expose the top of the scanner by folding back the polythene. Remove any foam spacers protecting the scanner. Have an assistant support their end of the scanner whilst removing the packaging at their end of the box. Do the same at your end of the box. Both of you should now lift the scanner from the box onto the floor or desk. WARNING: DO NOT TRY TO REMOVE THE SCANNER WHILE STILL INSIDE ITS PLASTIC WRAPPING AS THIS WILL MAKE IT MORE DANGEROUS TO HANDLE - YOU MAY DROP IT!

Observe correct lifting technique (i.e. bent knees with a straight back). The choice of position for SmartLF Ci 40 should allow proper air circulation around the device in accordance with normal office equipment practice. Take care not to obstruct walkways with the power supply module. The electricity supply should be taken from a switched output and be located within easy reach of the scanner operator. The computer used with SmartLF Ci should be located so as not to strain the interface cable or present a cable-tripping hazard to the operator or others. Do not leave scanner components e.g. document support trays, cables and software) in discarded packaging.

1.4 Removing the shipment tape

The scanner is protected during shipment by two strips of self adhesive tape which must be removed before proceeding with the installation. Remove the shipment tapes by locating the red tab and carefully lifting the tape up and away from the scanner.

Remove both tapes completely. The tapes cannot be reused and should be disposed of.

1.5 Attaching the Control Panel Overlay (if necessary)

The scanner is normally delivered with a Control Panel Overlay in the language of the intended country of installation.

Where a Multi-Language Overlay pack has been supplied please select the appropriate overlay for your country. Follow these numbered steps to affix the overlay to the scanner.

1.6 Locating the contents of the Cables Box

IMPORTANT – DO NOT CONNECT THE SCANNER TO THE POWER SUPPLY OR THE COMPUTER UNTIL INSTRUCTED TO DO SO

1.7 Opening the lid of the scanner

The SmartLF Ci lid opens towards the back of the scanner and provides maintenance access to the scanner optics and the large paper transport roller. � Always switch the scanner off before opening the lid for inspection or maintenance

� Ensure that the scanner is secured to the floor stand or resting on a table before opening the lid

� With two hands release the lid latches simultaneously by depressing the button at each corner of the scanner lid

� Using both hands lift the lid upwards and backwards until it rests in the open position

WARNING – Always secure the scanner to the stand before opening the lid!

1.8 Closing the lid of the scanner

� With both hands grasp each side of the lid and pull it towards so that the sensors and large white roller can longer be seen

� Now fully close the lid by pressing down with the soft part of both hands at the positions shown. When the lid is

closed properly a click will be heard as each latch button pops back up again. The lid is now closed and the scanner is ready for operation

WARNING – Always ensure that both sides of the lid have closed properly!

Make sure that nothing has been left inside the scanner lid enclosure BEFORE closing the lid or permanent damage may be sustained by the optical parts of the scanner. Ensure no fingers or parts of clothing are inside the scanner when closing the lid.

1.9 Attaching the Paper Exit Deflectors

Take each of the 3 Paper Exit Deflectors and attach them to the brackets on the underside front of the scanner. Ensure that they are clicked fully into position.

CHAPTER 2 PREPARING THE SCANNER AND SOFTWARE

2.1 Connecting the power and interface cable

– Start by locating the external power supply brick that is made

up from two parts – a cable and a transformer. The mains cable part should already be terminated with a mains connector plug suitable for your country. If the cable is not correct contact your supplier. Plug the opposite end of the mains cable into the brick and then push the small round plug into the corresponding input socket on the back of the Ci 40 scanner.

– THIS INSTALLATION ASSUMES A USB2 DATA CONNECTION – TAKE CARE TO CONNECT THE POWER LEAD TO THE POWER

SOCKET ON THE BACK OF THE SCANNER – The order of connection sockets on the back of the scanner

from top to bottom is:

1. POWER SWITCH – ON/OFF

2. POWER SUPPLY SOCKET

3. USB2 CONNECTION SOCKET

4. ETHERNET CONNECTION SOCKET

– Now locate the supplied USB2 interface cable (exact design

may vary from that shown). Connect the smaller end to the scanner. Do not connect the larger end of the USB2 cable to the computer yet.

– NOTE #1: DO NOT SUBSTITUTE THIS CABLE WITH A LONGER ONE OR THE PERFORMANCE OF THE SCANNER MAY BE AFFECTED

– NOTE#2: ALWAYS FIRST INSTALL THE SCANNER USING THE USB2

INTERFACE. IF YOU WISH TO USE THE ETHERNET CONNECTION THE NECESSARY CONFIGURATION STEP ARE DESCRIBED FURTHER ON IN THIS MANUAL.

– Now switch on the scanner using the rocker switch on the back of

the scanner. The liquid crystal display (LCD) should now light up and display the word ‘Initialising’. After about 30 seconds this will change to display the name of the scanner (Ci 40) and the firmware level. If a document is loaded the display will change to the word ‘READY’.

Start up Windows Vista or XP Professional / XP Home on the computer that will be used with SmartLF Ci 40. Wait for Windows to finish loading before proceeding to the next section.

See section 7.3 for more information on the minimum PC specifications

The Windows .NET Framework environment

The Colortrac SmartLF All-in-One software application has been created using Microsoft .NET. This means the connected computer running Microsoft Windows XP Home or XP Professional should be upgraded if required by installing at least .NET Version 2.0. Microsoft Vista comes pre-loaded with .NET 3.0.

SmartLF Ci 40 is designed for use with Windows XP (Home or Professional) with the latest Service Pack (SP) upgrade or Microsoft Vista. For XP, Colortrac advise that the .NET Framework is also installed when using the

ScanWorks and CopySmart software options. SmartLF All-In-One software is simple to use and can be run on any computer connected to the SmartLF Ci scanner without a license key. See section 7.3 for more information on the .NET Framework.

2.2 Connecting the scanner & preparing to load the driver

PLUG THE REMAINING END (FLAT SECTION) OF THE USB2 CABLE INTO A SPARE USB2 INTERFACE ON THE COMPUTER- THE DRIVER INSTALLATION WILL START AUTOMATICALLY. NOTE: At this point Windows will detect the new hardware and display the following message (O/S language dependant) in the System Tray area (normally the lower right-hand side of the screen).

AT THIS POINT WINDOWS SHOULD DETECT SMARTLF Ci 40 AND AUTOMATICALLY BEGIN RUNNING THE WINDOWS HARDWARE WIZARD. HAVE THE COLORTRAC SMARTLF Ci SOFTWARE INSTALLATION CD READY.

Windows will now ask for the driver – Insert the CD now!

WAIT for a few moments to allow Windows to start the Hardware Wizard. The wizard will take you through the next steps of the installation. The wizard will respond by displaying this screen. NOTE: If the CD is not detected in the next step you will need to tell the Wizard to search for the drivers automatically by clicking the first button or direct the search manually by clicking the second button.

At this point insert the SmartLF Ci 40 CD containing the driver. After one or two seconds Windows will detect the CD and replace the wizard Welcome screen (STEP2) with the ‘wizard searching’ screen shown here. IF THE SMARTLF Ci 40 CD STARTS THE CD MENU, PRESS EXIT AND ALLOW THE HARDWARE WIZARD TO CONTINUE INSTALLING THE DRIVER

NOTE: In case of difficulty select ‘I will install the driver myself’ and use ‘Have disk’ to manually direct Windows to the driver

The Wizard will STOP because the driver is not recognised by Windows’ logo testing system. Ignore this and click ‘Continue Anyway’ This is completely normal.

Windows transfers the driver to the scanner computer. Do not start other applications while this is happening.

The Hardware Wizard will finish by showing this screen. Click the Finish button to complete the installation of the SmartLF Ci 40 driver. The driver is now installed. There is no need to reboot the computer. NOTE: IF A DIFFERENT COMPUTER USB2 PORT IS USED WINDOWS WILL CREATE A NEW NUMBERED DRIVER ENTRY IN THE SYSTEM HARDWARE LISTING

The SmartLF Ci 40 USB2 driver is now installed. Whenever the scanner is plugged into the computer, Windows will identify the USB (Universal Serial Bus) device as SmartLF Ci 40 and automatically load this driver. The scanner can be plugged and disconnected freely like any regular USB device without needing to re-boot the computer.

2.3 Checking for the SmartLF driver in the operating system

The Windows system will allow the operator to check for correct installation of the driver. Should the driver ever be accidentally removed or require updating or in the unlikely event of the user experiencing problems with SmartLF Ci, this check can be useful. Using the Windows Control Panel click on the System Properties icon. From here click the Hardware tab and look for the Imaging devices entry. Right clicking on the SmartLF Scanner entry will bring up the Properties for the device where the status of the scanner is displayed. The status should be ‘ This device is working properly’ NOTE: When SmartLF is not connected or not powered-up ‘SmartLF Ci 40 Scanner’ will NOT be visible as an Imaging device in the Hardware listing of the Windows System.

2.4 Installing the SmartLF All-In-One software from the system CD

Insert the software installation CD. It should Auto-Play. If the CD fails to launch go to the CD drive using Explorer and double-click the launch file to start the installer manually. 1. The SmartLF CD guides the user through connecting the

scanner, installing the software and utilities, lists the manuals available and provides details of the Colortrac third party software partners (CLASP). To go straight ahead and install the software click the ‘Installing the Software’ button

2. At the software installation screen proceed to STEP 1 to install

the .NET environment if your computer requires it. 3. Click STEP 2 to install the SmartLF application. Once the installation is complete you will be able to locate the SmartLF program under Program Files > Colortrac > SmartLF. You have now installed the SmartLF All-In-One application. Go to Programs from the Windows Start button and navigate to the SmartLF entry and release. After a small delay the SmartLF screen will display. Note that if the scanner is not powered up or the USB2 cable is not connected the software interface will appear grayed as shown below.

The Ci Utilities program is essential for carrying out all routine scanner maintenance and is provided on the system CD. Follow the on-screen prompts to install the Ci Utilities application into the Colortrac program folder. Ci Utilities is run from the Start menu.

CHAPTER 3 USING SMARTLF Ci 40 FOR THE FIRST TIME

Documents are loaded LEFT-SIDE justified or CENTER-justified and face-up into the scanner. Look for the yellow paper symbol. Colortrac SmartLF Ci 40 is not limited to scanning recognised document sizes, for example A1, A2 and E size. The maximum scan width for SmartLF is 1016mm (40”) but the maximum length is limited only by the attached computer and scanning software. As soon as the READY status is displayed (after 35 seconds) documents can be loaded into the scanner.

3.01 Loading a document using the scanner control panel

LOADING A DOCUMENT Using two hands, place the document on the scanner with the longest edge (if possible) towards the scanner opening. TAKE CARE TO LOAD BETWEEN THE SINGLE LINES OR DOCUMENT DAMAGE MAY OCCUR. The document is fed promptly into the scanner opening until resistance is met inside the scanner. The document must find its ‘load point’ BEFORE the automatic loading sequence takes over and begins to stage the document. At document stage the lid display will change to show the word ‘LOAD’ as SmartLF Ci 40 completes the document loading process. After approximately one second the scanner will have staged (re-positioned the document) ready for scanning to commence. When the scanner is ready to scan the display will change to show the word ‘Ready’. Do not try to start a scan from the software until ‘READY’ is displayed. REMOTE CONTROL The File / Scan and Copy functions of the SmartLF All-In-One software application can be used in tandem with the buttons on the scanner lid control panel. Remote control of scanner functions is only possible when the SmartLF-All-In-One software is running. The panel display will show the word ‘Scanning’ during movement of the document through the scanner. REMOVING A LOADED DOCUMENT/ CORRECTING A SKEWED DOCUMENT

Pressing the red CANCEL button on the Ci 40 panel whilst the document is loading or during the 1 second interval after loading has finished, will REWIND the document. The document will rewind for as long as the button is held down. This is useful when a document skews slightly, loads awkwardly or needs to be rotated to present a better or longer document edge to the scanner.

ADVANCING (FORWARD FEEDING) THE DOCUMENT

After a document is loaded pressing this button will forward advance the document. SmartLF Ci 40 will move the document for as long as the button is held down.

EJECTING THE DOCUMENT

If the scanner has been instructed to part-scan a document it can be moved in the same direction out to the front of the scanner using the FWD button or up-arrow button on the scanner lid keypad. This button can also be used to EJECT the document from the scanner where the scanner software has been instructed to retain the document in the scanner after the scan has finished.

REWINDING THE DOCUMENT

If the scanner has been instructed to part-scan a document it can be rewound out onto the platen using the BACK button or down-arrow button on the scanner lid keypad.

3.02 Stopping and starting the scanner under program control

For remote control of Ci 40 ensure that the Windows driver is configured correctly – Section 3.03 SmartLF Ci 40 During scanning, press CANCEL on the scanner or press the scan button on the

software to stop the scanner or abort a scan. Now the operator can press either the FWD or BACK arrows to continue moving the document through the scanner or rewind the document out and back towards the operator. Alternatively the operator can re-commence scanning using the normal methods of controlling the scanner via the software and mouse or lid panel buttons.

SmartLF All-In-One software Pressing the COPY or FILE lid panel buttons will start this scanner operation under remote control using the SmartLF All-In-One software. Re-pressing the COPY or FILE lid panel buttons will suspend this scanner operation under remote control using the SmartLF All-In-One software. Pressing the CANCEL lid panel button stops the current scanner operation. Pressing the COPY or FILE or EMAIL software icons will start this scanner operation. Re-pressing the COPY or FILE or EMAIL software icons will suspend this scanner operation.

ScanWorks software

Pressing the panel FILE lid panel button will start this scanner operation under remote control using the ScanWorks software. Re-pressing the FILE lid panel button will suspend this scanner operation under remote control using the ScanWorks software. Pressing the scanner CANCEL lid panel button stops the current scanner operation. Pressing the ScanWorks SCAN icon will start this scanner operation (equivalent to FILE operation of SmartLF All-In-One software). Re-pressing the ScanWorks ‘red hand’ SCAN icon will suspend this scanner operation. Note on ScanWorks media handling:

ScanWorks set for ‘Eject on Save or Delete’ will eject the document ScanWorks set for ‘Do nothing’ will retain the document in the scanner

CopySmart software

Pressing the panel COPY lid panel button will start this scanner operation under remote control using the CopySmart software. Re-pressing the panel COPY lid panel button will suspend this scanner operation under remote control using the CopySmart software. Pressing the scanner CANCEL lid panel button stops the current scanner operation.

Pressing the CopySmart COPY icon will start this scanner operation. Re-pressing the CopySmart COPY (STOP) icon will suspend this operation.

3.03 The LCD Menu Tree

The scanner LCD display allows operator configuration of the language and the Ethernet connection parameters. To access the menu system press the MENU button then use the FWD/ BACK buttons to scroll through the options. Selecting an option then pressing ENTER jumps to the option configure stage. The Ethernet parameters can be adjusted using the FWD / BACK / PREV and NEXT buttons. Pressing ENTER saves the adjustment and returns the operator to the Ready display. Pressing CANCEL aborts any changes and steps up and out of the menu. Pressing MENU at any time returns the operator to Ready.

The scanner menu can be used to adjust or review:

3.04 Remote control of the scanner using Windows XP

The XP Windows Image Acquisition Device Driver Interface (WIADDI) supports custom scanner interfaces allowing SmartLF Ci 40 hardware to start key program operations. The SmartLF Ci 40 scanner SCAN and COPY buttons can be used to start and stop these primary software functions from the scanner control panel instead of, or in conjunction with the software. They operate with the standard SmartLF, ScanWorks and CopySmart software but only with the Windows operating system. To set up the panel buttons go to the Windows Control Panel and set the properties for ‘Scanners and Cameras’ as below.

3.05 Making your first scan with SmartLF All-In-One sw

Note that Colortrac recommend the emailing function be used for black and white TIFG4 technical drawings or small, low detail color scans only. Load a document into SmartLF Ci 40 NOW

(Until a document is scanned and displayed in the preview window, no zoom and crop tools are visible)

3.06 The SmartLF All-In-One ‘SCAN-TO’ functions

FILE - SmartLF Ci 40 scanning to file is started by pressing the diskette icon in the File button. First select the Browse button

to choose the storage location for the new file.

COPY - To have SmartLF Ci 40 scan to the Windows printer press the printer icon in the Copy button. First select the target

Windows printer where the copy will be printed first using the I-button. EMAIL - To have SmartLF Ci 40 scan to e-mail press the envelope in the Email button. This requires a configured email client to

be set up e.g. Outlook Express.

NOTE: For fragile originals SmartLF Ci 40 can be slowed down using the Quality slider accessed from the i-box in the top left corner of the SmartLF interface. As soon as the required function is selected SmartLF Ci 40 begins to scan the document loaded in the scanner or waits for the document to be loaded. SmartLF Ci 40 will display the animated icon showing a document being loaded into the scanner. PRESSING THE RUNNING FUNCTION ARROW ICON STOPS SMARTLF CI 40 SmartLF Ci 40 can also be controlled from the scanner’s control panel by pressing the corresponding panel buttons. These will only operate the SmartLF software if they have been correctly configured through the Windows Scanners and Cameras icon that is located in the Windows Control Panel. Refer to Section 3.04.

3.07 Setting the scanner color modes

3.08 Controlling file overwrite

If a file already exists inside the computer directory with the same name as the name the operator is about to use for a new scan, SmartLF will warn the operator. - If you wish to overwrite the same file at this point click

SCAN or push ENTER on your keyboard - If you wish to alter just part of the filename block the part

you wish to change with your mouse, re-type and then click SCAN or push ENTER on your keyboard

3.09 Selecting document sizes

SmartLF Ci 40 has AutoSize, Auto Length (Max width), ISO, ANSI and ARCH paper sizes which can be selected from the Paper size scroll box. NOTE: The effectiveness of Auto Size can be affected by the type of media loaded in SmartLF Ci 40. For example transparent or non-square media may fail to auto size correctly. Although SmartLF Ci 40 does not allow custom paper size scanning the product does permit any document appearing in the preview window to be cropped before being processed further. This is especially useful for extracting parts of larger drawings for emailing to colleagues, other offices or saving to disk.

3.11 Cropping the image

Use SmartLF CROP IMAGE to select an area of the image for scanning to file, to the Windows printer or email. Pressing the CROP IMAGE icon on the Preview toolbar places a green crop square onto the currently displayed image. Use the grips at the corners to resize the crop boundaries. Clicking and holding the mouse button down on the centre of the square will move it across the image.

3.12 Copying using SmartLF All-In-One

SmartLF software uses any standard Windows printer driver for copying. The number of copies can be controlled from the COPY button by clicking on the + and – icons in the COPY button area. The print quality of the copy is controlled from the Windows driver Properties dialogue in the normal way. SmartLF will copy all images at 1:1 i.e. no scaling will take place unless set up in the Properties dialogue of the windows printer driver.

3.13 Document size markings of the Ci 40

To scan a non-standard document size select a document size that is larger than the document you need to scan. The SmartLF software will allow ‘cropping’ (removal of unwanted square edges) of the image before saving. If the document is rectangular the auto-sizing option can be used to detect the width of the document and determine the length of the document automatically. NOTE: Auto-sizing may not be 100% effective for all types of document.

3.14 Working with clear & transparent originals

SmartLF will set-size scan and auto-size scan, clear and opaque media. Clear acetate drawings will often produce betters results when used with a white backing sheet. A scanning wallet with an integral white backing sheet can be effective. Auto-size detection may not work every time and will depend on the calibration and maintenance level of the scanner.

3.15 Scanning double-sided originals

Originals that have information on both sides can sometimes benefit from being scanned with a black backing sheet placed behind the image to be captured. Wallets with a black backing surface and clear acetate front can be useful.

3.16 Media thickness compatibility

SmartLF Ci 40 is compatible with many types of media including synthetic, polyesters, Mylar and general office tracing and inkjet papers. The accuracy of SmartLF Ci 40 is valid for media from 0.002” (0.06mm) up to 0.012” (0.3mm) thick but may vary depending on the operating environment and surface type of the media being scanned.

3.17 Media stiffness considerations

SmartLF Ci 40 will handle all regular paper media from 60 gsm paper up to a maximum thickness of 0.012” or 0.3mm. Paper below 60 gsm may still scan satisfactorily even if it has very low stiffness as the transport mechanism of Ci 40 has been designed to handle lightweight and delicate papers. Avoid using card or very stiff paper as this is not compatible with the design of Ci 40. Generally the greater the weight of the media (for example its gsm or g/m

2 value)

the stiffer the media will be.

CHAPTER 4 SCANNER MAINTENANCE

4.1 Cleaning the CIS sensor glass

NOTE: ALWAYS SWITCH OFF AND UNPLUG THE SCANNER BEFORE CLEANING

SmartLF Ci 40 will need regular glass cleaning maintenance. For best results follow the instructions below. See troubleshooting section 6.2 for more help on diagnosing common maintenance issues. Each of the five SmartLF Ci 40 scanner CIS and glass assemblies is chemically treated and should resist scratching from paper clips, abrasive dust and staples. Colortrac recommend that the operator takes all reasonable steps to ensure that all scan documents are clean and free from metallic appendages and abrasive particles. The CIS glass assemblies should be cleaned with a mild, low-smear, high quality glass cleaner and ideally two clean lint-free cloths. Apply the cleaner to the first cloth and use the other to wipe the sensors dry. In the event of the CISs becoming badly scratched and affecting the scans, replacements can be ordered from your Colortrac supplier. The Ci 40 glass covers and sensor are integrated as a single part and replacement should be referred to an approved service agent or distributor. Serious maintenance issues such as electronic or a suspected internal mechanical failure should be referred to your approved service agent for diagnosis and repair.

4.2 Cleaning the scanner roller The scanner’s internal paper roller should be cleaned with a damp, clean lint-free cloth. It may be necessary to use a solvent-free foam cleaner or other cleaner compatible with EPDM (ethylene propylene diene M-class rubber) sprayed first onto a cloth to remove more stubborn staining. Carefully rotate the drum by hand to clean the whole surface. Never spray any cleaner directly into the scanner. ALWAYS SWITCH OFF THE SCANNER DURING CLEANING AND NEVER TRY TO TURN THE ROLLER WHEN THE POWER SUPPLY IS CONNECTED.

4.3 Normalisation maintenance (Ci Utilities)

The operator maintains scanner Normalisation (white point calibration) by running the scanner Utilities program. What is Full Normalisation? The scanner can be sensitive to variations in room temperature. Full Normalisation is part of regular scanner maintenance and is used to maintain scanner sensor performance. When? If gray or color density unexpectedly alters from sensor to sensor or the scanner is moved or operated in different temperature conditions. How? Make sure the sensor glasses and roller surface are clean then insert the Normalisation Target face-up into the scanner, black

edge first. The target is made to fit inside the document guides printed on the load tray. Allow it to load. Start Ci Utilities (v.1.0.2.0 or later) from the program menu then press the Full Normalisation button. The word ‘scanning’ will appear on the LCD panel. Full Normalisation takes about 120 seconds. Afterwards remove the target and store it carefully. 1 Scanners shipped with targets that do not have the black panel

4.4 Checking and setting scanner stitch (Ci Utilities)

The Ci 40 is designed for use with paper of thickness similar to the Automatic Stitch target that ships with the scanner. When scanning thicker documents it may be necessary to use the Speed and Media Thickness Controls. See sections 3.06 and 4.6 for more information. The Ci Utilities program and the stitch target (supplied) may be needed to restore optimum alignment of the five sensors after transporting the scanner. Scanning thick documents at high speed can cause temporary loss of sensor alignment which may be visible at the top of the scanned image – see Troubleshooting section 6.1 (scanning heavy media). Checking the stitching (visual check)

4.4.1 Running the automatic stitch routine

Load the Automatic Stitch Target (included) into the scanner face-up and centred. Auto Stitch calibrates the scanner for THIN media. From the Ci Utilities screen click the Auto Stitch button. Auto Stitch should complete in 1-2 minutes. Your scanner is now re-stitched. Sometimes the scanner may fail to stitch automatically if the target has been damaged. In this case the scanner can be Manually Stitched.

4.4.2 Manually stitching the scanner

The Manual Stitch Target is provided in .pdf form on the scanner installation CD and will need to be printed onto at least 36” (915mm) wide paper. Place the Manual Stitch Target centrally into the scanner then use SmartLF-All-In-One or ScanWorks to view the target using grayscale at 600 dpi. From the Ci Utilities program right-click the screen and type in the password (obtainable from your distributor) to access the manual stitch screen data. Make a note of the settings by hand or by clicking PrtSc then use CNTRL+V to paste the screen into MS Paint before proceeding. This way there will be a record of the settings in case of difficulty. Always correct any F/B (front-back) stitch error first.

To re-stitch the scanner manually, first carefully examine the scan of the Manual Stitch Target. It may be more efficient for example to alter the values at just a single sensor intersection rather than altering the values at three! F/B adjustment

Make alterations to restore a horizontal line at all sensor intersections. For example to correct a rising F/B stitch at boundary 1-2 lower the value in CIS 2 (reduce 4 to 2). Note that this will improve the falling stitch at boundary 2-3. After making single or multiple corrections click ‘Set Stitch’ to save the setting(s) into scanner calibration memory. Rescan the Manual Stitch Target, re-inspect and make further adjustments as required. L/R adjustment

Make alterations to restore a diagonal line at all sensor intersections. For example to correct a rising L/R stitch at boundary 1-2 increase the value in CIS 1. Note that because CIS 2 is high relative to CIS 3 it might be more efficient to reduce the value in CIS 2. After making single or multiple corrections click ‘Set Stitch’ to save the setting(s) into scanner calibration memory. Rescan the Manual Stitch Target, re-inspect and make further adjustments as required. When you are satisfied that you have re-stitched the scanner exit from the Ci Utilities program and re-check using SmartLF All-In-One or ScanWorks.

4.5 Upgrading Ci 40 to a higher model

If your scanner is a model Ci 40m (mono only) or Ci 40c (color) SmartLF Ci 40, it can be upgraded by purchasing one of the three SmartLF Ci 40 Field Upgrade products available. The upgrades are ordered by Product Code (see table below). The process for model upgrading is as follows: STEP 1 – GENERATE THE UPGRADE FILE USING THE SMARTLF Ci 40 SERIAL PROGRAM – Confirm that SmartLF Ci 40 is connected and working (i.e. driver installed properly)

– From the SmartLF Ci 40 distribution CD locate the SmartLF Ci 40 serial.exe program which is inside the Scanner upgrade folder (itself inside the Utilities folder). You may need to alter your Explorer viewing options to see the full .EXE extension of this file.

– Double-clicking “SmartLF Ci 40 Serial” will retrieve the Scanner model number from the attached SmartLF Ci 40 scanner (in this case a Ci 40m).

– In the Serial Number box type in the 8-digit number printed on the label attached to the back of the scanner.

– Now select the model you wish your unit to be upgraded to using the Desired Model scroll bar

– Press the ‘Record Serial Number’ button to create the upgrade file.

STEP 3 – UNPACK THE UPGRADE PROGRAM – The supplier will send you a file that has the serial number of the

scanner to be upgraded as part of its name. Unpack this file to a temporary directory and run the program named “SmartLF Ci 40 ModelUpdate.exe”. Click the button labelled ‘Update Model’. This will then upgrade the connected SmartLF Ci 40 scanner and display the words, ‘Scanner firmware updated OK’ on the scanner display.

– Exit the program and then turn SmartLF Ci 40 OFF. Wait for 5 seconds before turning the scanner back ON again. Verify that SmartLF Ci 40 is displaying the model type consistent with the upgrade process just carried out.

4.6 Using the Media Thickness Control

When scanning thick documents it may be necessary to alter the value set in the media thickness control to improve the quality of straight horizontal lines in the scan. To change the setting follows the steps below-

1. Press MENU to enter the Scanner Options menu. Media Thickness is the first option

2. Press ENTER to enter the Media Thickness screen

3. To allow thicker media scanning click the NEXT button (5 steps between Thin (0.06mm) and Thick (0.3mm)

4. Click ENTER to store the new thickness setting

The scanner is now ready to scan with thicker media. NOTE: The AUTO-STITCH procedure works independently of this control

4.7 Controlling the Power Save Timer (Sleep Mode)

Ci 40 is equipped with a Power Save Timer that puts the scanner into a ‘sleep mode’ to reduce the energy consumption of the scanner when it is not scanning. The sleep timer cannot be turned off.

To alter the Power Save Timer (the time before the scanner enters sleep mode) cursor over the number field then retype a new time in minutes. The number must be between 2 and 15. Click Apply.

NOTE: During Ethernet configuration of the scanner it is recommended not to set the value of the Power Save Timer below 15 minutes (default).

To re-awaken the scanner press the red CANCEL button on the scanner control panel. The scanner will be ready to use within 5 seconds. Alternatively start a scanner Colortrac software application.

CHAPTER 5 CONFIGURING & USING THE ETHERNET CONNECTION

5.1 SmartLF Ethernet driver installation

Locate and insert the SmartLF Ci 40 Installation CD. If the CD does not start automatically go to My Computer and double-click the CD/DVD drive. From the front screen click the Installation tab then click ‘Install Ci 40 Ethernet driver’. This driver should be installed on every computer requiring network connection to the scanner. Note that the scanner, utilities and scanning applications can be used over Ethernet without installing the USB driver if required.

5.2 Connecting the scanner with an Ethernet switch

This scanner is designed to operate at speeds of up to 1000 Mbit/sec and should always be directly connected to the controlling computer through a 1GB gigabit Ethernet switch. The gigabit switch can still be connected to a slower 10/100 network to maintain contact with a wider (and slower) network if required. (A local 1GB Ethernet switch will prevent scan data flowing around the wider network - advantage).

NOTE: The scanner will report an error on the LCD panel if directly connected to a lower speed 10/100 network or switch. IT WILL FAIL TO OPERATE.

5.3 Cabling Routers and DHCP (Dynamic Host Configuration Protocol)

Many networks reserve a certain area of the IP address range as static (or fixed) for printers so that when a print job is requested the printer driver has no need to search for its associated printer. It is recommended that the IP address used for the scanner should be chosen from a number available in a fixed address range. This will ensure that a PC (which will often be configured to boot and connect dynamically under DHCP) will not randomly choose the same IP address as the scanner. If in doubt consult your IT administrator. Firewall recommendations If you intend to operate the scanner across a Firewall it may be necessary to configure the Firewall to allow information to the scanner on the two port numbers shown in the IP address dialogue of Ci Utilities and the application software. In this example those two numbers are 17236 and 17237. Benefits of Ethernet Communication Ethernet communication removes the restriction on cable length between the computer and the scanner - normally 2m with the SmartLF. Gigabit Ethernet potentially provides a higher speed of data communications than USB2 but actual scanning speed will be affected by the level of network traffic. Note that although the scan may be started from the scanner using the FILE and COPY buttons the resolution and color modes must be selected from the software running on the remote computer. This will impose a natural restriction on the way the scanner is used with the Ethernet connection.

5.4 Altering and checking the IP address in the scanner

The IP address of the Ci 40 scanner can be set and checked using the LCD menu panel on the scanner or via the USB (or Ethernet connection) in conjunction with the Ci Utilities program. – To find out what Ethernet address is

set in the SCANNER go to the lid Control Panel and use the MENU and back buttons to display the IP address.

– To change the Ethernet address on the

scanner use the UP, DOWN, LEFT and RIGHT buttons in combination with the MENU and ENTER buttons.

Using the Ci Utilities program to change or check the scanner IP address

NOTE: To avoid operator confusion and possible interface mal-function do not connect the Ethernet and USB interfaces at the same time.

Start by running Ci Utilities with ONLY the USB cable connected. From the Utilities button go to the Ethernet tab. Next identify an available IP address for the scanner. You may need to consult your IT administrator for this. You can check if the address is currently unused and available by checking for a failed ping return using ping IP address * <ENTER> from the DOS prompt on the computer/ network you intend to use. Configuring the IP address in the scanner − Activate the scanner if in Sleep Mode

− lick the Utilities button on the first screen of the Ci Utilities application (dotted)

− Click the Ethernet Setup tab

− Type in the IP address you will be using *

− Type in the Command and Data port numbers. These will normally be as shown

− Click OK. Switching Ci Utilities to Ethernet (IP)

− Click the Configuration icon (dotted) to access the Connection selector

− Click the Ethernet radio button

− Type in the address you will be using

− Type in the Command and Data ports

− Press OK

− Exit the Ci Utilities application Using Ethernet with Ci Utilities

− Turn off the scanner

− Remove the USB2 cable

− Insert the Ethernet cable

− Switch the scanner ON

− Start Ci Utilities to check for an IP connection. The connection can also be checked from the DOS prompt by typing netstat – a followed by <ENTER>. The IP address of the host computer (200.2.1.210), scanner (200.2.1.128) and the ports shown here as 17236 and 17237 should all be visible. An example of a successful PING to the scanner configured as 200.2.1.128 after the scanner has been connected.

IMPORTANT: If the scanner is switched on with the USB and Ethernet interface connected, the USB interface will become the active interface. If a USB cable is plugged into a working Ethernet configured scanner it will automatically

switch to USB as the active communications interface. Ci Utilities and other applications configured for Ethernet will now report ‘No Scanner’ or time out. To restore Ethernet operation switch off the scanner, remove the USB cable and restart the scanner. If there are problems re-establishing an Ethernet connection it may be necessary to power cycle the Ethernet switch or router device. Ci Utilities can now be used via the Ethernet interface. WARNING - Do not use Ethernet while upgrading the firmware of the scanner. Always switch the scanner OFF before changing from USB to Ethernet or Ethernet to USB.

5.5 Setting and altering the IP settings - SmartLF All-In-One

The communications for this program are handled from the i button in the top left-hand corner of the main program screen. − Ensure that you have a USB connection between the

scanner and the computer.

− Click the i button to reveal the General Settings screen.

− From the USB default setting (shown) click the Ethernet radio button.

− Now click the Set IP Address button and enter the IP address and ports. These should be the same as those already used in Ci Utilities.

− Exit SmartLF-All-In-One

− Switch the scanner OFF

− Unplug the USB cable

− Switch the scanner ON

− Restart SmartLF All-In-One

If the SmartLF All-In-One application is set for an interface that is not physically connected or configured the application will issue the message ‘Unable to detect a SmartLF scanner’. The program’s main screen will still appear but in a grayed out (no scanner detected) mode. The i button can now be used to access the communications dialogue to reconfigure in accordance with the currently connected interface. After any changes have been made to the scanner communications the operator will be asked to restart the software. NOTE: If the Ethernet scanner enters sleep mode when operating SmartLF All-In-One software, Ethernet operation will be discontinued and a scanner power cycle may be required to resume scanning. However if SmartLF-All-In-One is closed down and then the scanner enters sleep mode the scanner can be woken remotely by opening SmartLF-All-In-One once more. For Ethernet operation we recommend the scanner application is closed if the scanner is likely to go into Sleep Mode.

− Ensure that you have a USB connection between the scanner and the computer

− Switch on the scanner then start ScanWorks

− Click the Connection setting tab from the main screen

− Click the Ethernet radio button, type in the IP parameters then click Confirm

− Exit ScanWorks

− Switch the scanner OFF

− Unplug the USB cable

− Switch the scanner ON

− Restart ScanWorks If an Ethernet scanner enters Sleep Mode when ScanWorks is not in use, restarting ScanWorks will automatically wake the scanner.

5.7 Setting and altering the IP settings - CopySmart

− Ensure that you have a USB connection between the scanner and the computer

− Switch on the scanner then start CopySmart

− Click the Ethernet radio button

− Press the Set IP address button

− On the next screen type in the IP parameters then click OK, then OK again

− Exit CopySmart

− Switch the scanner OFF

− Unplug the USB cable

− Switch the scanner ON − Restart CopySmart

If an Ethernet scanner enters Sleep Mode when ScanWorks is not in use, restarting ScanWorks will automatically wake the scanner.

CHAPTER 6 TROUBLESHOOTING PROCEDURES FOR Ci 40

6.1 Common problems

a) The scanner is switched on but the LCD display is not lit.

Cause Fix

The power is not switched on at the mains socket Switch on the power at the socket

The socket cable is not plugged into the DC power supply properly

Ensure the socket cable is pushed firmly into the DC power supply properly

The scanner power supply DC power plug is not plugged into the scanner properly

Ensure the DC power plug is pushed firmly into the correct socket on the back of the scanner

The DC power supply is not working The DC power supply may be defective and need replacing. Refer to qualified technician

The fuse in the mains plug is defective The fuse may be defective and need replacing. Refer to a qualified technician for investigation

b) Pressing scan fails to start the scanner scanning

Cause Fix

The scanner cannot be operated if it is powered up with a document already loaded.

Always make sure there is no document loaded in the scanner when switching the scanner on. Remove and reload a pre-loaded document to resume scanning. The Ethernet switch box may need to be power cycled.

c) The software cannot find the scanner and times out (Ethernet)

Cause Fix

The scanner and software IP Ethernet addresses may be different or the scanner may not have been reset since plugging in the Ethernet cable or the USB cable

Always switch the scanner off and on again after connecting the Ethernet cable or the USB cable. Use the software IP address menu to set the IP address for the software or use the panel on the scanner itself

d) The software cannot find the scanner and times out (Ethernet)

Cause Fix

The Port numbers stored in the scanner may not be the same as the those used by the scan application

Ensure the same pair of port numbers is replicated in the scanner and in the driving software. The Ethernet switch box may need to be power cycled.

e) The Ci Utilities program has stopped working

Cause Fix

The Ethernet connection OR the USB connection may have been pulled out while the scanner was still powered up. You may be using the wrong IP address

Ensure that after connecting or disconnecting an interface cable that the scanner is switched off and then on again. The Ethernet switch box may need to be power cycled. Check for LED activity at the Ethernet switch.

f) I am trying to use Ethernet but I think the USB interface is still being used

Cause Fix

The USB interface is the default connection and the scanner will always use this even if the Ethernet connection has been selected

When using Ethernet to communicate with the scanner always unplug the USB cable. Failure to do this will cause the scanner to dynamically change to USB (without power cycling the scanner).

g) The scanner does not load my document properly and takes it before I’m ready

Cause Fix

The scanner uses a fixed time period between seeing the document and starting the document load procedure. You are loading the document too slowly

Slide or grip the document with two hands at each side edge and insert it briskly into the scanner’s top aperture. Push the document firmly until some resistance is felt. Maintain the load pressure and direction on the document until the document is gripped. Use the platen rulings as a guide (if necessary)

h) The scanner keeps running for a few seconds after an aborted load

Cause Fix

If the scanner detects a document in the load aperture before it is properly inserted the motor will still turn

Move the document back and away from the sensors and allow the motor to stop or time-out before attempting a reload. Alternatively press the down arrow to stop the load sequence immediately before reloading the document

i) The scanner is working, but only very slowly.

Cause Fix

The scanner speed as set in the scanner application has been set to SLOW

Find the speed control in the application you are using and return it to its maximum position. Rescan again

The scanner data is moving very slowly between the computer and the scanner due to a problem with data communication speed or a problem getting scan data stored quickly enough inside the computer

If USB connected check the cable is of good quality and no more than 2m in length. Also check the computer’s USB interface is the faster USB2 standard. Ensure the computer processor meets the performance specification given in Section 7.1. Verify that the computer hard disk has recently been defragmented. If using Ethernet verify that high network traffic is not the problem. Avoid saving the scan file across a network

The scanner communication is fine but the resolution set in the application may be set very high (e.g. 2400 dpi) causing excessive computer hard disk activity. For an A0 original

Reduce the scan resolution to 200 dpi or 400 dpi. Alternatively if a high resolution is required reduce the scan area to test the performance of the computer. Resolutions above 600 dpi are calculated in the driver by the computer and will depend directly

this can produce file in excess of 2GB on the performance of the attached computer

j) The document seems to be skewing (turning slightly) as it scans.

Cause Fix

The scanner lid may not be closed properly Open the lid and check for an obstruction then re-close the lid by pressing on the lid cams as shown in the beginning of this manual. Do not close by pressing the cover.

The document may be too small for the scanner The scanner is not suitable for scanning documents smaller than A5.

The document may be too small and glossy (shiny) for the scanner

The Ci 40 has not been specifically designed to accept small shiny documents and these may not be suitable for the scanner

k) The document is scanning white on the computer screen.

Cause Fix

The document may be inserted in the scanner face down. Ci 40 requires the original to be placed in the scanner image-side uppermost.

l) Loss of F/B stitch (temporary) at the leading edge of scan

Cause Fix

The document is too heavy, being scanned too fast or being slowed by an obstruction at the start of the scan.

Manually assist the document through the scanner, decrease the scan speed or increase the d.p.i.

6.2 Problems indicating routine user maintenance may be required a) Horizontal lines across the width of a scan document are not aligned vertically at a point where the sensors intersect.

Cause Fix

The horizontal or F/B stitch has been affected by rough-handling or following sensor cleaning maintenance

After shipping or maintenance, check and re-run the automatic stitch procedure in the Ci 40 Utilities if necessary

b) Diagonal lines at a point where the sensors intersect appear to break up.

Cause Fix

The vertical or L/R (left-right) stitch has been affected by rough-handling or following sensor cleaning maintenance

After shipping or maintenance, check and re-run the automatic stitch procedure in the Ci 40 Utilities if necessary

c) The scan quality of background and solid color areas appears to have changed.

Cause Fix

The relative sensitivity of one or more of the sensors has changed, probably due to a different operating temperature

Devices using multiple sensors always need frequent normalising when operated in areas subjected to varying conditions of air temperature. Run the Ci 40 Normalisation calibration using the Normalisation target or another suitable piece of plain matt white paper to reset the scanner white points. Refer to Section 4.2

d) When scanning transparencies there are dark areas in the image where there should be white.

Cause Fix

The large white roller or drum in the scanner may need to be cleaned. Transparency scanning relies on reflected light returning from the roller to the sensors.

SWITCH OFF the scanner then open the scanner lid and clean the roller with a clean damp cloth applied with a non-solvent general purpose foam cleaner or similar.

e) I have noticed black, green or gray lines or streaks down the scanned image

Cause Fix

This is due to dirt on the glass covering the image sensor OR dirt which was once on the sensor but has been stored in the scanner normalisation memory during routine maintenance

Switch off the scanner. Open the lid and by relating the image to the sensor layout inspect the surface of the relevant glass cover. Clean any dirt or deposits from the glass using a good quality domestic glass cleaner. If the glass is clean a re-normalisation should be carried out by following the instructions in section 4.2

f) I have cleaned the glass but there are still black, green or gray lines or streaks down the scanned image.

Cause Fix

The optical disturbance from the dirt was probably recorded into the normalisation. Re run the scanner normalisation

Run the Ci 40 Utilities program and renormalise the scanner using the target provided by following the instructions in section 4.3.

g) Random bands & patches of different color across scan. Scanning printed artwork / small dots / fine shading.

Cause Fix

This is most likely an effect known as Moiré where the scanning resolution ‘beats’ with the frequency of the printer’s screening used in the original

Re-scan the document at a higher resolution. Always use the viewer at 1:1 to inspect the scan (the effect may return even on a perfect scan at other zooms). Use ScanWorks’ dpi reduction (resample) to reduce the resolution again

h) The scanner keeps stopping and starting during scanning.

Cause Fix

This is because the computer cannot keep up with the speed of data coming from the scanner. The scanner stops to prevent data overflow at the computer

Slow the scanner down using the speed slider inside the scanning application, reduce the scan resolution or de-fragment the computer’s hard drive. Try to avoid a stop-start scan because image quality may suffer if document slippage occurs

i) The scanner is making a high pitched screeching sound when I start the scan.

Cause Fix

The drum or paper transport system has stalled due to a paper jam or scanning a document too heavy to be scanned at this speed

REMOVE DOCUMENT Cancel the scan by pressing the CANCEL button. If the document cannot be back towards the operator using the BACK button switch off the scanner, open the lid and remove the document manually. RESCAN DOCUMENT Select a slower speed using the application’s speed control

CHAPTER 7 APPENDICES

7.1 Computer requirements for SmartLF Ci 40

The minimum computer specification needed to achieve the stated SmartLF Ci 40 performance is as follows: Operating system: Windows XP or Windows Vista (see note 4) Processor: At least 2.8GHz, DUAL CORE (AMD), CORE-DUO (Intel) or HT (Hyper Threading) processor Memory: At least 1 GB RAM Data port: A USB2 compatible interface (see note 5)

1. The scan rate is proportional across the full range of resolutions supported by the scanner. Actual scan times will depend on the host system performance. The quoted scan accuracy is valid for media up to 0.3mm thick and may vary depending on the operating environment and the type & thickness of media. Colortrac measures accuracy by scanning a paper original printed with a 68.58cm (27in) square target. Some advanced features may not be available in Windows 2000. Contact your supplier for advice on the optimum system configuration for your application. Colortrac Ltd reserves the right to change or amend specifications without notice. Windows XP is a mandatory requirement to make available operation of the scanner from the control panel. For Windows 2000 users there may be limitations on the operational control available through the SmartLF Ci 40 control panel. This may change without notice. 3. The Microsoft .NET environment is a Windows XP Service Pack Update. .NET is necessary for operation of the SmartLF Ci 40 standard SmartLF graphical user interface and MUST be loaded as part of the operating system. Windows 98,ME,NT4 and Windows 2000 Server are not compatible with SmartLF Ci 40. 5. USB2 & Gigabit interfaces are mandatory requirements for SmartLF Ci 40. Slower interfaces will cause slow scan speeds and possible SmartLF Ci 40 malfunction

7.2 How to check for a USB2 interface

It is very important that SmartLF Ci 40 is connected to a computer that has a USB2 interface. USB2 is approximately 40 times as fast as the older USB1.1 standard. Run the Ci 40 Utilities program and press the USB tab to run a check on the speed of the USB interface to which the scanner is connected. If the speed is OK and the interface passes the test, SmartLF Ci 40 should operate in accordance with the published specification. If the USB interface fails the test this could be due to one of the following:

• This is a computer with a USB1.1 port (a pre-USB2 machine)

• A USB2 port could be available but a USB1.1 device is sharing the connection

• The USB2 port could be faulty or the cable may be too long

• The USB2 interface of SmartLF Ci 40 may be damaged

As an additional check it is wise to inspect the Properties of the USB interface via the Device Manager of Windows’ Control Panel. Expand the Universal Serial Bus Controller device. If one of the USB sub-branches contains the word ‘enhanced’ then the PC is likely to have a USB2 driver loaded on one of its USB ports. Unfortunately this does not guarantee that the scanner is plugged into the port using the USB2 driver. Computers often have multiple USB ports and some more than one USB controller. If SmartLF Ci 40 has been successfully installed on a computer but the scanner connection is changed to a different USB port (for example on the rear of the computer) this will cause the driver to be installed again. This is effectively a new installation. NOTE: Every port can potentially have a different version of the SmartLF Ci 40 driver loaded for it so if you have recently upgraded the driver for SmartLF Ci 40 and changed the USB port you regularly connect through you should check the driver level using the Properties tab. Always reboot after updating a USB driver.

7.3 Windows .NET Framework environment

The Microsoft .NET Framework allows users to run applications built using the .NET Framework like the Colortrac SmartLF application. If the .NET Framework 2.0 is not installed on the scanner computer then the SmartLF multi-function software will not run. CHECKING FOR AN EXISTING INSTALLATION OF MICROSOFT .NET (MSDN) FRAMEWORK 2.0 Go to the Control Panel and look for the highest number in the .NET programs listing.

Microsoft Windows Vista™ installs .NET 3.0 automatically and most Windows XP Home and Windows XP Professional installations (if they are taking advantage of the Windows Automatic Update service) will already have .NET 2.0 installed. SmartLF users can upgrade their XP machines to .NET V3.0 but there is no technical or performance reason for doing this.
