No matter what type of logistics service
provider your company is, be it brokerage,
3/PL, 4/PL or freight forwarder, your success
is based on how well you service your customers. You
stake your reputation on knowing what to expect from
your carrier network and when to expect it. By choosing
the wrong carrier, you are placing both your customers
and customer’s freight at risk.
SHIPS Logistics Management solution provides the
carrier performance information you need to make good
business decisions. Many dispatching and accounting
systems provide data concerning carrier’s rates,
documents on file and expiration dates. But, with SHIPS
Logistics Management, information about carrier’s
responsiveness to the return of rate confirmations,
timeliness of POD returns, insurance caps, missing billing
documents, late loads and damage claims are all
tracked, managed and accessible. And, because these
documents are all managed electronically, you are not
producing the piles of paper you’ve come to expect.

Gaining operational efficiencies and keeping your
customers happy can often be a balancing act.
SHIPS Logistics Management allows you to
accomplish this without jeopardizing either. Now you can
become more efficient in a paperless environment, streamline
and automate your routine tasks AND improve your carrier
selection capabilities.
SHIPS Logistics Management utilizes paperless processes
in the management of carriers’ regulatory documents, rate
confirmation transactions, performance reports, FMCSA
rating, carrier settlement and billing processes. Storing and
indexing the electronic images of these documents allows the
system to monitor and trigger workflows that track the return of
documents, identify missing documents and check for claims
and late deliveries.
Because SHIPS Logistics Management solution integrates
with your existing dispatch and accounting systems, it has
access to the business rules that manage the workflows, data
updates, alerts and reporting functions within the Logistics
Management application. With the defined rules set in place,
the workflows automatically handle the management of
routine tasks, freeing up staff to now only manage the
exceptions. You can now be assured of placing your
customers’ freight in good hands and not waste time on
assigning loads to carriers that are out of compliance or not
good business partners.
And, with SHIPS Logistics Management solution, we
haven’t forgotten about the importance of the shipper- your
customer. The more you know about their demands and
preferences, the better you can service them. That’s why the
system provides the ability to gather, store and access shipper
information. If a carrier approaches you requesting freight,
you can quickly and easily retrieve shipper information to
identify possible options. Not only will you increase your
revenue potential, but you will build stronger relationships
between you, your shippers and your carrier network.
Paperless, Integrated Workflow Solution Keeps You in the Know and Your Customers Satisfied.

Packard Logistics Inc. is a full service logistics company servicing a
nation-wide network of shippers. The company prides itself on superior
service with safe, on-time delivery. For the past three years, Packard Logistics
has grown rapidly, increasing its transaction volume by over 100 percent.
Challenge
While experiencing accelerated growth, Packard Logistics found itselfchallenged to keep up with the documentation and information necessary tosupport its customer base and manage its national carrier network. With somuch additional business came a deluge of paperwork.
Solution
Packard Logistics implemented the SHIPS Logistics Management solutionto track and manage carrier information and documentation. The companyextended the value of the software by integrating it with SHIP’s billing andsettlement workflows and Packard’s existing dispatch and accountingsystems. All of these applications are supported by EBE’s imaging solutionwhich scans, indexes and forwards the documents to the appropriateworkflow queue.
Results
Since implementing SHIPS Logistics Management workflows, PackardLogistics has more control over the management of carrier information andhas been able to reduce the number of staff supporting the process.
Because Logistics Management workflows automate the manual routinetasks, the staff now only monitors and responds to the exceptions, resulting insignificant productivity and service improvements for its customers andcarriers. Staff is alerted when there is missing paperwork or when a carrier’sregulatory documents need to be updated. If a carrier’s documents haveexpired, the workflow will automatically prohibit that carrier from beingdispatched until the documents are renewed.
All documents and activities are time and date stamped so Packard cantrack and monitor statistics of its carriers’ performance. Carriers are nowrated based on factors such as responsiveness in returning rateconfirmations, claims and FMCSA standards. This provides Packard with ahigh degree of confidence when assigning a carrier to deliver its customers’ freight.

Managing the regulatory documents necessary to
ensure that your carriers meet appropriate guidelines,
have up-to-date licenses and required permits is
typically very labor intensive. SHIPS Logistics Management workflows
eliminate the need for this manual process and streamline the
activities associated with maintaining a viable carrier network.
Input and maintain.
Regulatory documents such as ICC Permits, Carrier/Broker
Contracts, Tax Documents, Authorities, Credit References and
Certificates of Insurance are scanned into SHIPS Logistics
Management system. Indexes such as document type, carrier code,
document expiration date and workflow rules are tied to the data
within the carrier master file. This information is then either stored in
the carrier’s dispatch application if that capability exists, or within
SHIPS Logistics Management solution. FMCSA reports are added to
the document archive based on activity or time interval, whichever
the logistics provider defines.
Monitor and take action.
On a weekly basis, SHIPS Logistic Management workflow
queries the expiration dates of documents in the carrier master
file. Based on the expiration date and document type, qualifying
documents, along with the carrier performance report, are
gathered and routed to the queue of the person responsible for
managing that carrier’s compliance. Depending on the defined
standards of the carrier’s performance, either renewal notices
are issued via email, fax or insertion into the carrier settlement
check, or, in the case of non-performance, the renewal notice
is suspended.
When the renewal document is received back, it is routed into
the workflow queue of the person responsible for that particular
carrier. A notification is then sent stating that a related document
has been received and is available for audit. Once audited, the
carrier master file is updated with the new expiration date. If the
renewal document is not returned by the specified date, the
carrier is labeled inactive and prohibited from being dispatched.
Benefits of Implementing SHIPSLogistics Management Solution:
• Increased productivity through the elimination of
paper processing
• Reduced labor costs through exception management
vs. spending time on routine transactions
• Improved customer satisfaction by increasing
responsiveness and delivering superior
carrier performance
Delivered to the Driver.Your drivers are the
most important asset
you have, and
keeping them
informed means keeping them satisfied. By integrating
SHIPS Logistics Management to Mapquest®, the system can
identify a driver’s current location and then send pick up and
delivery directions directly to the driver via mobile
communications, web or fax. And, because the
commodity being shipped, along with any special
delivery instructions are stored within SHIPS
Logistics Management, this
information can also be
automatically sent
to the driver.
Rate confirmations are received from the dispatch system
into a directory within the Logistics Management
application. A lookup is made into the dispatch system
to determine if a signature is required. If a signature is not
necessary, the rate confirmation is forwarded to a billing queue
to await delivery paperwork. If one is required, workflows are
executed to manage the process.
Streamlined for accountability.
When a rate confirmation requires a signature by either
shipper or carrier, they are notified via email or fax. Once
received, they can sign the document over the Internet using EBE’s
digital signature capture capability or place a bit map signature on
the rate confirmation and send back via email. These methods
eliminate the need to create paper to process the documents. If a
fax is sent, it is bar coded with the order number. When faxed
back, the bar code is read and time and date stamped.
The returned rate confirmation is then reviewed, verified and
forwarded to the appropriate dispatch queue. A workflow is then
triggered to retrieve the carrier’s most current FMCSA report,
performance report and supporting documentation which it then
sends to the dispatcher for review.
In the case where a signed copy of the rate confirmation is not
returned by a specified time, an email reminder is automatically
generated. If the signed contract remains outstanding, it is moved
to an expired contract queue for follow-up.
Once dispatched, the transaction is time and date
stamped and placed in a carrier settlement queue.
When the load is delivered, PODs are returned and
scanned, the time lapse between dispatch and the return of the
POD is calculated – updating the carrier’s performance records.
Don’t just settle. Settle with confidence. Now that the load has been delivered, it’s time to settle up.
But before the logistics provider can do this, all supporting
documents must be sent to the billing workflow queues where they
are inventoried and verified for completeness. If there is missing
paperwork, the system automatically generates an email alerting
the carrier that payment is suspended until the specified
documentation is provided.
Once the system validates the documents, a freight bill is
created. The bill and supporting documents may then be printed,
faxed, emailed or entered directly into the shipper’s website.
The carrier settlement documents are then released into the carrier
settlement queue. When the check is ready to print, the carrier
management application will print the check and
supporting documents.
Document format. It’s your choice.SHIPS Logistics Management is built with the flexibility to
accommodate the various formats carriers and shippers prefer
for sending and receiving their documentation including:
• Paper based printed check and supporting documents• EDI 210 transaction to export invoices to shippers• Internet access to stored documentation• Immediate Document Exchange (IDE) for shippers using
imaging solutions

No matter what type of logistics service
provider your company is, be it brokerage,
3/PL, 4/PL or freight forwarder, your success
is based on how well you service your customers. You
stake your reputation on knowing what to expect from
your carrier network and when to expect it. By choosing
the wrong carrier, you are placing both your customers
and customer’s freight at risk.
SHIPS Logistics Management solution provides the
carrier performance information you need to make good
business decisions. Many dispatching and accounting
systems provide data concerning carrier’s rates,
documents on file and expiration dates. But, with SHIPS
Logistics Management, information about carrier’s
responsiveness to the return of rate confirmations,
timeliness of POD returns, insurance caps, missing billing
documents, late loads and damage claims are all
tracked, managed and accessible. And, because these
documents are all managed electronically, you are not
producing the piles of paper you’ve come to expect.

Gaining operational efficiencies and keeping your
customers happy can often be a balancing act.
SHIPS Logistics Management allows you to
accomplish this without jeopardizing either. Now you can
become more efficient in a paperless environment, streamline
and automate your routine tasks AND improve your carrier
selection capabilities.
SHIPS Logistics Management utilizes paperless processes
in the management of carriers’ regulatory documents, rate
confirmation transactions, performance reports, FMCSA
rating, carrier settlement and billing processes. Storing and
indexing the electronic images of these documents allows the
system to monitor and trigger workflows that track the return of
documents, identify missing documents and check for claims
and late deliveries.
Because SHIPS Logistics Management solution integrates
with your existing dispatch and accounting systems, it has
access to the business rules that manage the workflows, data
updates, alerts and reporting functions within the Logistics
Management application. With the defined rules set in place,
the workflows automatically handle the management of
routine tasks, freeing up staff to now only manage the
exceptions. You can now be assured of placing your
customers’ freight in good hands and not waste time on
assigning loads to carriers that are out of compliance or not
good business partners.
And, with SHIPS Logistics Management solution, we
haven’t forgotten about the importance of the shipper- your
customer. The more you know about their demands and
preferences, the better you can service them. That’s why the
system provides the ability to gather, store and access shipper
information. If a carrier approaches you requesting freight,
you can quickly and easily retrieve shipper information to
identify possible options. Not only will you increase your
revenue potential, but you will build stronger relationships
between you, your shippers and your carrier network.

Success StoryPackard Logistics, Inc.
