Because Logistics Management workflows automate the manual routinetasks, the staff now only monitors and responds to the exceptions, resulting insignificant productivity and service improvements for its customers andcarriers. Staff is alerted when there is missing paperwork or when a carrier’sregulatory documents need to be updated. Managing the regulatory documents necessary to

ensure that your carriers meet appropriate guidelines,

have up-to-date licenses and required permits is

typically very labor intensive. SHIPS Logistics Management workflows

eliminate the need for this manual process and streamline the

activities associated with maintaining a viable carrier network.

Input and maintain.

Regulatory documents such as ICC Permits, Carrier/Broker

Contracts, Tax Documents, Authorities, Credit References and

Certificates of Insurance are scanned into SHIPS Logistics

Management system. Indexes such as document type, carrier code,

document expiration date and workflow rules are tied to the data

within the carrier master file. This information is then either stored in

the carrier’s dispatch application if that capability exists, or within

SHIPS Logistics Management solution. FMCSA reports are added to

the document archive based on activity or time interval, whichever

the logistics provider defines.

Monitor and take action.

On a weekly basis, SHIPS Logistic Management workflow

queries the expiration dates of documents in the carrier master

file. Based on the expiration date and document type, qualifying

documents, along with the carrier performance report, are

gathered and routed to the queue of the person responsible for

managing that carrier’s compliance. Depending on the defined

standards of the carrier’s performance, either renewal notices

are issued via email, fax or insertion into the carrier settlement

check, or, in the case of non-performance, the renewal notice

is suspended.

When the renewal document is received back, it is routed into

the workflow queue of the person responsible for that particular

carrier. A notification is then sent stating that a related document

has been received and is available for audit. Once audited, the

carrier master file is updated with the new expiration date. If the

renewal document is not returned by the specified date, the

carrier is labeled inactive and prohibited from being dispatched.

Rate confirmations are received from the dispatch system

into a directory within the Logistics Management

application. A lookup is made into the dispatch system

to determine if a signature is required. If a signature is not

necessary, the rate confirmation is forwarded to a billing queue

to await delivery paperwork. If one is required, workflows are

executed to manage the process.

Streamlined for accountability.

When a rate confirmation requires a signature by either

shipper or carrier, they are notified via email or fax. Once

received, they can sign the document over the Internet using EBE’s

digital signature capture capability or place a bit map signature on

the rate confirmation and send back via email. These methods

eliminate the need to create paper to process the documents. If a

fax is sent, it is bar coded with the order number. When faxed

back, the bar code is read and time and date stamped.

The returned rate confirmation is then reviewed, verified and

forwarded to the appropriate dispatch queue. A workflow is then

triggered to retrieve the carrier’s most current FMCSA report,

performance report and supporting documentation which it then

sends to the dispatcher for review.

In the case where a signed copy of the rate confirmation is not

returned by a specified time, an email reminder is automatically

generated. If the signed contract remains outstanding, it is moved

to an expired contract queue for follow-up.

Once dispatched, the transaction is time and date

stamped and placed in a carrier settlement queue.

When the load is delivered, PODs are returned and

scanned, the time lapse between dispatch and the return of the

POD is calculated – updating the carrier’s performance records.

But before the logistics provider can do this, all supporting

application. A lookup is made into the dispatch system

to determine if a signature is required. If a signature is not

necessary, the rate confirmation is forwarded to a billing queue

to await delivery paperwork. If one is required, workflows are

executed to manage the process.

Streamlined for accountability.

When a rate confirmation requires a signature by either

shipper or carrier, they are notified via email or fax. Once

received, they can sign the document over the Internet using EBE’s

digital signature capture capability or place a bit map signature on

the rate confirmation and send back via email. These methods

eliminate the need to create paper to process the documents. If a

fax is sent, it is bar coded with the order number. When faxed

back, the bar code is read and time and date stamped.

The returned rate confirmation is then reviewed, verified and

forwarded to the appropriate dispatch queue. A workflow is then

triggered to retrieve the carrier’s most current FMCSA report,

performance report and supporting documentation which it then

sends to the dispatcher for review.

In the case where a signed copy of the rate confirmation is not

returned by a specified time, an email reminder is automatically

generated. If the signed contract remains outstanding, it is moved

to an expired contract queue for follow-up.

Once dispatched, the transaction is time and date

stamped and placed in a carrier settlement queue.

When the load is delivered, PODs are returned and

scanned, the time lapse between dispatch and the return of the

POD is calculated – updating the carrier’s performance records.

Don’t just settle. Settle with confidence.Now that the load has been delivered, it’s time to settle up.

But before the logistics provider can do this, all supporting

documents must be sent to the billing workflow queues where they

are inventoried and verified for completeness. If there is missing

paperwork, the system automatically generates an email alerting

the carrier that payment is suspended until the specified

documentation is provided.

Once the system validates the documents, a freight bill is

created. The bill and supporting documents may then be printed,

faxed, emailed or entered directly into the shipper’s website.

The carrier settlement documents are then released into the carrier

settlement queue. When the check is ready to print, the carrier

management application will print the check and

supporting documents.
