About This Guide

The purpose of this manual is to inform the Infor Warehouse Mobility site administrator how to accomplish common tasks using the Infor Warehouse Mobility Administration Tool. The tool is web-based and edits XML data files used by the Infor Warehouse Mobility software to control the system.

About Infor Warehouse MobilityInfor Warehouse Mobility is a comprehensive and robust data collection system that simplifies operations by streaming real-time information between the shop floor and your ERP system.

Infor Warehouse Mobility handles all communications with your ERP system. Users select transactions and scan bar-coded data by using hand-held radio frequency (RF) scanners. Infor Warehouse Mobility formats the data and transmits it to your ERP system. Any information from the ERP is displayed as it was received.

With Infor Warehouse Mobility, users work with data-entry screens that show only relevant data fields, many of which include default values. Infor Warehouse Mobility updates your ERP database with the same data integrity as transactions that you enter through the standard ERP user interface at a desktop terminal.

You can edit Infor Warehouse Mobility parameter data by using a set of simple Web pages. The actual data is stored in XML files that correspond to the structure of your site.

1Chapter 1: Administration Tool

The Administration Tool consists of a series of Web pages designed to edit the Infor Warehouse Mobility parameter data with a simple to use web editor. The actual data is stored in a series of XML files corresponding to your site’s structure.

LoginIn a browser window, type in the appropriate URL for the administration login page (you may want to bookmark this page for later use). The URL should have this form:

http://IPAddress:8080/adcadmin

where IP address is the IP address of the computer upon which this copy of Warehouse Mobility is installed.

Type in the user name and password for the administrator. This is set up when the system is installed and can be changed later. You may need to contact the person installing the software. (Note: the default when shipped from Infor is admin/admin). Select the appropriate environment in which you wish to administer and click on the Login button.

The main menu is displayed. The left most column indicates the menu selection items. Click User Admin, System Admin, or Parameters depending upon the task you wish to perform. MySQL will allow access to statistical information. Documents will bring up the documentation list to display the documentation. Clicking Logout will sign you off from the system.

2Chapter 2: User Administration

The User Administration section allows you to review, add, change, and delete Warehouse Mobility users.

Review/Edit a UserFrom the main menu, click on the User Admin tab; the tab will expand to show two functions: View All and Search. To review or edit users, click on View All.

To see a specific user, click on the User ID. The system will show the user information for the selected user. To change a field value, select the field. These are the definitions for each field:

Employee Name

The user ID.

Password

Password for the user. This is displayed as “****” to prevent disclosure. The password can be reset by the administrator by highlighting the field.

Language

The language code for displaying screens to the user. This can be selected from the drop down which should show all language codes loaded.

Warehouse

Default warehouse for the user. This will be displayed as the default selection when the user logs into a device and can be overridden by the user.

Company Code

Baan company associated with the user.

Default Inbound Run

Default inbound run for this user.

Default Outbound Run

Default outbound run for this user.

Default Printer

Default barcode printer.

Laser Printer

Default Baan device for printing Baan reports.

Override Date Tolerance

Whether this user has permission to override the warning message for date tolerance.

Override Quantity Tolerance

Whether this user has permission to override the warning message for quantity tolerance.

The list boxes at the bottom allow you to specify which transactions the user is authorized to perform. Move from “Available” to “Allow” by selecting the transaction and pressing the > or the < key to move the transaction. Clicking >> or << will move all transactions.

The action buttons specify the following actions:

Previous

Move to the previous user.

Next

Move to the next user.

Add New

Add a new user (copies user currently selected).

Save

Saves modified information.

Delete

Deletes the selected user.

Add a New UserTo add a new user, select View All from the main menu as above. Simply find a user with similar properties as the one you wish to add and push the Add New button. The system will create a new entry on the middle panel list of users, blank out the name and password fields, and retain the rest of the existing information.

Type in the user ID and password, change any other relevant information, and press the Save button. Your new user will be listed as a user in the middle panel.

Delete a UserTo delete a user, select the user ID from the user list. Once that user ID is displayed, press the delete button. The user will be removed from the user list. The system will return to the first user.

Searching for a UserTo search for a user, or for users authorized for a particular transaction, press Find on the far left function list. This will activate the search screen.

You may search for users with leading characters. (For example, if you wish to find all users whose user ID start with “ba”, type ba in the employee name field and press search). You may also select a particular transaction from the drop-down list. (For example, if you wish to find all users authorized for picking, select Picking from the drop-down list and press Search). Also, the fields can both be used together. (For example, if you wish to find a list of all users whose user ID starts with b who are authorized for picking, type b in the Employee Name field and select Picking from the drop-down list; then click the Search button).

3Chapter 3: System Administration

The System Administration section allows you to edit scanner entries, manage labels and messages, list scanners, broadcast to scanners, reset the scanners, and use the Web Scanner utility. Click on System Administration to expand the link.

Listing ScannersClick on the List Scanners function from the menu.

The system will display the following information about the scanners configured:

Device

Name of the device.

IP Address

IP address of the device.

User

If the device is currently connected, the user name who is signed on.

Status

Connection status of the device.

Reset

Check box used for resetting the device.

Starting Web ScanWeb Scanner is an Infor utility for watching a scanner display remotely. To activate it, press the list scanners function from the above section. Then click on the device name you wish to watch. The Web Scanner can only be activated on devices that have the “Connected” status. A separate window will be displayed for viewing the device screen. Initially, the end user must press a key on the device in order for the user screen to be displayed.

Broadcasting MessagesWarehouse Mobility also provides the capability of sending messages to a device or multiple devices from the administration page, to use this feature click on the Broadcast Message link. This will bring up a list of connected devices. To send a message to a device, check the box under Broadcast for the device. (Pressing the Select All button will check all boxes, it does not send at this point). Next, type in the message you wish to send to the device. (Most scanners have limited display capability in terms of the number of characters that can be displayed, so you should keep messages short).

Click the Broadcast button to send the message. The message is displayed on the device.

Note: The user can return to the previous task by pressing any key.

Manage ScannersThe Manage Scanners function allows you to add, modify, and delete the devices configured in your barcode system. This should be done with caution, as the device must be visible in the network with the same IP address as is defined here.

Note: See the hardware vendor documentation about how to configure the device address.

To use the manage scanners functionality, click on the Manage Scanners link. The devices list pages is displayed.

To modify an entry, click on the desired name. The device should become highlighted and the appropriate information displayed in the boxes below. Modify the appropriate information and click the modify button.

To delete an entry, click on the desired name. The device should become highlighted and the appropriate information displayed in the boxes below. Click the Delete button.

To add an entry, type the information into the boxes and click the Add button.

Manage LabelsLabels are the fixed text that appear on the device next to the data to describe or name the data item being displayed. (Much like Labels in Baan). If the text that appears needs to be modified at your site, the Manage Labels function will allow you to do this. Click on the Manage Labels function from the menu and the following page is displayed.

Select the drop down entry for the language code you wish to modify and click Submit. The labels page will be displayed.

To change the text, click the Message ID field of the label you wish to modify. The label detail is displayed for this entry.

Fill in the new text for this message and click the Submit button.

Notice that the user text column was changed. This is the new text that will now be displayed. If you wish to return to the previous text, click the ID of the message to revert, and the label detail will be displayed. Click the Reset button and the text will revert to the previous entry.

Manage MessagesMessages are the text displayed on the scanning device to advise the user what to do, inform him of error conditions, or ask for a response.

Note: The messages that you can manage are those that originate within the Warehouse Mobility software. Baan messages that are displayed on the device must be maintained in Baan itself. These are passed to the user unaltered.

4 Specify the desired message text and click the Submit button. The system will store the changed text in the user text field and will re-display the Message List page.

To revert to the previous text, click the message ID, then, when the detail screen is displayed, click the Reset button. The user text will be cleared.

4Chapter 4: Parameters

The parameters section of the Administration Tool allows you to configure the software to your site requirements. Parameters are present in three levels: Global, Transaction, and Warehouse. Global parameters are few in nature and control broad-based assumptions by the software. Transaction and warehouse parameters control the behavior for a specific transaction. These parameters are set up to control behavior of the software and provide default values for fields at a “group” of users level. By configuring each warehouse on an individual level, the rules can be changed for the system based upon the warehouse the transaction is being executed from. There are also additional fields on the user ID that act as parameters, these values will override warehouse and transaction parameter values.

Global ParametersClick on Global to view the global parameter settings.

You can fill in your changes to the parameters and click on Submit. If you fill a field accidently or want to see the values before your editing session, click on Reset. This will refresh the screen with the stored values. See the Appendix for the definitions of the Global Parameter settings.

Transaction ParametersTransaction Parameters describe the default behavior and some default field values for each transaction within the system.You can modify these parameters to configure your site. To review the transaction parameters, click on the Transaction link on the menu.

Next, click on the link for the particular transaction from the transaction list. This will display the current settings for the transaction selected.

Note: The transactions are listed in alphabetical sequence.

Click on the appropriate field or checkbox to enter the data. Then click on Submit to modify the settings. Click on Reset to refresh the values.

Note: The transaction parameters are described in Appendix B.

Warehouse ParametersWarehouse Mobility allows the definition of parameters defining transaction behavior and defaults at the warehouse level. In this way, different warehouses may implement different procedures and defaults. To maintain this structure, the warehouse must first be defined. Click on the Warehouse link under the parameters link of the main menu. This will display the Manage Warehouses page.

With this screen, you can delete or add a warehouse.

Note: This action does not do anything in Baan, you must maintain warehouses in Baan using the Baan sessions.

To add a warehouse parameter set, fill in the warehouse and, optionally, a warehouse to copy from, and click the create button. This will create a new warehouse parameter set. If you do not specify a copy from the warehouse, the transaction parameters for each transaction will be copied. To delete a warehouse, fill in the warehouse number on the second line and click Delete.

To view and edit parameters for a warehouse, click on the warehouse name under the warehouse list. The warehouse parameters page is displayed.

Click the transaction for which you are setting parameters.

Change the parameter values as desired. When finished, scroll to the bottom and click Submit. This will modify the values. If the screen needs to be refreshed, you may click Reset.

Parameters General RulesIn general, the precedence rules for parameter use with Warehouse Mobility are as follows:

1 If a relevant user parameter exists, this is used.

2 If no user parameter exists, but a warehouse value exists, this is used.

3 If no user or warehouse values are defined, the transaction parameter is used.

4 If no value exists at a user, warehouse, or transaction level, the global value is used.

It should be noted that the warehouse parameters are a copy of the transaction parameters, and normally will exist if the warehouse used in the transaction is defined. It is possible to negate some parameters (such as default printer values) by setting them to spaces. This will cause the system to revert to a value specified at a transaction level.

Supplier Lot Equals Baan Lot

Yes/No This causes the Baan lot number to be defaulted to the supplier lot number when receiving.

Lot has Multiple Dates Yes/No When receiving a item that is lot-controlled and date-controlled, force the inventory date to be equal to the lot date.

User Input Lot date Yes/No Is the user to be asked for the inventory date (for an item that is date-controlled and lot-controlled).

Projects in Use Yes/No Set to Yes if projects are used in Baan. Setting to No will disable project input for transactions.

Containers in Use Yes/No Set to Yes if containerized items are used in Baan. Setting to No will disable container input for transactions.

Item Prefix Value If the Item field on barcode labels is to be prefixed by a string, this indicates the string value to use.

Date Format Value The date format used in Baan.

Time Format Value The time format used in Baan.

Email Parameters Yes/No Can emails be sent by the system?

SMTP Email Address Value IP address of SMTP server.

POP3 Email Address Value IP address of POP3 server.

From Email Address Value The value of the “from” email address when the system send emails.

Authentication User Name Value The user name for the email account the system will use to send emails.

Authentication Password Value The password for the email account the system will use to send emails.

B-1 Main ParametersWarehouse Mobility uses its own parameter table (brmcs999) to allow the user to control some aspects of the software. The following are the definitions of the available parameters for this release. By executing the Maintain Infor Parameters session (brmcs9199m000), the user can set these parameters.

Warehouse to Warehouse Integration

Y/N Should financial integration transactions be written for transfers of inventory between two different warehouses.

Location to Location Integrations

Y/N Should financial integration transactions be written for transfers of inventory between two different locations in the same warehouse.

Auto-Add Lots in Receiving

Y/N Flag indicating whether to automatically add a lot into Baan that does not exist. If Yes, the lot number typed in by the user will be added to Baan; if set to No, then the user will receive an error message if they enter a lot that does not exist. This does not apply if automatic generation of lots is used. Automatically-generated lots are always added to Baan.

Check Tolerances Value Should tolerances be checked for the receiving of purchase order lines. If Yes, then appropriate tolerance will be applied to the order quantity to see if the received quantity is within the tolerance. Lower tolerances are only checked in the order line if the close function is attempted (i.e., the tolerance is not checked on partial receipts unless the backorder quantity is being set to zero. This will occur only if the front-end parameter Enter Backorder Quantity is set to Yes).

Receipt Tolerance Lower Limit

Value If specified, the lower tolerance is designated in terms of quantity. This is the overall default tolerance, it is possible to define tolerance by item group and by item (see Maintain Tolerances by Item/Item Group below).

Receipt Tolerance Upper Limit

Value If specified, the upper tolerance is designated in terms of this absolute quantity. This is the overall default tolerance, it is possible to define tolerance by item group and by item (see Maintain Tolerances by Item/Item Group below).

Receipt Tolerance Lower Percent

Value If specified, the lower tolerance is designated in terms of this percentage of the order quantity. This is the overall default tolerance; it is possible to define tolerance by item group and by item (see Maintain Tolerances by Item/Item Group below).

Receipt Tolerance Upper Percent

Value If specified, the upper tolerance is designated in terms of this percentage of the order quantity. This is the overall default tolerance; it is possible to define tolerance by item group and by item (see Maintain Tolerances by Item/Item Group below).

Early Days Value The number of days before the delivery date that will cause the date tolerance message to be displayed. Late orders are not flagged.

Close Backorder if Within Tolerance

Y/N This will cause the system to set the backorder quantity to zero if the quantity received is within the specified tolerance of the quantity ordered. This is useful for closing order lines with small remaining quantities, particularly when the Unit of Measure is non-discrete (such as in terms of weight).

Form 2 fields:

Auto-Add Fixed Locations

Y/N This parameter applies in situations where the putaway parameter is on, and the parameter fixed locations in use is Yes. If the item is putaway, and there is not a fixed location for the item in the warehouse, then the transaction will automatically designate the selected location as a fixed location.

Auto Deliver Cost Items Y/N Allows the system to automatically deliver cost items received without the user doing a maintain deliveries transaction in Baan.

Y/N Should the lot be created in Baan in the report production transaction when the user enters a lot number that does not exist. This does not apply if auto-number of lots is used.

Check Production Receipt Tolerance

Y/N Should tolerances be checked when the user reports production on an SFC or PMG order. If Yes, then the appropriate tolerance will be applied to the order quantity to see if the received quantity is within the tolerance.

Production Receipt Tolerance - Lower Percent

Value If specified, the lower tolerance is designated in terms of this percentage of the order quantity. This is the overall default tolerance; it is possible to define tolerance by item group and by item (see Maintain Tolerances by Item/Item Group below).

Production Receipt Tolerance - Upper Percent

Value If specified, the upper tolerance is designated in terms of this percentage of the order quantity. This is the overall default tolerance; it is possible to define tolerance by item group and by item (see Maintain Tolerances by Item/Item Group below).

Report Production Order if Last Operation?

Y/N When the last operation is reported with a quantity, setting this flag will cause the system to report the quantity to the production order.

Production History Y/N This enables/disables Warehouse Mobility production history reporting. A Warehouse Mobility table keeps history of production by shift.

B-2 Warehouse Mobility TolerancesWarehouse Mobility for Baan IV allows extended tolerance checking, through the use of its own tolerance table (brcom962). The table is maintained via the session brcom9162m999. This table is optional, if an item or item group is not specified in the table for the specific transaction, then the general tolerances will be used. Although the table is designed to allow entry of many tolerances for transactions, not all possible entries are supported (or make practical sense). The values currently supported are for purchase receiving and production reporting (both SFC and PMG).

Name Type Description

Order Type Value The type of order to which this tolerance applies. For example, a purchase order.

Transaction Type Value The transaction type to which this tolerance appliies, for example, a planned receipt.

Item Group Value Specifying an item group makes the tolerance apply to all items in the Baan Item Group (unless that item has a specified tolerance).

Project Value Project to which the tolerance applies, blank for non-project inventory.

B-3 Cross Docking ParametersCross-docking is the allocation of material received from an order to another order as soon as the first order is received. Cross-docking can be applied, in theory, to any order types. In practice, cross-docking usually occurs between a purchase order, at the time of receipt (or after approval if the item requires inspection), and a sales or production order.

In order to cross-dock using Warehouse Mobility: 1) the two orders must be in the same warehouse, 2) cross-docking must be turned on in the receipt, inspection, or putaway transaction in the warehouse parameters (Warehouse Mobility) of the user doing the transaction, 3) the Cross-Dock Baan parameters for the warehouse must be set to allow cross-dock to the order type requiring the item. The cross-dock parameter table brilc999, allows the user to specify the order type(s) allowed in the warehouse, the priority of the order type, and the future days (number of days from today that the item is required) to be configured for each warehouse. If the warehouse has no entry, cross-docking will not be performed.

Item Value The item number.

Container Value Container for containerized items.

Lower Quantity Value This tolerance in terms of absolute quantity. The lower quantity will only be applied if the order is being closed.

Lower Percent Value This tolerance is in terms of percentage of the order quantity. The lower percent will only be applied if the order is being closed.

Upper Quantity Value This tolerance is in terms of absolute quantity.

Upper Percent Value This tolerance is in terms of percentage of the order quantity.
