Welcome...…to our Hospitality brochure at University of West Loondon. We provide a wide range of hospitality services, catering for all needs from meetings, training sessions, conferences and formal canapé events. Our menus can be viewed and staff authorised by their head of department can place an order. If you are planning a specific event, which requires more bespoke tailored catering, then please do contact us directly, we will be able to advise on our selection of menus and work with you to customise a special menu with our chef team for your event based on your budget, tastes and guests’ dietary requirements.

PoliciesPlacing your orderPlease allow a minimum of 48 hours’ notice to book food and beverage for your event.Booking are now made via our online portal, which can be accessed by clicking the link: <insert Link here>

Hours of serviceAll prices apply for hospitality booked between 8:00am & 5:00pm, Monday to Friday and hot food items booked between 8:00am & 3:00pm, Monday to Friday.Please note that these service times do not include preparation and clear back time for the hospitality. We are happy to provide catering at other times however additional staff charges may apply.Please speak to the hospitality manager if you have any queries relating to staffing costs.

Amendments & cancellationsWritten confirmation is required for all amendments and cancellations. The full cost of the event will be charged if less than 48 hours’ notice of cancellation is received. Please note all amendments should be made 48 hours prior to the event.

DeliveriesIt is the client’s responsibility to arrange access at the point of delivery and ensure all rooms are accessible. If the room is not accessible the order will be left outside the specified room, the hospitality department are unable to take responsibility for any items that subsequently go missing. Please note that if hospitality is to be served in a public area, it is the clients responsibility to ensure that there is someone to receive the hospitality at the requested time. After the allocated booking slot has passed the order will be left unattended, the Hospitality department are unable to take responsibility for any items that subsequently go missing.

Please ensure furniture has been prearranged at your function to avoid delays. This will need to be booked by clients via the estates service desk. Occasionally at peak times alternative slots might be offered due to multiple bookings. It may not be possible to deliver certain items to specific areas on campus, the Hospitality manager will be in touch to discuss alternatives should this issue arise. We adhere to strict food safety guidelines and therefore all food will be collected after 2 hours of service.

Hospitality service equipmentAll hospitality equipment is the property of Elior UK. This equipment is reusable and must not be removed. Please note that the return of all hospitality equipment is the responsibility of the person who has made the booking. Any equipment missing after an event will be charged to the cost code provided at the time of booking.

Terms & conditionsEach hospitality delivery requires a minimum spend of £10 per time slotVAT is not applied when payment is made via an internal cost code. Any payment via an external method, credit card or cash, are all subject to 20% VAT.Due to logistical challenges certain items cannot be provided to certain areas of campus. In this instance the hospitality manager will contact you to amend your booking. In order to comply with contractual tender agreements between UWL & Elior UK, Elior UK must be given first refusal for all hospitality provided on campus. Under exceptional circumstances this exclusivity can be wavered, however this must be approved by Elior UK Hospitality Manager, and is completely at their discretion. Please contact the Hospitality manager for further information regarding this.

CanapésIf you are in need of a more bespoke and formal feeling to your event, look no further than our selection of classic and delicious canapé options. Canapés are premium bite-size “nibbles” which are perfect to accompany drinks receptions served at awards ceremonies, exhibitions and a more formal type of event.

Please specify at the time of booking how you would like your savoury / sweet ratio split per person e.g. 3 savoury & 2 sweet per person. Where no split is specified we will provide a 2 sweet canapés per person.
