About the DocumentationThe present document describes how to install, configure and use the APM PhoneBookManager PC program.All functions offered by the APM PhoneBookManager program are explained. Should you find that some functions are not available as described, it may be due to the following:• Your workstation does not support this function. In this case, contact the assigned ser-
vice personnel.• You do not have the latest APM PhoneBookManager software installed. The latest ver-
sion is available as a zip file on the Internet athttp://www.siemens.com/hipath/ > Downloads > Software.

Graphic DisplayUser steps are illustrated graphically to the left in logical order. The illustra-tions represent the following:
Single click with the left mouse button.

Software Application ScenariosAPM PhoneBookManager software allows you to manage, edit and trans-fer directory entries from your Windows or Outlook Address Book and your workpoint to your PC.
APM PhoneBookManager software is suitable for the following work-points:• optiset E memory• optiPoint 410/420 standard/advance with optiPoint display module• optiPoint 410/420 standard/advance with optiPoint application module• optiPoint 500 basic/standard/advance with
optiPoint application module• optiPoint 600 office
Data TransferData is transferred from your workpoint to your PC and vice versa via sev-eral different connections.
Data Transfer via LANThe following workpoints allow data to be transferred via LAN:• optiPoint 410/420 standard/advance with optiPoint display module• optiPoint 410/420 standard/advance with optiPoint application module• optiPoint 600 office

Installing APM PhoneBookManager
System RequirementsTo use the full scope of functions for this software, the following require-ments must be met.
Hardware• IBM AT-compatible Pentium III, 500 MHz • 128 MB RAM • 5 MB free memory on the hard drive• CD ROM or DVD drive• Screen resolution of at least 800 x 600 pixels
Software• Windows 2000 (Service Pack 4) or
Windows XP (Service Pack 2) operating system• For connection to the telephones:
– FTP server (IP telephones only), see Seite 38– USB driver (UP0/E telephones only), see Seite 38– V.24 driver (optiset E telephones only), see Seite 38
User rights
To install the software on Windows 2000 and Windows XP, you must be registered as a user with administrative rights. If this is not the case, con-tact your assigned service personnel.
Setting up APM PhoneBookManager Software
Starting setup
1. Download the latest version of APM PhoneBookManager as a zip file from http://www.siemens.com/hipath/ > Downloads > Software.
2. Unzip the zip file with a suitable program, such as WinZip. You can download this program free of charge from http://www.winzip.com/ > Downloads.
3. Before installing APM PhoneBookManager, close all open programs on your PC. Furthermore, close all programs that display an icon next to the clock on the taskbar (antivirus software, for example).
4. Double-click start_setup.exe.
5. Follow the instructions in the Installation Wizard, see „Installation wiz-ard“ Seite 8.

Installation wizard
Installation involves several steps, at which you select the required op-tions.
By clicking Back you can revert to the your previous selection.By clicking Cancel you can stop the installation.
1. Select the required language.
Confirm your selection with OK.
The Installation Wizard dialog opens.

The system is preparing for installation.
2. The Installation Wizard starts.
Click Next to confirm this dialog.
3. You can now select the directory in which you want to install the APM PhoneBookManager software.

To select a different directory, click Edit... Select an alternative directory and confirm with OK.
Click Next to confirm the selected installation directory.
4. The Installation Wizard is now ready to install APM PhoneBookManager in the specified directory.
Click Install.
Several setup windows appear displaying the progress of the installa-tion. Installation may take several minutes.
5. Once the software is installed, the final Installation Wizard dialog is dis-played. If you do not wish to view the:– readme file,

– user guides, or– Linux licenses,
deselect the relevant checkboxes.
Click Finish.
The APM PhoneBookManager software has been successfully installed on your PC. For instructions on how to start the software and configure it for the first time, see

Parameters
Access code (PABX): This is also referred to as the "External Access Code". In this field, enter the prefix that must be dialed before the external phone number, e.g. "0".
PABX number: This is also referred to as the "Local District Code". In this field, enter the number for the system connection (phone number without the extension number, e.g. "722").
International access code: This is also referred to as the "International Area Code". In this field, enter the international access code, e.g. "00".
Own country code: This is also referred to as the "Local Country Code". In this field, enter the local country code for your company site, e.g. "49" for Germany.
National access code: This is also referred to as the "National Dial Prefix". In this field, enter the national dial prefix, e.g. "0".
Own area code: This is also referred to as the "Local Area Code". Enter the local area code for your company site, e.g. "89" for Munich.

Canonical format
Canonical format is an internationally standardized format for telephone numbers. Conversion rules must be defined to ensure that telephone num-bers in this format can be dialed correctly.

Distributors context menu
If a distributor list has already been generated Seite 29, you can easily assign individual entries to one or more distributor lists under View Direc-tories.
1. Select individual entries from the list. Hold down the <SHIFT> key and select a range. You can use the <CTRL> key to add or remove individual entries.
2. Right-click your selection and choose Distributors from the context menu.
3. Either select or clear the check boxes to determine the distributor lists to which the contacts are to be assigned.
If a white check box is checkmarked, all selected contacts are assigned to the distributor list.If a gray check box is checkmarked, only some of the selected contacts are assigned to the distributor list.If the check box is clear, this means that none of the contacts are as-signed to the selected distributor.
4. Click Apply.
You can also assign any number of contacts to different distributor lists Seite 30.

ENB 410/420 Registration (Interface for optiPoint 410/420) The APM PhoneBookManager software can only communicate directly with an optiPoint 500 basic/standard/advance with an optiPoint application module via USB. Directory entries in the optiset E memory, optiPoint 410/420 standard/advance and optiPoint 600 office workpoints are transferred via a CSV file, which is stored locally on your PC via LAN, USB or a V.24 interface. The APM PhoneBookManager software serves as a "gateway" for transferring the CSV file delivered by the workpoint to your optiPoint 500 basic/stan-dard/advance with an optiPoint application module. The CSV file must have a predefined structure.
Exported CSV files from the following workpoints do not have this struc-ture:• optiset E memory• optiPoint 410/420 standard/advance with an optiPoint display module• optiPoint 600 office
There are several ways of adjusting the structure of the CSV file:• Manually using an editor, see „Adjustment using an editor“ Seite 20
and then read it directly into the APM PhoneBookManager.• Automatically by importing it into Microsoft Outlook, see „Importing
into Microsoft Outlook“ Seite 24 and then accessing the Microsoft Outlook Address Book via APM PhoneBookManager.
Adjustment using an editor
The following editors can be used:• Microsoft Excel (full version)• Sun Microsystems Open Office
The following examples illustrate the structure of a CSV file. Only files with this structure can be read into the APM PhoneBookManager and trans-ferred to your optiPoint 500 basic/standard/advance with an optiPoint application module.
Individual entries must be separated by commas. The structure should ap-pear in the editor as illustrated below.

Troubleshooting
The structure of the CSV file will be treated differently according to the op-erating system, the service pack or the spreadsheet program used. If the entries are not separated by columns (e.g. Excel), proceed as follows:
1. Open the CSV file with Excel.
2. Select all of the entries in the first column.
3. Select Data > Text to Columns... from the menu bar. The "Convert Text to Columns Wizard - Step 1 of 3" dialog opens.

4. Click Next. The "Convert Text to Columns Wizard - Step 2 of 3" dialog opens.
5. Accept the settings as displayed in the screenshot and click Next. The "Convert Text to Columns Wizard - Step 3 of 3" dialog opens.

6. Click Finish. The entries are displayed in columns.
7. Select File > Save As... from the menu bar. Select the directory, an ap-propriate file name and the file type *.CSV. Confirm your entry with Sa-ve.
Check the contents of the CSV file using a suitable editor (e.g. Wordpad). The entries should be separated by a "," (comma). If they are separated by a ";" (semi-colon), the CSV file cannot be read into the APM PhoneBookManager or into a workpoint.Follow the steps below to adjust the CSV file:
1. Open the CSV file using Wordpad.
2. Select Edit > Replace... from the menu bar. The "Replace" dialog opens.
3. Enter a ";" (semi-colon) in the "Find what" field and a "," (comma) in the "Replace with" field. Confirm your entry with Replace All.
4. An information dialog opens. Confirm this dialog with OK.
5. Select File > Save from the menu bar. The CSV file can now be read into the APM PhoneBookManager or workpoint.

Importing into Microsoft Outlook
You can import the exported CSV file from your workpoint into Microsoft Outlook. The APM PhoneBookManager software features an option for ac-cessing Outlook Contacts and can transfer the directory entries to your optiPoint 500 basic/standard/advance with an optiPoint application module.
1. Open Microsoft Outlook.
2. Select File > Import and Export... from the title bar. The Import and Export Wizard dialog opens
3. Select the option "Import from another program or file".
4. Confirm your entry with Next. The "Import a File" dialog opens.
5. Select the file type to be imported "Comma Separated Values (Win-dows)".
6. Confirm your entry with Next. A dialog for selecting the file to be im-ported opens.

7. Click Browse. A browse dialog for file section opens. Select the CSV file to be imported (e.g. enbdata.csv ) and confirm your selection with OK.
8. Click Next. A dialog for selecting the destination folder opens.

9. Select "Contacts" and confirm your selection with Next. A dialog for as-signing fields to the Outlook Contact directory opens.
10. Click Map Custom Fields.... The "Map Custom Fields" dialog opens.
11. Select each respective field in the directory structure under "From:" (CSV file) and holding down the left mouse button drag it to "To:" (Mi-crosoft Outlook Contacts). Drag the values from the source file on the left and drop them on the appropriate destination field on the right, e.g. "Phone number 1" to "Business Phone".

Make the following assignments:
12. Confirm the assignment with OK.
13. Click Finish (see step 9). The Import/Export Status dialog opens. File transfer begins.
The directory entries in the CSV file are now incorporated into your Out-look Contacts. Using the APM PhoneBookManager, you can transfer these entries to your optiPoint 500 basic/standard/advance with an optiPoint application module, see APM PhoneBookManager docu-mentation.

2. Select the relevant CSV file that is assigned to the workpoint.
3. Confirm your selection with OK.

ENB 500 Registration (Interface for optiPoint 500)
Select the Com port required for communicating with your optiPoint 500 basic/standard/advance via USB (COM 1 ... COM 4). Your se-lection is dependent on your PC hardware.
To determine which COM port is used, open the Windows Device Manag-er and double-click Ports (COM and LPT).
The port used is displayed in brackets.
Updating Software Proceed as follows to update the software on your optiPoint application module to the latest version:
1. Click Browse.
2. Select the relevant bin file (e.g. cdsm_sysimage.bin).
3. Confirm your selection with OK.
4. Click Apply.
You should not interrupt the update procedure. If the update is in-terrupted, only the APM PhoneBookManager update function is available.

Distributor List FunctionYou can use this application to manage directory entries. You can create distributor lists and assign directory entries to them. You can compile a separate, clearly structured directory from unstructured directory entries.
Creating a new distributor list
1. Click the icon in the toolbar. The "Distributor Wizard" dialog opens.
2. Click New. An input dialog for entering a group name opens.
3. Enter a suitable name for the group.
4. Confirm your entry with OK.

5. Click Add entry.
The "Add Entries" dialog opens.
6. Select the source of the relevant directory entries from the list box.
7. Select the required source entries.

8. Click ->.
The selected entries are incorporated into the list of distributors (group directory). You can add other directory entries from other sources, see step 6.
9. Confirm your entry with OK. The "Distributor Wizard" dialog opens.
You can use Add entry to assign other directory entries to the list of distributors, see step 6.Delete Entry deletes marked directory entries.
10. Confirm your entry with >.
Transferring directory entries
11. Select the required option field.Delete existing phone directory:All existing directory entries for your workpoint will be permanently de-leted. Editing Distributor Lists
Deleting distributor lists
1. Click the icon in the toolbar. The "Distributor Wizard" dialog opens.
2. Select the distributor list to be deleted from the list and click Delete Entry.
3. Confirm the deletion with OK.
Renaming distributor lists
1. Click the icon in the toolbar. The "Distributor Wizard" dialog opens.
2. Select the distributor list to be renamed from the list and click Rename
3. Enter the new name for the distributor list. Please note that the same name cannot be used more than once; otherwise an error message will be displayed.
4. Confirm with OK.
Copying distributor lists
1. Click the icon in the toolbar. The "Distributor Wizard" dialog opens.
2. Select the distributor list to be copied from the list and click Copy.
3. If necessary, change the proposed name for the distributor list. Please note that the same name cannot be used more than once; otherwise an error message will be displayed.When you copy a distributor list, all of the members of the original dis-tributor list are assigned to the copied distributor list.
4. Confirm with OK.

A separate mi-gration manual is available for the optiPoint application module. Please contact your system administrator for information on how to obtain a copy.
Sample ApplicationThe following describes the procedure for transferring directory entries from your Microsoft Outlook Address Book to your optiPoint 500 basic/standard/advance with an optiPoint application module.

Transferring Directory Entries
1. Start the APM PhoneBookManager software.Path: Start > Programs > Siemens > PhoneBookManager.
2. Select ENB 500 > View Directories from the selection area.
3. From the list box "PC directory" select the entry "Outlook contacts". All directory entries are displayed in the "PC directory" workspace.
4. From the list box "Device directory" select the entry "500". If available, all directory entries are displayed in the "Device directory" workspace.
5. Select the required directory entry in the "PC directory" and holding down the left mouse button drag it to the "Device directory".The selected directory entry is stored in the optiPoint 500 basic/stan-dard/advance and is visible on the optiPoint application module in the "ENB" application.
TroubleshootingCheck the following items in the event of functional and communications errors:• Ensure that the USB connection between your workpoint and your PC
is working.• Ensure that the USB connection between your workpoint and your
optiPoint application module is working.• Ensure that your optiPoint application module is connected correctly to
the mains.
Ensure that the USB connection between your optiPoint 500 basic/standard/advance and your PC is working. In the event of problems, please contact your system administrator.
Update the software on your optiPoint application module (see Seite 28). You should not interrupt this procedure. If you interrupt
the update procedure, only the APM PhoneBookManager update function will be available.

FTP Server Access
FTP Server AccessSoftware from several manufacturers can be used for FTP server access. Freeware software is also available for this purpose, on the Internet, for example. See also Seite 38.The most important information in FTP server software is (the designa-tions may differ in some cases):• Account name• User name• User password• Directory:
As the path, specify the directory containing the data for transfer ("D:\Projects\").
Installing an FTP Server
1. Install the software (in our example, "3CDeamon", which can be down-loaded from http://www.3com.com).
2. Start the server program.
3. You can configure user profiles or allow anonymous access, as in the present example. This is the easier option, although it is not possible to grant different users varying levels of access in this mode.In the File menu, open → Config → FTP configuration and specify a directory for data transfer under Anonymous Upload/Download di-rectory.
When specifying the path, note that the user is at the specified di-rectory level when accessing the FTP server from the workpoint.Additional path entries in the workpoint always refer to this path.Sample path entry:Path entry on FTP server: "D:\Projects\"Path entry on workpoint: "Download\"Resulting path: "D:\Projects\Download\"
Read the FTP server software documentation if using a different FTP server program.

FTP Server (IP Connection Only)When transferring files via an IP connection, an FTP server is required in addition to the client (in this case, an IP telephone such as the optiPoint 410 standard).

USB ConnectionTo establish a direct connection between an optiPoint telephone with a UP0/E interface (for example, optiPoint 500 standard) and your PC, you will need a USB cable and a corresponding USB driver.

V.24 ConnectionTo establish a direct connection between an optiset E telephone (the optiset E memory, for example) and a PC, you will need a V.24 adapter in addition to the software (special V.24 driver), which is included in the "CallBridge Collection" package.

For the optiset E memory the "optiset E data adapter" is required. Part number for the adapter including cable: L30251-F600-A330.
