We believe that you can never over communicate your needs, as preparation is the most important aspect of our department. To ensure the success of your program, we request your final agenda, Room sets, and Food & Beverages selections four (4) weeks prior to your event. SERVICE AND LABOR CHARGES All food, beverage, Audio Visual/PSAV, in-house Internet service and miscellaneous labor charges are subject to a 26% Hotel service charge and applicable state tax which will appear on your Hotel Banquet Check. All Cash Bars will include separate $100.00 Cashier & Bartender labor charges. In order to maintain our standards of service & presentation value, it is necessary to charge $100.00++ labor charge on food and beverage functions of less than twenty-five (25) guests. MENU SELECTIONS To assure the availability of menu items, your selections should be submitted to your Conference Service Manager four (4) weeks prior to the scheduled event. Banquet menus are offered as suggestions, but if you prefer a customized menu, your Conference Service Manager will be happy to create one to meet your needs. Due to the fluctuation of market food and beverage prices, the Renaissance Palm Springs Hotel will make a firm price commitment ninety (90) days prior to the event date. Otherwise, prices are subject to change without notice. DRAYAGE, SHIPPING, RECEIVING AND STORAGE CHARGES Appropriate charges will apply for all shipping, receiving and storage of packages. Packaging services also available. Please consult your assigned Catering and Conferences Service Manager for applicable cost of these available services. Charges that apply for all shipping, receiving and storage of packages are as follows: Drayage Fees: $5/Letter - $10/Box - $30/Crate - $125/Skid. Storage Fees: $10 per package per day. Delivery to and/or from meeting room: $10/per package. If delivered that day of the show, add $50 expedite fee. Charges listed are for Renaissance Palm Springs Hotel guests only. Any items that are being delivered or brought in by guests or outside vendors for delivery to meeting space must be delivered to and picked up from the loading dock, and be delivered to the appropriate meeting room by way of the service hallway only. BANQUET SERVICE Waiter service time is a three (3) hour maximum period for Breakfast and Lunch, five (5) hours maximum for Receptions and Dinner. Should your function time (food service and program) exceed the above hours, a labor charge of $25.00++ per server, per hour will be added to your banquet check. OUTDOOR CATERING FUNCTIONS Any catered function held outdoors will incur an additional charge of $5.00++ per person ($500.00++ minimum), whichever is greater. The Renaissance Palm Springs Hotel reserves the right to make the decision to move an outdoor function inside, based on impending inclement weather. The decision to move must be made four (4) hours in advance, with client’s notification. All outdoor events are subject to prior approval by Hotel Management. FUNCTION SPACE/RENTAL/CHANGES For private rooms/areas, rental charges will be based on time, set-up, sleeping room usage, and total food and beverage revenue. The Renaissance Palm Springs Hotel reserves the right to move a group to a more suitable room for the anticipated attendance, if attendance increases or decreases. In such cases, the client will immediately be advised of planned changes. If a change from the original room set-up is requested on the day of the function, an additional labor charge of $70.00 per man, per hour will be added to the banquet check. FOOD AND BEVERAGE ITEMS Please note that as the licensee the Hotel is the only authorized vendor to provide food or beverage at planned functions. All food and beverage purchased from the Hotel at planned functions must be consumed on Hotel premises. At no time may food or beverage be removed from the premises. All food and beverage must be supplied and prepared by the Renaissance Palm Springs Hotel. No outside food or beverage is permitted in any banquet or meeting rooms or meeting room foyers. Unconsumed food is not permitted to be taken out of the Hotel. Continental and Buffets will only be available for service up to 1 ½ hours. DECORATIONS Decorations, signage, or displays brought into the Hotel by the group must be approved prior to arrival. Items may not be attached to any stationary wall, floor, windows, or ceilings in any way. Banner and other signage hanging must be done by the Hotel Engineering Department, and a $25.00++ tax charge will apply to each item hung. General Information ELECTRICAL Please contact your Conference Service Manager for Electrical Charges and all related items (i.e., Spider Boxes). AUDIO VISUAL For your convenience, we have state-of-the-art equipment and staff in-house through PSAV. A 26% Hotel Service Charge applies to all Audio Visual Services and will appear on your banquet check. INTERNET ACCESS High-speed Internet service is available in all Renaissance Palm Springs Hotel meeting rooms. A 26% Service Charge applies to all in-house internet services. Please contact your Conference Services Manager for pricing details. SUBCONTRACTOR Any subcontractor (i.e., décor, musical, security, etc.) brought into the Hotel by the group requires a Certificate of Liability in the amount of $2 million listing the Hotel as additional insured/co-insured. See your Conference Service Manager for details. SECURITY The Renaissance Palm Springs Hotel assumes no responsibility for damage or loss of any merchandise or articles brought into the Hotel or left unattended. Security officers are recommended for all exhibits and rooms used on a 24-hour basis. The Hotel will make arrangements for security personnel, if required, and the customer will be responsible for payment. The customer shall be responsible and reimburse the Hotel for any damage or loss caused by any of the customer’s guests or persons or organizations contracted by the customer to provide any service or goods before, during or after the function. TENTATIVE AND DEFINITE BOOKINGS At the time of booking any function or series of functions, a contract will be prepared which outlines the basic requirements of your group and the arrangements to which you have agreed. In order to make these arrangements definite, you must sign, date, and return the original contract with the applicable deposit, or the reserved space will be released. No function may be held without a signed contract on file in our office. Definite bookings are subject to availability at time of confirmation. GUARANTEE OF ATTENDANCE The Hotel must be notified of the exact number of guests attending any event three (3) business days prior to the event. This number will constitute the guarantee, not subject to reduction, and charges will be made accordingly. The Renaissance shall not be obligated to prepare food for any more than the number of guests guaranteed by the group. The Hotel will provide seating for 5% over the guarantee. If no guarantee is received, the expected attendance will be considered the guarantee, and charges will be made accordingly. Any decrease in the original estimated attendance in excess of 25% must be received a minimum of three weeks prior to the function date, or group is responsible for payment of this minimum. BILLING A non-refundable deposit may be required upon acceptance of the reservation. Specific payment instructions for your function will be clearly outlined in the contract. The estimated balance (based on guarantee) is due at least seventy-two (72) hours prior to the function. Any remaining balance is due at the end of the function. If direct billing is requested, a credit application must be submitted to our Credit Manager ninety (90) days prior to the arrival date. Upon approval, payment is required thirty (30) days from billing date. All banquet checks must be signed by the onsite contact or the designated representative at the completion of each event. Any discrepancies in counts or charges should be identified and resolved at that time. When using a credit or charge card to guarantee payment, the card will be authorized for all estimated charges seven days prior to function. This will be executed in order to guarantee payment of function. PROPERTY DAMAGE Group will be responsible for any damages to the Hotel during the period of time the group or any person under the group’s control on the premises. The Hotel reserves the right to request a refundable damage deposit. PERFORMANCE The Hotel shall not be liable for non-performance of the contract when such non-performance is attributable to labor troubles, disputes or strikes, accidents, government (Federal, State or Municipal) regulations of or restrictions upon travel or transportation, non-availability of food, beverage or supplies, riots, national emergencies, acts of God and other causes whether enumerated herein or not which are beyond the reasonable control of the Hotel.
