About the courseThis course will teach participants how to make a scientific poster in InDesign based on a template available from the University of Tromsø. Through this activity participants will learn introductory InDesign skills, which will be the foundation for further, independent use of InDesign following the course.

Through this course participants will be introduced to: working with templates, text tool, selection tool, direct selection tool, group, guides and grids, paragraph styles, bullets and numbered lists, tables, rectangle tool, arrangment and alignment, fill and stroke, images, links, text wrap, package, export to PDF.

Save template to computer

1. Open a web browser (e.g. Internet Explorer) and go to http://uit.no/ansatte/grafiskprofil

2. In the right-hand column click “Vitenskapelige posters”

3. Under inDesign, click “Vitenskapelig poster (zip-fil)”

4. Save the zip file somewhere accessible on your computer

5. Unpack the zip file (for example using 7-zip on Windows or double-clicking the file on Mac)

Step 1: Template

Open template and save as a copy

1. Start InDesign2. File > Open > “Forskningsplakater.indd”, which is

the template you unpacked from the zip file3. In the dialog box that opens click Don’t Update

Links. We’ll get to that later4. File > Save As5. Choose where to save the file, give it an

appropriate name, and click Save6. Click Ctrl 0 (Cmd 0 on a Mac) to view the entire

document canvas

7. If you need to change the width or bredth of your document click File > Document Setup. Change the width and bredth to the dimensions desired and click OK.

Install fonts

1. The template includes a font called Open Sans, which is not installed on most computers. You will therefore need to install it yourself

2. Go to http://uit.no/ansatte/grafiskprofil3. In the right-hand column click “Typografi og

fonter”4. Under Filer til nedlasting, click “Open Sans (zip)”

to download the font files5. Install the fonts on your computer as explained

Import text and apply paragraph style

1. Select a “Brødtekst” text box2. File > Place > “spelling.docx”. Select Show Import

Options. Click Open3. Under Formatting choose Remove Styles and

Formatting from Text and Tables. Click OK4. Select the text by double clicking and then Edit >

Select All5. Click Window > Styles > Paragraph Styles6. From the list in the Paragraph Styles panel

choose “Brødtekst”

Step 2: Text and Tables

Existing text boxes

1. To change text in existing text boxes, double click the text to change over to the Text Tool. Highlight and replace with desired text

2. Change the poster title and author information3. To duplicate a (text) box, select it using the

Selection Tool then click Edit > Copy, Edit > Paste

4. If you hold down Shift on your keyboard you can select multiple items

5. To move several items together you can group them (so that they retain their current arrangement) using Object > Group

6. Group and duplicate a blue box and its title7. The template already has grids and guidelines

built in. To see them click View > Grids and Guides > Show Guides. To help text boxes and the like align properly click View > Grids and Guides > Snap to Guides.

8. If you still don’t see the guides, turn on Normal mode.

Create bullet points and modify paragraph style

1. In the text placed from “spelling.docx” select the lines that begin with “Redundancies,” “Omission,” “Substitutions,” and “Errors”

2. Click Type > Bulleted and Numbered Lists > Apply Bullets

3. In the Paragraph Styles panel click the Create new style button

4. Below “Brødtekst” there will now be a style called “Paragraph Style 1.” Double click to open

5. Turn on Preview in the lower left-hand corner of the dialog box

6. In the dialog box that opens change the style name to “Bullet list”

7. If you want to set the proofing language click “Advanced Character Formats” in the left-hand side of the box

8. Select the language you want from the drop-down menu where it says “Language”

9. In the left-hand side of the box, click “Bullets and Numbering”

10. Change the bullet character by choosing from the existing list or clicking the Add button to find a different character

11. Adjust indentation as you see fit12. In the left-hand side of the box, click “Indents

and Spacing”. Adjust “Space Before” and “Space After”

13. When satisfied click OK

Place and/or insert tables

1. To import a table from a Word file click File > Place > “Sample table.docx.” Make sure to turn on Show Import Options before you click Open

2. Choose whether you want to preserve the table formatting or remove it. Click OK

3. To create a new table from scratch in InDesign select the text in a text box and click Table > Insert Table

4. Choose the number of columns and rows you want then click OK

5. To format the table, select it and go to Table > Table Options > Table Setup

Step 3: Shapes and Images

Create background for table

1. Use the Rectangle Tool to draw a rectangle around one of the tables you made in the previous exercise

2. In the Options bar you can choose colors for fill and stroke, stroke width, dimensions, and more

3. The Swatches panel already has the UiT profile colors built in

4. When you are satisifed with how the box looks use Object > Arrange to place it behind your table’s text box

5. If you use the Selection Tool to change the shape of your text box so that it exactly fits the table you can use the Align panel (Window > Object & Layout > Align) to match up the centers of the text box and rectangle

6. Remember to use Object > Group to make moving it easier to move items together

Relink existing images

1. Use the Selection Tool to choose the logo in the bottom right-hand corner of the poster. The file it links to will now be highlighted in the Links Panel (Window > Links)

2. Click the Relink button in the Links panel3. Find “Logo_eng_pos.ai” in the folder you

unzipped earlier. Click Open4. Use Selection Tool to adjust the image’s frame

edges so that they fit within the purple and pink guides (View > Grids & Guides > Show Guides)

5. With the image still selected click Object > Fitting > Fit Content Proportionally

6. Relink the logo in the upper left-hand corner with “UiT_Navn_en_turkis.ai”

7. Adjusting the frame edges should not be necessary

Where to find images to use?

1. As a student at the University of Tromsø you can download a certain number of free stock images per month from Colourbox

2. To create an account go to http:// http://uit.no/ansatte/grafiskprofil

3. Click the “Colourbox - Illustrasjonsbilder fra byrå” link in the right-hand column

4. Follow the directions on the page that opens5. Images that you use from Colourbox need to be

given a caption saying “Source: Colourbox.com”

6. You can images that are freely available for commercial and/or non-commercial use at http://search.creativecommons.org/

7. Images found in the Creative Commons search engine have different licenses. (These are mostly clearly seen in Flickr.) Some can be edited or used for commecial purposes. All need to have their author mentioned in the picture’s caption; for example: “Source: Joe Smith, Flickr: joesmith”

Import image and add text wrap

1. File > Place > “COLOURBOX2655898.png”2. Click where you want to place the image3. Resize the image using Selection Tool to adjust

the frame edges and Object > Fitting > Fill Frame Proportionally

4. Open the Text Wrap panel by clicking Window > Text Wrap

5. With the image selected choose the Wrap Around Bounding Box button

6. Use the Add Anchor Point Tool to add points to the bounding box

7. Use the Direct Selection Tool to move these points closer to the colored part of the image. By adjusting the points on the bounding box you are changing where the text can come closer to the image

8. Since you placed “COLOURBOX2655898.png,” which is an image from Colourbox, you need to give it a caption saying where it is from. Copy one of the text boxes that says “Billedtekst...” or draw a new text box and choose Billedtekst from the Paragraph Styles panel

Step 4: Prepare for print

Package your files together

1. Click File > Package2. Check that there aren’t any errors and click

Package3. Doing this will save all of the files, fonts, and

images that went into making your InDesign file in one place. If you were to send your InDesign file to someone else you would want to send the entire folder that File > Package creates so that everything looks the same for the other person as it does for you (i.e. no broken links)

4. filesender.uninett.no is a useful tool for sending large files. Use e.g. 7-Zip to compress the “Package” folder first

Export to PDF

1. Click File > Export2. Choose Format: Adobe PDF (Print), a location to

save the PDF, and click Save3. In the dialog box that opens choose Adobe PDF

Preset: High Quality Print4. In the left-hand menu choose “Marks and Bleeds”5. Turn on Crop Marks and Use Document Bleed

Settings (which gives you a 3mm bleed in all directions since that was already built into the template we used)

6. In the left-hand menu choose “Output”7. Choose Color Conversion: Convert to

Destination and Destination: Document CMYK8. Click Export

9. This file could now be sent to the printer. It might be helpful to send your packaged InDesign folder too in case the printing agency needs to change certain settings
