Substitute Request: Introduction

Once we’ve determined the tutoring schedule, it will be set for the rest of the quarter.

Where possible, we ask that you arrange things like doctor's appointments, vacations, trips home, car repairs, and meetings around your work at the center.

But we know that sometimes you get sick and/or you'll need to participate in events whose timing you don't control. In such situations, our sub request policy is as follows:

Page 7: FALL 2007 ORIENTATIONdepts.washington.edu/owrc/attachments/owrcorientation.pdfJing Pamela Travis Claire John Jens Tabitha Jing Karan Pamela Travis Jens Adam Karan 6:00-9:00 Daphne

Substitute Request: Step One

1. YOU: Email everyone at [email protected]

Page 8: FALL 2007 ORIENTATIONdepts.washington.edu/owrc/attachments/owrcorientation.pdfJing Pamela Travis Claire John Jens Tabitha Jing Karan Pamela Travis Jens Adam Karan 6:00-9:00 Daphne

Substitute Request: Step Two

1. EVERYONE ELSE: Respond to this query off list with a "yes" or "no" response. That way, the individual requesting the shift off can determine who has (and has not) read the query.

Page 9: FALL 2007 ORIENTATIONdepts.washington.edu/owrc/attachments/owrcorientation.pdfJing Pamela Travis Claire John Jens Tabitha Jing Karan Pamela Travis Jens Adam Karan 6:00-9:00 Daphne

Substitute Request: Step Three

1. YOU: If you find someone to cover your shift, please e-mail everyone at [email protected] and let us know.

Substitute Request: Step Four

1. IF NO ONE AGREES TO COVER YOUR SHIFT VIA E-MAIL…

Please call the tutors who have not yet responded to your e-mail query to see if they can cover your shift

If, after e-mailing and calling everyone, you determine that no one can cover your shift, please contact Tish asap.

NOTE: If you need a shift off during a dead period, please

see if Tish can take you off the schedule before

requesting a sub.

Policies We Consistently Enforce

Students may have no more than three appointments per week.

Students may not have two appointments back-to-back (exceptions?)

Students do not need to have a completed draft before they make or attend an appointment.

Students can make a group appointment if they are working on a group assignment.

Students must determine with their instructors whether or not it is appropriate to use the OWRC for take-home exams.

We do not provide editing or proofreading services (a student cannot drop off a paper and pick it up later with corrections). We can teach students to edit or proofread their own work.

OWRC tutors will not discuss scores or grades or make evaluative comments about assignments, papers, or instructors during appointments.

Policies We Enforce As Needed

Students may have no more than two appointments to work on any single paper (excluding theses or dissertations). In practice, this policy is rarely enforced; it is in place for two reasons. First, during busy times of the semester, we need to see as many students as we can, so we limit each student to two visits per paper--that way we can, for example, see four students one time each, rather than seeing one student four times. Second, some students may become anxious and dependent on us and want to see a tutor each time they make even a minor change to their papers; such sessions are often unproductive, and limiting these students to two visits per paper can assist in their developing independence as writers.

Students may have a maximum of two appointments per semester to work on application essays, cover letters, and the like--that's two appointments per semester, not per essay, even if the student is working on several different applications for several different schools. Our goal is to make appointments available to all students who need this assistance and to teach them about skills and resources they can use to succeed, not to get an essay into perfect shape, so during busy times, this policy is enforced. Students who visit with application essays should be warned early on that if we become busy, we will need to limit their future visits with us. Tutors should concentrate on teaching application essay writers skills that will benefit them every time they engage in this kind of writing, such as audience awareness and proofreading techniques.

Students who are more than 10 minutes late forfeit their appointments. If a student no-shows and other students are waiting to be seen as walk-ins, you should begin a session with one of them. If one of your students shows up more than 10 minutes late for an appointment but you are not meeting with anyone else or working on an online, you should go ahead and meet with the student, explaining the 10-minute rule and reminding him/her that this will now be a short session because you must still end on time. You can then make the most of whatever time you have and encourage the student to return in the future.

Coordinating With Librarians

If you determine a student should see a librarian… Walk the student down to 2nd floor reference desk.

Introduce the student/research query:

“This is Jane. She is trying to write a research paper on effective conferencing techniques and is having difficulty locating sources. She says that she has already visited ERIC and typed in the following keywords (“X” and “Y”) but wasn’t happy with the results. Can you help her?”

Drop In Students

Drop In Students: Record every visit!

No-Show Policy

We will wait 10 minutes for a student to arrive. If he/she does not show up before the 10 minutes are up, please mark their appointment as a “no-show”.

If a drop-in student is waiting, please see them at this time as well.
