Exhibition build and set upAccess to the exhibition hall will be available on Sunday 9th July from 12.00 - 19.00. All stand preparation must be completed on Sunday, as the venue will not be open before the conference begins on Monday.

Exhibition opening timesMonday 10th July: 08.30 –17.00Tuesday 11th July: 08.30 – 15.30The majority of delegates will visit at breaks and lunch; we recommend you being at your stand at these times.

Exhibition breakdownExhibitors should commence dismantling stands Tuesday at 15.30, after the afternoon conference break. The room must be cleared by 17.30.

Exhibition goods dropoffs/collectionsPlease note that car parking at South Kensington Campus is severely restricted and you are advised NOT to bring a car unless you have a specific need and permission has been given.

Goods Dropoffs: It is recommended to take public transport to the venue. Couriers and delivery vehicles can drive onto campus and park for a maximum of 30 minutes while unloading their vehicle for the exhibition. The postcode to use for satellite navigation to the South Kensington car park is SW7 2BX. Access the Sherfield Building from Imperial College Road, via Exhibition Road. Please ask security for directions to the Sherfield loading bay. Vehicles need to be removed after 30 minutes. Please refer to the campus map at the back of this document for directions. Unfortunately, materials delivery prior to Sunday is not possible.Collections: Goods must be collected on Tues 11th July after the event closes. Boxes left onsite after this date will be disposed of.

Vehicle parkingImperial College London is not able to provide car parking facilities on campus. The nearest car parks include:

Parking in the streets surrounding the College is at pay and display or parking meters but for limited periods only.

Accessibility: If you have any specific access needs, including the requirement for disabled parking or access into the building, please contact us at [email protected] and we will arrange with you.

Stand detailsEach stand will be allocated 3x2m, a 1’x6’ table, and 2 chairs. Most stands will have access to power; please inform us of your power needs so we can plan accordingly. Exhibitors should provide their exhibition displays which must fit within the allocated space. Please plan to bring your own power cables (eg extension leads), additional IT and screens, as extras are not available in the venue. In support of the Imperial College London sustainability objectives, stand power will be turned off overnight, at 20.00 on Sunday and 18.00 on Monday.

RefreshmentsConference catering is located in the Exhibition room, and includes tea, coffee and buffet lunch.

InternetPublic WIFI for basic browsing is available on the exhibition floor, and details will be provided when you arrive onsite.

Publicity materialExhibitors are reminded that publicity materials may only be distributed from their stands.

PromotionIn order to make SludgeTech 2017 a great success we have asked all exhibitors to promote the event as much as they can. We can offer a 10% discount to any of your customers/clients if they wish to attend. Please email The Events Team for a booking discount code.

Delegate AdvertisementsInclusion in the e-Programme: Delegates will receive their programmes on branded USBs, and exhibitors are enti-tled to a free 50 words synopsis and logo in the conference e-programme. Increase your exposure to the delegates at SludgeTech 2017 by including a full-page advert in the conference e-programme for £800+VAT. Delegate e-Pack Adverts: Take advantage of the digital nature of our delegate pack. For £800+VAT, get 50MB of space on the USB for your advert. Your files will appear at the top-level of the folder structure, under a folder name of your choice (the folder will not be zipped).

All adverts must be deliv-ered to the Events Team no later than 18th June. File format for e-programme advert is .pdf. Please note that space is available on a first come, first served basis.

DilapidationsExhibitors are not permitted to fix any graphics, notices or material to any part of the venue or its walls. Exhibitors are responsible for any damage caused by their staff or contractors to the fabric of the building. Any damage caused will be charged to the exhibitor concerned.Exhibitors will ensure they clear and remove all the rubbish, refuse and other materials not belonging to the venue from the premises so that they are completely clean and tidy during and at the end of the event. Any excess waste removal will be charged following the event.

Exhibitor responsibilitiesAll exhibiting organisations are responsible for their staff, their contractors and visitors on and around their stand from the first day of build up through to the last day of breakdown. They must ensure that due thought and consider-ation is given to their own and others health, safety and welfare throughout the Exhibition, and that their actions, or inactions, do not give rise to accidents, injuries or an unsafe working environment so far as is reasonably practicable.

Health and SafetyIt is a requirement of exhibitors to comply with the regulations of the venue at all times, including restrictions on haz-ardous or highly flammable materials. Anyone who seriously breaches these rules may be banned from the premises. All Exhibitors must receive a Fire Safety orientation during booth setup.

Security/InsuranceWhilst adequate security is provided at the venue, it is the Exhibitor’s responsibility to ensure the safety of your belongings and you are advised not to leave any valuable equipment or articles unattended at any time. It is also the Exhibitor’s responsibility to ensure that their insurance extends to transport between the venue and the space occu-pied during the event. Information on security has been provided by the venue and can be seen here. The organisers and venue landlords will not accept responsibility for the safety of Exhibitors goods at any time.

Travel to, and arrival in London

London is served by a number of airports receiving flights from across the world. London Heathrow and London Gatwick receive the majority of international flights and are well connected by trains and underground to central London. London Luton and London Stansted receive low cost European flights and are a little further from the City. London City Airport is the most centrally located airport but with fewer daily flights. All airports a well connected to Central London and the airport website will provide information on transport.

Getting to and from Imperial College

By public transportLondoners mainly travel using public transport. For information on getting around on public transport please visit The Transport for London website at https://tfl.gov.uk/. If you have a smartphone, Citymapper (https://citymapper.com/london) will help you choose the best route. Directions from the nearest Tube station (South Kensington) to the venue can be found on the map at the back of this document.
