Student is responsible for obtaining it from host university
It must contain:
• Student’s name and surname,
• Name of the host university,
• Exact dates of stay,
• Signature of Coordinator at host university,
• Seal of the host university
Dates eligible for calculating the amount of grant: from the beginning of classes(or Orientation Days if it’s mandatory) until the last day of the 1st exam session

European Credit Transfer and Accumulation
System (ECTS) is a standard for comparing the study
attainment and performance of students of higher
education across the European Union and other
collaborating European countries. For successfully
completed studies, ECTS credits are awarded. One
academic year corresponds to 60 ECTS credits that
are equivalent to 1500–1800 hours of study in all
countries respective of standard or qualification type
and is used to facilitate transfer and progression
throughout the Union. ECTS also includes a standard
grading scale, intended to be shown in addition to local
(i.e. national) standard grades
In case of universities
(PIM & Bilateral
agreements), which do
not use ECTS system
there is a conversion
table from local credit
system into ECTS.

It is mandatory to declare courses for
30ECTS/semester (or 20ECTS/trimester).
The minimum of credits for courses related
to study major which student takes abroad
cannot be lower than 18ECTS
IMPORTANT – during stay abroad student
should take courses related to his/her major
of studies especially if exchange is done in
the last semesters of studies.
In case student declares lower number of
ECTS the final decision is taken by the
Dean.
It’s possible to take less than
30 ECTS (not less than 24
ECTS) in case student has
a surplus of credits from
previous semesters.
Each such case is always
subject to Dean’s decision
Student delivers:
1. Learning Agreement (2 original copies)
2. Exchange request (2 original copies)
ATTENTION! We accept only LA and exchange agreement filled in on
computer and printed on both sides!
Documents prepared not in accordance with the instructions will not be
accepted.
Departure undertaken without submitting documents will not be recognized.

Signed documents (LA and Application) the student receives from the CPM and forward to the appropriate Dean's office (to the contact person) for the Dean's signature.

Receipt of documents from the Dean's Office - the original LA is kept in the Dean's Office, and the second LA exam is taken by the student to the receiving university. The original, signed by the partner university, is brought back by the student in order to settle the stay.

• Erasmus+: completing the OLS language test before departure

Grant transfer
The grant transfer follows the submission of a set of documents (including financial documents).
The student receives the grant in 2 installments:
• 70% of the entire grant calculated for the period included in the Letter of Acceptance
• 2nd installment: amount is based on Letter of Confirmation. If the period is shorter, the amount is reduced accordingly
ATTENTION - compensation is paid only afterfulfilling all the procedures on return!
The project „Mobility Abroad of Students with Disabilities and those in a Difficult Financial
Situation” is implemented under the Operational Program Knowledge Education
Development (Program Operacyjny Wiedza Edukacja Rozwój) and supports the
transnational mobility of students.
The main objective of the project is to raise professional and key competences of students
with disabilities and students in a difficult financial situation by implementing part of the
education program at a University abroad.
SGH applied for a mobility grant in 2019/2020 a.y. based on information from the SGH
Scholarship Committee. We are currently waiting for results that we will announce as soon
as possible.
The certificate
can be
obtained at the
International
Centre from the
programme’s
contact person.The issue of a personal certificate on
participation in the exchange programme
(for insurance, visa, etc.) takes place after
submission of a set of predeparture
documents by the student.
Deliver personally or send by email a copy of compulsory health insurance (EHIC for Erasmus+) + accident insurance (e.g. ISIC or Euro 26) – no later than 1 month before departure
In the case of Erasmus+ students, the lack of such confirmation will delay the payment of the scholarship
We suggest insurance against theft
In the case of trips to "exotic" countries, we ask you to find out about the necessary or recommended vaccinations
The period of stay in the framework of Erasmus+ scholarship can
not be shorter than 3 months and must be completed within the same
academic year.
In case the trip turns out to be shorter than the one recorded in the
agreement between the student and SGH (but not shorter than 3
months), the student will be asked to return the undue amount.
If the period of actual stay at the host university will be less than 3
months the student will be required to return the entire amount of
scholarship.
We appeal for not leaving the exams for the last minute, that is for the
resit exam session!!!
A student who does not pass the exams for the semester prior to the
beginning of his/her exchange mobility will have to get permission from
the Dean to go on exchange (in writing).
When a student is deleted from the list of students because of the failure
to pass the course, he/she will be forced to return from the exchange and
return the entire amount of the scholarship (if he/she goes on exchange
in the framework of Erasmus +)
MILE STEP –DEPARTURE
CONTACT DETAILS DURING THE MOBILITY PERIOD (form on the website) – not later than one week from the beginning of classes at the Partner University
DECLARATION OF CHANGES TO ORIGINAL LEARNING AGREEMENT – no later than one month from the start of classes at the Partner University:
• Bachelor students - by e-mail
• Master students - by VD
• If there is a need to submit changes again/later [e.g. modules] this should be reported when submitting changes to LA for the first time [valid for up to 1 month from the start of classes]
COURSE EQUIVALENT PROPOSALS– collecting syllabuses (if applicable)
Obtaining STAMP and SIGNATURE of the coordinator from the receiving university on LA and changes to LA
Obtaining STAMP and SIGNATURE on LETTER OF CONFIRMATION (Erasmus +, CEMS and MPPD with a scholarship) at the end of stay
PROCEDURES DURING STAY ABROAD
Failure to submit changes to Learning Agreement on time
and making changes without declaring them may result in
serious consequences such as removal from the student
list and return of the scholarship!!!
IMPORTANT
Relation from stay or in other words REPORT (electronic version should be sent to the email of the contact person)
ERASMUS+
- obligatory online survey on the website of the European Commission (entry in the agreement obliging the Student to complete the form)
- OLS language test at the end of your stay
AFTER RETURN
TRANSCRIPT OF RECORDS- is sent to by the Host University (Note: sometimes you should ask for it)

COURSE APPROVAL FORM
LEARNING AGREEMENT – hard copy with signature and stamp of the Host University + changes to the Learning Agreement with signature and stamp of the Host University
COURSE EQUIVALENT PROPOSAL FORM (if applicable) - in case student would like to change coursesfrom the receiving university into SGH courses, signed syllabuses with the consent of the course coordinator of the field of studies should be submitted in the Dean’s Office
LETTER OF CONFIRMATION signed and stamped by the Host University at the end of mobility

Course Equivalent Proposal The Course Equivalent Proposal Form
should be submitted along with other

should obtain syllabuses of courses that
he/she will take abroad, submit them for
acceptance to the lecturer of the given
course, coordinator of the course or field
tutors and submit to the Dean’s Office.
In the situation when it is not possible to
provide a syllabus of the course before the
trip, it should be delivered to the Dean's
office upon arrival
The Course Equivalent Proposal Form
should be delivered to the Dean's Office
upon arrival, before submitting the
settlement to the International Centre (the
form must be signed by the coordinator / s
of the relevant courses and approved by
Dean before it is attached to the settlement
of the trip). However, it is possible to agree
replacements before starting the mobility.
PLEASE NOTE that in the case of recognizing course equivalents, the ECTS grades will be applied to them according to the SGH
grading system, not according to the university in which the student realized the courses.
In order to obtain the recognition of the subject carried out at the partner university as the SGH course equivalent, student must obtain the syllabus of this subject
The syllabus is to be accepted by the appropriate coordinator of the subject (in the case of basic subjects) or the tutor of the major or path (specialization and field subjects)
Student attaches syllabi to the course equivalent form, which is available on the International Centre website (in pre-departureprocedures for students) and submits it to the Dean's Office

DEADLINES
It is not possible to obtain a Dean's leave for the period of exchange
Having done all the courses at SGH (absolutorium) does not absolve the student from the obligation to obtain
credits during the study abroad.
While abroad on exchange programs, students retain the rights (and duties) of the SGH student (scholarships,
social, etc., for details see the website of the Students’ Union of SGH).
IMPORTANT
Online Linguistic Support (OLS) is mandatory for students going on exchange or internship within
Erasmus + program. Currently OLS offers tests and courses in following languages and levels:
Before the beginning of mobility each student going for study or placement abroad is obliged to
fill in the online language test.
ATTENTION! Link to the test will be sent to students SGH email address and OLS account must
be established on this email address.

On the basis of the test’s result the university may award the interested students with the licence for
online language course. The course will be available during student’s mobility period.
ATTENTION – students whose result will be B1 or lower will receive such licence and will be obliged to
take the online course (OLS system automatically award the licence).
Before the end of mobility students will receive the link to the second language test – the link will be valid
only for few days. The test has to be taken immediately [remember to check your SPAM folder]
Tests before and after the mobility ar MANDATORY.
Failure to fill in one of them will be subject to claiming to return full
amount of Erasmus+ grant.
