    Setting Up Your Fax

    This product lets you send faxes by

    entering fax numbers, selecting entriesfrom a speed dial/group dial list, or usingthe one-touch dial button. You cancustomize the fax header information, andselect various report printing andsend/receive settings. You can also set upthe product to automatically receive faxesor set it to ask for confirmation beforereceiving a fax.

    Power SupplyInformation

    Turning off the PowerWhen the power is turned off, thefollowing data stored in the printerstemporary memory is erased.

    Fax reception data

    Data stored in Delayed Fax

    Data being redialed

    Also, when the power is left off forextended periods of time, the clock may bereset causing irregularities. Check theclock when you turn the power on.

    Power saving functionAfter 13 minutes of inactivity, the screenonly displays the clock to save energy.

    Press any button (except P On) to returnthe screen its previous state.

    Setting Up Your FaxFeaturesBefore sending or receiving faxes, youmay want to create a fax header, selectyour fax preferences, and set up a speeddial/group dial list of frequently used faxnumbers.

    Checking your selectedregionBefore using the product, you need toselect the region where you are using theproduct.

    1. Press Mode[Copy/Fax] to select Faxmode, and then pressxMenu.

    2. Press u or dto select 7.Maintenance,and then press OK.

    3. Press u or dto select11.Country/Region, and then pressOK.

    4. If you need to change the region, useu or dto select your region.

    Switching receive modeWhen a telephone with an answeringmachine is connected, you can set theanswer time for the telephone and theproduct, and a connection is made afterthe other party (fax or caller) responds. Ifit is a fax, you can set it to automatically

    start receiving.Note:Rings to Answermay be unavailabledepending on the region.

    1. Press Mode[Copy/Fax] to select Faxmode, and then pressxMenu.

    2. Pressu or dto select 5.Fax Setting, andthen press OK.

    3. Press u or dto select5.Communication, then press OK.

    4. Press u or dto select 4. Rings toAnswer, then press OK.

    Note:5.Rings to Answermay be displayeddepending on the region.

    5. Press uor dto set the number of ringsbefore answering, then press OK.

    6. Make sure you set the number of ringsbefore the answering machine picks upto a value less than the Rings to

    Answersetting.7. See your telephone's documentation

    8. Press [Auto Answer/Space], andturn on Auto Answer mode.

    9. Press OK.

    10.PressxMenuto return to the firstscreen in Fax mode.

    For example, use the following procedureif the Rings to Answeris set to five, andthe answering machine is set to four.

    When the phone is answered before thefourth ring, or when the answeringmachine picks up on the fourth ring

    When it continues to the fifth ring whenthe connected telephone does not havean answering machine, or the answeringmachine is switched off

    Note: When it starts automatically receiving a fax,

    the line switches from the telephone to theproduct, and the telephone is disconnected.When receiving a fax, replace the handsetand wait for the operation to complete.

    When Auto Answer mode is set to Off, youcan receive the fax manually by lifting thehandset. (& "Receiving faxes manually" onpage 11)

    The Rings to Answersetting may beunavailable depending on the region.

    Using control panel buttons

    in fax modeWhen entering dial numbers andcharacters in Fax mode, you can use thefollowing buttons as well as the numericbuttons.

    Entering dial number

    If the other party is a fax, it automaticallyconnects to this product and beginsreceiving the fax.

    If the other party is a caller, the phone canbe used as normal or they can leave amessage on the answering machine.

    The product connects to the telephone line.If the other party is a fax, it receives andbegins printing the fax.

    The product connects to the telephone line.If the other party is a caller it still enters faxmode.

    Entering characters

    Creating header informationBefore sending or receiving faxes, you cancreate a fax header by adding information

    such as a phone number or name.Entering your headerinformation1. Press Mode[Copy/Fax] to select Fax

    mode, and then pressxMenu.

    2. Pressu or dto select 5.Fax Setting, andthen press OK.

    3. Press u or dto select 6.Header, andthen press OK.

    4. Select 1.Fax Header, then press OK.You see the header information inputscreen.

    5. Use the numeric keypad with otherbuttons on the control panel to enterthe header information (& "Usingcontrol panel buttons in fax mode" onpage 5). You can enter up to 40characters.

    6. Press OK. You return to 1.Fax Header.

    Setting up your phone numberAfter entering header information, youcan set up or change your phone number

    settings.1. Press donce to select 2.Your Phone

    Numberfrom the Header menu, andthen press OK. You see the phonenumber input screen.

    2. Use the numeric keypad with otherbuttons on the control panel to enter

    your phone number (& "Using controlpanel buttons in fax mode" on page 5).You can enter up to 20 digits.

    Note:When entering your phone number, the "*"button does not work, and the "#" buttonfunctions as a "+" (international phone calls)button.

    3. Press OK. You return to 2.Your PhoneNumber.

    4. PressxMenuto return to the first

    screen in Fax mode.

    Setting up date and timeIf you have not yet set the date or time, orif you want to change the settings, you canchange them using the Maintenancemenu.

    1. Press Mode[Copy/Fax] to select Faxmode, and then pressxMenu.

    2. Press u or dto select 7.Maintenance,

    and then pressOK

    9. Press OK. You return to 9.Date/Time.

    Note:To select daylight savings time, set DaylightSaving Timeto On.

    Setting up your speed diallistYou can create a speed dial list of up to 60fax numbers so you can quickly selectthem for faxing. You can also add namesto identify the recipients and print thespeed dial list.

    Creating a new speed dial list1. Press Mode[Copy/Fax] to select Fax

    mode, and then pressxMenu.

    2. Pressu or dto select 5.Fax Setting, andthen press OK.

    3. Use u or dto select 2.Speed DialSetup, then press OK.

    4. Select 1.Create, then press OK. You seethe available speed dial entry numbers.

    5. Select or type the speed dial entry

    number that you want to register. Youcan register up to 60 entries.

    6. Press OK.

    7. Use the numeric keypad with otherbuttons on the control panel to enter aphone number (& "Using control panelbuttons in fax mode" on page 5). Youcan enter up to 64 digits.

    8. Press OK.9. Use the numeric keypad with the other

    buttons on the control panel to enter aname to identify the speed dial entry(& "Using control panel buttons in faxmode" on page 5). You can enter up to30 characters.

    10.Press OK. You return to 1.Create.

    11.If you want to add another speed dialentry, press OKand repeat steps 5through 10.

    12.PressxMenuto return to the firstscreen in Fax mode.

    Editing a speed dial entry1. Select 2.Editfrom the Speed Dial Setup

    menu, then press OK. You see theregistered speed dial entry numbers.

    2. Select or type the speed dial entrynumber that you want to edit, thenpress OK.

    3. Use the numeric keypad with otherbuttons on the control panel to edit thephone number (& "Using control panelbuttons in fax mode" on page 5).

    4. Press OK.

    5. Use the numeric keypad with the otherbuttons on the control panel to edit the

    name for the speed dial (& "Usingcontrol panel buttons in fax mode" onpage 5).

    6. Press OK. You return to 2.Edit.

    7. PressxMenuto return to the firstscreen in Fax mode.

    Deleting a speed dial entry1. Select 3.Deletefrom the Speed Dial

    Setup menu, then press OK. You seethe registered speed dial entrynumbers.

    2. Select or type the speed dial entrynumber that you want to delete, thenpress OK.

    3. You see a confirmation message. Pressthe 1key (for Yes) to delete the entry, orpress the 2key (for No) to cancel.

    4. PressxMenuto return to the firstscreen in Fax mode.

    Setting up your group dial listThe group dial list allows you to easilysend the same fax message to many faxnumbers.

    Before creating a group dial entry, youneed to register a fax number as a speeddial entry. You can register up to 60entries combined with speed dial entriesand group dial entries.

    Creating a new group dial list1. Press Mode[Copy/Fax] to select Faxmode, and then pressxMenu.

    2. Pressu or dto select 5.Fax Setting, andthen press OK.

    3. Press u or dto select 3.Group DialSetup, and then press OK.

    4. Select 1.Create, and then press OK.You see the available group dial entrynumbers.

    5. Select or type the group dial entrynumber that you want to register.

    6. Press OK. The screen displays EnterName.

    7. Press the keys on the numeric keypadto enter a name for the group dial entry(up to 30 characters). Use the numberkeys to enter letters from A to Z (inupper case or lower case), numbers 0 to9, and various symbols.

    8. Press OK.

    9. Select or type the speed dial entrynumber that you want to register in thegroup dial list.

    10.Press Pto add the speed dial entry tothe group dial.

    Note:Press Pagain to cancel adding the speeddial entry that you selected.

    11.Repeat step 9 to 10 to add other speeddial entries to the group dial list. Youcan register up to 30 speed dial entriesin a group dial.

    12.Press OKto finish creating a group diallist.

    13.PressxMenuto return to the firstscreen in Fax mode.

    Editing a group dial entry1. Select 2.Editfrom the Group Dial Setup

    menu, and then press OK. You see the

    available group dial entry numbers.2. Select or type the group dial entrynumber that you want to edit.

    3. Repeat steps 6 through 13 in theprevious section to edit the group diallist.

    Deleting a group dial entry1. Select 3.Deletefrom the Group Dial

    Setup menu, and then press OK. Yousee the available group dial entry

    numbers.2. Select or type the group dial entry

    number that you want to delete, andthen press OK.

    3. You see the confirmation message.Press the 1key (for Yes) to delete theentry, or press the 2key (for No) tocancel.

    4. PressxMenuto return to the firstscreen in Fax mode.

    Handling OriginalsWhen faxing, you can select the automaticdocument feeder or the document table.See "Placing Originals in the AutomaticDocument Feeder" and "Placing Originalson the Document Table" in the BasicOperation Guide.

    Handling PaperBefore receiving faxes, make sure you load

    A4-size plain paper into the sheet feeder.See "Loading Paper" in the Basic OperationGuide. Also, make sure the AutoReduction setting is set to On(& "Selecting Send/Receive Settings" onpage 12).

    Note:If the incoming fax pages are larger thanA4-size, the fax size is reduced to fit or printedon multiple pages, depending on the AutoReduction setting you select.

    Sending FaxesBefore sending a fax, place your original inthe automatic document feeder or on thedocument table. Then send your fax byentering a fax number, redialing theprevious fax number, or selecting an entryfrom your speed dial list.

    Entering or redialing a fax

    number1. Press Mode[Copy/Fax] to select Fax

    mode.

    2. Use the keys on the numeric keypad toenter the fax number. You can enter upto a maximum of 64 digits.

    If you want to redial the last fax number

    you used, press [Redial/Pause]instead of entering a fax number. The lastfax number is displayed on the LCDscreen.

    3. Press the D x [B&W] or theEx [Color] button.

    Note: Because color faxes cannot be stored in

    memory, the printer dials the fax numberand faxes your document in real time.

    If the recipient's fax machine prints onlyin black and white, your fax data isautomatically sent in black and whiteeven if you select Coloror B&W.

    If you need to cancel faxing at any time,press y Stop/Clear.

    4. If you use the document table, you seethis screen after your original isscanned.

    If you need to fax another page press the1key (for Yes), open the document cover,remove your first original, place yournext original, and close the documentcover. Then press OKto fax the nextpage. Repeat these steps to fax any otherpages.

    If you do not need to fax another page,press the 2key (for No).

    Note: If the fax number is busy or there is some

    other connection problem, you see aredialing information screen and theproduct redials the number after oneminute. Wait for the redial, or press

    [Redial/Pause] during the redialcountdown to redial immediately.

    Documents scanned up to this point willbe transmitted after 20 seconds.

    Speed dialing/Group dialingfax numbers1. Press Mode[Copy/Fax] to select Fax

    mode.

    2. Press [Speed Dial/Group

    Dial/Backspace]. The first speeddial/group dial entry name or numberfrom your list is displayed.

    3. To fax to the first speed dial/group dialentry, press OK.

    To select a different speed dial/groupdial entry, press u or dto display theentry, or press the number key thatcorresponds to the speed dial/group dialentry number.

    4. Repeat steps 3 to 4 in the previous

    section to fax.Note:If you use group dial list, only B&W is available.

    One-touch dialing faxnumbersYou can quickly access entries No.1 toNo.5 in your speed dial/group dial listwith one-touch dial buttons. Thesebuttons are available in either Copy/Fax

    mode.

    1. Press a one-touch dial button to selectthe speed dial/group dial entry.

    2. Carry out steps 3 to 4 from Entering orredialing a fax number (& "Entering orredialing a fax number" on page 9).

    Note:If you use group dial list, only B&W is available.

    Broadcast sendingBroadcast allows you to easily send thesame fax message to many fax numbersusing speed dial/group dial, redial, or byentering a phone number. You can sendup to 30 phone numbers.

    1. Press Mode[Copy/Fax] to select Faxmode.

    2. Enter a fax number using speed dial,group dial, one-touch button, redial, orenter a number directly using thenumeric keypad.

    3. Press OK. You see this screen.

    4. Press the 1key (for Yes) to add anothernumber, then repeat steps 2 to 3.If you do not need to add another faxnumber, press the 2key.

    5. Carry out steps 3 to 4 from "Entering orredialing a fax number" on page 9.

    Note:If you use group dial list, only B&W is available.

    Transmission timer

    You can specify at what time you want tosend your fax.

    1. Carry out steps 1 to 2 from Entering orredialing a fax number (& "Entering orredialing a fax number" on page 9). Youcan also use speed dial/group dial listsor one-touch dial to select fax numbers.

    2. PressxMenu, pressu or dto select3.Delayed Fax, and then press OK.

    3. Press u or dto select On, and then

    press r.4. Set the time that you want to send the

    fax, and then press OK.

    5. PressxMenuto return to the firstscreen in Fax mode.

    6. Press D x [B&W].

    Note:Color is not available for transmission timer.

    Once it has been scanned, the fax istransmitted at the time you specified.

    Note:If you need to cancel faxing at any time, pressy Stop/Clear.

    Sending faxes from theconnected phoneIf your phone is connected to the product,you can send fax data after the connectionis made.

    1. Place your original in the automaticdocument feeder or on the documenttable.

    2. Dial a number from the phoneconnected to the printer. You see this

    screen.

    3. Press the 1key (for Send).

    4. Follow steps 3 to 4 from Sending a Fax(& "Entering or redialing a fax number"on page 9).

    5. Put the phone down on the hook.

    Note:

    If you need to cancel faxing at any time,press y Stop/Clear.

    Receiving FaxesThere are three ways to receive faxes.

    Receiving faxesautomaticallyThe product automatically receives and

    prints faxes in Auto Answer mode.1. Load A4-size plain paper into the sheetfeeder.

    2. Press [Auto Answer/Space], andturn on the Auto Answer mode.

    Receiving faxes manuallyIf your phone is connected to the product,and Auto Answer mode has been set toOff, you can receive fax data after theconnection is made.

    1. Load A4-size plain paper into the sheet

    feeder.2. When the telephone rings, lift the

    phone connected to the printer. You seethis screen.

    3. Press the 2key (to receive).

    4. If you want to receive the fax, Press the1key (for Yes).

    5. When you see the previous screen, putthe phone back on the hook.

    6. Press OKto print the fax after receivingthe data.

    Receiving faxes from faxinformation service (Poll toReceive)This function is used to gather

    information stored on another partys faxmachine to your product. This is onlyavailable when you use the faxinformation service.

    1. Load A4-size plain paper into the sheetfeeder.

    2. Press Mode[Copy/Fax] to select Faxmode, and then pressxMenu.

    3. Press u or dto select 4.Fax Mode, andthen press OK.

    4. Press u or dto select Poll to Receive,and then press OK.

    5. PressxMenu. You see this screen.

    6. Enter the other partys fax number.

    7. Press x D [B&W] or xE [Color] tostart the transmission.

    Indicates whether orwhen the product printsa report for outgoingfaxes. Select Offto turnoff report printing, selectOn Errorto print reportsonly when an erroroccurs, or select On

    Sendto print reports forevery fax you send.

    Dial Mode Tone(default), PulseThis setting may not bedisplayed depending onthe region.

    Indicates the type ofphone system to whichyou have connected theproduct.

    DRD All(default), Single,Double, Triple, Double& TripleThis option may be On

    or Offdepending on theregion.

    Indicates the type ofanswer ring pattern youwant to use to receivefaxes. You must haveset up your phonesystem to use differentring patterns to select anoption other than All(orOff).

    ECM On(default), Off

    Indicates whether youuse Error CorrectionMode to automaticallyrequest retransmissionof fax data that isreceived with detectederrors.

    V.34 On(default), Off

    Indicates the speed atwhich you transmit andreceive faxes.Onis 33.6 Kbps and Off14.4 Kbps.

    Rings toAnswer

    1, 2, 3, 4, 5, 6, 7, 8, 9

    The default value variesby region. This settingmay not be displayeddepending on the

    region.

    Indicates the number ofrings that must occurbefore the productautomatically receives afax.

    Dial ToneDetection

    On(default), Off

    When this is set to On,the product dials

    automatically when itdetects a dial tone.

    It may not be able todetect a dial tone whena PBX (Private BranchExchange) or a TA(Terminal Adaptor) isconnected. In that case,set to Off.

    Problems and Solutions

    Faxing problems If you have problems sending a fax,

    make sure the phone cable is connectedcorrectly and verify that the phone lineworks by connecting a phone to it. Also

    make sure that your recipients faxmachine is turned on and working.

    If you have problems receiving a fax,make sure paper is loaded correctly,the phone cable is connected correctly,and the phone line works.

    If you connected the product to a DSLphone line, you must install a DSL filterto the line or you will not be able to fax.Contact your DSL provider for thenecessary filter.

    If your phone line has static or othernoise problems, turn off the V.34setting and try faxing again(& "Selecting Send/Receive Settings"on page 12). If the problem persists,turn off the ECM(Error CorrectionMode) setting and try faxing again.

    Restore default settings1. Press Mode[Copy/Fax] to select Fax

    mode, and then pressxMenu.

    2. Pressu or dto select 6.Restore Default

    Settings, and then press OK.3. Press u or dto display one of these

    options:

    1.Reset Fax Send/Receive Settings

    Important SafetyInstructionsBefore using this printer, read and followthese safety instructions:

    Use only the power cord that comeswith the printer. Use of another cordmay cause fire or shock. Do not use thecord with any another equipment.

    Make sure the power cord meets allrelevant local safety standards.

    Use only the type of power sourceindicated on the label.

    Place the printer near a wall outletwhere the power cord can be easilyunplugged.

    Do not let the power cord becomedamaged or frayed.

    Make sure the total ampere rating ofthe devices plugged into an extensioncord or a wall outlet does not exceed

    the ampere rating limit. Avoid locations that are subject to

    rapid changes in heat or humidity,shocks or vibrations, dust, or directsunlight.

    Do not block or cover openings in thecase or insert objects through the slots.

    Place the printer on a flat, stable surfacethat extends beyond its base in alldirections. It will not operate properly

    if it is tilted or at an angle. And makesure the back of the printer is at least10 cm away from the wall for sufficientventilation.

    Do not open the scanner unit whilecopying, printing, or scanning.

    Do not touch the white flat cable insidethe printer.

    Do not spill liquid on the printer.

    Do not use aerosol products that

    contain flammable gases inside oraround the printer. Doing so may causefire.

    Except as specifically explained in yourdocumentation, do not attempt toservice the printer yourself.

    Unplug the printer and refer servicingto qualified service personnel under thefollowing conditions: if the power cordor plug is damaged; if liquid has

    entered the printer; if the printer hasbeen dropped or the case damaged; ifthe printer does not operate normallyor exhibits a distinct change inperformance.

    When storing or transporting theprinter, do not tilt it, stand it on its side,or turn it upside down; otherwise inkmay leak from the cartridge.

    Be careful not to trap your fingers whenclosing the scanner unit.

    Do not press too hard on the documenttable when placing the originals.

    Do not place anything except fororiginals in the automatic documentfeeder.
