    The current release o EndNote includes the ollowing new eatures:

    Change Layout options to match your monitor and preerences,such as showing the Preview, Reerence, and PDF Viewer panelson the right side o the screen to t widescreen monitors.

    Open PDFs in a separate tabbed Reerence / PDF windowor viewing reerences or annotating PDF les.

    Apply a rating to each o your reerences. Search your EndNotelibrary by selecting the Rating option rom the Field list.

    Apply a Read or Unread tag to your reerences rom the Library window orthe Reerence window in order to track which reerences you have reviewedduring your research. Set rating preerences to haveEndNote automaticallymark reerences as read ater viewing in the Reerence, Preview, andPDF Viewer panels or ater changing the rating o a reerence.

    About the Demonstration Version

    ofEndNote and the EndNote Viewer

    I you are working with the EndNote demonstration version, you have 30 days ater you

    rst use the program to evaluate EndNote and all o its eatures. Ater 30 days, the

    demonstration version reverts to a eature-restrictedEndNote Viewer.Ater the program reverts to an EndNote Viewer, you can still open EndNote libraries,

    search, sort, and print reerences.

    With the EndNote Viewer, you will not be able to:

    Add or edit reerences in a library that has 10 or more reerences already in it.

    Format more than 10 citations in a paper.

    Retrieve more than 10 reerences rom a remote database.

    Import more than 10 reerences.

    Export more than 10 reerences.

    Synchronize reerences in anEndNote desktop librarywith reerences in an EndNoteWeb library.

    To purchase an unrestricted version o the EndNote program, open your trial version, and

    then click the Yesbutton when the EndNote dialog box appears with the message:

    Would you like to activate the ull version o EndNote?

    You will need to purchase a product key in order to activate the unrestricted

    Starting EndNote and Opening a Library

    From the Start menu, selectAll Programs > EndNote > EndNote Programto display the ollowing dialog.

    1. Select the Open an existing library option to go to the Examples older.

    2. Select and open the compressed le calledSample_Library_X6.enlx to

    extract the uncompressed library les called Sample_Library_X6.enland Sample_Library_X6.Data.

    Alternative Method

    1. From the Help menu, select the Show Getting Started Dialog command.

    2. Select the Open an existing library option to go to the Examples older.

    Navigating the Library Window

    When you open the sample library, you will see the Librarywindow listing all o the reerences that the library contains.

    The Library window includes our work areas:

    Groups panel Reerence List panel

    Tabs panel

    Search panel

    The options on the Tabs panel depend on the layout that you selectrom the Layout menu located in the lower right-hand corner.

    Groups Panel

    This panel displays various groups o reerences or easy retrieval.

    Reerence List Panel

    This panel displays a multi-column list o reerences. By deault, the rstcolumn in the reerence list shows a Read/Unread indicator ollowed by:

    Paper clip icon (or reerences that include an attached fle)

    Authors last name, rst name, initial (all names are shown)

    Year

    Title

    Rating

    Journal name or secondary title

    Reerence type

    URL

    Last updated

    You can changes the order o the elds that display in the reerence list by

    selecting rom the Edit menu > Preerences > Display Fields.You can browse through the reerence list by rst selecting a reerence,and then using the scroll bar, the scroll arrows, or the Page Down,Page Up, Home, End, and Arrow keys.

    Tabs Panel

    This panel displays:

    A Reerence tab or editing a reerence

    A Preview tab or viewing ormatted reerences

    An Attached PDFs tab or viewing PDF les attached to a reerence

    A paper clip icon or attaching les to a reerence (only PDF lesappear in the Tabs panel ater you attached a le)

    Preview Panel

    You can easily see more details about a reerence by highlighting the reerenceand selecting the Preview tab.

    The Preview tab uses the current output style to display the selected reerence,as it is ormatted in a bibliography. EndNotes output styles represent the rules or

    creating bibliographies or a variety o journals and other publications. The styles deter-mine how your reerences look when you print, export, preview, or create bibliographies.

    To select a dierent output style, go to the toolbar and select one rom theOutput Styles menu.

    The Output Style menu displays your avorite output styles, but you can choose SelectAnother Style to pick rom other installed les. A typical installation installs only the mostpopular output styles, but more than 5,000 output styles are available inEndNote.

    Reerence Panel

    You can quickly edit your reerences by clicking on the Reerence tab. Most unctionality isthe same as working in the Reerence window. Enter text in a eld by clicking on the eld.

    All commands are available via the menus including contextual menus.The Reerence panel displays the contents o the highlighted reerence. Each part o thereerence is stored in its own eld, and the reerence type is displayed below the title bar.

    PDF Viewer Panel

    The PDF Viewer panel allows you to open and view PDF les attached to thecurrent reerence. See Working with PDF Files or more inormation.

    Search Panel

    The Search panel allows you to search or reerences rom a particularEndNote library.By deault, the Search panel displays at the top o the EndNote window. Click the ShowSearch Panel and Hide Search Panel buttons to toggle between the two views.

    The Search panel consists o the ollowing items:

    Logical Operator List

    Field List

    Comparison List

    Search Fields

    Search Set List

    Match Case

    Match Words

    To begin a search o your EndNote library, select the group o reerences you wantto search and then select Search Library rom the Tools menu.

    To begin a search o an online database, click on the database name in the Groupspanel under Online Search or go to the Tools menu and select Online Search.

    Selecting a Library Window Layout

    Click the Layout button in the lower right-hand corner o the Library windowto display a menu that lists six dierent layout options.

    Groups Panel

    Let / O: This layout allows you to hide or show the Groups panel.You can use this option in combination with any o the other layout options.

    Reerence Panel

    Right: This layout allows you to combine the Reerence, Preview, and PDF Viewertabs as one panel to the right o the Reerence list in a columnar arrangement.This is the deault layout option.

    Right - Split: This layout allows you to arrange the Reerence/Preview tabs andthe PDF Viewer panel to the right o the Reerence list in a columnar arrangement.

    Bottom: This layout allows you to combine the Reerence/Preview tabs and thePDF Viewer tab in a split arrangement below the Reerence list.

    Bottom - Split: This layout allows you to combine the Reerence, Preview,and PDF tabs in one panel below the Reerence list.

    O: This layout allows you to hide the Reerence, Preview, and PDF Viewer panels.EndNote displays only the Groups panel and the Reerence list side- by-side.

    Sorting References

    You can sort reerences by clicking on a column heading such as Author, Year, or Title.

    1. Click the Author column heading to change the current Author sort rom

    ascending order to descending order.

    2. Click the Year column heading to see the reerences sorted in descending

    order based on the year o publication.

    3. Click the Read / Unread column heading to sort either your Read or Unread

    reerences to the top.

    4. Click the Author column heading to return the sort order o the library to an

    alphabetical list sorted by the author names.

    Selecting and Opening a Reference

    To work with specic reerences, you must rst select them in the Library window.

    There are dierent ways to select a reerence, such as:

    1. Clicking on the reerence using the mouse;

    2. Using the arrow keys; or

    3. Typing the rst ew letters ound in the eld by which the

    library has been sorted.

    To see how this works, click any reerence to select it.Press the Up or Down Arrow to select the previous or next reerence.

    To nd and display a reerence:

    1. Select the reerence by Glover M. Allen. Now that the reerence is

    selected, there are a number o things you can do such as view its

    contents, copy, cut, delete, or edit it.

    2. Open the selected Allen reerence by pressing the Enterkey or by

    using the Edit Reerences command on the Reerences menu.

    The Reerence window opens to display all o the inormation associated with the reerence.

    This is where you enter or edit inormation or a reerence.

    To view the rest o the reerence, use the mouse to scroll down the Reerence window orpress the Tab key to move orward rom one eld to the next.

    Press Shit+Tab to move backward through the elds.

    Click the Show Empty Fields / Hide Empty Fields button to toggle betweenshowing all elds in the reerence or only those elds that contain data.

    Closing a Reference

    Close the reerence. You can do this in one o these ways:

    Click the X close button in the upper corner o the Reerence window.

    From the File menu, select Close Reerence.

    From the keyboard, press Ctrl+W. EndNote prompts you to save your changes.

    Note that many o the menu commands have a keyboard equivalent next to them.

    Working with PDF Files

    The PDF Viewer panel allows you to open and view PDF les attachedto the current reerence.

    1. Select any reerence in the Reerence list.

    2. Place your cursor inside the PDF Viewer panel.

    3. Click the paper clip icon to open a le dialog. You can also press Ctrl+Alt+A to

    open a Select a File dialog.

    4. Navigate to the older Program Files/EndNote X6.

    5. Select the check box titled Copy this le to the deault le attachment older

    and create a relative link. EndNote makes a copy o the le to store with the

    library. The attached le is always available to you even when you move the

    library.

    6. Select the le titled EndNoteX6WinHelp.pd.

    7. Click Opento insert the le into the selected reerence.

    Note that EndNote automatically opens the rst PDF attached to a reerence when youselect the PDF tab. You can attach up to 45 les.

    PDF Toolbar

    A toolbar appears within the PDF Viewer panel that displays the ollowing icons.

    Move your cursor over an icon on the toolbar to see Alt (hover) text to explain its unction.For example, Alt text or the rst three icons displays:

    Open PDF File in the Reerence Window

    Save PDF

    Print PDF

    You can also right-click within an open PDF le to display a contextual menu that includes

    many o the options on the toolbar plus other options, such as:

    Open with Adobe Acrobat

    Open in Reerence Window

    E-mail Attachment Show Notes / Markup

    Hides Notes / Markup

    Adding Sticky Notes

    1. Go to a section in the PDF where you want to add a comment.

    2. Select the text where you want to insert a comment.

    3. Select the Sticky Note icon rom the toolbar.

    4. Double-click the Sticky Note icon that appears in the PDF le to display a Sticky

    Note text box.

    5. Enter your comments in the Sticky Note text box.

    6. Click the Save PDF icon in the toolbar to save your changes.

    Highlighting Text

    1. Go to the section in the PDF where you want to highlight text.

    2. Select the text within the PDF that you want to highlight.

    3. Select the Highlight Text icon. The color o the selected text changes to yellow.

    4. Click the Save PDF icon in the toolbar to save your changes.

    Saving References to a Custom Group

    The let panel o the Library window lists groups o saved reerences.The rst three groups are permanent.

    All Reerences displays all o the reerences in the library.

    Unled contains reerences that are not part o a custom group.

    Trash contains reerences that you have deleted rom the library.

    They are not permanently eliminated until you empty Trash.

    Note: This section o the Groups panel will change ater you initiate the Sync process orthe rst time. See Synchronizing Your EndNote Librarywith Your EndNote Web Libraryormore inormation.

    Below the permanent groups, you can create group sets to organize up to 5,000 customgroups, smart groups, and combination groups in the library.

    You build a custom group by adding individual reerences to a group set.

    EndNote automatically compiles a smart group based on your search strategy.

    A combination group consists o reerences derived rom a smart groupsearch o the contents o existing custom and/or smart groups.

    The sample library has several custom groups o reerences. Click the group namesunder the Bats group set in the let panel o the Library window to view the reerencesin each group.

    Then, click All Reerences to display all o the reerences in the library again.

    To create a custom group and add reerences to it:

    1. Select one o the groups in the Psychology 101 group set sothat a new group is created in that set.

    2. From the Groups menu, select Create Group.

    In the Groups panel o the Library window, a group titled

    New Group is now highlighted or editing.

    3. Type Biological Psychology as the group name, and then press

    Enteror click in the reerence list area to save the change.

    Note that there are no reerences in the new Biological Psychology group.

    4. Select the All Reerences group to display all reerences in the library.

    5. In the Author column, highlight the reerence by Baker and the reerence

    by Cherry. To select noncontiguous reerences, hold down the Ctrl key

    as you click on them.

    6. Drag the selected reerences to the new Biological Psychology group

    and drop them on the title o the group.

    7. Select the Biological Psychology group to display the two reerences

    now included in the group.

    EndNote deletes only the group. No reerences are deleted rom your library. Many o thecommands or managing groups are available both rom the Groups menu and rom theright-click contextual menu.

    Synchronizing Your EndNote Library

    with Your EndNote Web Library

    Your purchase o EndNote X6entitles you to a two-year ree subscription to EndNote Web.

    The Sync eature allows you to synchronize the reerences in yourEndNote desktop

    library with the reerences in your EndNote Web library. You must register and havean active EndNote Web account to initiate the Sync process.

    I Already Have an EndNote Web Account

    1. Click the Sync button in the toolbar to go to an EndNote Web Login dialog.

    2. Enter your EndNote Web e-mail address.

    3. Enter your EndNote Web password.

    4. Click OK to initiate the Sync process.

    Since you already have an EndNote Web account, EndNote populates the elds

    on the Sync Preerences page with the e-mail address and password that youentered on the EndNote Web Login dialog. Later you can change the data inthese elds i you ever change your e-mail address or password.

    I Do Not Have an EndNote Web Account

    Because you do not have an EndNote Web account, you must create one. Registration isast and easy and activates your two-year EndNote Web account when completed.

    1. Click the Sync button in the toolbar to go to an EndNote Web Login dialog.

    2. Click the Sign Up button to go to a User Registration dialog.

    3. Enter an e-mail address in the User Registration dialog.

    Retype your e-mail address, and then click the Continue button.

    4. Enter your personal inormation in the required elds on the next User

    Registration orm. For example, enter your name, a password, and a title.

    5. Select the appropriate radio button to Opt in or Opt out

    or e-mail communication.

    6. Click the I Agree button indicating that you agree to the Terms and Conditions.

    Once you create your EndNote Web account, EndNote populates the elds on the

    Sync Preerences page with your e-mail address and password that you entered

    during registration. Later you can change the data in these elds i you ever change

    The rst time you synchronize your EndNote and EndNote Web libraries, EndNote copies

    all reerences in each library to the other. I you have the same reerences in both libraries,

    these reerences will result in duplicates in the synchronized libraries.

    Sync Status Button

    Ater the Sync process completes, the Groups panel includes a Sync Status button.

    Click the button to open the Sync Stats dialog to review inormation about the EndNotelibrary that you selected to synchronize with your EndNote Web library. The dialog tellsyou the number o reerences and the number o le and gure attachments thatEndNoteupdated during the last Sync process.

    Sync Conficts

    I Sync conficts occur during the Sync process, a Sync Conficts group appears in the

    Groups panel.A confict occurs or a reerence when you edit the reerence in bothEndNote and in End-Note Web between Syncs. However,EndNote does not know which one you want to keep.

    Select the Sync Conficts group to open the Resolve Sync Conficts dialog where you canresolve conficts between reerences in yourEndNote library and your EndNote Web library.

    Setting Sync Preferences

    Sync Preerences allow you to set your preerences so that:

    You do not have to enter your e-mail address and password each timeyou synchronize your reerences between EndNote and EndNote Web.

    You can update your EndNote library with your EndNote Web librarywhenever you open or close your deaultEndNote library.

    You can have EndNote automatically begin the Sync processevery 15, 30, or 60 minutes (or manually i you preer).

    Setting a Default Library

    You can assign a library to open automatically every time you start EndNote. You will nd

    it useul to set the sample library (Sample_Library_X6.enl) as your avorite library or now.

    Later, when you create your own library, you can set it as your avorite library.

    1. Go to the Edit menu and then select Preerences.

    2. Select the Libraries option.

    3. Select Open the specied librariesrom theWhen EndNote Starts menu.

    4. Click the Add Open Libraries button. You should see the ull path and le name

    There are various ways to add reerences to anEndNote library:

    Type the reerence inormation into the Reerence window.

    Connect to an online bibliographic database and retrieve

    the reerences directly into EndNote.

    Import text les o reerences that you have downloadedrom an online bibliographic database.

    Once a library is open, you can add a new reerence to it:

    1. From the Reerences menu, select New Reerence to

    display an empty Reerence window.

    New reerences appear as Journal Article the deault setting. You can change

    the reerence type to another type using the Reerence Typelistat the top

    o the Reerence window. You can also change the deault reerence type

    rom EndNote Preerences.

    2. Select the Book reerence type rom the Reerence Type menu.

    Notice that the Field list changes to refect the type o bibliographic inormation

    you would record or a book. Select other reerence types rom the list to see how

    the list o elds changes or each type o source.

    Note that three reerence types (Figure, Chart or Table, and Equation) are

    available specically or cataloging picture les and object les. You can add File

    Attachments, Figures, and Captions to any reerence type.

    Set the reerence type back to Journal Article.

    3. Enter author names or the reerence. Individual author names must be entered

    one per line.

    a. Enter a personal author name with the rst name rst.

    With the cursor in the Author eld, type:

    Tiberius Rex

    As you type, EndNote suggests names similar to the one you are entering.

    This is EndNotes way o using term lists to acilitate the process o entering

    new reerences.

    Note: You can turn on or o the auto-complete eature with EndNote Term

    List preerences. It is available or Author elds when you enter author

    names with the last name rst.

    The name you are entering, Tiberius Rex, is a new author in this library,

    so keep typing until you complete the name, and then press Enter.

    The name appears in red text to indicate that it is a new name in the

    Author term list or this library. When you close the reerence,EndNote

    adds the name to the Author term list and the red text will changeto black.

    b. Enter the second authors name, but with the surname rst.

    Morre, Nicole

    This authors last name is already in the sample library, so as

    you start typing the last name, you will see EndNote complete

    the name or you.

    Press Enter to accept EndNotes suggested author name.

    c. For the third author, enter:

    de Young, John Robert, Jr.

    The rst comma separates the last and rst name. The second comma is

    inserted beore sux text to make it clear that it is not part o the

    authors name or manipulation o name order or stripping to initials

    Sux text will always print ater the other inormation or this author.

    Press Enter.

    d. For the ourth authors name, enter:

    University of California,, Berkeley

    Corporate author names are entered with a ollowing comma, so they

    will not be manipulated like personal author names. In this case, the

    corporate author name has a comma within the name. We inserted two

    commas to allow or correct ormatting. The rst comma makes it clear

    that text up to that point should not be manipulated. The second

    comma indicates that there is no rst name, yet includes sux text.

    4. Press Tab to accept the author name and move to the Year eld. Type 2006

    as the search term.

    5. Continue entering the reerence as shown below using the Tab key to move to

    the next eld and Shit+Tab to move to the previous eld. You can also use the

    mouse to click in the desired eld. I inormation is not provided or a particulareld, leave that eld empty.

    Title: The scale and the feather:A suggested evolution

    No extra punctuation (such as parentheses around the year) is entered into the

    reerence. EndNote adds the necessary punctuation to the reerences when it

    creates a bibliography.

    Note that you can enter up to 64 K o text into the Abstract and Notes elds,

    which amounts to 10-12 pages o text.

    6. Attach a PDF le to the reerence. You can attach almost any type o le to the

    File Attachments eld o a reerence.

    Scroll to the File Attachments eld, and rom the Reerences menu, select File

    Attachments > Attach Fileto display a le dialog. On the le dialog:

    a. Navigate to the older Program Files\EndNote X6.

    b. Notice the check box titled Copy this le to the deault le attachment

    older and create a relative link. Make sure that you select this box so that

    EndNote will make a copy o the le to store with the library.

    That way, the attached le is always available to you, even

    d. Click Open to insert the le into the File Attachments eld.

    A le icon will appear in the eld.

    You can attach up to 45 dierent les to a single reerence. Double-click

    the le icon to open the le with the deault program or the le type.

    7. From the File menu, select Close Reerence to close the Reerence window.

    8. When prompted to save your changes, click Yes. Your new reerence will appear

    in the Library window. A paper clip icon appears next to the reerence to indicate

    an attached le.

    Notes:

    In the Groups panel, notice that one reerence appears in the Unledgroup. Select the Unled group to display the Tiberius Rex reerence.

    Select the Bottom Layout mode to view your new reerencesas shown in the above sample screenshot.

    Locating References that Contain Attached Files

    You can easily locate those reerences that contain attached les.

    Click the paper clip icon in the second column heading to sort records containing attachedles at the top o the list. Reerences that include a paper clip have one or more attachedles. You can attach up to 45 les to a reerence.

    Let us assume that you want to generate a list o all reerences ound in the sample libraryon Bats that were published rom 2000 to 2012.

    1. Select the All Reerences group.

    2. Click the Show Search Panel button i the Search panel is not already showing.

    3. On the rst search line:a In the Field list, scroll up and select Any Field. This means

    that EndNote will search all elds.

    b. In the Comparison list, the Contains comparison operator means

    that EndNote will search or the string o text anywhere in a eld.

    c. Type bats as the rst search term.

    4. From the Field list in the second search line, select Year. From the Comparison

    list, select Is greater than or equal to and then type 2000 as the search term.

    5. From the Field list in the third search line, select Year. From the Comparison list,

    select Is less than or equal to and then type 2012 as the search term.

    6. Notice the And, Or, Not logical operator list at the beginning o each search

    line. Select the And logical operator between the three search lines.

    The Search panel should look like this.

    This search will nd all reerences published between 2000 and 2012 thatcontains the text bats.

    Notice that the ollowing check boxes are not selected or this search:

    Match Case: This option would limit our search to bats in lowercase. I it were

    ound capitalized at the beginning o a sentence, or all uppercase, it would notmatch the search.

    Match Words: This option would limit matches to ull words with no truncation.The word batsman would not match our search.

    7. Click the Search button to begin the search. In a moment,EndNote displays the

    search results.

    The status area at the bottom o the Library window should read,

    Showing 17 o 17 reerences in Group.

    Notice in the Groups panel that EndNote automatically retains the results

    in a Search Results group set. This makes it easy to display other sets o

    reerences, but still go back and display your most recent search results.

    EndNote replaces this temporary Search Results group the next time you run a

    search on the library. When you close the library, EndNote removes the group.

    As you enter additional reerences into your library, you may want to keep

    track o the reerences that meet your search criteria. An easy way to do this is

    with a smart group.

    Creating a Smart Group

    You could create a custom group, and then drag your search results to the group, but

    as you entered new reerences into your library, you would need to keep updating the

    custom group. Instead, create a smart group that updates automatically.

    The Search panel should still display the search strategy to nd bats or publicationyears 2000 to 2012.

    To use the search strategy to create a smart group:

    1. Click the Options button, and then select Convert to Smart Group.

    A Converted Search smart group is created under the rst custom group set,

    Psychology 101.

    2. Type Bats 2000-2012 or the Converted Search title, and then press Enter

    I you have already clicked away rom the editable title,

    you can right-click on Converted Search, and then select Rename Group.

    Each time you add a reerence library or edit a reerence,

    EndNote updates the smart group as needed.

    To show all reerences again in the library window,

    click theAll Reerences group.

    3. Drag the Bats 2000-2012 smart group to the Bats group set.

    Creating a Combination Group

    Let us assume that you want to combine all your custom groups and smart groups underthe Paleontology group set in order to create a combination group.

    To create a combination group:

    1. Select the Chiroptera custom group rom the Bats group set.

    2. From the Groups menu, select Create rom Groups to open a dialog.

    3. In the Group Name eld, type Chiroptera Combo Group.

    4. Go to the Include Reerences In elds section o the dialog. In the rst eld,

    select Chiroptera rom the Bats group set menu.

    5. In the second eld, select Echolocation rom the Bats group set menu. Select the

    OR Boolean rom Logical Operator list.

    6. In the third eld, select the Sonar smart group rom the Bats group set menu.

    Select the OR Boolean rom the Logical Operator list.

    7. Click the Create button to save your changes. Your combination group should

    appear in the Groups panel.

    With the Online Search command, you can search online bibliographic databasesjust as easily as you can search an EndNote library on your own computer. You candownload the results o your searches into a temporary EndNote library or directlyinto your own EndNote library.

    Selecting a Display Mode

    You can choose rom three dierent display modes in the Library window by selecting one

    o them rom the toolbar.

    Integrated Library & Online Search Mode

    In this mode, all groups and commands are available. When you download reerences roman online database, EndNote saves them to a group under the Online Search group set.

    Local Library Mode

    In this mode, the Online Search groups are not available. All local library commands are

    available. I you initiate an online search rom the Tools menu, the display switches toOnline Search Mode.

    Online Search Mode

    In this mode, only the Online Search groups are available. When you download reerencesrom an online database, the reerences are stored in a temporary library until you savethem to a permanent EndNote library. This allows you to download reerences rom onlinedatabases and review them without aecting your local library. Many library commandsare not available in Online Search Mode. Ater closing Online Search Mode, the displaychanges to Local Library Mode.

    Searching a Database

    The next step is to enter the search terms to nd the reerences you need. Searching anonline database is very similar to searching an EndNote library.

    1. In the Groups panel, select PubMed (NLM)

    2. Set the Field list or the rst line to MeSH Terms, and enter ossil in the search

    eld. The Comparison list or online searches is always set to Contains.

    3. Click Search.

    EndNote sends the search request o to the online database

    and displays a summary o the search results.

    The dialog box displays the number o reerences thatEndNote ound

    to match your search request and gives you the option to retrieve them.

    I the result set seems too many, you can rene the search by clickingthe Cancel button.

    4. Click Cancel to return to the Search panel.

    5. Set the operator at the beginning o the second search line to And.

    6. In the second search line, select All Fields rom the Field list and type

    trilobite as the search text.

    7. Click Search.

    This time the system nds ewer reerences.

    8. Click OK to retrieve and save the matching reerences.

    EndNote downloads the reerences to the All Reerences group and to a

    temporary PubMed (NLM) group.

    Notes:

    The PubMed Web site is updated regularly, so you may nd adierent number o reerences than illustrated here.

    The temporary PubMed (NLM) group will reset back to zero reerences when youclose the library.

    Reviewing References

    View the retrieved reerences to make sure you want to keep all o them. You may nd that

    some o the reerences are not helpul or your research.

    While you could open each reerence individually to scan through the bibliographic data,you can also use the Preview panel or the Reerence panel.

    To review the new reerences:

    1. Select a reerence rom the Reerence list.

    2. Click the Preview tab to display the reerence.

    3. Select the Show All Fields output style rom the Output Style list.

    The Show All Fields style is not bibliographic, but represents all o the elds in your

    reerences. On the Preview tab, scroll through the data in the selected reerence.

    Note: I Show All Fieldsis not in the Output Style list, then choose Select another

    Styleto go to the Choose a Style dialog. Select Show All Fieldsrom the list.

    Deleting References

    Because you are working in the Integrated Mode display,EndNote downloads the reer-

    ences directly into the open library. You should delete any reerences you do not want.

    Note: I you had downloaded reerences in Online Search Mode, the reerences would be

    in a temporary library. You would then need to highlight the reerences you wanted to keep

    and copy them into a permanent EndNote library.

    To delete reerences:

    1. In the PubMed (NLM) group, select two o the displayed reerences by holdingdown the Ctrl key and clicking on the individual reerences.

    2. From the Reerences menu, select Move Reerences to Trash.EndNote removes

    the selected reerences rom the library and moves them to the Trash group.

    While the reerences are no longer in your library (they will not appear in any

    other group or reerence list, they are not included in your reerence count,

    and they cannot be cited), they are not completely deleted until you go to the

    Reerences menu and select Empty Trash. Until you select Empty Trash, you can

    still drag reerences rom the Trash group back to your active library.

    3. To delete the reerences romEndNote, click the Trash group, and then go to the

    Reerences menu to select Empty Trash.

    4. Click Yes to conrm the deletion.

    Finding Full Text for a Reference

    Many online sources now supply both bibliographic inormation and the ull text

    o the document you are reerencing. EndNote locates ull text les on the Web byusing data stored in your reerences. Once ound,EndNote downloads and attaches

    the les to the reerences.

    Note that you can nd the ull text or a single reerence or up to 250 reerences.

    To nd the ull text or a reerence:

    1. Sort your reerences by author name in ascending order.

    2. Select the rst 10 reerences in the Reerence list.

    3. From the Reerences menu, select Find Full Text > Find Full Text.

    EndNote displays a copyright notice advising you to adhere to downloading

    and usage guidelines as required by your inormation provider. We will use

    the deault EndNote settings to search public sources that do not require

    authentication or access.

    4. Click OK to begin the Find Full Text search.

    In the let-hand column, under the Find Full Text group set, you will see a

    Searching group indicating that a search is in progress. This search can work

    in the background, so i you had many reerences selected, you could continue

    working in your library.

    group. Depending on the results, you may see a combination o three dierentgroups under the Find Full Text group set.

    Selecting an Import Filter and Importing Data into EndNote

    Once you have captured and saved your data le in a tagged ormat, you need to

    identiy the proper EndNote lter to import the data. There are hundreds o lters

    included with EndNote. Each lter is designed to read a specic tagged ormat rom

    a specic inormation provider.

    To import the sample PubMed text le into the sample library:

    1. From the File menu, select Import File.

    2. Click the Choose button to display a le dialog.

    3. Browse to the EndNote X6\Examples older, and then highlight

    and open the pubmed_result.txtle.

    4. From the Import Option list, select Other Filters to display

    the list o lters supplied in the EndNote Filters older.

    You may want to review the list to see what lters we include in the product.

    You can create new lters or copy and edit existing lters.

    Note: A Typical installation installs only the most popular lters,

    but there are hundreds available withEndNote.

    5. Type PubMed to jump to the lter in the list.

    6. With the PubMed (NLM) lter highlighted, click the Choose button.

    7. Leave the other two options at their deault settings.

    Duplicates: Import All

    By deault, a reerence is considered a duplicate i the Author, Year, Title, and

    Reerence Type match a reerence already in the library. You can change the

    duplicates criteria under EndNote Preerences. We will import all reerences

    regardless o duplicates.

    Text Translation: No Translation

    This option allows you to speciy the text character encoding o the le you

    import. This is important when you import reerences in languages that

    include extended characters. You can also nd the correct language encoding

    inormation by opening the text le in Microsot Word or another word processor.

    8. Click Import to import the le.

    When the process is complete, newly imported reerences display in the

    Reerence list. You can select the Preview tab to view the ormatted reerences

    or can select the Reerence tab edit new reerences.

    Notice that the ocus in the Groups panel has switched rom the All Reerences

    group to the Imported Reerences group.

    The Imported Reerences group is a temporary group. It is replaced each time

    you import a new set o reerences. EndNote removes the group when you

    close the library. The reerences themselves remain in the library unless you

    specically delete them.

    Note: Select the Bottom Layout mode to view your new reerences as shown in

    the above sample screenshot.

    Downloading Records from PubMed

    The example below gives the recommended download ormat and

    import option or the U.S. National Library o Medicines PubMed system.

    Inormation Provider: U.S. National Library o Medicine (NLM)

    Import Option: PubMed (NLM) FilterFollow the steps below to download your search results rom the

    PubMed Web site and to import them into your EndNote library.

    1. Go to the PubMed Web site in your Web browser athttp://www.pubmed.gov.

    2. In the Search eld, enter your search criteria to execute your search.

    Click the Search button.

    3. Select the needed results, and then select File rom the Send To menu.

    4. Select MEDLINE rom the Format menu.

    5. Select a sort order rom the Sort By menu. The deault sort order is RecentlyAdded.

    6. Click the Create File button. This will bring up a dialog box allowing

    you to save your selected reerences as a text le.

    7. Click the Save button to save the le to your computer. Save the le

    somewhere easily accessible such as your desktop. The deault le name

    is pubmed_results.txt. You may change the le name, but we recommend

    saving the le with the .txt extension.

    8. In EndNote, open the library where you would like to save these reerences.

    9. From the File menu, select Import > File to open a dialog box.

    10. Click the Choose button, and then select the downloadedpubmed_result.txt

    le rom your PC.

    11. In the Import Option eld, select Other Filters, and then select the import

    lter called PubMed (NLM) rom the Choose an Import Filter dialog.

    12. Do not select any options rom the Duplicates and Text Translation elds.

    13. Click the Import button to import your reerences.

    14. Look in your Groups panel to see a new group called Imported Reerences. All

    the reerences that you downloaded rom PubMed will appear in this group.

    Note: When you close the current library, EndNote removes the imported records rom

    the Imported Reerences group.

    Exporting Records from Web of Knowledge

    and Web of Science

    Many inormation providers have a direct export option that allows you to send

    copies o reerences directly to anEndNote library. The direct export process automatically

    selects an EndNote import lter to map bibliographic inormation into the appropriate

    EndNote elds. All you need to do is select the EndNote library into which the data

    should be imported.

    You can easily export bibliographic records rom the Web o Knowledge platorm.

    A subscription to Web o Knowledge is required.

    Go to the All Databases or Web o Science Search page and perorm a searchusing the Topic, Title, and Author elds.

    1. From the Results page, click the check boxes to select the records

    that you wish to export to EndNote.

    2. Go to the Output Records section o the page and select the option

    to output Full Record in step 2.

    3. Click the EndNote button.

    4. On the Processing page, click the Export button (Internet Explorer) to export the

    records to EndNote. I you are using Fireox, select the Open With radio button,

    and then click OK to export the records.

    5. I a Choose Destination dialog box opens, selectEndNote, and then click OK.

    6. At this point, the EndNote program opens, and the system exports the records to

    a temporary group called Imported Reerences.

    Searching for Surnames that Contain Particles and Spaces

    When searching a Web o Knowledge product database (or example, Web o Science),

    always add a connector to author names that contains particles and spaces.

    For example, to search or de Bruyn Arom the Search panel, enter the name in the Search

    eld as de+Bruyn+A to ensure that the product returns all relevant results.To search or de la Rosa, enter the name in the Search eld asde+la+Rosa. You can also

    add a rst name to restrict your search, but do notadd a connector between the rst name

    and the last name. For example, to search or Mario de la Rosa, enter in the Search eld

    Mario de+la+Rosa.

    EndNotes Cite While You Write eature inserts EndNote commands into Words Toolsmenu in Word 2003 or on an EndNote tab in Word 2007 and 2010 to give you directaccess to your reerences while writing in Microsot Word. TheCite While You Writecommands enable EndNote to do bibliographic ormatting to the document thatis currently open in Word.

    Open a new document in Microsot Word

    We are going to start entering some text and citations or this tour. This example as-

    sumes that your output style is set or Annotated. I not, we will show you how to select

    an output style in Selecting a Bibliographic Style.

    1. Enter the ollowing text as though you were writing a paper.

    Bats

    Bats are mammals of the order Chiroptera from the Greek

    hand and wing whose forelimbs form webbed wings,

    making them the only mammals naturally capable of true

    and sustained ight.

    Place your cursor at the end o the sentence. That is where you

    will insert a citation.

    2. Word 2003: From the Tools menu, go to the EndNote X6submenu,

    and then click Find Citation(s).

    Word 2007 and 2010: On the EndNote X6tab, click the Insert Citation icon.

    3. The Find & Insert My Reerences dialog box appears. Type the author name

    Avila in the text box, and then click Find.

    EndNote lists the matching reerences.

    The ull name Avila-Flores appears in the dialog.

    4. Click the Down Arrow on the Insert button to display a menu.

    Select the Insert option.

    EndNote inserts a citation and Instant Formatting ormats the citation

    in the currently selected style and adds it to a ormatted bibliography

    at the end o the paper.

    EndNote automatically creates a link rom the citation to the bibliography. I you

    have multiple bibliographies (or example, one at the end o each chapter and

    one at the end o the document), you can link in-text citations to the reerence

    list at the end o each section and/or chapter. See Selecting a Bibliographic Style

    or inormation on how to turn this eature on and o.

    5. Add more text to the paper:

    Bats represent about 20% of all classied mammal

    species worldwide with about 1,240 bat species

    divided into two suborders.

    Place your cursor at the end o the sentence. That is where you will

    insert another citation.

    6. Word 2003: From the Tools menu, go to the EndNote X6submenu, and then

    click Find Citation(s).

    Word 2007 and 2010: On the EndNote X6tab, click the Insert Citationicon.

    7. Type the date 2008 into the text box, and then click Find. EndNote searches all

    elds and lists the matching reerences.

    8. Highlight the reerence by the author Holland.

    9. Click the Down Arrow on the Insert button to display a menu.

    Select the Insert option.

    EndNote inserts the citation, and Cite While You Write technology

    ormats it and adds it to the bibliography at the end o the paper.

    Note: You can also insert citations in ootnotes. First, use the appropriate

    Word command to create the ootnote. Then, insert the EndNote citation in

    the ootnote. Word controls the placement and numbering o the ootnote and

    EndNote ormats the citation based on the current style.

    Selecting a Bibliographic Style

    You can ormat your citations and bibliography as many times as you like, changing the

    output style and various other layout settings each time.

    1. Word 2003: From Words Tools menu, go to the EndNote X6 submenu,

    and then click Format Bibliography.

    Word 2007 and 2010: On the EndNote X6 tab, in the Bibliography group, click

    the bottom corner arrow.

    The Format Bibliography dialog box appears where you can select a

    bibliographic style.

    Styles contain instructions or how EndNote will ormat citations and the

    bibliography. Some styles sequentially number citations, and then insert a

    numbered reerence list at the end o the paper. Other styles insert

    Author-Date citations.

    As you can see, there are other ormatting options available here.

    You can make changes that override the settings in the current output style.

    2. The Annotated style should appear in the With output style eld. I not, click

    the Browse button next to the eld, and select the Annotated style.

    3. Click the Underline linked in-text citations check box so that our citations within

    a document are visible as hyperlinks with underlining and blue text.

    4. Click OK to leave the Format Bibliography dialog.

    5. EndNote automatically updates the e xisting citations and regenerates the

    bibliography in the Annotated style.

    Note: In the uture, i you need to make changes to the paper such as

    adding or deleting citations or text, just do the necessary updates in

    your paper. I you want to change the output style or bibliography layout

    settings, select the Format Bibliographycommand again. EndNote will

    reormat the in-text citations and generate a new bibliography based on

    your changes.

    Editing a Citation

    I you directly edit a citation or the bibliography, the changes will be lost when you

    Format Bibliography again because EndNote reormats according to the rules o the

    selected output style. To make and retain changes to all citations and/or the bibliography,

    modiy the output style. However, i you want to make a change to an individual citation,

    select the Edit & Manage Citation(s) option as described below.

    For some bibliographic styles, the majority o reerences are cited in an Author, Date

    ormat; but i the authors name is mentioned within the paragraph text, the style dictates

    that the name not be repeated in the citation.

    1. Click anywhere on the Avila-Flores citation.

    2. Word 2003: From the Tools menu, go to the EndNote X6submenu,

    and then click Edit & Manage Citation(s).

    Word 2007 and 2010: On the EndNote X6 tab, click Edit & Manage Citation(s).

    3. Select the Edit Citation tab.

    4. From the Formatting menu, select the Exclude Year option.

    5. Leave the Prex, Sux, and Pages elds blank.
