SUMMARY E-LEARNING FOR

Send Submission Back

Steps to take:

Select the manuscript you want to send back for resubmission.

Click on the drop down menu under ‘Actions’ of that manuscript.

Now click on ‘Send back to Author’ and then on ‘Go.’

Click on ‘Compose Email’ to continue. Here you can customize your comments to the author. Remember to click ‘Save.’

Click on ‘Send Email.’ The manuscript status will now change to ‘Resubmission Requested.’

Withdraw Submission

Steps to take:

Choose the manuscript the Author requested to be withdrawn. Click on the drop down ‘Actions’ menu of that manuscript.

Now click on ‘Withdraw Submission.’

You can customize the email to the author. Remember to ‘Save’ before you send.

Click ‘Send Email’. The submission is now withdrawn.

Reject Submission

Steps to take:

Click on the manuscript you want to reject before review.

Click on the ‘Decision’ tab.

Click on ‘Reject.’

Before sending the decision to the author, you can rate the manuscript using the scroll bar. Remember to ‘Save’ the decision.

Click on ‘Compose Email.’ The rejection letter is automatically generated, based on the preferences of your journal.

Click on ‘Send Email.’ You have now definitively rejected the submission and a message to the Author has been send.

Assign Submission

Steps to take:

Locate the submission you want to assign.

Select ‘Assign to Editor’ from the Manuscript Overview or the dropdown Actions menu.

Use the table to select an appropriate handling Editor for the submission, referring to current assignments and matching topics.

You can customize the email or send the default letter. Click on ‘Assign’ to make the assignment.

Remove Submission

Steps to take:

Click on the drop down ‘Actions’ menu of the manuscript you would like to remove.

Select ‘Remove Submission.’

You have the option to customize the standard letter to the Author. Click on ‘Send Email.’

Using the journal’s Reviewer List

Steps to take:

Click on ‘This Journal’.

Select the Reviewers and click on ‘Add to list.’

The Reviewers are now added to the list but are not yet invited. You can do that from this list.

Select the Reviewers you would like to invite by checking the box to the left.

Click on ‘Invite.’

Using the Find Reviewers Tool

Steps to take:

Click on ‘Find Reviewers Tool (Scopus)’.

Type in keyword(s) and click on ‘Search’.

Select a Reviewer by clicking ‘Add’.

The information is moved to ‘My candidates’. Click on ‘Export to EVISE®’ to initiate sending this information to EVISE®.

In the appearing pop-up window, click on ‘Yes’.

The Reviewer is now added to the shortlist. If a Reviewer is not in the system and he is invited to review, the Reviewer receives an email asking him to register in EVISE®.

Search ‘All journals’

Steps to take:

In the ‘Manage Reviewers’ tab, click on ‘All journals’.

Type in the first name, last name and email address of the Reviewer and click on ‘Search in EVISE.’

Select the correct Reviewer and click on ‘Add’. The Reviewer is now added to the shortlist.

Consolidate Comments

Steps to take:

Click on the ‘Decision’ tab.

In the ‘Decision’ tab: - Select the Reviewer comments you want to

include. - To exclude a Reviewer, untick the box.

Click ‘Save.’ Always save every change you make. Unsaved progress will otherwise be lost.

Now click ‘OK.’

Consolidate Annotations

Steps to take:

Click on the ‘Decision’ tab.

In the ‘Decision’ tab click on ‘Annotations.’

You can add or remove any information you would like. Click on the ‘save’ icon in the menu bar.

Click on the ‘Save Annotations’ button when it pops up. You have now consolidated all feedback. You are ready to make a decision.

Make a decision: Revise

Steps to take:

Click on the blue button ‘Make Decision.’

Click on the blue button ‘Revise.’

From here, you can select the decision terms, rate the manuscript and change the revision due date.

You can click on ‘Save Decision’ to go back to the ‘Decision’ tab and work on the manuscript, if you wish.

Click on ‘Compose Email’. You can customize the standard email if you like or choose one of your own custom decision letters if you have set them up in your account.

Click on ‘Send.’ The status of the submission is updated. The author can now decide to decline or agree to revise the manuscript.

Make a decision: Reject

Steps to take:

Click on the blue button ‘Make Decision.’

Click on the blue button ‘Reject.’

Reject decision terms will vary from journal to journal. Select the term available to your journal.

Click on ‘Compose Email.’ Here, you can customize the rejection letter to the Author.

Click on ‘Send.’ You have now rejected the manuscript. The status of the submission is updated. The Author can now view the Reviewer comments.

Steps to take:

Click on the blue button ‘Make Decision.’

Click on the blue button ‘Accept.’

Accept decision terms will vary from journal to journal. Select the term available to your journal.

Click on ‘Compose Email.’ Here, you can customize the acceptance letter to the Author.

Click on ‘Send.’ You have now accepted the manuscript. The status of the submission is updated.

Check Feedback from Author

Steps to take:

Click on the manuscript you want to review.

Click on the ‘Reviews’ tab. You can view the Reviewer comments on the original submission again.

Click on ‘View Author Response.’ Here you can see the Author’s response to the separate comments of the Reviewers and yourself.
