WHO CAN USE THE DISTANCE LIBRARY SERVICE?

• Wintec students studying courses by distance or living more than 40km outside of Hamilton

• All students and staff at Wintec satellite campuses outside of Hamilton

Note: You will need a current Wintec ID card. Please contact Student Enrolment and Information Centre.

HOW WE CAN HELP YOU

Our services to distance students include:

• A wide range of electronic books and articles

• Borrowing library material

• Scanned document delivery

• Photocopies (serial articles, book chapters)

• Information searches (helping you to find information for assignments)

• Electronic resources (web sites, Library Guides, databases and assistance with these)

• APA referencing assistance

HOW DO I REQUEST AND BORROW ITEMS?

There are several ways that you can make a library request.

• Online: Go to the library website www.wintec.ac.nz/library and from the Services column select ‘Distance Services’. All information and forms are available from the Distance Services page.

• E-mail: Send an e-mail request to your subject librarian. Please include your name, address, and barcode number from your Student ID card.

• Mail: Post your request to: Wintec Library Distance Services Private Bag 3036 Hamilton 3240

WHEN MAKING A REQUEST:

• Include your name, address, phone number and barcode number

• Please give full details of your request

• You may request a maximum of 10 items per week (excluding interloans)

HOW DO I REQUEST JOURNAL ARTICLES?

Journals cannot be borrowed, but journal articles can be copied and sent to you. You can request an article by using the methods mentioned on page five.

This is an example of a journal article citation:

Campbell, Nittaya. (2002, September) Getting rid of the yawn factor. Business Communication. Quarterly, 65(3), 42-54.

If, for example, you required the above article you would need to give us all of this citation information along with your name, address, phone number and barcode number. Your course and Tutor’s name is also helpful. The above citation information is in a template format on the internet and can be sent automatically saving you time. Visit www.wintec.ac.nz/library/distance.aspx

If an article or book is available online, print or copy the information yourself. E-books have restrictions on how much you may print.

The library charges 8 cents a page to photocopy. You can either set up a deposit account from which we will draw funds throughout the semester or else pay as you go. Please note: Check your online My Account to access your photocopying charges total. This needs to be paid when $5.00 is reached. Articles must be searched through Wintec library databases, and those not held at Wintec can be interloaned from other libraries. For more information on this please refer to the section ‘How do I obtain material not held at the Waikato Institute of Technology?’

HOW DO I REQUEST A BOOK?

Book requests will be couriered to you. When you are finished with the books simply return them via the same courier. This is a free service. Chapters from books may also be copied and sent to you. If a book is out on loan, use the ‘Make a Request’ facility on the right of the catalogue screen for the item needed: Click on ‘Make a Request’ - ‘Recall item’, change default setting of Pick-up at: ‘City Issues Desk’ to ‘Wintec Distance’, and submit.

This is an example of a book citation:

CAN I REQUEST A CHAPTER FROM A BOOK?

If a course reserve is available, but all other copies are out on loan, you might wish to have a chapter photocopied (where possible, we will send a copy of the contents page so you can choose which chapter). Once again, full citation details are required, not just for the book but also the author and title of the chapter along with the corresponding pages.

COPYRIGHT ACT 1994

The following conditions must be observed in photocopying material:

1. A copy shall be made only for the purposes of private study.

2. Only a single copy shall be made of a particular article or part of a whole work.

3. Only one article in a journal shall be copied, unless two or more articles

in the same publication relate to one subject.

4. Except in the case of an artistic work, no copy shall extend to more than a reasonable proportion of a complete work.

For practical purposes, the total amount copied shall not exceed 10% of the whole work.

HOW MANY BOOKS AM I ALLOWED?

Undergraduates may have up to 25 books on issue at any one time, and postgraduates up to 50 books.

HOW LONG CAN I BORROW BOOKS FOR?

Loan periods are:

• Normal Loan Collection (bulk of library collection) will be issued for 4 weeks + 4 days to allow adequate time for postage. These may be renewed once IF NOT requested by another borrower.

• 3 Day Loans (very heavily used texts) will be issued for five days to allow time for postage. These may not be renewed.

LIBRARY FINES

Items returned after their due dates will incur fines. This is to encourage students to return items borrowed from the library. Once charges have reached $5.00 no further requests or borrowing will be processed until the charges have been reduced.

WHY HAS MY BOOK BEEN RECALLED?

Any book may be requested by another borrower after we have sent it to you. When this happens, we will recall it from you, asking you to return it earlier than the date slip in the book, but no less than 7 days after we have issued it to you. Please check library holdings for similar books and articles before requesting an interloan.

Please return the book by the new due date, or contact us immediately if there is a problem. The fine for late return of recalls is $1.00 per day.

Not having a courier bag available is not an acceptable reason for failing to return a recalled book. You must post the book in time to respond to the new due date. You may request a replacement bag if necessary, after the book has been returned.

Recalling a book early may seem unfair, but it is the only way we can make sure everyone in a class has access to relevant material over a short period of time.

Return all books if you are going away for more than a week, or arrange for someone to clear your mail and return a book on your behalf if it is recalled.

HOW DO I OBTAIN MATERIAL NOT HELD AT THE WAIKATO INSTITUTE OF TECHNOLOGY?

If you require material (books and magazine articles) for your studies that is not held at Wintec’s library, we will try to get it for you from another library. Please note there is a maximum of 3 requests per week for interloans for students and 5 requests per week for postgraduates and staff.

Please note:

• Interloans of physical items in New Zealand usually take one week

• Interloans of physical items from overseas may take a minimum of 2 weeks

• Theses from New Zealand educational institutions are for reference only and cannot be sent to you, but you are welcome to read them at the Central or Rotokauri libraries in Hamilton.

HOW DO I REQUEST INFORMATION ON MY TOPIC?

Our catalogue, Library Guides and other useful bibliographic databases are available on-line via the internet. This means you can do your own searching at any time. You can access the databases using your library barcode number and a pin number. Contact us if you need assistance.

Click on “Databases” on the library’s webpage: www.wintec.ac.nz/library and follow the instructions on the screen.

If you are having difficulty, library staff can advise you on search techniques. Consult Library Guides on doing a search. Then, if you are still having difficulty, email your subject Librarian for advice on searching. You need to say what searches you have tried, as well as describing in detail what you hope to find.

LIBRARY GLOSSARY

AbstractSummary of an article, book or other written publication.

BibliographyA list of books, articles or other sources, e.g. interviews, films, etc. Bibliographies can be found at the end of books or articles.

CitationThe information which identifies a book, article or other source of information. For a book this includes the author, title, publisher and date, while for an article the author, title of article, title of journal, volume and issue numbers, date and pages are included.

Course ReserveItems that tutors set aside for students to read that can only be borrowed within the library for very short periods, e.g. 2 hours. (Can be booked for overnight and weekends, but must be collected within 1 hour of closing, and be returned within 1 hour of opening the next working day).

Document DeliveryA way of obtaining items owned by other libraries, sometimes called “interloan”.

IndexA list of subjects, titles, names, etc. that helps you locate information.

InterloanSee document delivery.

ISSN & ISBNThe International Standard Serial Number and International Standard Book Number – is a unique number assigned to each serial or book title.

JournalA publication (also called periodical or serial) produced on a regular basis, e.g. monthly or weekly, which contains scholarly information and is usually written by a subject specialist.

Library DatabaseA computer file containing indexes to journals (academic magazines), and often full-text of articles in journals and books.

RecallAn item is recalled when someone else has requested it. A recall date overrides the original issue due date.

Reference onlyItem for use in the library only and not available for loan.
