DISTANCE LEARNING Parent & Student HANDBOOK 2020-21

NEW HAVEN UNIFIED SCHOOL DISTRICT

Page 2: distance Learning parent & student handbook

1

Welcome to a new school year! The 2019-20 school year was like no other year in the history of public education; we started the year with school closures related to PG&E power shut offs due to wildfires, and we ended the year with our schools closed due to the COVID-19 pandemic and students attending classes virtually. Despite the challenges that came with these unprecedented events, many positive changes happened in our district.

The 2020-21 school year looks to be at least as challenging as last. This year we will welcome our 11,000 students on a first day of school that will, for the first time in history, be held virtually. We recognize and appreciate the challenges that a school year like this will present to our students, staff, and families and we continue to plan how best to support the New Haven community during this unique time.

As you have heard over the course of the summer, we have been relentlessly planning for the first day of school and we are ready. We have purchased new online learning platforms to better support our teachers, students, and parents. We have secured thousands of chromebooks that we will continue to roll out to students who need these critical pieces of technology to access this new virtual curriculum.

We have high expectations for our students and our teachers and we are committed to providing the support necessary for our teachers and students to meet them.

This is a challenging time and, together, we are up to the challenge.

LEARNING

DISTANCE

New Haven Unified’s Distance Learning schedules were developed with teachers in order to maximize instructional minutes while providing much needed breaks for students during the school day. We know that distance learning can be quite challenging. Our schedules were developed in order to minimize these challenges.

Our elementary Distance Learning schedule was developed with the intent to provide a teacher to student ratio that was conducive to learning. This is why classes are split in half with a group meeting with the teacher in the morning and the other meeting in the afternoon.

Our secondary schedules were designed to closely approximate a traditional schedule at the middle school and to provide slightly longer class periods during the day at the high school.

Though we believe these schedules represent our best thinking at the time, we will be listening to our parents, students and staff in order to determine if any adjustments need to be made.

PREPARING FOR SCHOOL Distance Learning

Chromebooks Chromebooks are available for students to check out for home use. If your student needs a device or there is an issue with a previously distributed district device, please fill out this survey and someone from your child’s school will reach out and make sure you have what you need.

In order to access Distance Learning, your student(s) will need access to the internet, most commonly through home Wi-Fi. If you do not already have Wi-Fi in your home, please fill out this survey and someone from your child’s school will reach out and make sure you have what you need.

Wi-Fi

Textbooks and other loaned materials such as novels and other school-owned curriculum and supplies will be issued by each school site. For information about material pick-ups, please contact your school site.

Textbooks &

Essential school supplies for elementary school students will be distributed by the school sites. Should families find they need school supplies at the secondary level, please contact your school site.

SCHOOL DAY STRUCTURE Distance Learning

If your student is ill and will not be participating in Distance Learning, please contact your school site to report the absence. Please visit your school’s website for information for where and how to report your student absent.

Absence Reporting

New State mandates for Distance Learning require that schools take attendance each day in order to ensure students are actively engaged with their learning. When students are in a “virtual classroom” like Zoom or Google Meet, teachers will complete a visual attendance check-in, noting who is present and who is not. It is critical that students sign into their virtual classrooms in time to be counted in the attendance.

We will also be taking attendance by verifying that students complete independent work assigned by their teacher. At the secondary level (grades 6-12), teachers will be able to check that students have accessed assigned work through our new Learning Management System, Canvas.

Virtual Attendance

Not all student learning will occur in front of a computer screen. Though there will be daily, live interaction with teachers, some learning will occur independently, after the official school day, through the use of a textbook, novel, or pencil-and-paper assignment.

Off-Line Learning

Breaks

SCHOOL DAY STRUCTURE Distance Learning

Our Distance Learning schedules do not exactly match that of a traditional school day. We have incorporated periods of time throughout the day for students to disengage with a computer screen and take mental breaks, engage in some physical activity, and eat a snack or lunch. These are important pieces of an instructional day and parents should encourage these activities.

Transitions and

Now more than ever, it is crucial that our social-emotional education of students continues to be prioritized at every level. Our teachers and staff are aware of the need to maintain connections with our students and will embed strategies and activities into class sessions to support the social-emotional health of our students. Students who are engaged are happier and more successful. It is vital for our students to consistently participate in class sessions to stay connected.

Learning Social Emotional

Every week, teachers will have opportunities for students or parents to schedule time to connect regarding additional educational guidance and/or social-emotional support. Contact your student’s teacher for information on how to schedule an appointment. Other support personnel such as counselors and administrators are also available to support students.

LEARNING MANAGEMENT SYSTEMS

Our elementary sites will be implementing the Seesaw online Learning Management System (LMS) that will serve as the framework for teaching, learning, and support whether we are meeting online or in our classrooms. It’s our one-stop-shop for student success! Logging into Seesaw will provide access to all of the information needed for you and your child to stay organized and on track with their education.

Seesaw is a platform for student engagement. Teachers can empower students to create, reflect, share, and collaborate. Students “show what they know” using photos, videos, drawings, text, PDFs, and links. It’s simple to get student work in one place and share with families, and nothing is shared without teacher approval.

Students show learning Teachers gain insights Families connect

Highlights of Seesaw

• Students explore a variety of powerful and intuitive tools (like draw+record, collage, video, and more!) to show what they know in the way that works best for them • Students can use a full screen canvas, expressive pens, labels, shapes, multipage, and more to demonstrate their learning across all grade levels and subject areas. • Seesaw’s tools are intuitive, open-ended, and meet students where they are, so students at all levels have more options to show what they know. When students can demonstrate their learning in ways that work best for them, they thrive.

• Connect families to see student work and celebrate progress. Up to ten family members can stay in the loop using the Parent and Family app (iOS, Android) or on web • Portfolios make it easy to give students choices. Empower reflection on learning over time and help students create something they’re proud to share with others • Any text written in Seesaw (like notes, captions, comments, announcements, or messages) can be translated at the tap of a button by both teachers and families

Highlights of Canvas

• Assignments, resources, materials, assessments, and student work are all in one place.

• The Conferences feature in Canvas allows synchronous video conferencing for teachers and students. Conferences allow teachers to hold virtual office hours, demo desktop applications, share presentation slides, or demo online resources with an integration of Big Blue Button. Teachers may also choose to integrate Zoom or Google Meet in Canvas.

• Teachers can create and share videos and other resources for students to access on their own time.

• Teachers can provide online written, audio, or video comments and feedback for assignments.

• The gradebook is built-in, so students and parents can easily monitor achievement.

• Collaboration between students and teachers can take place in a secure online environment.

• Classes, clubs, and extracurricular groups can all meet within Canvas.

• Counselors and other school staff can provide support through messaging and video-conferencing individually and in groups.

• Google applications can be integrated with Canvas.

• It is accessible online or through the Canvas app.

LEARNING MANAGEMENT SYSTEMS

Our secondary sites will be implementing the Canvas online Learning Management System (LMS) that will serve as the framework for teaching, learning, and support whether we are meeting online or in our classrooms. It’s our one-stop-shop for student success! Logging into Canvas will provide access to all of the information needed for you and your child to stay organized and on track with their education.

As teachers set up their classes in Canvas, students will be automatically enrolled. Login information for students will be provided to students and parents. Video tutorials for how to get started are available on our district remote learning website. Once fully implemented, students and parents will receive additional instruction and explanation of this new learning tool.

For Students

Parents and guardians are encouraged to create a Canvas account as an observer. Observers can view assignments, course events, and grades for a student. You will receive a pairing code that will allow a parent to link to their student’s Canvas account. Once a parent establishes an observer account, additional students in the family can also be linked to the same Observer account.

IEPs

IEP meetings will be conducted virtually. Meetings will be set-up to accommodate parent schedules as much as possible. Annual IEP meetings will continue on schedule and initial and triennial IEP meetings will occur unless there is not sufficient data to make an eligibility decision. In these circumstances, if assessment information cannot be obtained in a virtual setting, then either a Part 1 IEP meeting will occur or the meeting will be postponed to a later date.

Free and Appropriate Public Education

Though the manner in how services are delivered may be altered, it is the expectation that the minutes listed on the IEP are fulfilled to the greatest extent possible, including support from related service providers. Service provisions will begin virtually but will transition to in-person services as soon as we are able to do so.

SPECIAL EDUCATION

All students with IEPs will receive the required number of instructional minutes for their grade level. In addition, students will receive their related services virtually. You should expect the following from your child’s teacher(s) this year:

Daily live instruction and interaction through multiple methods (ex: video conferencing, telephone, direct messaging, etc).

Live instruction (via Zoom), independent assignments, and support equaling the minutes noted above.

Grades reflective of student learning. An Individualized Distance Learning Plan (DLP)from your child’s Special

Education Case Manager At the next IEP for your student, the IEP team will discuss the DLP for your child.

You can feel free to reach out to your case manager and principal at any time with concerns about how services are being provided.

Page 12: distance Learning parent & student handbook

11

Resource Teachers and Paraprofessional Support

During distance learning, resource teachers will meet all of the required minutes listed in an IEP through a combination of live instruction, online meetings with families and students, virtual rooms for those in need of reading or math intervention, and regular check-ins with students to ensure they are turning in assignments on time. Paraprofessionals will be directly involved with the classroom virtually and will support students for small group and 1:1 support.

Additional PPE Considerations

Upon returning to campus, some classroom conditions may require additional personal protective equipment for staff. All aides and teachers will be provided protective gear, including face shields, face masks, and gloves.

Transportation Once students return to campus, it will take approximately two weeks to route students accordingly and prepare for the safety protocols that will need to be in place for student transportation. Social distancing protocols will require the number of students in each transportation vehicle to be greatly reduced. The New Haven Unified School District is working closely with our transportation providers to ensure safety and sanitation protocols are followed during the pick-up and drop-off of students.

Elementary school instruction will take place between 8:00 a.m. and 1:45 p.m. There will be breaks for students during this time. The academic day (8:00 - 1:45) will be the same for all schools but individual student schedules will vary depending on the student group (A or B), small group instruction, and Specialist Teacher schedules. Parents should ensure that students have the support they need to participate in the instructional process during this time period.

Minutes will consist of direct or “live” (synchronous) instruction and independent practice (asynchronous). Instruction will be provided directly from classroom teachers (synchronous), directly from Specialist Teachers (Science, Music, PE, Media), or through assignments during which time students will work independently (asynchronous).

Unless otherwise designated, areas highlighted in color in the schedules below will be times when the primary method of instruction will be direct (synchronous) instruction via Zoom or Google Classroom.

Monday Schedule

Group A and Group B will participate in whole class learning with their teacher (synchronous) on Mondays. This is a great opportunity for all students to collaborate and build on each other’s thinking, while fostering social interactions with the whole class. Students will also work independently on this day to practice skills taught from previous lessons (asynchronous). Within their day, students will also engage in learning with a Specialist Teacher.

Group A and B Instructional Time:

When students are participating in “Group Instruction” (either Group A or Group B) they will be engaged with classmates and a teacher using a chromebook or similar device typically through the Zoom platform. When a specific group is meeting, the other group will be working independently on teacher generated assignments or receiving direct instruction from a Specialist Teacher (Science, PE, Music, Media).

16

For example, when Group A is meeting, Group B will be spending time with a Specialist Teacher for 40 minutes and then are expected to spend the remainder of this time working independently on work assigned by their teachers.

Students in Transitional Kindergarten and Kindergarten may require breaks during Group Instruction time until they develop stamina to attend for a longer period of time. Teachers will incorporate “brain break” activities, and when possible extend the small group instructional time.

Small Group Instructional or Student Assessment Time:

This block of time allows teachers to differentiate instruction based on student needs. Teachers will meet virtually with students in either small groups or individually while the rest of the class work on assignments independently.

Specialist Instruction Time

Students will attend one session with a Specialist Teacher daily. The teachers specialize in Media, PE, Music and Science. Families will receive a schedule once enrollment and staffing are stabilized.

STUDENT AND FAMILY SUPPORT

DISTANCE LEARNING

ACADEMIC SUPPORTS Our Framework for Success continues to provide the support system that keeps our students on track for academic achievement, positive behavior, and social emotional health and competence. We will continue to implement these supports whether we are in distance learning, a hybrid schedule, or the classroom full-time. Time for student support is built into this year's schedules at all grade levels. As we transition into the 2020-2021 school year, we will pay special attention to supporting the social emotional behavioral (SEB) needs of all students.

Page 23: distance Learning parent & student handbook

22

During Distance Learning, “Grab ‘n’ Go” meals will be available from 7:30am-12:00pm every Monday and Wednesday excluding holidays at the following locations (click here). Two breakfasts and lunches will be distributed on Mondays and three breakfasts and lunches on Wednesdays. Student accounts will be charged when a meal is purchased. Students, parents or guardians who pick up meals must have the student’s first/last name and student ID number to correctly charge the account (if applicable), and ensure that duplicate meals are not distributed to any child. Cafeteria staff will continue to accept cash/checks. Student accounts can also be paid for by using My School Bucks or by calling the Food Service Office at 510-475-3992 to pay via credit card.

Pick-Up Time & Locations

Beginning Wednesday, August 12th, meal prices will be based on student’s eligibility. Parents/guardians are strongly encouraged to complete a meal application to qualify for free/reduced price meals for 2020-21, especially if they experienced a decrease in household income, have become unemployed, or have an increase in family size. Families can apply online or pick up a paper application at your student’s school site. A new application must be submitted for every school year.
