AL MANSOORI ARCHITECT OFFICE STANDARD 

PROCEDURES 

1.0  Start of the project proposal 

Step 1.   Follow the AL MANSOORI ARCHITECTURE FILING STANDARD

Step 2.  Discussed the client regarding Design Requirements with AMA CLIENT PROJECT INFORMATION STANDARD

2.0  Client approval of the plans  1st  meeting‐ Discussed the proposal to the client, explained the design concept and convinced the client that this is the best design for his project.  Give the proposal copy to the client. 

2nd meeting‐ client bring the drawings with revision and comments, discussed what the client want and on the revised part, make clouds and put numbering. 

3rd  meeting‐ present the updated drawing and explained one by one the numbering for the revised old drawing, do your best to ask the client to sign the updated drawing.  

4th meeting‐ if the client still has revision, again follow the same procedure in 3rd meeting. 

Follow‐up meeting‐ if the client continue to make revision and cannot make up the final approval, Go to boss and explained the situation and ask to continue or stop the project. 

 3.0  How to draw lot plan based on clients survey certificate copy: 

Open CAD DRAWINGS use AMA standard 0Acad100.dwt to start the drawings 

Tell the secretary to Scan the lot plan> convert to JPEG and insert it in CAD drawings using insert> raster images>browse the lot plan jpeg file. 

Trace the outline of the lot plan images and put dimension on the longest side. Compare it with the lot dimension and click Scale>scale reference >reference length(drawing dimension)>new length(lot dimension)>ok. Check and adjust length if necessary. 

 4.0  How to draw lot plan from Bahrain  map.  

Open Bahrain map CAD drawing WBLOCK the area of the land and save it on the folder of the client>close Bahrain map (do not save changes in the Bahrain map). 

The default scale of Bahrain Map is in meters> scale by 1000 to convert to mm

I. RECEIVING THE REQUIREMENTS

(See the attached paper Requirements to our Client)

II. OFFERING OUR SERVICES & PROPOSALS Al Mansoori Architecture office will submit and giving our Design and Supervision

Proposals to our Client. III. APPROVAL OF OUR PROPOSALS FROM THE CLIENT WITH ADVANCE PAYMENT. After the approval of our proposals the Client should remit the advance payment in

our office to start the Design.

IV. DESIGN STAGE A. DESIGN PLANS (Includes Furniture Lay out and Semi 3 Dimensions)

B. DESIGN PLANS APPROVE

After the approval of all Design Plans the Client should remit the Second Payment or 50% of the Total Design Fees.

V. ELEVATIONS After the approval of all Elevations

the Client should remit the Last Final Payment 50% of the Total Design Fees minus the Advance Payment.

VI. APPLICATIONS STAGE:

Al Mansoori Architecture is now ready to apply the project in Water, Drainage and Electric Directorate on this stage the Client should not be change his/her drawings. And if there is any additional changes the Client should be paid Al Mansoori Architecture office based from our proposals.

VII. TIMING:

The Client should be aware that the timing of all applications approximately One and one half Month (1 1/2 months).

AL MANSOORI ARCHITECTURE FILING STANDARD TASK BEFORE FILING

1. Ask for the CODE & NAME from the Secretary for the NEW CLIENT 2. Ask for ORIGINAL SURVEY CERTIFICATE if available. If ORIGINAL SURVEY CERTIFICATE is not

available search the location on Bahrain Development Zone Map. Otherwise if cannot be found tell the client to go to the municipality and bring the Municipal Rules. Make known to the client to bring the Original Survey Certificate as soon as available.

3. Evaluate the land use and limitation as per the ZONING and MUNICIPALITY RULES. 4. Create a "FILENAME" according to the CODE & NAME given as shown in the example below. 5. Make PROPOSAL or CONCEPT DRAWINGS to the Client.

COMPUTER FILING PROCEDURE: FOLDER NAME Folder name are consist of CODE NAME, MONTH & YEAR and NAME OF CLIENT. 100 = CODENAME 0810 = MONTH and the last 2-digit of the YEAR 01 PROPOSALS Making of Concept Drawings or "PROPOSALS" The Architect will make project proposal to the client and number it as "01 PROPOSAL 01" for the first proposal and "02 PROPOSAL 01" for the sencond and so on until this proposal can satisfy the client, the zoning and the municipality rules. This will be the proposal approved by the client as shown in the "EXAMPLE". Please observe the sequence. 02 FINAL CAD DRAWING It consist of the Approved Proposal from the client and the Revised Drawings if any there are any revision made. 01 MUNICIPALITY contains "Drawings" submitted to the Municipality. This "DRAWINGS" must have "Submission Date" and the Final Approved Drawing from municipality. This will go to "02 Tender Drawings" folder. 03 PROPOSAL 3D CAD DRAWING Under this folder are all the "3D CAD drawing" during the proposal period. This will be kept for future references.

04 PRESENTATION PHOTOS This folder contains all rendered photos during the project proposal. 05 DOCUMENTS "01 TENDERING STAGE" - contains 4 sub-folders necessary before the construction stage.

01 TENDER DOCUMENTS - contains project specification for estimation & construction.

02 GOVERNMENT CONTRACT - a contract that binds the two parties during the project implementation.

03 TENDER DRAWINGS - is the drawing given to the contractor as there basis for tender pricing.

04 APPROVE CONST. DRAWINGS - The Final drawings with stamp "APPROVE FOR CONSTRUCTION"

DESIGN & SUPERVISION AGREEMENT

A contract made on this _______ day of _____________, 201_ between the following parties:

ii ) AL MANSOORI ARCHITECTURE Flat 21, Bldg. 602 Road 2018 Manama/Al Hoora 320 Kingdom of Bahrain

(hereinafter referred to as “Architect/Supervising Office”)

NOW IT IS HEREBY AGREED between the parties as follows: 1. PROJECT DESCRIPTION

“The Al Mansoori Architecture” is commissioned to undertake the Design & Supervision Works for a Project name @ Place Name. Henceforth, a detailed architectural and engineering design was needed for Construction to proceed.

2. The Site is located at Name of Place, Kingdom of Bahrain. 3. APPOINTMENT OF THE ENGINEERING OFFICE

The “Client” hereby appoints the “Al Mansoori Architecture” to perform the following engineering services and the “Al Mansoori Architecture” accepts the appointment and agrees to prepare the detailed Working Drawings of this project considering all general and particular conditions included in this contract and against the amounts outlined in Clause 5 of this Contract.

i. The design of the Project as detailed in Clause 4.

ii. The Tender services of the Project as detailed in Clause 6 & 7. iii. The supervision of the Project as detailed in Clause 8.

PROFESSIONAL CONSULTANCY SERVICES We outlined below our Scope of Works and Professional Fee Proposal for rendering

Consultancy Services for the Design and Supervision of the project to cover all requirement in Architectural, Civil, Structural, Mechanical and Electrical Services.

4. DESIGN SERVICES:

SCOPE OF WORKS:

a. Determine and integrate all the requirement of the Client for the project. b. Undertake analysis and study all available data to come up with a design that fit

the expectation of the Client.

c. Prepare presentation/preliminary drawings to show the proposed appearance of the project using our special software.

d. After the approval of the presentation drawings, prepare full working drawings for

architectural with furniture layout, civil, structural, electrical and mechanical requirements of the project.

e. Establish approximate preliminary project overall cost estimate base from the final

approved design.

f. Turn-over to the client completed final design drawings in hard copies and electronic file format.

5. FEES: (As we agreed from our initial agreement dated _put the date on agreement with Reference No. AMA ___________________________)

a.) Our Design fees

Our full Design Fees will be BD 2.5/- per square meter of the Total Built Up Area (to be determined upon approval of initial /presentation drawings and approval of the final design drawings).

METHOD OF PAYMENT ( DESIGN ONLY) :

Initial Payment- In order for us to start doing the Presentation/ Initial Drawings, the Client should remit an Initial Payment of BD /-(Bahraini Dinars _______________________Only) (This amount will be recovered from the last and final payment after determining the Final Design Fees).

2nd Payment- 50% is due upon approval of Design Plans

Final Payment- 50% is due upon approval of Elevations

b.) Supervision Fee - Our Supervision Fee will be BD _____________/- (Bahrain Dinars __________ Only) the entire duration of the project to be paid on a monthly basis.

i. Our Supervision Fee will be paid by the client on a monthly basis as advance for the entire duration of the project.

ii. For Monthly Supervision Fees, the client has to pay the Al Mansoori Architecture Office as advance for the First month for mobilization and the Last month for snag list, testing and commissioning. This payment is not included in the monthly supervision.

c. Additional Payment (to be paid in advance) of BD _______/- (Bahraini Dinars ____________ Only) for the Tender Documents without Bill of Quantity (BOQ) and for the following scope of work.

d. (Optional) Payment for Tender Document Procedure Handling- (to be paid in advance) BD _______/- (Bahraini Dinars ____________ Only) and for the following scope of work.

6. TENDER DOCUMENTS SERVICES The Al Mansoori Architecture shall prepare the Tender Documents. The tender Documents without Bill of Quantities (BOQ).

7. Tender Procedure:

Upon receipt of written approval from the Client of the Tender Documents, the Al Mansoori Architecture shall undertake the following duties:

4. Preparation of a complete and comprehensive Tender Documents and Drawings to be used on the Tender Stage of this particular project.

5. Preparation of Contract Agreement between Client and Contractor fair and beneficial to the Client.

6. Responsible for Tender Invitation to Contractors and collect their Tender Proposals for evaluation and recommendation to the Client.

SUPERVISION SERVICES 8. SCOPE OF WORKS:

i. Provide consultation and advice to the Client,

ii. Arrange and carry out site visits by any one of the Engineers it appointed to ensure the continuity and quality of the Construction according to the terms and conditions of the Construction Contract,

iii. Checking and approving the detailed construction drawings, working drawings

and structural drawings to be provided by the Contractor. iv. Assisting in the preparation and checking of initial and final drawings prepared by

the Contractor related to site problems occurring during the construction period,

v. Interpretation of the specifications and the drawings to the Contractor, in a way that will ensure the welfare of the Client, Endorsement of all the Project’s models and catalogues as submitted by the Contractor,

vii. Checking and evaluating all materials used in the works, as submitted by the

Contractor, and submission of finishing items to Client for approval. viii. Advising the Client regularly on the construction of the Project, including any

problems or deficiencies that may occur during the construction period.

ix. Studying any variation submitted by the Contractor and advising the Client accordingly,

x. Checking as built drawings, submitted by the Contractor and guarantees before

submitting to the Client.

xi. Assisting in settling any disputes that may occur between the Client and the Contractor.

xii. Approval of monthly payments submitted by Contractor according to work completed,

xiii. Attend and conduct weekly site meetings with the Main Contractor & Subcontractors, to augment supervision and coordination with both parties,

xiv. Preparing the Completion Certificate and All Final Certificates and Accounts with the Contractor for the Client, including those relevant to the end of the maintenance period,

TERMS AND CONDITIONS:

1. This Design and Supervision Proposals offer is valid for 30 days only. 2. After the design stage of the project the client should be paid to Al Mansoori

Architecture charge fee for all approval applications (Water, Drainage, Electrical & Municipality) Approximately BD 50/- it depends of how many stamp we will put. Also, the client is responsible for all the payments in Municipality Application.

2. All additional design and drawing works demanded by the Client, changes or

variations after the Presentation Drawings or full Scheme Design was approved, Working Drawings completion or during the course of construction at the site shall be charged to the Client on hourly basis as follows: Manager (any discipline) : BD 40/- per hour Architect/Engineer : BD 24/- per hour Draftsman/Cad Operator : BD 18/- per hour

3. The fees are inclusive of printing but does not include for any Tender Sets as tendering is exclusive on this offer. A set of drawings shall be issued to Client on completion of each stage and two sets on 100% completion of the design work. Any additional shall be charged for at actual cost.

4. The Supervision Fee is proposed on a monthly basis as an advance and shall be payable throughout the construction period.

5. Any delays from the client the office have the right to adjust the price.

6. Work on each Design stage will only start upon remittance of the required

payments as mentioned on the Method of Payment otherwise we cannot continue completing the drawings for the project

7. Any additional or changes from the design and drawing works to be required by the Client after the Presentation/Initial drawing approval, completion of the working drawings and during the construction implementation at the site shall be charged to the Client on hourly basis.

Approximate Computation & Method of Payment (Design Only)

The Client shall pay to the Al Mansoori Architecture for the performance of the Engineering services relating to the Design of the Project, According to our contract agreement 3.0% is based upon the Total Actual Project Cost. However, we can come up only the actual project cost upon the approval of the submitted amount from the Contractor. According to our office standard method of estimating, we calculate approximately BD 250,000/- (Bahraini Dinars Two Hundred Fifty Thousand Only), which will be phased as follows:

Consultancy Services for the Design and Supervision of the project to cover all requirement in Architectural, Civil, Structural, Mechanical and Electrical Services.

4. DESIGN SERVICES:

SCOPE OF WORKS:

a. Determine and integrate all the requirement of the Client for the project. b. Undertake analysis and study all available data to come up with a design that fit

the expectation of the Client.

c. Prepare presentation/preliminary drawings to show the proposed appearance of the project using our special software.

d. After the approval of the presentation drawings, prepare full working drawings for

architectural with furniture layout, civil, structural, electrical and mechanical requirements of the project.

e. Establish approximate preliminary project overall cost estimate base from the final

approved design.

f. Turn-over to the client completed final design drawings in hard copies and electronic file format.

6. TENDER SERVICES

6.1 The Al Mansoori Architecture shall prepare the Tender Documents. The tender Documents without Bill of Quantities (BOQ). i. Instructions to tenderers ii. Book of tender iii. Articles of Agreement and conditions of Contract iv. Particular Specification v. Schedule of Rates

6.2 Tender Procedure:

Upon receipt of written approval from the Client of the Tender Documents, the Al Mansoori Architecture shall undertake the following duties:

1. Preparation of a complete and comprehensive Tender Documents and Drawings to be used on the Tender Stage of this particular project.

2. Preparation of Contract Agreement between Client and Contractor fair and beneficial to the Client.

3. Responsible for Tender Invitation to Contractors and collect their Tender Proposals for evaluation and recommendation to the Client.

SUPERVISION SERVICES 7. SCOPE OF WORKS:

i. Provide consultation and advice to the Client,

ii. Arrange and carry out site visits by any one of the Engineers it appointed to ensure the continuity and quality of the Construction according to the terms and conditions of the Construction Contract,

iii. Checking and approving the detailed construction drawings, working drawings

and structural drawings to be provided by the Contractor. iv. Assisting in the preparation and checking of initial and final drawings prepared by

the Contractor related to site problems occurring during the construction period,

v. Interpretation of the specifications and the drawings to the Contractor, in a way that will ensure the welfare of the Client, Endorsement of all the Project’s models and catalogues as submitted by the Contractor,

vii. Checking and evaluating all materials used in the works, as submitted by the

Contractor, and submission of finishing items to Client for approval. viii. Advising the Client regularly on the construction of the Project, including any

problems or deficiencies that may occur during the construction period.

ix. Studying any variation submitted by the Contractor and advising the Client accordingly,

x. Checking as built drawings, submitted by the Contractor and guarantees before

submitting to the Client.

xi. Assisting in settling any disputes that may occur between the Client and the Contractor.

xii. Approval of monthly payments submitted by Contractor according to work completed,

xiii. Attend and conduct weekly site meetings with the Main Contractor & Subcontractors, to augment supervision and coordination with both parties,

xiv. Preparing the Completion Certificate and All Final Certificates and Accounts with the Contractor for the Client, including those relevant to the end of the maintenance period,

form the design brief. Information collected shall be analyzed and verified with the different design styles and the corporate marketing and management policies.

A design brief report shall be submitted by the consultant for the approval of the client.

2.Concept Design Stage Approved design brief shall be reflected in concept designs, and The

concept design shall include the following:

Office layout showing space allocations and sizes. Furniture layout. Partition walls design and material. Floor, wall and ceiling design and finishes. Lighting layout. General decorations and interior landscape. Alternative color and texture schemes. Access Control and Building Automation.

The deliverables for this stage shall of the following: Plans, scales 1:100, 1:50 and 1:20 Sections and sectional elevations following the scales of the plans. Interior perspectives showing all spaces and expressing the

concept. Samples of textures and color charts. Furniture and other accessories catalogues. A design report.

The contents and deliverables of this stage shall be reviewed, commented and/or approved by the client in order to proceed to the next stage.

3.Detailed Development Design Stage.

The approved concept design will then be developed and detailed in this stage to produce a high quality interior design verified architecturally, aesthetically, economically, acoustically and safety wise. All the building services such as ventilation design, lighting design, power design, small power and data design, fire fighting and fire alarm design, CCTV ,security system and building automation (if needed)design and the like shall be designed and presented in this stage. The deliverables for this stage includes of: - Scaled plans, sections, elevations, perspectives and details showing

the developed designs with full dimensions and will include without limitation the following:

Architectural Master Plan designs. Furniture layout with detail. Lighting designs. Air conditioning and ventilation designs. Power and data layout design. Fire fighting and fire alarm layout design. CCTV and security design. Decoration and interior landscape design. Building Automation (If required.) Design report including the, catalogues and specification of the

selected materials and furniture, samples of selected material and furniture catalogues, color charts and specifications, samples of selected textures and any item may be not specified here in but is necessitated by the design.

The contents and deliverables of this stage shall be reviewed and studied by the client and the project management company and will be discussed in value workshop in order to finalize and approve the stage in order to proceed to the next stage.

6. TENDER SERVICES Tender Documentation Stage

This stage shall include the preparation of the final full sets of drawings, specifications and contract documents ready for tendering and construction there after.

(1)Architectural Layout Plans: Scales of 1:100, 1:50, 1:20. (Metric dimensions). Internal partitions and types called out with legend. Doors types marked on drawings or shown in schedule format. Floor finishes notations. Section, elevation and detail references. Rooms named and numbered. Enlarged plans of core areas worked out with dimensions. Security and access control installation.

(2)Sectional Elevations: Scales of 1:100, 1:50, 1:20. (Metric dimensions.)

Partition elevations. Window locations. Layout gridlines. Overall vertical dimensions and heights. Materials are noted. Enlarged elevations showing design intent of special areas developed.

(3)Construction Sections and details: Scale of 1:50, 1:20(Metric dimensions):

6a.Tender -Contract Conditions and Specifications

To Prepare and submit to the client for review purposes a draft of Tender documents of the following to the approval of the client:

(i) Preliminaries & general conditions of contract with particular annex to conditions of contract.

(ii) General and particular specifications.

(iii) B.O.Q

(iv) Drawings

7. Construction Phase – Supervision and Project Management.

(a) Regular design and construction progress meetings with the Contractor and the Client.

(b) Weekly site meetings to monitor and discuss the progress of the works and other matters related to the construction works.

(c) Technical meetings as required.. (d) Monitor the development of any design changes and/or

construction works carried out by the Contractor. Report to the Client accordingly.

(e) Review, comment and approve documentation submitted by the Contractor

(f) Set up and maintain document control systems.

(g) Regular inspection, monitor materials delivery and works are carried out in accordance with the conditions of the Contract. Carry out off-site inspections when necessary.

(h) Monitor the Contractor’s compliance with its obligation to obtain and collect all necessary permits, licenses and certificates from the authorities

(i) Review and make comment on the Contractor’s proposed procedures in respect of Health, Safety and Security matters and monitor the Contractor’s adherence thereto.

(j) Review and approve of the Contractor’s procedures manuals applicable to the works including QA and QC manuals, Method Statements and monitor the Contractor’s adherence thereto.

(h) Review and approve the programmes submitted by the Contractor.

(k) Within seven days after the end of each month, to prepare and submit to the Client 3 hard copies and a soft copy of the progress report which shall include colour photographs and details of the project progress.

(l) Review and approve product data, samples, inspection and test reports and other Contractor submittals.

(m) Respond toRFIs, technical queries and provide clarifications on issues raised by the Contractor.

(n) Issue Site Instructions in accordance with the conditions of Contract.

(o) Issue the Engineer’s certificates of payment. (p) Assist in the preparation of Variation Orders including

preparing and/ or amending drawings and specifications, when necessary.

(q) Advise the Client on potential claims and claims (r) Submit recommendations to the Client on the evaluation of

claims for Extensions of Time submitted by the Contractor, if any.

(s) Prepare and submit reports on the status of claims to the Client on a monthly basis.

(t) Prepare pre-snag lists of defects and ensure the Contractor attend to the same prior to the issuance of Final Snag Lists.

(u) Check and approve the Contractor’s as-built drawings, Operations and Maintenance Manuals. Compile all approved as-built drawings, Operations and Maintenance Manuals and other project records and deliver to the Client for purposes of record.

(v) Ensure the Contractor provides all warranties and guarantees required in accordance with the Contract.

(w) Instruct the Contractor to carry out all tests required under the Construction Contract and witness the tests. Obtain relevant test certificates from the Contractor, verify and maintain record of such tests.

(x) Prepare and submit to the Client a preliminary handover report and assist the Client in the handover process.

1. All additional design and drawing works demanded by the Client, changes or variations after the Presentation Drawings or full Scheme Design was approved, Working Drawings completion or during the course of construction at the site shall be charged to the Client on hourly basis as follows:

Manager (any discipline) : BD 40/- per hour Architect/Engineer : BD 24/- per hour Draftsman/Cad Operator : BD 18/- per hour
