purpose is to inform the residents of Sugarland Run

of meetings, policies, upcoming events, and other

items of interest or importance to the community.

We welcome your suggestions and contributions.

We reserve the right to determine whether an

item is suitable for the publication. Items will be

edited for grammatical correctness, clarity and/or

to meet space constraints. When appropriate, late

submissions will be held for the next issue.

MEETING MINUTES

REGULAR MEETING – OCTOBER 19, 2016

CALL TO ORDER: The regular meeting of the Board of Directors of the Sugarland Run Homeowners Association was called to order on October 19, 2016 at 7:30 p.m. in the Office Building. Jimmy O’Connor presided. It was noted that a quorum was present.

Present: Jimmy O’Connor, President Jim Carlson, Director Diane Bayless, Vice President Arnaldo Irizarry, Director Raed Muslimani, Treasurer (Late) Rebecca Thomas, Director Karl Acorda, Director Gabriela, Garza, Sequoia Managemen

APPROVAL OF AGENDARebecca Thomas MOVED that the agenda be approved as written. Diane Bayless SECONDED the motion and it PASSED 7 FOR, 2 ABSENT.

MANAGER’S REPORT *The board was updated on the success of the Community Cleanup on October 15, 2016.*The board was informed of the following events: November 2nd- Meet the Candidates night at 7pm November 9th- Annual Meeting.

DIRECTOR REPORT Jimmy O’Connor thanked the board for attending the Community Cleanup and discussed the success of the event.

OLD BUSINESS The BOD discussed the 2017 Light Replacement with CMI and Deputy Holben. The BOD requested that CMI submit proposals for several streets.

The BOD discussed the option of having the Potomac View fence professionally painted. Management will get a proposal.

NEW BUSINESS The BOD discussed the option of a water feature at the Wading Pool. This has been tabled for a future meeting.

The BOD discussed the 2017 Draft Budget.

Diane Bayless MOVED to approve the proposal from to lease a new copier for the HOA office at a monthly lease of $540.00 from TNL. Rebecca Thomas SECONDED the motion and it PASSED 7 FOR, 2 ABSENT.

The BOD discussed several changes to the newsletter. Management to submit a draft of the newsletter with.

Happy Holidays! As we all enter the busy Holiday season, we would like to remind you of the

upcoming collection schedule and inclement weather policies:

• Thanksgiving Day: Office is closed and no service will be provided. If trash or recycling

collection falls on this day, your service will resume on your next scheduled service day.

• Christmas&NewYear’sDay:FallsonaSundaythisyear.Therewillbenointerruptioninyour

service.

• YardDebrisCollection:Yarddebriscollectiondayfallsonyoursecondcollectiondayofthe

week.

• ChristmasTreeCollection:SingleFamilyandmulti-dwellingattachedhomes,Christmastrees

will be collected on your regular debris collection day after the holiday. We ask tinsel and

decorations to be removed. Please do not place trees in plastic bags.

• InclementWeather: Safety in our community is our primary concern. Roads and/or areas

which are deemed unsafe due to snow or ice will be suspended for collection. If suspension

occurs, services will resume on the next regularly schedules collection day.

Hello Neighbors,

I hope will be able to attend the “Meet the Candidates” night on November 2 at 7:00 PM to meet

the new candidates for the Board of Directors. Our regular Board meeting will follow at 7:30.

The Annual Meeting of the Membership will be on November 9 at 7:00 PM in the Community

Center. This is the annual meeting where we elect the new board members and approve next

year’s budget.

There were a number of motions voted on and approved at the October Board of Directors’

Meeting, under new business we approved of a tree removal behind the 600 block of Avondale.

As we have said in the past, when we have trees removed, the landscaping company cuts the

trunk into usable lengths and leaves it laying in place. We encourage anyone who would like to

have the firewood to help themselves to the wood that is left.

We also discussed changing the rental agreement for the office copier to save money on the

monthly rental and obtain a copier with more features.

Under old business, we discussed adding new features to the baby pool for next year. We are

looking an several different sprinklers, bubblers, and fountains. This discussion is ongoing and

we will take it up again in the future.

We looked at the draft budget for 2017 and started discussing budget items and dues. The budget

is not yet finalized but we expect no surprises.

The results of the recent community survey were discussed and we have received some helpful

feedback from the survey. Expect to see changes coming up in both the newsletter and the

website to streamline and make them both more informative.

We approved a motion for repairs to the Community Center patio. This is the patio between the

Community Center and the pool. It has not been used in recent years after the community center

remodel a fence was installed on the pool side. We are gin to remove the fence and cover the

patio. The cover is actually part of the repairs from the water damage from the air conditioning

condensation leaking into th community. While the leak has been repaired and problem corrected,

we are still going to add a roof over the area to preclude any problems in the future, and make

this once again a usable space.

The board has also approved an application of lime on the lawns in the common areas. This is a

result of soil testing done last year. We look at several recommendations before approving this

application

Lastly, the Board discussed our legal counsel’s opinion on allowing others from outside the

community to rent or use our facilities for profit. It is the opinion of counsel and the Board of

Directors that non-residents may not rent our facilities.

SUGARLAND ELEMENTARY STUDENT DROP OFF

The Loudoun County Sherriff’s Offi ce would like to

remind you that there is no parking along Sugarland

Square Court. Parents have been using that as a student

drop off and pick area. This creates many hazards with

children crossing the road. Please use the designated

area located in front of the school for student drop off and

pick up. Any infraction will result in a parking violation.
