The problem for Vepsäläinen and his Helsinki-based team was that Scania was struggling to manage the high volumes of these unreliable and cumber- some files―and they were infiltrating almost every aspect of the company’s operations. “Like almost any organization, we have limits on the size of our mailboxes,” he says. “In the past, we told our 350 end users to delete old .pst emails they didn’t need any more, but this inevitably led to a rise in the number of calls to our helpdesk as users battled to retrieve old files they had deleted, but suddenly realized were important. Another problem was that we weren’t backing up .pst files from the workstations and laptops, which meant people complained vigorously when they lost their data. Protection for 46 virtual and physical servers

Symantec was already on Scania’s radar. The truck distributer was a satisfied Symantec Backup Exec™ customer, using this powerful backup and recovery solution to ensure that critical information on the company’s 16 virtual and 30 physical systems was fully protected and quickly restored. “Before using Backup Exec, we were struggling to backup data within the overnight window, but now we have the flexibility to perform as many incremental and full backups of the data as we require. And the functionality is magnifi-cent,” says Vepsäläinen. It was this valuable experience―and the knowledge of Scania’s business partner Nevtor―which prompted the company to consider Symantec Enterprise Vault.

“I can’t say enough good things about Nev-tor,” explains Vepsäläinen. “They display a first-class level of expertise, experience, and commitment on every project we work with them on. We trusted their judgement that Enterprise Vault would unlock the door to effective email archiving―and it has.”

Before making the decision on the email ar-chiving solution though, the Scania team considered their options. They compared Enterprise Vault with EMC EmailXtender (now branded EMC SourceOne), but through careful examination concluded that Enter-prise Vault was the better proposition. This was based on the existing Backup Exec imple-mentation and the influence of Nevtor and their recommendation to choose the Symantec email archiving solution.

Complete return on investment within 12 months

Scania is using Enterprise Vault to efficiently archive the company’s Outlook 2003 envi-ronment, by storing one copy of each mes-sage, irrespective of the number of times it occurs. By controlling the size of the storage footprint, Scania has considerably reduced the cost of managing the critical email sys-tem. Vepsäläinen comments, “Enterprise Vault enables Scania to transparently archive email content from end-user created .pst files into the archive repository. By central-

izing user search and accessibility to this information, Scania is significantly reducing the amount of data stored in local and net-work based .pst files. Overall, we estimate a complete return on our Enterprise Vault in-vestment within 12 months, based on the reduced cost of storage.”

Scania is able to calculate the cost of indi-viduals manually maintaining their archives. The company calculates that each person devotes approximately five minutes each day to their Outlook archive management. This is approximately 1,000 minutes per year― equivalent to €200 cost per person, or €70000 across all 350 end users. Enterprise Vault reduces this amount to €20000.

The users are more satisfied with email too―and evidenced by the fact the helpdesk is now fielding 70 percent less calls relating to email management. The quotas and message size restrictions that previously plagued their day-to-day work are a thing of the past: they now benefit from an unlimited mailbox size. Moreover, they devote very little time now to mailbox housekeeping since Vepsäläinen has introduced administration policies to auto-matically archive individual mailbox email and attachments from Outlook to the online Enterprise Vault stores.

Crucially, Scania’s data is also safe. The com-pany’s emails comprise essential informa-tion, such as contracts, sales orders, and after-sales service information. Enterprise Vault moves the emails off the previously unprotected laptops and desktops onto a low-cost storage archiving platform, where the data can be accessed quickly and at any time. Vepsäläinen concludes, “How would I sum up the difference Enterprise Vault has made? We are no longer plagued by .pst files, searching is faster, we benefit from better security of our workstations and laptops, and we enjoy a more efficient use of disk space thanks to deduplication.”
